Proposal - Inter IIT Cultural Meet'17
The first ever Indian Institute of Technology was established in 1951.Over the past few decades,
there have been a number of developments toward establishing new IITs and now we have 23
sister IITs.
Each IIT is different from the other in many aspects, ranging from the academic valuation to the
various clubs, their activities and many more. To bridge this gap among all IITs and to enable
sharing of knowledge and cultural distribution the Inter IIT Cultural Meet was initiated last year.
The second edition of Inter IIT Cultural Meet is to be hosted by IIT Kanpur from 28th to 30th of
December, 2017.
IIT Kanpur has been a proud host of many Inter IIT Sports and Tech meets which have received
a positive review from almost all other IITs. This year is the second year of Inter-IIT Cultural
Meet and we would like to host the second edition of Meet in even a bigger plethora. The
proposal has been prepared taking cognizance of the constraints and needs of all IITs and with
the present schedule that we have proposed, 16 out of 23 IITs have confirmed their participation.
The expected participation is around 1200-1400 participants. We plan to conduct the meet at
much bigger level this time and we will make sure that every participant takes back loads of
memories from the meet.
The following are the logistic details of the meet:
Hospitality:
a) Transport: IIT Kanpur has the facility of a regular Bus service from Kanpur Central Railway
station to the IITK campus. The schedule is attached in AP-1. During the meet, we would be
running special buses for the contingents from 27th evening to 28th morning from the Kanpur
Central Railway station to the campus so that the participants reach safely and timely for the
meet. In total, we plan to have 4-6 special round trips the schedule of which will be
communicated later.
Note:
1. In case, a contingent is accompanied by a faculty or non-student mentor (at max 2),
separate accommodation would be provided in those guests in hostel guest rooms or
Visitors Hostel.

2. If a team wishes to extend their accommodation period (28th to 30th December), they
will have to pay a nominal amount that includes Hostel Room Rent and MEC. The details
can be obtained in advance.
c) Food:
We plan to provide Breakfast and Lunch to all participants in messes of the respective
halls, free of cost, from 28th morning to 30th night. Also, OAT food stalls, canteens and other
food outlets of the campus will be functional during the period of the meet so the participants
wont face any issues regarding fooding.
Note:
1. We wont be entertaining requests for arrangement of food in messes beyond the above
specified time duration. The contingents are free to use the other food outlets available in
the campus.
b) Auditorium:
Main Auditorium is a 1200-seating capacity live performance venue, located in IIT
Kanpur. It is best known for hosting cultural and technical events held in the campus. The
auditorium has 2 floors with ground floor with a capacity of 900 and terrace floor with another
300 seats. The auditorium is centrally air-conditioned.
In the meet, the auditorium can be used for Dramatics and Dance events.
c) Outreach Auditorium:
This fully air-conditioned facility serves as an educational resource primarily used for
lectures, guest speakers, seminars, workshops, conferences, academic panel discussions and
other activities. The auditorium has a seating capacity of 210. These auditorium is furnished with
state-of-the-art audio-visual facilities with a control room at the back of the auditorium, remote
controlled LCD projector with a large screen and other portable equipment.
In the meet, it can be used for small-scale events of various clubs and movie screenings.
d) Lecture Halls:

In total, we have 20 lecture halls with a capacity ranging from 80-700. Some lecture halls
are equipped with monitors and other sound controls which can be used for musical and speaking
arts events, some can be used for debating and other quizzing and literary events.
Trophies and certificates (to the contingent, and not to the individuals) would be distributed for
the following heads:

In addition to these, we will have event specific awards for major events and runner up and
second runner trophies for every event.
AP-4
Finances:
The main idea of the meets finances would be to save as much as possible and build a
corpus for the meet, while ensuring best quality conduction, so that the upcoming editions can be
hassle-free. To ensure the same, we have the following proposals that need to be implemented in
all IITs:
1) Hoodies: Hoodies selling has been one of the prominent-most avenue for generation of
income. On similar lines, we propose the following selling strategy for the Inter IIT
Cultural Meet Hoodies:
a) The Hoodies will be similar in design with the logo, colour and name of every IIT
being different.
b) The Hoodies have to be sold to your respective contingent members which will
fill them with pride and honour, being the representatives of their IITs in the Inter
IIT Cultural Meet.
c) For a start, we will send 50 Hoodies to each IIT through post (The number is
negotiable). The price of T-shirts would be Rs. 750 for hoodies. On the basis of
response, more Hoodies will be sent.
d) All the IITs will have to pay 50% amount in advance i.e., Rs. 18,750 for hoodies.
This plan will ensure a profit of around Rs. 2,00,000.
2) Alumni Funding: Till now, a lot of IITs have established a decent alumni base which
can be reached through the Alumni Office. We are planning to put up a proposal
addressing the alumni contact website so that the alumnis can fund the meet as a
sponsored project. This plan should be personalised to every IIT and we would like to
have a discussion on the same. As discussed, IITs interested in this will contact the
organising team and the team will also try to contact MHRD for funds.
Apart from these avenues, we will be doing rigorous marketing to ensure that we have built a
decent corpus for the upcoming editions of the meet.

Events:
General Rules:
1. In the events where every IIT is allowed to send 2 teams, the final score will be the
average of points of both the teams on the judging sheet. In case an IIT sends only one
team, the points for the other team will be considered ZERO(0) and the same rule will be
applied. Exceptions to this rule would be:
a. Quizzing Events
b. Parliamentary Debate
2. The point structure will be:
a. 1st position-100%
b. 2nd position-80%
c. 3rd position- 60%
d. 4th position- 40%
e. 5th position- 25%
f. 6th to 10th position- 10%
g. Below 10th position- 5%
(Exception for this point structure are Quiz events. Refer guidelines mentioned for quiz
events.)
3. As discussed, the points for all the heads will be considered for the final tally.
4. The decision of judges will be final and binding for all the events.
5. Penalties will be deducted from 100 marks in judging criteria for all the events.
6. Only those submissions for Online Events will be considered which are submitted by the
communicated email IDs of Contingent Leaders.

Composition should be an original work of the participant. Plagiarism of any kind is not
allowed.
Language used should be hindi. However, use of urdu to certain extent is allowed and left
to judges discretion.
Each participant has to write and submit 2 poems: 1 on the provided themes and 1 on an
open theme.
Participants may carry a piece of paper or phone to which the may refer to while recitation.
1st Round:
1. All poems will be judged and scaled cumulative marks of the four submissions will be
round 1 score
2. Best two poems (one on the provided theme and one open theme) will be told to each
team as per judge's decisions.
(it is not compulsory to perform best poem, if you feel that the poem with less marks is
much good for performance, you can perform that)
2nd Round:
1. In this round, both participants have to recite any one poem out of the two.
2. Time limit per individual: 8 min. (Exceeding the time limit will lead to cutting of power
to mic.)
Themes will be disclosed 5 days prior to the event (Each team will be given several (at least
3 for each IIT) themes to choose from, via lottery)
Each team must stick to its chosen theme. No exchange of themes is allowed.
Judging for round one will be done for both the poems of every team, sum of the scores of
which will finally form the total obtained by any team in this competition.
Each team must submit both of the poems to be presented in the physical form (Pen
drive/Hard Copy) at least 24 hours before the competition begins.

Tournament Structure:
A maximum of 16 teams will be allowed to participate.
There will be 3 preliminary rounds in which teams will be ranked according to wins and
losses and in the event of a tie, speaker scores shall be used.
This will be followed by the top 8 teams qualifying for the Quarter Finals followed by the
Semi Finals and Final.
A panel comprising of 4-5 core adjudicators will be appointed to set the motions and
conduct the debate.
The final position of each IIT will be decided taking into account the performance of the
teams and adjudicators with both receiving equal weight.

Each IIT will be given a pool of 5 photographs, using which, they need to create a photoshopped
image. You cant add any element in the photo but you can use any of the tools of Photoshop like
Brush etc.

Online Photo-Story(30)
Participants have to depict a story based on the given theme through a series of photos.You can
send a PDF file containing title and an overall photo-story description of max 50 words.
General Rules:
1. Camera Resolution should be at least 3.2 mega pixels.
2. One without EXIF data (and hence the date) will not be accepted. Make sure that your
camera date is set before you click a picture.
3. In photo editing only global editing i.e. cropping and adjustment of hue/saturation;
brightness/contrast levels are allowed. Photo-morphing, manipulations or local editing is
not allowed.
4. Participants have to submit both the edited and original entries for judging in a folder
shared on the email id interiitcult17_majc@gmail.com.
5. Participants have to submit an overall description of the photo-story (not exceeding 50
words), in .pdf format. Individual photo-captions are not allowed.
6. Do not include your credentials (name, address etc), watermarks in the picture or the
frame. Such photos will be disqualified.
7. Any sign of plagiarism will lead to disqualification.
AP-25
The 48 hour film-making competition is a theme based. Submission will be taken offline. You
have to complete everything - scripting, shooting and editing in 48 hours only. A short synopsis
of the film also has to be submitted.
