Data file types


1. .TWBX (Tableau Packaged workbook)
 Data
 Includes everything in .TWB
 To create, from anywhere
i. Select ‘File’; ‘Save As…’
2. .TWB (Tableau Workbook)
 Viz (visuals)
 Includes everything in .TDS
 To create, from anywhere
i. Select ‘File’; ‘Save As…’
3. .TDS
 Data prep details
 Path & Connection to file(s)/server
 Used as a template for data
 To create, from a worksheet
i. Right click the data source name
ii. Select ‘Add to Saved Data Sources…’

Data accessed through a server


 Access can be configured through the users existing permission to the server
o For example, using SSO (Single sign on, their existing access can be used to limit their access to the data
through tableau
 Access can also be configured through tableau, to provide their access based on an independently created
permission structure
o For example, a user does not have access to the source data through the server, however they should have
access to a subset of the data (i.e. their team)
 Access can be set up to provide them access to their applicable subset, independent of the SSO
Access

Changes to Columns
 Adding columns
o Automatically added when added to a source
 Removing columns
o Automatically removed when removed from source
 Renaming columns
o Use the ‘Replace References…’ function
1. Right click on the Dimension or Measure
2. Select the new column header

Hierarchies
 Can be set up to group parent/subsidiary groupings
o i.e. personnel hierarchies, Segment/Platform/Area/Lob,
 Drag the subsidiary and drop it on the parent, choose name
o If there are multiple subsidiaries for a given parent, it will appear multiple times
o Or Select all applicable fields, right click > Hierarchies > Create hierarchies

Dates (page 53)


 Discrete (Date Part)
o Defaults to headers
o Period types
 Year
 Quarter
 Month
 Day of week
 Continuous (Date Value)
o Flows from previous period to current
o Use for graphs

Colours
 Applying a Measure to colour will yield a gradient
 Applying a Dimension to Colour will yield colours for each category

Show Filters to Users


 Add filter to worksheet
o Right click the name of the filter
 Select ‘Show Filter’
 Filter will show on the right side of the window
o To change the display format, click the drop-down arrow & select applicable view
 Filter by dates
o To set up quarters, use Relative Dates
 Options include
 Current Quarter
 Previous Quarter
 Last ## Quarters
 (Current) Quarter to date
 Advanced features
o Filter by conditions; for example
 Only show items which breach a metric
o Show only the relevant values in the filters
 For all applicable filters, set up the ‘Show Filter’ function
 In the ‘Show Filter’ pane, select the drop-down arrow
 The default entry is ‘All Values in the Database’
o Select ‘Only Relevant Values’
o Clear all Filters
 Select Dashboard > Actions > Add Action > Filter… and make the following selections: Name:
Click to Clear All Filters
 Source Sheets: Ensure that only Clear All is checked
 Run action on: Select
 Target Sheets: Bars, Clear Category, Clear Region and Map
 Clearing the selection will: Show all values
 Target filters: Selected Fields
 Select Add Filter, and enter Region for both source and target, then click OK.
 Repeat the above step for Category, then click OK.
 Click OK.

Dynamic Additional Details


 In a Dashboard or Story, display dynamic value details based on the selected data where there are multiple data
sources with different data types
o Using Dashboard Action it’s possible, but complex to set up

Tooltips
Adjust what can be seen in the tooltip (based on instruction, but it didn’t work, I think I missed something)
1. Adjust what can be viewed in the tooltips
a. From the worksheet, select the ‘tooltip’ button
b. Add or remove data fields as applicable
i. The output of a field can be modified to show a calculation different from the one displayed
