RFP Evaluation Worksheet

This document provides a template for evaluating vendor responses to a request for proposal (RFP). The template includes categories for scoring vendors on their qualifications, solution proposal, costings, and other considerations. Scores from each category are weighted and summed to calculate a total score for each vendor. Notes explain that weightings must total 100 and vendors who do not meet mandatory requirements should be disqualified.

RFP Evaluation Worksheet

This template is intended to provide a framework for evaluating responses to an RFP from different vendors.

The category headings on the left hand side should be consistent, and I have tried to make category details
generic enough to be used on most projects though you may wish to add detail. Weightings / scores will vary
depending on the project being considered.

Category Weighting Vendor 1 Vendor 2 Vendor 3 Vendor 4 Vendor 5

Has vendor complied with all RFP mandatory N/A
requirements?
1.0 Qualifications / Experience 0 0 0 0 0 0

1.1 Experience of company on similar projects

1.2 Experience of staff on similar projects
1.3 Quality and relevance of references
2.0 Solution Proposal 0 0 0 0 0 0
2.1 Completeness of proposal against
requirements
2.2 Quality of proposal
2.3 Alignment of timeline with proposed
schedule
2.4 Requirements on our organization
3.0 Costings 0 0 0 0 0 0
3.1 Overall project costs
3.2 Payment structure
4.0 Other considerations 0 0 0 0 0 0
4.1 Contract terms
4.2 Vendor history with organization
Totals 0 0 0 0 0 0

Notes
Weighting for each section is sum of the weightings for each item in that section
Total weightings are summed in total row; these should total 100
Failing to meet mandatory requirements should result in disqualification; vendor column turns red if "No" is
selected for that vendor
