Purpose and client requirements

What have you been asked to do?

We have been asked by the client to install a new Operating system, update open office and
Inkscape. The client has asked me to regularly back up everything I have done so nothing is
lost. The client wants me to change the background to something that they want. They also
want a menu in open office to be more accessible for them to use. I have also been asked to
refine the customer records, so it is easy to use and takes little time to use so the client can
spend more time working rather than looking through records. Ill need to do this quickly
because I don’t have much time and I will be working around other people.

Investigate the current system.

Windows XP was realised 17 years ago in August it stopped being supported on 21st of April
2008 this means no updates or patches will be added to windows XP. This means if there’s a
problem with anything it will never get fixed.

Open office is free and allows users to use it to write and use databases.it was released
8 May 2012; 6 years ago. It is 141 MB which means we will be able to run it as we have 4G.
This is still supported this means if there’s any problems with it they can fix it with new
updates and patches.

Inscape is a free editor. It was released November 2, 2003; 15 years ago. Its 81 MB which
means we can still run it. It’s also still updated this means any problems with it will be fixed.
Overall all the software is old so will need to be replaced/updated.

P3. Planning and description of activities that will be undertaken

Installation activities

I will Install windows 7 and gather the resources I will need like the IOS file and product key.
I will also run though the install wizard to ensure its run correctly.
Maintenance activities

I will also be updating open office to a new version 4.1.2.

I will get the newer version of inscape 0.9.1.
I will upgrade the new various through the wizard
Customisation
The Database will be refined through a table wizard/ form wizard in access data bases. I will
also customise the power settings through the control panel in windows 7. The back ground
will also be changed in the settings of windows 7 I will also customise open office in the
customisation wizard.
I will using wizards through out to save time.

The are number of other applications that I could use and here’s why have chosen the ones I did.

Open office v Microsoft office

Open Office

Open office is a free to download app that allows you to write and customise your work. It includes
word processing, spreadsheet, presentation, vector graphic editing and database management.
Open office is easy for beginners to learn and allows more experience users to use complicated
features.

Microsoft office

Microsoft has a 24-hour help team if anything goes wrong with your application this means they will
be able to fix your problem very quickly. It also so uses levels of access this allows you to customise
who can access the documents and what they can do.

Inkscape V Photoshop

Inkscape

It has high quality of colours and images.it is good and complex and simple images which gives the
user a wider variety of what they can work on. Inkscape can correct every line part with Edit Paths by
Nodes tool. For some people who they work in graphic design field, this application is familiar as
same as Corel Draw and Adobe Illustrator in Windows operating system.

Photoshop

Its easy to use and has the capability to allow you to have complex images. Most edits can be done
using one click. Its organised so everything can be easily found. provide function can be opened from
a single menu, resized and relocated for personal preferences. Photoshop has lots of features that
users can use like 3 D images.

Windows 7 v windows 10.

Windows 7

Windows 7 has a lot of new and nice features that are not in the other versions, It looks nice
and it is designed for touchscreen interaction, It is faster than Vista and windows XP, It is
faster than its predecessors , both in terms of installation and boot up time .

Windows defender was proved to be the best in giving the protection to the system, It has
fast start up and shut down, windows 7 update the feature for all the software and the
components.

Windows 7 supports Virtual Hard Disks with the support of enhanced performances of multi
core processors which helps to overcome the clutter in the desktop by introducing three new
features which are Aero Peek, Aero shake and snap .it is well organized and has been made
very easy to find things

Windows 10

Windows 10 has new generation design , It is easy to use social media sites like Facebook and
twitter, It is the latest operating system which features many changes and very eye catchy
user interface , It delivers new features on free upgrade , So , You will not wait for the new
release and it has trusted brand name of windows .When you run Windows 7 , Windows 8.1
, and Windows Phone 8.1 , You can upgrade to Windows 10 free , Windows 10 technical
preview was recently launched by Micros

Justification

Windows 7

I have chosen to use windows 7 which is the updated version of Windows Xp I will need to install this
however the company won’t need to train there staff as they had used windows Xp in the past..
Windows 7 is also free as I’m just updating the old one. The client will also not need to spend time
getting used to where everything is as it uses the same layout as the older version. Some of the new
features included in Windows 7 are advancements in touch, speech and handwriting recognition,
support for virtual hard disks, support for additional file formats, improved performance on multi-
core processors, improved boot performance, and kernel improvements.

Open Office 4.1.2

This also applies for open office as they are using an older version I can update that this means they
don’t need to spend time training how to use it. They can just get on with what they are doing this
will take up less of the client’s time. Open office is a free to use application this means the client can
install it on as many computers as they need this will reduce the amount of money they will need to
spend if they use Microsoft as they would have to keep buying it every time they wanted it on
another computer. Updating the software will also allow the client to have access to new feature
which they can use how ever they want to. Updating it also means all the files on the old software
can be transferred to the new one with little effort.

Inkscape 0.9.1

Inkscape is free to use and can have complex images that they client may need to use. It also has
hundreds of easy to use features available at just a click of a button. This is also isn’t a time
constraint as I don’t spend time installing the application and I can just update the old Inkscape as

the client has perversely owned Inkscape this all means that. all the files can still be transferred from
the other application. This also contains new features like it can correct every everything in a one
area.

I have also check that all the systems work with this these new updates and software. I have also
made sure the computer can run these which it can, it also makes more sense to use a soft they are
used to as it meets the requirements as it reduces time and cost this also means they don’t need any
training.

Constraints

I had limited time to do this as I only had one day to update all the software. This meant I had to
work quick if I wanted to get it done in time. If I, make mistakes this may make me go over the time
limit which will affect the clients work.

Money is also an issue as the company need to keep working while I update the system this means I
can’t get in there way and must be quick when I up date the system, so it doesn’t stop them from
working.

The is also limited space for me to work as I will need to work around the people working for the
company so I don’t disturb them working. This may make me take longer as I won’t be able to use
the computers until they have finished what they are doing.

I have also been asked to only use open office 04.1.2 windows 7 and Inkscape this means If it doesn’t
work on one computer I have to spend time fixing it and I won’t be able to just use another
application because the client only wants these applications to be used. If the client doesn’t have
enough ram the application won’t be able to be installed this means he would have to upgrade them
before I can install it.

How will the plans meet the client needs?

I have created the plan the client asked me to add the new operating system. I have also updated all
the software so its stabile for the new operating system. I have also gathered the resources, so I
don’t need to spend time trying to find them. I have also created a back so if something goes wrong I
have a copy that’s fine. I also created a restore pointy that allows me to go back to if I don’t like
something or if I did something that made the application crash. I have also updated the old versions
to the new one, so I don’t need to spend time looking for new operations systems. I have also pick
software that could be done quickly as it’s a constraint of mine to get it done in one day. Having the
means, I could just install it all in about 50 mins at max because I would have everything ready to go.
This is also I don’t stop the client from working while I’m working on it as they can still work on the
older version while I upgrade to the new one.

I have decided I will use wizards this means its less likely to go wrong so less time will be wasted
going back to a restore point. The wizards will be able to guide me through and will allow me to
change things. This also means I don’t need to know the system I’m using.
