Chapter I: Project Initiations

1. Project Origin

Through the years, people are looking for constant ways on how to improve the standards of
living, and because of innovative technology man came up with a solution on how to enhance
human capabilities. Now a day, schools are having a hard time entertaining to those students who
are about their information’s in school especially when they are using the manual form of
registering, viewing their balances, their year curriculum and getting their grades. For enrollee/s,
they are having difficulties in terms of paying in the accounting department. For that reason, the
group came up with the idea to create a certain system to uplift the environment and way of
performing the Information System off the students.

The proposed system is all about the improvement of the student’s information system. The
purpose of this is to help the student’s/ enrollee’s in a certain school that will give them the benefit
of using an online form of application, online registration and a privilege to view their balances
and their grades, not only to facilitate all the pleasure in students information system through online
but the group also give the schools staff the privilege in lessening their work. Through this system
all branches of the Interface Computer College in Manila, Caloocan, Iloilo and Davao can use this
proposed system.

Since it is a computer school, it is logical enough to update when getting the information
of the students. Not to mention, almost of the other Computer School are using this kind of system
for the benefit of their student and welfare of the school itself. The Students Information System
is a big help both for the school and for the students and for the new students.

The group believe that it is much more effective to use the Students Information System rather
than the Manual System that they are currently using since it is interactive and user – friendly.

 2. Problems and Issues
This study explored issues and concerns in the implementation of the Students' Information
System (SIS). In many situation it is very difficult to maintain the student data. This is why it is
very difficult to check information about any student. Because of many problem about regarding
on the information of the students the group want to create a system which can handle student
information so that these difficulties can be decrease. The group proposed the student information
system.

Problems:

 Enrollment – the school are current using manual system in enrollment it is not easy to
those students because they need to do a lot, like arranging the papers by section/course
and alphabetical arrange and it also can affect a lot of time to the workers.

 Grading – the students need to go to registrar office to see their grades and it take time
because they need give some info just to verify their grades.

 Registrar Office – when finding information’s of the student it takes time to find because
some information they put in one envelope.

 Accounting – you need to give your green and they will verify first after that verification
that’s the time that they will give you financial statement.

 3. Current and Technical Situation

The existing system, which is manual is a process of giving and gathering of the information
of the college students the process goes like this; the student go and ask the registrar for their
information inside the school like if they want to know their grade status after exam or want to
know the next exam schedule.

4. Proposed and Technical Situation

The proposed system need a large amount of storage to store different kind of data and
information of the students. But the team will assure that it is more efficient and effective when it
comes in the student information system. The process will be like this; the student need to log-in
to be able to see, view and select the information needed.

 5. Project Objectives

The proposed project objectives in general is to keep all student data in simplest way and to
facilitate an active student information system in interface computer college manila campus for all
college student and become more efficient and effective in terms of the process of gathering and
knowing the information of the college student.

Specific:

 Enrollment – the enrollment process has a big role in every college so that we proposed
the student information system to avoid any problem and issue when it comes in the process
of enrollment.

 Faculty Center – the exam schedule will become updated compare the current system by
simply log-in to the SIS machine.

 Grading – the college student can easily identify their grades.

 Registrar Office – the backlog on data entry can be decrease because of the help of the
proposed system.

 Schedule – it may not be hassle for the students to go to the registrar and get their schedule
because in SIS they are just simply log-in and click the schedule menu and they will going
to see their schedule.

 6. Benefits and Impact

Organizational benefit

The team assure that the proposed system in organization benefits. It can benefit the
organization in several ways. Many groups such as, student, admin, registrar and the stakeholder
may associate with an organization. Some groups who may believe they are entitled to benefits
from an organization include the following:

 Students – the proposed system will help the college students in terms of knowing the
status of their academic inside the school.

 Admin – it became more effective for the admin.

 Registrar – less hassle for the registrar to inform the students about their situation inside
the school.

 Stakeholder – proponents will assure the main purpose of the proposed system to the
stakeholder.

 Proponents – the stakeholder will adopted the proponent’s system.

Operational Benefits

Students

The releasing of student information can be fasten and can help the registrar to inform the
students.

It can be manageable and effective for the administration.

Registrar

The keeping and maintaining of the data can be efficient.

It can be manageable and effective for the administration.

Technical Benefits

The system information system will ensure the satisfaction of the user especially the
college student it can help them to be aware in any situation inside the school. The proponents
ensure the effectiveness and efficiency of the SIS.

Since the current system is manual the student may not be aware in the information updates inside
the school. And maybe the college students found it that the process of the information system has
a problem and issue.

Financial benefits

Since the objective of the student information system is to fasten the process of giving and
updating the information. The proponent also consider the financial status of the stakeholder may
not be heavy. The material will use may not be expensive but the benefits of the proposed system
is much important at all.

 9. Job Description and Details of Work

 Team leader – is someone who provides direction, instructions and guidance to a group
individuals.

 Encoder – one who converts from one format or code to another, for the purpose of
standardization, speed and compression.

 System Designer – is someone who develop a comprehensive plan and instructions which
can be given to programmers.

 Researcher – one who ultimately responsible for the conduct of their research.

 System analyst – is a person who uses analysis and design techniques to solve business
problems using information technology.
