Chapter 1

THE PROBLEM AND ITS BACKGROUND

This chapter contains the introduction, Background of the Study, Conceptual Framework, and Statement of

the problem, Objective of the Study, Methodology, Scope and Limitations and Definition of terms

Introduction

Computer has changed the way people work specially in the field of industry and commerce. Most

businesses have used this in carrying out different business transactions. Computer has been greatly valued for its

skill to execute tasks more hastily and more accurately than any human being had. These tasks include solving

numerical calculations, storing necessary information, and organizing files that can be used by management and

other departments in the company in making economic decisions.

Shoe Store Inventory System and POS that can offer to manage inventories in an easier and better way.

This inventory system aims to provide easier and better recordings of released/ received products to the inventory

system by which it is manage by the in-charge personnel with the permission of the owner. Inventory System is a

process done by a business that sells product in order to help analyse how the business is performing.

Background of the Study

The computerization of almost all the systems in the society has made all transactions fast and secure. Now

in a new era of computer and telecommunication industry, the inventory can be made through the use of computer

anywhere. This system will help them to their inventory using the fastest and easiest way using the modern

technology.

Towards this documentation, the proponents will show the significance effect of creating a system with

Java application that will improve the inventory system. This proposed solution will also be a starting point on how

the in-charge personnel will properly monitored all inventories transaction using the adopted Java technology.

Furthermore, this documentation will focus on the developmental study and implementation. At the end, the

proponents will show the significance and accurate solution for the findings that the proponents discovers during the

project development.

The system development input-process-output shown in figure is the representation on how the proponents

conducted the conceptualization to solve or give an acceptable solution on the identified problem during the data

gathering. Wherein, the proponents identified the different available inputs such as Data Gathering, problem

identification, objectives, project scope and delimitation and the System Development Life Cycle (SDLC).

INPUT

Data Gathering – the proponents set a face to face interview to gather data such as the current system that the client

is using. In addition the proponents also conducted an observation to validate the client said difficulties. The

proponents also asked about the difficulties that the client encountered in their current system.

Problem Identification – Based on the face to face interview that the proponents conducted and the validation of

the identified problem the proponents conducted at this phase a brain storming activity to address the real problem

of the identified client towards their current system and practice.


Objectives – the proponents at this phase used the gathered information to derive an objective that will address the

possible proposed solution given by the client and the actual observation.

Scope -The proponents identified the system coverage based on the proposed solution during the objective

identification of this developmental study. Wherein, the proponents at this phase created a matrix that will identify if

the proposed solution will directly answer the identified problem. The proponents identified the Schedule and User

information, Pets information, and its real-time transactions.

Monitoring system - The proponents creates additional features that will monitor the pet grooming availability.

Client Management – the client will be register to the database and will input the pet information like name, breed

and services.

Report Generation - The system will automatically generate a report based from the information collected in the

database.

Delimitation – Since that in all developed systems there are delimitations to be considered the proponents identified

the system delimitation to make sure that the set objective will be meeting..

System Development Life Cycle (SDLC) – The waterfall model was identified to be appropriate on developing the

proposed system since that this is a developmental study that the waterfall algorithm is much applicable and reliable

to attained the project scope and delimitation.

PROCESS

Requirement Analysis – The proponents identified the required condition to supports the system capabilities in

order to run the java based application.

System Design – the system was design based from the analysis of proponent conducted to satisfy the condition

required and create a smooth graphic user interface that can be easily adopted by any user.

Process Development – Based on the system the proponent will analyzed the methods and study the step by step to

accomplish a goal by doing a research that is related to Java based system specially the programming language that

are going to use and create an Java based Application.


Testing Development - the proponent will relies on repetition of test that aims to bring the development and testing

phases closer together to release the application properly.

System Deployment – the proponent at this phase are done in all activities that make a new software system

available for use that can exceed the client expectations.

OUTPUT

Shoe Store Inventory System and POS – the proponents studies a system to provide a new systematic way to

conduct automated system which provides a solution in the given problem with fewer complexes.

Statement of the problem

General Problem - Difficulty in checking overstock, under stock and out of stock products.

Specific Problem - Time consuming in looking for existing items in the warehouse.

- Time consuming in preparing of inventory and updating records.

- Unexpected losses of important records.

Specifically, the following questions will be answered:

1. How important to implement Shoe Store Inventory System?

2. What are the identified system requirements on how to implement a Shoe Store Inventory System?

3. How a Shoe Store Inventory System can improve the management of inventory?

Objective of the Study

General Objective - To build a computerized sale and inventory system that will compute and records, updated data

in database.

Specific Objective - To provide a system that will check occurrences of out of stock and under stock and over stock

scenario by applying the use of recorder point for most advantageous stock level.

- To provide a system that will lessen the time being used in looking for existing item in the warehouse.
- To provide system that will fastens the generation of inventory report and updating records. All the data needed in

producing those report will be supplied by the system.

- To provide a system that will secure important records.

Methodology

To implement the above goals, the following methodology needs to be followed:

First, an interview was conducted in order to know the inventory operations of a Shoe Store such as the

manner in which inventories are recorded, updated and purchased.

Second, previous studies in relation with the topic were gathered from books, past theses and net, to

properly and fully comply with the current inventory needs of the said entity.

Third, an inventory system via VB.Net was then created. Using this inventory, sold and purchased can

easily be monitored and recorded, inventory shortage may be prevented and high cost due to labour inventory

handling and ordering may be eliminated.

Through this, the researchers may be able to make a corresponding program that would answer the problem

identified in the former part of this research.

Scope and Limitations

The study focuses on the need for existing Inventory System. The study is limited to a Shoe Stores.

The major reason of the study is focused on designing the Inventory System of a Shoe Store using a

computerized Inventory System. Through this study, the proposed system will greatly help the shop in updating,

maintenance of records of their products and costumer and executing of reports systematically. The proposed system

includes certain processes limited to achieve the purpose including the product entry, update stocks, sales, report and

utilities.

The proponents will use visual basic.net as the programming language and Microsoft Access as their

database.
Shoe Store Inventory System and POS using computerize system is limited only to the official activities

and products of a Shoe Store..

Scope

Scopes of the system are the following.

Security – The system has a capability to secure and retrieve a password of admin/user if he/she remembered their

pin code.

Inventory – The system has a capability to easy to inventory the all products in the Storage room.

Generation of Report – The system has a capability to accurate generation of reports.

File Maintenance – The system includes file maintenance that would automatically add, delete, save, update and

retrieve information of files.

- To be able to know the remaining stocks.

- To be able to know what items/products are fast moving

- To be able to know what items/products are slow moving

- To be able to know how much items are already sold.

- To be able to know what products are in critical stage.

Limitations

Limitation of the system is the following:

- Some data’s are not based on the database.

- Can’t show all information about the products(shoes)

- Not an online transaction

- The proposed system is intended only for a Shoe Store Business.


Significance of the Study

This study is deemed beneficial to the following:

Shoe Shops. The developed Computerized Inventory System would create positive impression towards the owner

and staffs, revealing the entity’s perseverance to adopt technology advancement to improve their current system.

Owner and Staff. The developed system could lessen the difficulties in managing the inventory count which is a

key activity of business logistics and a major preoccupation in the entity’s daily activities. This would also minimize

their time in doing a yearly physical count because of the computerized system that can search and update records

quickly.

Customers. The system could lessen inconvenience to customers when they make a purchase. It would be easily

known if the certain item they want to buy is still available or how many stocks are still available.

Proponents. This study shall enhance their skills and knowledge in advance technology by developing a system,

and become more aware of the existence and benefits of new technology.

Future Proponents. This study would serve as a guide in the area of inventory Transaction Processing

System and in the conduct of a similar study.

Definition of terms

The following terms stated here are defined for understanding its meaning the way the proponent used in the study.

Database – It is an information collection that is organized, easy to access, manage and updated different stored

information or data of this application software.

Graphical user interface (GUI) – It is a type of user interface that allows users to interact with electronic devices

through graphical icons and visual indicators such as secondary notation, instead of text-based user interface, typed

command labels or text navigation.

Java – It is a computer-programming language that is concurrent, class-based, object-oriented, and specifically

designed to have as few implementation dependencies wherein, the application software is going to used.
Waterfall model – It is a relatively linear sequential design approach for certain engineering design areas is a

methodical series of steps that engineers use in creating functional products and processes.

Inventory - The stock of an item on hand at particular location or business.

System - Is a way of working, organizing or doing something which follows a fixed plan does a particular kind of

work or set of rules.

You can use system to refer to an organization or institution that is organized in this way.

Business - Is work relating to the production, buy and selling of goods or services

Program - Is a set of instructions that a computer follows in order to perform a particular task

Process - Is a series of actions which are carried out in order to achieve a particular result.

Visual Basic - Programming environment used to create ground cell, graphical user interface GUI application for

the Microsoft windows family of operating system.

Data Flow Diagram - Illustrate how data is processed by a system in terms of inputs and outputs.

Framework - A basic conceptual structure.

Technology - Refers to methods systems and devices which are result of scientific knowledge being used for

practical purposes.
