Weekly Progress Repo(s

During Home Office Services stage, CONTRACTOR shall submit weekly progress
reports by Monday every week, based on the progress achieved as of the preceding
Friday (cufoff date), in line with the agreed Project Calendar. During Construction
stage, weekly progress reports shall be submitted every Sunday based on the
preceding Thursday as the cut-off date.

CONTMCTOR'S Weekly progress reports shall contain the following details,


separately against each Area/Phase/Systemi Discipline etc., as required.

(1) Narrative Description of major activities completed/achieved during the reporting


period along with reasons for progress shortfall, if any.

(2) Major activities planned during the subsequent week.


(3) Areas of Concern and Corrective Action.
(4) List of major activities (with less than 20 days float) delayed by more than 2
weeks, along with forecast completion dates for the same and impact of such
delays, if any, on the Milestones/Project completion and action plans to mitigate
the delays.

(5) Overall Progress Statistics - Level-1 and Level-2.

(6) List of Critical Drawings/Documents Awaiting COMPANY Review for more than
2 weeks.

(7) Progress S-Curves showing Plan vs. Actual Progress (period and cumulative),
as per the PROJECT Work Breakdown Structure (WBS) and Overall Project
Progress.

(8) Procurement Status Report - This report will be submitted per Discipline,
separately for Equipment and Bulk Materials. Procurement Status Report for
Operating Spares shall be submitted as per format specified in the
AGREEMENT.

(9) Summary MR Status Report.

(1 0) Subcontracting Services Register.

(1 1 ) Weekly Construction Quantity-Based Progress Report, clearly indicating weights


against each activity/ sub-activity included in this report.

construction activities (i.e. Goncreting, Structural Fabrication & Erection, Piping


Fabrication & Erection, Electrical & lnstrumentation Cable Laying, etc.).

(13) Summary Status of Construction Works indicating summary of IFC drawings


received, quantity of materials received and construction quantities achieved

(14) Summary of material and equipment that are forecasted to be at SITE along
with the Required on SITE date and with a recovery plan.

(15) 3-week Lookahead.


(16) Exception Reports on Engineering, Procurement Services, Manufacturing &
Delivery and Construction Works, as specffied in AGREEMENT Exhibit 8.4.1
andi or as may be required by PMCH/PMTH for effective monitoring.

CONTRACTOR shall submit draft copy of weekly Construction Quantity Based


Progress Report for the last week of every month for review/verification of progress
details by PMCH. Same will be returned by PMCH duly checked, so as to enable
submission of final Weekly and Monthly Progress reports by the CONTMCTOR in
timely manner.

Monthly Progress Report

CONTRACTOR shall submit monthly progress report within maximum 4 working days
after the agreed cut-off date or by 4' of every month (whichever is earlier), as per the
COMPANY agreed formats and contents. During Home Office Services stage, last
Friday of each month will be the cut-off date for the monthly progress report, in
accordance with the approved Project Calendar. However, during Construction stage,
last Thursday of every month shall be the cut-off date for each month.

CONTRACTOR shall submit a plan of the Project Progress Cufoff Dates for the
Monthly Progress Report and Monthly Progress Review Meeting to COMPANY, for
approval within 30 days of EFFECTIVE DATE.

CONTRACTOR's Monthly report shall contain all the details included in the weekly
reports with all progress details/statistics on monthly scale. In addition, monthly
progress reports shall also contain the following details:

(1) HSE details.


(2) Progress details, separately for each Area/Phase/Systemi Discipline etc.
(3) Updated Summary Baseline Schedule showing Planned versus Actual/Forecast
completion bars along with progress details.

(4) Updated Progress S-Curves, separately for each Area/Phase/System/Discipline


etc. and Overall showing baseline, current plan and actuallforecast, based on
updated Baseline Schedule.

(5) Updated Man-hours Report showing Planned, Actual and Forecast man-hours
by Discipline and Craft for the period and cumulative. Man-hours Split shall be
provided for direct and indirect man-hours. Report shall include Earned Man-
hours/Planned Man-hours and Earned Man-hours/ Actual Man-hours, by
Disclpline and Craft for period and cumulative.

(6) Updated Manpower Histograms, separately for each


Area/Phase/System/Discipline etc., and Overall Histogram showing baseline,
current plan and forecast manpower, based on updated Baseline Schedule.

(7) Summary Status of Contractual Milestones.


(8) Equipment Status Report.
(9) Updated Engineering Document Deliverable Register (EDDR).
(10) Summary Status of EDDR indicating the number of documents
"Approvedi lssued for Construction", separately for each Area/Phase/Discipline
etc.

(11) Updated Procurement Services Register.


(12) Updated Subcontracting SeMces Status Register.
(13) Updated Manufacturing & Delivery Register highlighting deliveries that are
forecasted to be delivered at SITE, along with required on SITE date and lay out
of a recovery plan.

(14) Contract Status Report covering AGREEMENT Price, Approved Changes, etc-

(15) Contract Trend Notice (CTN) Register.


(1 6) Design Deviation/Concession Request Register.

(17) QA/QC details.

Any changes to the formats and contents of above reports shall be implemented only on
prior agreement with COMPANY.

5.8.3 Reporting Requirements for PMCH (Madrid/Fano/Abu Dhabi)

Each PMCH Project Control Manager shall prepare weekly and monthly status reports
according to the PMCH Project Weekly / Monthly Report Templates (Refer to Doc' Nos'
VECO-PC-FRM-0001 "PMCH Project Control Weekly Report" and VECO-PGFRM-O002
"PMCH Project Control Monthly Report").

5.8.4 Reporting Requirements for PMMC

Overall PROJECT weekly and monthly report shall be prepared by PMTC Project Control
Engineer. Report shall be made according to the PMCC Project Weekly / Monthly Report

Report" and VECO-PC-FRM-0004 'PMCC Project Control Monthly Report").

Progress Certif ication

CONTRACTOR shall submit Physical Progress Certificate for each month to COMPANY
through PMCH/PMTH, along with all supporting documentation for the progress claimed,
in line with the approved Progress Measurement and Progress Reporting Procedures, to
enable progress review and verification/approval by PMCH/PMTH. Progress
ReviewA/erification sheets to be submitted by CONTRACTOR shall include the details of
progress achieved during each month and shall be as per the format specified below:

a. Physical Progress Certificate;

b. Overall Proiect Progress Summary;

c. Home ffice SeMces Progress Summary;


d. Procurement Services Progress Summary;
e. Subcontracting Services Progress Summary;

f. Manufacturing & Delivery Progress Summary;

g. Construction & Pre-commissioning Progress Summary;

h. Commissioning Progress Summary;

i. As-built Documentation Progress Summary;

j. Milestone Completion Certificate.

The formats for the above reports are provided in EPC AGREEMENTS.

Physical progress details submitted shall be consistent with the progress details furnished
along with the respective Monthly Progress Reports, wherein physical progress is
calculated as per the approved Progress Measurement Procedure.

Supporting documentation to be submitted along with the above progress details


essentially include copies of transmittals confirming release/issue of relevant engineering
and procurement documents/deliverables, reports, purchase orders as well as copies of
shipping documents, Material Receiving Reports (MRRS), Pour Cards, Welding Reports
etc. as may be required, to facilitate progress certification by COMPANY. CONTRACTOR
shall provide unlimited access to COMPANY to all information/details to facilitate
progress certification, including the information related to the subcontractors as and when
requested.

Above details shall be submitted every month as per the sample formats in EPC
AGREEMENTS, based on the agreed cut-off dates for the Monthly Progress Reports, to
enable progress verification/approval.

COMPANY shall return the above progfess verification sheets to CONTRACTOR duly
approved/certified, within 2 weeks after receipt of same by COMPANY, subject to
condition that the progress details submitted are correct and the supporting details
submitted are adequate. In case any portion of the progress claimed to have been
achieved is found to be incorrect andior any additional supporting documentation is felt
essential, the progress certificate shall be retumed to CONTRACTOR in original within a
maximum period of 2 weeks after receipt by COMPANY, for necessary rectification and
resubmission by CONTRACTOR.

CONTMCTOR shall prepare the progress invoice for each month consistent with the
approved "lnvoicing Procedure" (Exhibit 8.4.10 of AGREEMENT) and based on the
progress details certifiedi approved by COMPANY.

PMCH/PMTH shall verify/certify progress and endorse progress invoices accordingly, as


per the above procedure.

5.10 Progress Review Meetings

Progress review meetings shall be conducted on weekly/monthly basis as per the agreed
Coordination Procedure. These meetings shall be attended by the CONTRACTOR's
Project Manager, Engineering Manager, Construction Manager, Contracts Manager,
Project Control Manager, Procurement Manager and other discipline Engineers as may
be required. CONTRACTOR shall ensure availability of Subcontractors' key personnel
also to attend all such meetings wherever felt essential by COMPANY. Monthly Progress
Review Meetings will also be attended by CONTMCTOR's Project Sponsor, wherever
applicable. Topics to be discussed in these meetings generally include the following:

a. HSE issues

b. Area-Wise/Phase-Wise/Discipline-Wise/System-Wise Progress (along with Progress


Statistics, Reasons for Shortfall, Areas of Concem, Actions for Recovery of Slippage
etc.)

c. QA,/QC lssues

d. CTNA/ariation Order Status

e. Other issues

These meetings shall normally be held at COMPANY'S Offices or at CONTRACTOR's


ffices as per convenience and prior agreement. Detailed presentations shall be made
by CONTMCTOR during the Monthly Progress Review meetings, highlighting Area-
Wise/Phase-Wise/Discipline-Wise/System-Wise Project Status, Areas of Concern,
Actions Taken, Actions Required etc. Presentation formats shall be prepared and agreed
in advance with COMPANY.

The formats for the above reports are provided in EPC AGREEMENTS.

Physical progress details submitted shall be consistent with the progress details furnished
along with the respective Monthly Progress Reports, wherein physical progress is
calculated as per the approved Progress Measurement Procedure.

Supporting documentation to be submitted along with the above progress details


essentially include copies of transmittals confirming release/issue of relevant engineering
and procurement documents/deliverables, reports, purchase orders as well as copies of
shipping documents, Material Receiving Reports (MRRS), Pour Cards, Welding Reports
etc. as may be required, to facilitate progress certification by COMPANY. CONTRACTOR
shall provide unlimited access to COMPANY to all information/details to facilitate
progress certification, including the information related to the subcontractors as and when
requested.

Above details shall be submitted every month as per the sample formats in EPC
AGREEMENTS, based on the agreed cut-off dates for the Monthly Progress Reports, to
enable progress verification/approval.

COMPANY shall return the above progfess verification sheets to CONTRACTOR duly
approved/certified, within 2 weeks after receipt of same by COMPANY, subject to
condition that the progress details submitted are correct and the supporting details
submitted are adequate. In case any portion of the progress claimed to have been
achieved is found to be incorrect andior any additional supporting documentation is felt
essential, the progress certificate shall be retumed to CONTRACTOR in original within a
maximum period of 2 weeks after receipt by COMPANY, for necessary rectification and
resubmission by CONTRACTOR.

CONTMCTOR shall prepare the progress invoice for each month consistent with the
approved "lnvoicing Procedure" (Exhibit 8.4.10 of AGREEMENT) and based on the
progress details certifiedi approved by COMPANY.

PMCH/PMTH shall verify/certify progress and endorse progress invoices accordingly, as


per the above procedure.

5.10 Progress Review Meetings

Progress review meetings shall be conducted on weekly/monthly basis as per the agreed
Coordination Procedure. These meetings shall be attended by the CONTRACTOR's
Project Manager, Engineering Manager, Construction Manager, Contracts Manager,
Project Control Manager, Procurement Manager and other discipline Engineers as may
be required. CONTRACTOR shall ensure availability of Subcontractors' key personnel
also to attend all such meetings wherever felt essential by COMPANY. Monthly Progress
Review Meetings will also be attended by CONTMCTOR's Project Sponsor, wherever
applicable. Topics to be discussed in these meetings generally include the following:

a. HSE issues

b. Area-Wise/Phase-Wise/Discipline-Wise/System-Wise Progress (along with Progress


Statistics, Reasons for Shortfall, Areas of Concem, Actions for Recovery of Slippage
etc.)

c. QA,/QC lssues

d. CTNA/ariation Order Status

e. Other issues

These meetings shall normally be held at COMPANY'S Offices or at CONTRACTOR's


ffices as per convenience and prior agreement. Detailed presentations shall be made
by CONTMCTOR during the Monthly Progress Review meetings, highlighting Area-
Wise/Phase-Wise/Discipline-Wise/System-Wise Project Status, Areas of Concern,
Actions Taken, Actions Required etc. Presentation formats shall be prepared and agreed
in advance with COMPANY.
