Article I: Organization Name

The name of the organization shall be Harvard College eSports Association.

Article II: Purpose


The Harvard College eSports Association is concerned with three major goals:
1) supporting intramural and intercollegiate competition in gaming,
2) connecting the Harvard gaming community, both socially and professionally, to
other gaming communities and to video game companies, and
3) fostering a positive gaming community here at Harvard.

On top of these major goals, we strive to de-stigmatize gaming and gaming culture
by introducing gaming to Harvard students who may not have had the opportunity
to learn about it.

The above goals will be accomplished with methods including, but not be limited to,
the following: intramural and intercollegiate tournaments; Local Area Network
parties (LAN parties); viewing parties; visits to local conventions (e.g., PAX East);
visits from professional gamers, well-known personalities in the broader gaming
community, and employees from major video game companies.

Article III: Membership


1. Membership in this organization shall be open to all students in good
standing currently enrolled in Harvard College, regardless of race, creed,
color, sex, gender identity, sexual orientation, or physical disability.
2. Members must be students of Harvard University.
3. Membership shall be retained until the student severs relations with the
University whether by graduation or otherwise. Membership will be retained
during the vacation and recesses of the university.
4. Members can be students at any school that is a part of Harvard University,
not only the undergraduate school.
5. Members outside of the Harvard community, such as alumni and students of
Harvard University who are not members of the group, can participate in
certain activities such as visits from professional gamers, well-known
personalities, and employees from video game companies.
6. If a member is disruptive to achieving any of the goals listed in Article II, the
member is subject to a ban from the group after the vote-out process
outlined in Article V, Section 7.
7. A banned member shall not be allowed to attend any events hosted by the
group. Also, he or she shall not be allowed to join any electronic medium
which the group uses.

Article IV: Officers


1. The officers of this group shall consist of Co-Presidents, Treasurer, Secretary,
Game Directors, Technology Chair, Event Coordinators, Publicity Chair, and
Directors of Internal Affairs.
2. All officers shall be registered undergraduates in Harvard College.
3. The Co-Presidents shall be the chief executive officers of the group and shall
have general supervision and control of its activities and programs. They will
cooperate with and substitute for each other.
4. The Treasurer shall have general charge of the financial affairs of the group.
He or she shall keep accurate records of these affairs.
5. The Secretary shall keep a record of all meetings of the group and of all
activities and programs. He or she will handle all formal correspondence
between members and officers of the group.
6. The Game Directors shall be the representatives for their respective game
district (the group of members who play that game) and be the first point-of-
contact for members who have questions about that game or any events
related to that game. They will work closely with players of their respective
game and lead the creation and execution of both intramural and
intercollegiate tournaments of the game.
7. The Technology Chair shall oversee mailing lists, websites, and any other
electronic medium that the group uses. He or she will also lead the necessary
electronic or technological preparations for events such as renting
projectors, setting up power strips, setting up projectors, etc.
8. The Event Coordinators shall lead the creation and execution of social events
such as LAN parties, viewing parties, and visits to convention centers.
9. The Publicity Chair shall create and design all necessary publicity materials
such as posters, cover photos, pamphlets, brochures, flyers, etc.
10. The Directors of Internal Affairs shall create and maintain peace within the
group by helping other Officers with tasks and helping address and solve
disputes within the group.

Article V: Elections
1. Officers shall be elected annually by the members of the group. Elections
shall be held during the month of February.
2. The term of office shall start on the last day of February.
3. The electoral process for Co-Presidents shall adhere to the following
procedures:
a. One member nominates a pair of candidates; another member must
second the nomination. Self-nomination will not be allowed, but the
pair of candidates can decline nomination.
b. Once all nominations have finished, the pairs of candidates give
speeches outlining what they intend to do if elected.
c. The rest of the members are given time to ask questions to the pairs of
candidates.
d. The pairs of candidates leave the room, and the remaining members
hold a secret ballot.
e. A plurality is necessary to win.
f. If no pair of candidates captures a plurality, the top two pairs of
candidates will be announced.
g. Another vote is conducted on the top two pairs of candidates.
h. In this second round of voting, a simple majority is necessary to win.
i. Only members who show up to the election room before the first
speech begins are allowed to vote.
4. The electoral process for Game Directors with existing, corresponding game
districts shall adhere to the following procedures:
a. One member of the respective game district nominates a candidate;
another member of the same district must second the nomination.
Self-nomination will not be allowed, but the candidate can decline
nomination.
i. A general member is considered a member of a certain game
district if he/she has been a member of the respective
Facebook group or electronic medium of similar function at
least a week before the election.
b. Once all nominations have finished, the candidates give speeches
outlining what they intend to do if elected.
c. The rest of the members of the respective game district are given time
to ask questions to the candidates.
d. The candidates leave the room, and the remaining members of the
respective game district hold a secret ballot.
e. A plurality is necessary to win.
f. If no candidate captures a plurality, the top two candidates will be
announced.
g. Another vote is conducted on the top two candidates.
h. In this second round of voting, a simple majority is necessary to win.
5. The electoral process for Game Directors without existing, corresponding
game districts shall adhere to the following procedures:
a. All members of the group are given a notice about an open Game
Director position for a new game district, encouraging all members to
apply for an open Game Director position. Members may apply for
multiple Game Director positions.
b. All applications are received by the Officers and discussed among the
Officers.
c. Once all discussion and debate have ended, a secret ballot is held
among the Officers.
d. A plurality is necessary for an applicant to win.
e. If no candidate captures a plurality, the top two applicants will be
announced.
f. Another vote is conducted on the top two candidates.
g. In this second round of voting, a simple majority is necessary to win.
6. The electoral process for all other Officer positions shall adhere to the
following procedures:
a. All members of the group are given a notice a couple of weeks before
the deadline in February, encouraging all members to apply for Officer
positions. Members may apply for multiple Officer positions.
b. All applications are received by the Officers and discussed among the
Officers.
c. Once all discussion and debate have ended, a secret ballot is held
among the Officers.
d. A plurality is necessary for an applicant to win.
e. If no candidate captures a plurality, the top two applicants will be
announced.
f. Another vote is conducted on the top two candidates.
g. In this second round of voting, a simple majority is necessary to win.
7. In the case of a ban, the process shall adhere to the following procedures:
a. Only Officers can nominate a member for a ban.
b. For the nomination to pass, there must be a two-thirds majority
(rounding downwards) among the Officers.
c. If the nomination passes, the Officers will send out a notice to the
member in question about the nomination for the ban of said member
and the reasons for that nomination.
d. The member in question shall be allowed a written defense due seven
days after the announcement.
e. The written defense shall be received and discussed by the Officers.
f. Once the discussion has ended, a secret ballot is held among the
Officers.
g. An 80% majority (rounding downwards) is necessary to ban.

Article VI: Amendments


1. The constitution may be amended by a two-thirds majority vote of the
Officers.
2. Any three members of the group may propose an amendment. Proposals
shall be filed in writing with the Secretary prior to the meeting so that the
Officers may debate the proposal.
