JOB VACANCY

Admin and Finance Officer (Myitkyina- Kachin State)

MAHAMATE @ Alliance Myanmar is the non-governmental organisation (NGO) that supports


community action on AIDS response through strengthening the capacity and providing technical
and financial support. Alliance Myanmar in partnership with CBOs and Networks has been
implementing projects, mostly on HIV preventions, testing, care & support, ART treatment and
promoting the rights and reducing the stigma and discrimination against key populations
including people living with HIV but also has implemented other related project activities such as
Sexual and Reproductive Health and TB. MAHAMATE @ Alliance Myanmar in line with its
strategic plan is expanding its scope of work to cover other relevant health issues as well. With
the support of UNOPS through Access to Health Fund, Alliance Myanmar is expending Maternal
Newborn and Child Health (MNCH) and Sexual and Reproductive Health and Rights (SRHR)
activities in Kachin and Southern Shan State. It has formed a Consortium together with Marie
Stope International in Myanmar to implement the project. MAHAMATE is going to take
responsibility for MNCH activities in Myitkyina, Moguang, Mohnyin, Tanai in Kachin State and
SRHR activities in both Kachin and Southern Shan while MSI is going to take responsibility for
MNCH activities in Southern Shan.

PURPOSE OF THE JOB

The Admin and Finance Officer ensures project activities are implemented smoothly. He/she will
be a key support person to the Township Project Manager in term of administration and financial
issues.

DUTY STATION

Each Admin and Finance Officer will be posted in Myitkyina office.

JOB RESPONSIBILITIES

The Admin and Finance Officer will be responsible smooth project implementation by providing
necessary admin and finance support to the team. The successful candidate is expected to:

Financial Management
 Prepare monthly cash projection to review and approve by Township Health Manager
 Submit financial reports accurate and timely
 Ensure that sufficient cash is available in field office to allow for all activities to be
conducted and paid for at the appropriate time as per monthly cash projection
 Check invoices/receipts/supporting documents attached to the disbursements are
accurate and complete
 Deal with bank for transfer/withdrawal of projects’ cash
 Handle petty cash for day to day small office expenses
 Maintain Cash in a safe manner
 Process daily cash receipts and payments

Admin and logistics Management


 Handle procurement
 Handle stock control and ensure sufficient stock is available at the office for project
implementation
 Asset recording and reporting
 ensure that office rent contract is up to date and renew accordingly
 Support for effective and efficient office refurbishment
 Assist in organizing of meetings, trainings, workshops, special event, and other related
activities
 Assist in ensuring safety and security
 Collect and summarize monthly individual staff timesheets and leave balances

PERSON SPECIFICATION
ESSENTIAL

 B.Com (or) LCCI Level 3 (or) relevant Bachelor Degree and training certificates on
finance and administration
 At least 3 years working experience in admin and finance management
 Good experience in logistics management
 Good interpersonal and communication skills
DESIRABLE

 Working experience with NGOs, partners, Community Based Organizations


 Experience in Human Resource Management
