BUSINESS CONTINUITY PLAN

From my opinion, accident or unexpected disaster can happens everywhere and


every time in any organizations. Sometimes accident or unexpected disaster including
natural disaster such as flood, earthquake, fire or any other possible damages might
happened. From the video I watched, I agree on the point where major disaster might led to
the loss of many live as well as records even the small problem could effect the entire
department or an organization because record is important document that can be evidence
and might valuable to an organization. Thus, every organization need to have business
continuity plan for reducing the unexpected and effects of the problem in an organization.

First and foremost business continuity plan can be defined as a comprehensively


managed effort to prioritize key business process, identify significant threat to normal
operation and plan mitigation which is improvement strategies to ensure effective and
efficient organizational response to the challenges that surface during and after a crisis.
With this action, record safety and restoration of critical personnel, locations, and operational
procedures after a disaster, can continue. From the video I watched, I agree on the
statement where stated having a backup tape or devices stored next to the server, at the
same location, is not going to do a whole lot of good if the building is inaccessible or is totally
lost in a disaster. Thus, in this video suggest an organization have physical access to remote
copy of file when needed. In addition, an organization need to raise awareness education
and procedure. This is because some organization are not paying too much on this problem
as they expected everything on the record will okay. Implementing business continuity plan,
the top management will take a step to educating all the employees and doing regular
training about the action need to take when involving record.

In my opinion in order to preparing recovery plan, every organization need developed


Recovery Team Responsibility for get the effective response from organizations staff. First
step can take, is check whether an organization has a disaster recovery plan. If already
have the plan seek on how may be able to modify his plan to work in organization
environment. Next step is perform a disaster preparedness assessment. In this step help
the organization identify not only the valuable single source records, but to also identify
proprietary, or non-supported or failing systems, that could create a situation where records
are not recoverable. Third step in establish disaster recovery plan is develop or modify a
disaster recovery plan. This step required person in charger share the information with other
institutions and peers to get their input as well. Next step is train employees and
departments on the content and procedures contained within the plan. In this step including

prevention steps and general awareness of the issues. The last step need to give attention
is test the plan. The plan need to retest and continually adjust the plan as things change.

I like to give an situation where Company C already prepare and have an disaster
plan to follow but the accident still can be avoided such as flood, so what Company C must
be taken to stabilize the environmental condition that effecting the record is remove any
water in the area by using mops and buckers as well as wet dry vacuum. By this step all the
record might be save. Not only have that, Company C also kept their record in room with air
conditioner. This action might increasing the growth mould and mildew at the paper as
result the record will damage. Thus, the employees Company C need to reduce the relative
humidity to below 6% and the temperature to below 18 Celsius to minimize the threat that
mould and mildew will develop. Installing thermometers to measure the temperatures and
relative humidity. In addition, they need to keep lights on at all times until everything has
been dried as the way to dry the air and reduce the chance of mould growth.

As the environment is stabilized, Company C need to begin the removal and


relocation of damaged materials. Recovery and salvage of damaged records and information
usually take place at an alternative operating site or at a designated recovery site. The site
may be located internally or in another facility. The recovery site should be set up with
adequate supplies, equipment, and furniture for salvaging the records and information.
Some organizations contract with commercial recovery services that set up and maintain
recovery sites. Commercial recovery services usually establish local recovery site for large-
scale disaster recovery also the organization need to contact insurers for claim any disaster
and clean and re-establish the disaster site. Although we look this disaster recovery plan as
small piece of matter but the impact can bring the worst to the organization. Learn from own
experiences, as well as others, to better prepare you for possible future events.
