PREMISE
In the current context of the Oil & Gas world, the quality of service execution has become an
indispensable condition for our customers.
More and more both the Oil&Gas Companies and the machinery manufacturers are equipping
themselves with tools in order to fulfill the aim of achieving quality.
In our operational reality this is declined with two simple but indispensable actions:
1) Perform the requested activity on the basis of the available documentation
2) Accurately document the operations performed
For this purpose, our BH client has equipped himself with tools whose use is mandatory and
indispensable.
Each FSE must be aware that without the meticulous use of the tools, the activities will not be
considered carried out for the purposes of:
a. Respect for the purpose of the work
b. Execution of the same in Quality
c. Customer satisfaction the ultimate goal of all our actions
For the achievement of the above, any defection on this matter can be severely sanctioned even
with removal from the activity site with consequences of both economic and image.
It is also recalled that the correct production of the necessary documentation can demonstrate the
correct operation of the FSE in the event that damages to the machines subject to intervention
occurs during the work, otherwise it will not be possible to demonstrate its correctness of the
intervention therefore will inevitably be held responsible.
This can lead to its elimination from the pool of FSEs that can be used by BH, moreover the FSE will
not be responsible only for the action it has committed but also for the damage to the reputation
of Renco which has been built over many years thanks also to the contribution of those of you who
they operated in Quality.
Reputation is the reason why we are chosen by our customers and nobody has the right to put him
at risk through inappropriate and intolerable behavior.
For this reason, Renco, in front of the failure to use the tools, will not wait for the damages to be
done but establishes that it will immediately take the appropriate measures against those who do
not follow what is requested.
We trust in the collaboration of all of you.

TOKEN
The Token is a tool that allows the FSE through the PC assigned by GE, to use the tools necessary for
his on-site activity.
This tool allows to have the connection to the BH systems when the LAN connection is not available,
that is for all cases in which the FSE is on a mission or in any case at its home (VPN connection).
VPN Request
First of all make the account request of the VPN following the following procedure:
▪ Click on the link https://mytech.ge.com/products-and-services/connectivity/remote-access
▪ Select "Request VPN"
▪ Select "Account Only"
If you already have an active account, a warning will appear, otherwise click on "Submit".
Token request
To request your first token, proceed as follows:
▪ Click on https://mytech.ge.com/products-and-services/connectivity/remote-access
▪ Click on the wording “View Advance remote access: VPN”
▪ Click on the "Request VPN" command
▪ Click on the "Token (and VPN if needed)" command
▪ Then on the "Mobile Token" command
▪ Then select "Hard Token"
▪ Fill in the table that will appear then click on “Submit”
The system will send you the Token.
Token configuration
To configure your token, proceed as follows:

Token Use
When the token is configured you can access the BH systems via token by simply clicking on the "F5"
icon shown on the desktop of your computer by entering the chosen password plus the six digits
that appear on the token screen.
If the token is replaced, the old one must be returned to BH.
In case you have not yet received the Token, a temporary solution is the "My Apps" which allows
you, albeit with some limitations, to enter the BH system.
Download My Apps
To download this tool, proceed as follows:
▪ access My Tech with the link htts: //ge.service-now.com/mytech/
▪ click on “Product & Service”
▪ then on "remote access"
▪ download the "My Apps".
Virtual token
Another option in the absence of a token is that of the virtual token which is nothing more than a
code, in place of the actual token but for a limited period of time within which it must be replaced
by the actual token.
The virtual token must be requested from the helpdesk (+ 39-055-4233400).
INTRODUCTION
With this document we intend to update the FSE of the new tools that BH uses to monitor site
activities as well as updates relating to the tools already used.
These tools are as follows:
1) EDM: tool to find the technical documentation (drawings, schemes, specifications and
instruction manuals);
2) TCE: tool to find the bill of materials (BOM) and software;
3) SERVICE NOW: tool to manage Non-Conformities and Technical Clarifications;
4) FIELDWORKS: container for various tools which are FSR, Briefing / Debriefing, Timecards, DOR,
etc. which replaces the FAP;
5) CR Configuration Revue: tool to find the main information on the project (machines, customer,
site) that replaces the GIB;
6) PMHD: tool to find service requests (SR) and reports;
7) TEN: tool to find Service Bulletins, Customer Information Notes (NIC / TIL) Customer Service
Center (CSC) information notes;
8) PLM: tool for technical documentation relating to non-Oil & Gas machines and information on
materials in stock, suppliers with related nr. order;

9) DIGITAL CATALOGUE: tool for finding purchase specifications, knowing suppliers of order
materials and their order numbers.
Before delving into the use of the tools, it is mandatory to introduce the illustration of the
documentation subject to the use of the tools, as well as the references necessary to frame and
define the structure of the projects.

Job Number Definition
An example of a Job Number:
The first three numbers refer to the category of machine (ex. Gas Turbine)
The fourth and fifth numbers refer to the type of machine (ex MS 7000)
The last two numbers represent the progress of machine construction.
The FSE must be in possession of all the Packing Lists of the materials of the project to which it has
been assigned before leaving for the site.
The Packing Lists must be requested from the PM of the BH at the time of the Technical Briefing.
Bill of materials (BOM)

The bill of materials is the list of all materials, components, parts, sub-components, intermediate
components etc. that make up the machine and are used for the construction of the finished
product.
The bill of materials consists of various information and the main ones are:
▪ BOM level
▪ Material code
▪ Material description
▪ Quantity
▪ Reference drawing
▪ Mark of the reference drawing
The understanding of the levels or sub-levels in which the materials are listed is very important.
The structure of the bill of materials is a tree shape, that is, starting from level 1, which shows the
main systems of the supply, it can be collapsed in various sub-levels (level 2) where important
sectors of each main system are reported and from these to other sub-levels (from level 3 to 9) in
which the detailed components are listed.
Technical drawings
The technical drawings that you must have are those necessary to perform the work for which you
have been assigned.
The technical drawing has a label on the bottom right with the following main data:
▪ Drawing No.
▪ Job number

▪ Title
▪ Revision number
▪ Other less important data (language scale, number of tables etc.)

ITN Definition
ITNs are tables and instructions relating to Standard Parts and Components used by NP.
ITN tables can be downloaded from EDM.
The list of ITNs can be displayed using EDM and "Advanced Search" by entering the code
ITN00001.00.
Basically, ITNs are used to find standard material codes and the relevant technical information.

Below are the instructions to learn and follow for the use of the tools listed above.
EDM
Access request
It is the tool for extracting and viewing the technical documentation.
To request access to the EDM tool, proceed as follows:
With the link https://oneidm.ge.com/ a page opens where the wording "EDM" must be entered in
the "Request Access" field.
Then click on the "Find Application" command.
Proceed by clicking on the “EDM-Oil & Gas” option.
A new "Request Details" page will open where the dedicated field must be filled in according to the
requests shown next to the fields themselves.
▪ In the "Requester Legal Entity” " field choose the "RENCO SPA" option
▪ In the "Application" field choose the "Technical Document" option
▪ In the "Owning Company" field choose the "NUOVO PIGNONE TECNOLOGIE SRL" option
▪ In the “Requestor LE” field choose the option "CONTRACTOR/OTHER NON GE (excluded
Granite)"
▪ In the "Access Level" field choose the "Basic" option
▪ In the field "Requestor Department" choose the option "Contractor-Field Sevice Engineer"
(if the applicant is a Controller, the "Contractor-Control Engineer" option will be chosen)
▪ In the "Product" field choose the "ALL (NPTEC)" option
▪ In the "Security level" field choose the "N" option
Then fill to the following fields which are descriptive of the reason for which you request access.

We then proceed to the following fields which are descriptive of the reason for which you request
access.
1. In the first field "Provide examples of the document / information you need", report the
following description indicated here as an example "ITN 33200-SOM17606- SOS0457065-
SM68085"
2. In the second field "Specify why requested document / information are needed in you daily
activities", report the following description indicated here as an example "Field Service
Engineer daily activity needs"
3. In the third field "Reason for Request", report the following description indicated here as an
example "New access to download drawings specification, diagrams, etc. during the normal
site activity "
Then click the "Submit" command located at the bottom of the page on the right.
In case you don't have the Token (connection via VPN), EDM can be used via My Apps Anywhere.
In case of difficulty you can contact Ravenna Sauro, who can make the request on your behalf.
There is only one access level for technicians belonging to external companies, while other access
levels are available for FSE belonging to BH and Fieldcore (Ex Granite).
Therefore, access to many designs that are "prevented" by Know How protection is not granted to
anyone who is not authorized.
EDM Use
To enter the tool, proceed as follows:

Username (which is your SSO)
Personal password (the same one used to enter Windows)
Press enter
Choose the language by clicking on the flag icon

Enter the "Technical Documentation" option
The search procedure has 2 options:
a) Full search
b) Fast search
Full Search
This option is used when you have not the code of the document to be extracted so job number
must be used.
You can also use the document description (title) by placing this between the two percentage
symbols (ex. % diagram%).
With the search through the job number appear a list of all the drawings, diagrams and
specifications that the BH technical office has included.
It may happen that some documents you need, it will be not accessible for you, in this case, contact
the PM / IM /SM.
A more targeted search can be carried out by putting other information in the appropriate space,
for example the literal part of the document code (SOM, SKO, etc.) or the description of the
document content (ex. diagram, plot plan, filter chamber , compressor, turbine, etc.).
Fast Search
With this type of search, you can directly access the document through the use of the drawing code.

The codes are composed of a literal part SOM, SMO, SOK, RMO, etc. . and a 5- or 7-digit numerical
part.
In this regard, some codes of the RAO, RTO, RMO type, which are normally specific or material
codes, it is necessary to remove the "O" and put space between the literal and the numerical part.

Once the document is displayed, through the bar of the various commands you can act on the
document by enlarging, rotating, printing, etc.
If the selected document is only a code that belongs to a table, this will appear in the lower left part
of the page.
In this case you will have to click on the code of the table, and it will be displayed so will appear the
interested code.
It will also be possible to view the BOM code where the document, in this case a material code, is
listed.
The visualization of the BOM can be obtained using the Team Center tool (see below).
In the lower right side an option may also appear that allows you to view the code of other drawings
connected to the document object of our research.
Print
The displayed document can be printed by clicking the "Print" command.

At this point, the path to follow by clicking on the various options proposed to save the document
on the site you have chosen will appear.
Example:
Click in sequence: Download in PDF-Run-Document and setting-All Users-Desktop-Start.
Saving can be done in ZIP to allow the transmission of heavy documents or normal if you intend to
use the document limited to your PC.
Other EDM options are:
a) Utility
b) Miscellany
c) EDM Coll-Docu
Utility
Clicking on this command will display a bar menu with various useful options:
• Document Download
With this command you can download a list of documents by sequencing all the codes that
interest you.
• Document notification
With this command you can request any updates relating to the document concerned.
By selecting the "Info via e-mail" command, you will receive information relating to the update
of the selected document.
There are also other commands, which however are not particularly important for your business.
Miscellany

This section relates to the search for instruction manuals and any old documentation, which can be
found with the job number or with the manual code.
Click on the "Miscellany Documents" command and then on the "Full Search" command.
A table with drop-down menu will be displayed in which you will choose the option that interests
you to fill with the data necessary to view the document.
EDM Coll/Docu
Access Request
The Coll/Docu is that section of EDM where it is possible to find the certification of materials and
testing of test products, packing lists, etc.
This tool requires the granting of access for which you must proceed as follows.

Note: Unfortunately, there is no documentation related to Coll-Docu, however the compilation is
intuitive
TEAM CENTER
This tool is used when it needs to view the BOM for which you know the code or to view all the
BOMs belonging to the project using the job number.
Another important service is to find and download the software belonging to the project.
Access request
To request the TCE tool (BOM), proceed as follows:
Click the link https://oneidm.ge.com/ and a page opens where the wording "TCE" must be entered
in the "Request Access" field.
Proceed by clicking on the “TCE-Oil & Gas” option.
A new page will open where the dedicated fields must be filled in according to the requests shown
next to the fields themselves.
In the new page displayed there are some drop-down menus:
▪ on the "Requestor Legal Entity" menu there is only one option which is " RENCO SPA"
▪ on the "User Plant" menu you will choose "01 Florence"
▪ on the “Owning Company etc.” menu you will choose "NUOVO PIGNONE TECNOLOGIE
S.R.L."
▪ on the "TC Group" menu, is relative to the products you could choose which one you need
for your business, click on the "Common Product" option
▪ on the "TC Role" menu, choose the "Authorized C" option
Once the group has been selected, click on the "ADD to Request" command.

To have access to other "TC groups" you have to come back to the "TC group" menu by clicking on
it.
The list of the various "TC Groups" will appear, proceed by selecting the one you are interested in
(Ing/Tuco, Ing/Tuga, etc.) and clicking again on "Add To Request".
We then proceed to the following fields which are descriptive of the reason for which you request
access.
1. First field: report the following description indicated here as an example "SOF92042,
SIC00129, BOM_SSO2792101 / 000";
2. Second Field: report the following description shown here as an example "Field Service
Engineer daily activity needs";
3. Third Field: report the following description indicated here as an example "New access to
download BOM and software, from TCE during the normal site activity".
Then click the "Submit" command located at the bottom of the page on the right.
After the request for access, you will receive some mails from the system relating to the progress of
the authorization process.
Finally, a last mail will arrive with the communication of the password for access to the TCE that you
must always use (attention: it is the only password for the access and dedicated exclusively to the
TCE, but for other tools you can use your Windows password).
In case of difficulty you can contact Ravenna Sauro of Renco (t.0039-335200852) who can make the
request on your behalf.
Access to TCE is via Citrix
It could occur that you do not have access via CITRIX, so you will need to proceed to obtain this
access as follows:
▪ Enter Mytech.ge.com
▪ Select Shop Software

▪ Type "Citrix Receiver" in the "Search Software" bar, then click SEARCH
▪ Select “Citrix Client”

To enter the TEAM CENTER, select the following link:

Once logged in, a window will open where the "IMAN_Portal" icon will be displayed at the top left,
click on this.

A new page will open with other icons and you will have to click on the “PROD” icon.
A new page will open with other icons you will have to click “TC_PROD”.

When you have displayed a BOM, all the data relating to the columns you have chosen will be
displayed.
Visualization and expansion of the BOM
Enter the number job order in the upper left (in the "Search" section) then double click on the green
arrow to open the relevant first level BOM which can be expanded to all sublevels.
2. by clicking with the right button of mouse on the horizontal bar colored in blue and then on
the “Expand Below” option located in the central column of the page.
The second operation is feasible only if you have selected the internal level access.
To do this, click on the string at the top, below the menu, where your name, SSO and authorization
level is contained.

A window will open and in the "Group" section, select the group you are interested in from the
drop-down menu (excluding the "EXTERNAL" option) and click "Apply".
At this point, with the right button click on the horizontal menu bar colored in blue and then on the
option "Expand Below ..." located in the central column of the page, then indicate the desired level
of expansion.
Single BOM Search
Proceed as for the search with the job number until the "Structure manager" command is selected,
then the BOM code (ex. BOM_SMOxxxxxxx) is shown in the field at the top left of the page.
The first level BOMs will be displayed but they can be expanded as for searching by the job number.
For visualization and printing, proceed as described in the BOM search via job number.

In the top bar, click the "Tools" command, a menu will open in which you will select the "Export"
command and then click on the "Object to Excel" option to export the data to an Excel sheet.
This will open an Excel file that can be saved and edited, like any Excel sheet.
Find option
Once some BOMs are highlighted, you can proceed with a search using various criteria, visible by
clicking on the lens icon located in the menu at the bottom left.
A window will open in which to select the search criteria for the single material.
Software extraction
With this tool you can also download the software, this tool is used almost exclusively by the control

FSEs.
The procedure is as follows:
Through EDM you go back to the software code then you use the "my Team Center" option then
you will type the software code at the top left as follows %SOF% and
click on the green arrow.
Then a new table will appear in which the software code will be displayed on the bottom right, the
code will be highlighted, and the right mouse button will be clicked.
A drop-down menu will be displayed in which you select "Named References ..."; at this point click
on the desired file and select the "Download" option.
SERVICE NOW
The Service Now tool allows you to open cases of TECHNICAL CLARIFICATION and NON-
CONFORMITY.
It does not require a request for access.
TECHNICAL CLARIFICATION
Technical Clarification is a tool that needs to give answers to doubts about the interpretation of the
technical documentation or the execution of the installation, commissioning and maintenance of
the machines and systems.

It is not allowed to open the "Techncical Clarification” tool only one by one case.
To enter the Service Now use the link https://gecoepaas.service-now.com/navpage.do
To open a new case of Technical Clarification click on "CREATE NEW CASE" and choose between
"NORMAL" and "EMERGENCY".
In case of "EMERGENCY" call the CSC (Customer Service Center t. + 39-055-4272500).
Select the date of the event and choose the category of the event by clicking on the "CATEGORY"
menu.
Proceed with the choice of the current phase of the project by clicking on the "PROJECT PHASE"
menu and continue with filling in the required fields.
Proceed with the choice of any needs for extra hours, indicating the type and quantity of extra hours
required.

In the "PROBLEM DESCRIPTION" section, digit the event description and in the "EXPECTED
DELIVERABLE AND PROPOSED SOLUTION" field, describe a possible solution to the problem.
Continue by choosing the system in which the event occurred in the "SYSTEM IMPACTED" drop-
down menu.
Therefore, indicate whether the problem could have personal injury / environmental problems,
indicating "YES" in the "PRODUCT SAFETY" section, or if it could impact safety, indicating "YES" in
the "HSE IMPACT" section.
Case Detail
Then fill in the following fields:
▪ "Job Number"
▪ "Serial Number"

▪ "Costing Project to Be Charged"

▪ Choose the option whether to inform the end customer or not "CONTACT NUMBER"

Finally, click on "NEXT STEP" to submit the case to the expert
NON CONFORMITY
We have three major categories of non-conformity:
▪ Technical
▪ Material
▪ Back-charge / Repair
Each of which is divided as follows:
TECHNICAL
In this section there are 3 subsections:
1. Documentation issue
Conflict between the technical project documentation and how it is made.
2. Software/Network issue
Conflict between software and project communication network and how it is applied.
3. Wrong item/material/label
Conflict between the material identification documentation and the
labeling/coding/measurement of the materials themselves.
MATERIAL
In this section there are 2 subsections:
1. Material shortage
- Comparison between packing list and materials arrived at the site
- Comparison between packing list and BOM

- Materials lost on site during handling and assembly
2. Special process
Condition of the materials regarding: oxidation, painting, coating, integrity of the welds, etc.
BACK-CHARGE / REPAIR
In this section there are 3 subsections:
1. Material Damaged
2. System not working / Faulty or not performing as per requirement
Electrical panels, tools, electrical and mechanical equipment not working
3. Field work installation / reassembling issue
Assembly defects

Proceed by filling in the "Problem Description Instruction" field:
▪ Problem description (description of the failure and where, how and in which circumstances)
▪ Expected Deliverable Solution (suggestions for the solution to be adopted)

Case Detail
Then proceed to fill in the "Case Details" section as follows:
a) Order number
b) Machine serial number
c) Nr of machines in which the event happened
d) Nr of additional serial numbers
e) Cost order number
f) Warranty identification number if the event occurred at this stage
The machine serial numbers can be found by clicking on the lens icon, all other information must be
in your possession at moment of the technical briefing or, otherwise, by the PM of BH or by the Field
Coordinator.
Proceed to fill in the section "Case Requestor / Case Reps"
Your name will appear automatically (there is however the case of having to change this name which
you can do by digiting another name instead of yours).
Type your phone number in the field provided then proceed to fill in the successive fields:
a) Installation manager / Field Coordinator
b) Project Manager
c) Back to back FSE
These names can be found clicking in the lens icon located beside to the dedicated field.

Continue with the insertion of material codes or drawing codes relating to the components or
system affected by the defect.
You can also add new fields for other useful documentation by clicking on the "Add New Line"
command.
If necessary, attach the documentation useful for defining the case, by clicking on the paperclip icon
located at the top right of the page.
By clicking on the “NEXT STEP” command, the case will be sent to the Expert.
The procedure described above is valid for all NCMs listed in the "Defect Categories".
Mark Up and As Built
An important section of the documentation to be attached to the Service Requests are the Mark
Up, which are document to illustrate the changes made or proposed by the site to BH's engineering.
This document, when approved, and the modification is made, will become an As Built, but its
realization is a task of BH Engineering.
Display and validation of open cases
To view the status of open cases, click on the "My Cases" command located in the menu on the left
of the page.
When the case has been opened, the validation phase will be assigned to a specific "Expert Group".

Upon opening the case, the system will assign a progressive number that will appear in the
dedicated field "Case Number".
The current phase will be displayed in the drop-down menu called "Status", which will change every
time an action is performed.
In this page will be displayed the name of the person involved in the case:
▪ Requestor: subject that opens the case
▪ Expert: subject responsible for case management.
A member of the "Validation Team" will have the task, by selecting his name, by clicking on the lens
icon, to highlight his name in the dedicated field.
You can complete your work, at least in this phase, by clicking on the "Save" command
Then the "Validation Expert" will click on the "Next Step" command to send the case to the most
suitable "Expert Group".
In the event that an "Expert Group" wants to cancel the case, he can do it by clicking on the "Cancel"
command, but you will have to agree or reject the cancellation yourself.
You will be notified by email and if of no action has been taken, the case will be automatically
cancelled after 15 days.
To communicate any comments and/or notes to the system, in the "Case Details" section where in
the respective fields, you can write your comments and additional notes.
After saving the comments and notes, all those involved in the case will be informed by email and
will be able to reply by email so the status of the case will be updated.
Fullfillment/Shipping
This phase is assigned by default to the last Expert involved in the open case and it will be up to him
to verify that the eventual Sales Order has been issued and to fill in all the required information in
the fields provided on the "Sales Orded Details" page.
Implementation
This phase is the responsibility of both the Expert and the Requestor
In this phase, proceed on the "Info for solution" page by clicking on the "Implementation" command
the data inherited from the previous steps will be displayed and you will continue accepting or
rejecting the proposed solution by clicking on the "Accept Solution" or "Reject Solution" commands.
Obviously in the case of refusal you will have to provide the reasons for the refusal by selecting the
reason you intend to communicate from the dedicated drop-down menu.
You can also reply by e mail and the status of the case will be automatically changed in accordance
with the answer given.
Expert Assessment

This step is duty of the last Expert involved in the case who will act as follows.
In the "Info for Resolution" page, he click on the "Expert Assessment" command, a page will open
where in the commands bar will select the "SR Analysis" command and various drop-down menus
will be displayed in which he proceed to select the answers to be given:
a) Cost to solve the non-conformity
b) Customer loss of production impact
c) BH Delay on deliverables 21 days
d) Potential Fleet Impact
There is therefore a field in which the Expert will have to report his considerations in writing.
He will then proceed to act on the following drop-down menus to precisely inquires the case:
a) Assigned function (area where the defect was caused)
b) Expert assessment (short description of the reason for the defect)
c) CIN (numerical value automatically calculated to evaluate the importance of the case)
Case solution
This phase belongs to the Expert Group and/or to any other Expert levels.
In this phase, the Expert will be able to take in charge the case by reporting his name in the dedicated
field located on the "Info for solution" page visible after clicking on the “solution” command.
The Expert will save the taking in charge of the case.
In the “Solution“ section in a bar in the top of the page there is a menu in which all the person
involved in the case could access selecting the category of the case itself.
Closure Step
This phase is your exclusive competence.
To close the case you have opened, on the "Info For Resolution" page, click on the "Closure"
command located on the commands bar and now the case is closed and it can be viewed by anyone
but cannot be changed by anyone.
FIELDWORKS
PREMISE
Fieldworks (FW) is the platform through which the corporate functions relating to the Field Service
will be performed, replacing the FAP and constitutes the only tool that can be used for site activities
reporting.
Access
Access to FieldWorks is free and you can enter the platform with the following link:
https://fieldworks.eu02.ibhge.com/, by entering your BH credentials (SSO and password).

To download this tool you must be connected to the BH intranet, be connected via VPN (F5) or to
My App Plus (https://ge.box.com/s/p2cdtt7f20rwyr2r0c56s24w1ooztew3).
To access Fieldworks, open a Google Chrome page, click on the link
https://fieldworks.eu02.ibhge.com/index.html and enter your BH credentials (SSO and password).
In the notification bar, the My App Plus icon will be blue or green depending on whether you are
connected to a BH office network or not.
During the installation of FieldWorks and during the download of the information relating to the
project, the ESF must be ONLINE and connected to the BH Office Network (VPN or LAN).
Afterwards, it will be possible to access the downloaded projects also in offline mode.
It is recommended for new entrants and those who return to the construction site after the rest
period, to access the FW platform before leaving for the construction site to synchronize the
projects they are working on, in order to have all the necessary information downloaded to the tool.
Login
The above link will open a page with the ESF name assigned to the project at the top right while 2
sections are shown below left:

▪ Timecard
Once you have entered the "Project List" section, a page will appear where the order for the project
for which the ESF is assigned will be pre-filled.
It may be that there is not only the project assigned, but a list of projects for which the FSE itself has
worked or is still working.
In the right part at the top there is a menu with the following commands:
▪ Go Offline (choose whether to operate online or offline)
▪ Logs Export logs (useful tool in case the FSE wants to send data / information to the support
team)
▪ Status of free MB available (alert of platform data acquisition capacity)
▪ Code of the last update of the FW platform (a green bell icon lit will be the signal that the
FSE is working on the latest version or the alert of an alert that the version is being updated).

Synchronization
When the ESF selects its project, it will be synchronized on the PC.
The synchronization window will appear every time the connection is lost/recovered.
As already mentioned above, in the left part of the home page there are 2 sections
▪ Project List
▪ Timecard (this function cannot be used by non-BH FSEs)
At the top in the right part there is a symbol that represents the signal strength, if this symbol is
green it means that you are working Online while if it is red it means that you are working Offline
and this means that your changes or additions that have been made in the FW, they will remain on
the local server until they choose to work online.
Project list
By clicking on the “Projects List” section, the list of projects will be displayed in the center of the
page, by clicking on the “Refresh” command it will be possible to update the list of projects.
The first time you access to FW, the symbol N/A will appear in the project string under the "Last
Sync Date" section, meaning that you have never worked on that project.
In the case of the date appears, it means that the you have synchronized and uploaded/downloaded
all the project information on that date.

To select or view a project, click on the desired Job Number.
Once the project has been selected, a page will appear where, in the left menu, three sections will
appear:
1. Overall (contains all the information to start and end the activity: Project Info, Project
Briefing and Project Debriefing)
2. Update (section in which the ESF inserts the Daily Updates: Project Status, HSE, Quality &
Materials)
3. Reports (contains the FSR - Field Service Report and the DOR - Daily Outage Report)
OVERALL
This section contain all information to start and to complete the activity ( Project Info, Technical

OVERALL - Project Info
This section has been pre-filled by the PM and other information comes automatically from
Primavera.
The following subsections are listed in the menu displayed in the top horizontal bar.

OVERALL - Project Info - General Info
In the subsection "General Info" there is information pre-filled by the PM but it is also possible for
you to enter other data and information.
In particular, for the Technical Briefing it will be the SM to have ownership of this tool, in fact it will
be only the MS that will be able to decide the participants in the Briefing and the Project Debriefing
Owner (PDO).
When the MS has entered the SSO of the PDO in charge, the latter will receive an email.
OVERALL - Project Info - Project Debriefing
This section can be completed by both the FSE and the SM.

The PDO will submit the Debriefing to the SM for approval, which is the exclusive responsibility of
the SM.
By clicking on the Project Debriefing command, a page will appear where your SSO will appear
precompiled; in this section you can attach documents, photos, and the SQCL.
This document can also be sent to the Commercial Team if the FSE in the Commercial Opportunity
section has selected "YES".
At the bottom of the page, a bar is displayed with some information and above all with two
commands:
▪ Export to download the final FSR
▪ Paperclip icon to attach the preliminary FSR signed by the customer
The "Manpower ScoreBoard" section must be completed only in the presence of Manpower
provided by BH.
Fill in the various spaces that are related to the qualification level of the Manpower used.
Click on the "Approval" command and continue selecting the "Submit for Approval" command; from
this moment the responsibility for the next actions will be borne by the SM.
OVERALL - Project Info - Logistic & HSE tab
This section is precompiled by the SM and may also contain attachments.
OVERALL - Project Info - Workscope tab
This section is precompiled by the SM and may also contain attachments.
OVERALL - Project Info - E Mails tab
In this section, which is a “Distribution List”, you will need to enter the e mail addresses to which
the information and DORs (Daily Outage Reports) will be sent.
This section is not currently connected to the GAL (Globe Addresses List) so the email addresses
must be entered manually by both the PM and FSEs.

It is mandatory that the email addresses entered in the Standard Outage, Top Outage and Escalation
Team fields are exclusively BH addresses; if multiple e-mail addresses are entered in a field, they
must be separated by ";".
OVERALL - Project Info - Trains tab
In this section the machine trains on which you will carry out the activity will have to be created.
To create a train, click on the "+ TRAIN" command and the "newtrain" icon will appear on which the
FSE will have to click. Once an identification name has been given (example "train 1"), the train is
created.
At this point, on the left side of the page, in the space called "Train View", you will proceed to enter
the data of the machines that make up the train by clicking on the "+ SN" command.
Proceed by filling in the right part of the page called "Serial", entering the no. of the machine.
Some fields will be filled in directly with data from Primavera, while other data must be entered by
the FSE in the fields with an asterisk.
NOTE: by entering the following data it will be possible to import the correct SQCL of this machine:

If all the data are correctly reported and the FSE is operating online, the SQCL will be automatically
imported.
If in the drop-down menu relating to the serial numbers of the machines, that of the machine object
of the activity is not present, the FSE can manually enter this number by clicking on the "Add Item"
command then click on the "Save" command.
Once saved, proceed by clicking on the number. standard of the machine and a new precompiled
field will be displayed with various information relating to the machine and the activity to be carried
out.
OVERALL - Project Info - Site Team & Tools tab
By clicking on the "Site Team & Tools tab" command, a page will appear with a field to be filled in
by yourself with the required information: nr. of FSEs, nr. of manpower, and more.
This information is important for the creation of the Daily Outage Report (DOR).

During the TB the PM / IM will inform the FSE as follows: HSE, logistics, customer contacts, site
organization, purpose of the work, contract, program, O&M, software, punch list, packing list, red
flag review, NIC / TIL, SQCL, templates and certificates.
The FSE may approve or reject the TB, justifying this choice.
In a special field it will be possible to see the status from the Briefing.
UPDATE
UPDATE – Overview
In this section you have to report all the daily activities executed at the site.
In the picture above displayed you can see the progress of works in percentage, the data of this
progress will change based on the activities carried out and reported in the "Daily Log".
In the field named "Train List", the machine trains belonging in this project will be displayed.
By clicking on the “FSE project”, you can see the status of the train itself.
Then proceed with the preparation of the “Daily Logs” for the following subsections:
UPDATE - Create a new Daily Log (General Features)
This section must be compiled every day, as it is from this tool that the information will be extracted
to prepare the DOR, and the FSR.
This operation must be carried out on all following sections of the "UPDATE":
• HSE
• Quality & Material
• High & Lookhead
To create the "New Daily Log", click on the "+ Daily Log" command

and select in the dedicated field. the Serial Number of the machine on which you are working.
Proceed by selecting the date relating to the events to be described and the type of report in which
the data of the Daily Log will have to transferred (FSR, IR, DOR o tutti).
In the field named "Highlight" you will describe the events that occurred on that day.

You may also change the percentage of the "Site Preparation" and attach documents and / or photos
(only in PDF or Images) by clicking on the command shown below the list of reports in which the
chosen report has been selected; you may also add a descriptive text to the annexes.
Then click the "ADD" command to upload the file in your PC.
To enter the “Daily Log” into “History” section, you will have to choose the "NO" option in the
"Commercial Opportunity"
When a Daily Log is saved, it will appear on the left, in the "History Section"; it will be possible to
view:
▪ SSO of those who created the Daily Log;
▪ Date of the event;
▪ Type of event;
▪ Part of the description of the event.
UPDATE - Create a new Daily Log (Commercial Opportunity)

In case you think to have any "Commercial opportunity", choose the "YES" option and add the
details of the opportunity in the dedicated field.
Then he will proceed to save by clicking the "SAVE" command and the description will be sent to the
PM of the Commercial Team.
UPDATE - HSE Daily Log
In the HSE section, to create a Daily Log, you need to click the "+ Daily Log" command and follow
the procedure previously explained for the other tools (remember to select the reports in which you
want to enter the information shown in the Daily Log)
It is therefore necessary to enter the type of event and the events open or closed during the current
day by choosing the type of event (Accident, Near Miss, SCAR, Overall HSE).

To create a "Quality & Material" Daily Log, select the "+ Daily Log" command to which the you have
to give a title, by typing it in the dedicated field.
At the bottom of the page, the number of open or closed cases must be entered in Service Now.
To date FW is not integrated with the Service Now, therefore you have to manually enter the cases
in the descriptive field of the "Highlight" section.
When the Service Request situation is updated, the above graph will also update automatically.
While the two sections "SR preventing Mechanical Completion" and "SR Preventing Start Up" must
be completed by yourself.
• Project status
The Project status indicates the project situation as of today as compared to the expectation
of completion. You have to click on the icon suitable for entering data in the "Project Actual
Completness" sector, this will allow it to report the percentage of progress in the dedicated
field.The same action will be performed in the "Project Expected Completness" sector.

Now you will select the train chosen in order to update its status, filling the information
contained in the field provided which are mandatory.
Then by clicking on the "Attachment" icon, you can attach the S-curve and a work program.
In the Daily Log section of the “Machine Status”, you will update with the insertion of new data and
information relating to the chosen machine listed below:
▪ NIC / TIL
▪ Parts IN / OUT
▪ Status FSE arrival at site
▪ Status FSE departure from the site
▪ OEM information (attach maintenance forms, reports)
▪ Daily Log for single machine
UPDATE - Project Status - Create a Daily Log for the single Machine
In this section, you will fill in the Daily Log for each machine that make up the selected train
You have to find the serial number in the dedicated field, then click on the command "+ Daily log"
reported in the "History" field and proceed to fill in the field named "Activity", selecting in the drop-
down menu the activity that it will want to report in the Daily Log.

Then insert a new activity not listed in the menu by typing it and clicking on the "Enter" command.
Proceed to update the list with the new activity only for the machine in which you are working.
After selecting the type of «Activity» of the Daily Log, it is necessary to update the «Progress»

Therefore continue the compilation by entering new data such as updating the percentage of
progress by acting in the "Counter Section".
Anyone who updates the same activity for this machine, will inherit this percentage of progress
entered in their “Daily log” and can in turn update the percentage of progress achieved by it.
Then proceed to fill in the Daily Log in the fields relating to the machine data by clicking on the "Edit
Button" command located in each field:
By clicking on the "Verify counter" command, the system will automatically check the consistency
between these new data and those previously reported.

SQCL
The SQCL are the certification documentation that the activities to be performed on the site,
belonging to the project, have been performed in perfect quality and completeness
As already reported in the previous pages, the SQCLs of the machines belonging to the project will
be automatically downloaded if the FSE operates online if the requested data has been correctly
entered.
SQCL - Project Status - Open the SQCL
The FSE will have to import the SQCL for each machine, following the procedure: Update-> Project
status-> Train list-> machine status> SQCL
To import the SQCLs, click on the "Import" command then on the arrow next to the "SQCL" section.

To view the SQCL, select the arrow next to it:
If it is not possible to view the SQCLs, go to the SQCL section of the "Technical Briefing".
It is required that, for each machine, the FSE opens an SQCL.
The FSE will proceed by clicking on the "Download Header" command, in order to fill in the fields on
the SQCL pages displayed.
Specifically, for each activity listed, the FSE in the column named "BH Check" will appear "Done" or
"NA" and the name of the same FSE in the "BH Signature" column.
In addition, the FSE will have to contact the Customer to insert his digital signature to certify that
the activity in question has actually been followed.
By clicking in the space called "CU / ST Signature" a field will appear in which the Customer will put
his signature.

Finally, the FSE will click on the "Submit" command
After the digitized signature appears in the specific "CU / TP Signature" field, the FSE will not be able
to modify the check performed and approved.
Should a TP (third party) be involved, the FSE must select "ON" in the appropriate icon and a field
will open where the TP will be able to insert its digital signature.
The above must be performed for all the machines belonging to the project.
At this point, the SQCLs can be sent to the Project Debriefing Owner by clicking on the "Send to PDB"
command.
Once the ESF has completed the procedure (including sending to the PDB), the SQCL is "FROZEN",
and cannot be further modified.

The various documents must be attached according to the various types of contract and activities performed.
▪ In column 1 on the left you will find the list of documentation to be produced.
▪ Column 2 shows the phase in which the documentation must be sent.
▪ Column 3 shows the means by which the documentation will be sent.
▪ Column 4 shows the transmission frequency of the documentation.
▪ Columns 5-6-7-8 show the various types of activities for which only the documentation marked with the cross will be to be sent.
▪ Columns 9-10-11 show the various types of contract, that is OC (On Call) - LS (Lump Sum) -TK (Turn Key) where the cross will indicate which documentation must be attached.
▪ Columns 12-13 indicate the figure in charge of preparing, checking and archiving the various documents (in our case the ESF is the figure in charge).
▪ Column 14 lists the tool to be used for the production and transmission of documents.
▪ Column 15 lists the sections of the tool to be used for the production and transmission of documents.
Our recommendation is to pay close attention to the preparation and sending of the listed documents, as your reporting will be carefully monitored by BH and inevitably any deficiencies will have a decisive impact in the evaluation of
your performance.

DOR - Daily Outage Report
This it is the report to compile the site daily activity for the machines maintenance.
Starts by clicking on the "DOR" command located in the "Report" section where any DORs previously
created will be displayed with the creation date, the SSO of those who created and the date on
which they were sent.
In case no DOR has been previously issued, yours will be the first, therefore the field in question will
be empty.
DOR creation
By clicking on the "+ REPORT" command, you can create a new DOR (even more than one on the
same date).
Therefore, select the date of the day that you want to create the new DOR and proceed with saving
by clicking "SAVE".

At this point the new DOR will appear in the list of DORs and clicking on this, you can compile the
DOR.
To create the Distribution List, go to the "Emails Tab" subsection of the "Project Info" section and
enter the e-mail addresses to which the DOR will be sent.
It will be possible to manually enter a new e-mail address (exclusively BH) and click on the "Add
item" icon.
DOR creation: Subject and Highlight colors
In the "Subject and Highlight colors" section, you will find already filled in the "Subject" various
information (title of the DOR, date of creation, SSO, ...) which it can manually integrate with other
data.
In the "Highlight Colors" section, choosing the appropriate colors, you will be able to give a general
view of each section, choosing a color from green, yellow and red.
Each color will give feedback on the "Severity Impact" with progressive value from green to red.

DOR creation: Generate Preview
In the "Preview" section you can have a preview of the DOR by clicking on the "Generate Preview"
command.
An editable preview will be created in which the data previously compiled in the Daily Logs will be
found (the Daily Logs will be displayed which refer to the selected date and which have been
indicated as "Include in reports-DOR").
For each section, the colors displayed will correspond to the "highlight colors" previously selected.
It will be possible to keep this information or modify it.
In the "Quality & Materials" section, the "Service Request Impact" entry is not edited and therefore
you must compile it manually.

Once all the fields have been filled in, it is possible to send the DOR by selecting the "SEND" button.
FW will create an "Outlook Object" which can be sent to the selected recipients; attachments (files,
photos, documents) may be added in this e-mail.
When the DOR has been sent, the system will save the "Sent Date" in the DOR list, which means
that the DOR email has been created and sent.
NOTE: Daily shipping of the DOR is not mandatory, as it can also be sent on a lower basis.
However, it remains MANDATORY to create the DOR for each day of the construction site.
FSR- Field Service Report
This is the report preliminary and final to be used for the maintenance
Starts by clicking on the "FSR" command located in the "Report" section where any FSRs previously
created, the serial number, the FSE SSO that created it and other details will be displayed.
If no FSR has been previously issued, yours will be the first, so the field in question will be empty.
To create a new FSR, click on the "+ Report" command; a field called "Create Report" will appear in
which the field contained with machine serial number and the period of intervention, then clicking
"Save" saves the data shown in this section.

By selecting the intervention period, you can create the FSR with the Daily Logs created by yourself
or by other FSRs that have already operated on this machine in this period.
The displayed "FSR Generation" page will show a menu with 4 sections:
1. Project Status
2. HSE
3. Quality & Material
4. Executive Summary

For each Daily Log inserted, you can view a "Card" containing all the details of the Daily Log and the
percentage of progress.
In a dedicated field of the page, the list of Cards divided by date will be displayed.
On the same page, it will be possible to view the list of attachments for each Daily log added.
To remove a particular Daily Log from the FSR click on the command "-", placed on the "card" or on
the one placed on the Daily Log in the "History" section.
If you remove a "Daily Log", you will also lose the information that you have manually added and all
the attachments that refer to that "Daily Log".
FSR Generation – HSE & Quality&Matarial tab
For the HSE part, the Daily Logs will be inserted by clicking on the "+" command.
To create a single section containing all the Daily Logs, click on the "+" sign for each Daily Log you
wish to insert.

Once all the Daily Logs have been added, comments can be added by writing in the "HSE Summary"
section.
In the same way as described above, the you may fill in the "Quality & Materials" section.
In these sections it will not be possible to delete the part coming from the “Daily Logs Summary”
but it will be possible to cancel the test typed by yourself and by clicking on the command "-" it is
possible to remove the attachments referring to that Daily Log.
FSR Generation – Executive Summary Tab
By clicking on the "Executive Summary" command, you can create the summary of the FSR, where
the most relevant information relating to the activities carried out will be summarized, listing the
most important events:
▪ main HSE events
▪ significant problems occurred to the machines
▪ facts and experiences to remember and record for BH and for the end customer
▪ FSE conclusions and recommendations concerning the activities carried out on the machines
▪ Recommendations for the end customer or further requests to the same.
Once the FSR is completed, it will be possible to extract it, choosing whether this version will be
preliminary or final, by clicking on the relevant command, then clicking on the "Export" command.

If the FSE has selected final FSR, this file will automatically undergo the Technical Debriefing.
Should the FSE make changes to the FSR, it can do so and send it back via the "Export" command;
this latest version will be automatically updated in the "Technical Debriefing".
The SM will only be able to see the latest version of the FSR.
OVERALL – Project Debriefing – Technical Tab
The next section dedicated to the "Technical tab" can be completed by both yourself and the PM,
but the final approval is the exclusive competence of the PM.

Another section of the De Briefing is the one dedicated to the Manpower employed in the activities.
You have to click on the "Manpower Score Board" command to fill in the various fields.
Now the Debriefing is owned by the Service Manager and the status of the Project Debriefing will
become "Waiting for Approval"; The SM will receive notification of the submission of the Debriefing,
and will have the right to approve or reject it.
In the "Project Debriefing" section, the SM has the possibility to export the Final Report to verify it;
once the analysis is complete, the SM can add comments, and decide whether to approve or reject
the Final Report.
Once the FSR is approved by the SM, an email will be sent to the Project Debriefing Owner.
In the section "Project Debriefing Approval History" it is possible to see if the FSR has been approved.

Addendum
Below 2 important tools that are not included in the instructions that BH has produced for the use
of the Tools but that we believe are essential for the activities of our FSE.
• Procedures for assembly, commissioning and maintenance of machines and systems.
• Technical Briefing which is the first act that is performed starting from the
assignment of the FSE to the project and which is then the first official contact
between the PM / IM and the FSE.
PROCEDURES
One tool that may be useful is that of researching assembly, commissioning and maintenance
procedures.

TECHNICAL BRIEFING
This tool is used to prepare construction site activities with the information that the PM / IM will
provide to the FSE.
The TB, which belongs to the IM / PM, will have to be held before the departure of the FSE for the
construction site.
The PM / IM will send to the FSE an email notification of the convocation to the TB.
During the TB the PM / IM will inform the FSE as follows: HSE, logistics, customer contacts, site
organization, purpose of the work, contract, program, O&M, software, punch list, packing list, red
flag review, NIC / TIL, SQCL, templates and certificates.
The FSE may approve or reject the TB, justifying this choice.
In particular, for the Technical Briefing it will be the SM to have ownership of this tool, in fact it will
be only the SM that will be able to decide the participants in the Briefing and Debriefing while some
fields in this section can also be filled in by the FSE.
