CHAPTER 1`

PROJECT CONTEXT

Education system forms the backbone of every nation. And hence it is important to

provide a strong educational foundation to the young generation to ensure the development of

open-minded global citizens securing the future for everyone. Advanced technology available

today can play a crucial role in streamlining education-related processes to promote solidarity

among students, teachers, parents and the school staff.

This chapter gives an outlook about the project and its features. Information technology

revolutionized the life of human beings and made our life easier. There are so many computer

tools and technology that has been invented for us to use. A computer-based management system

is a necessity for every company, school, hospital and other institutions. This application makes

information processing fast and it is also more secured than its paper and pen system counterpart.

But in this project, we will be developing a web-based management system.

Purpose and Description

Most school in developing countries like the Philippines is still using the old system of

storing information, the pen and paper system or Microsoft excel. This method of storing

information is not often reliable and not secured enough from loss or damage. For example, an

excel spread sheet is susceptible from corruption especially when using the old version of the

software.

Pen and paper system are the least secured and safe kind of storing information. When

paper is not kept carefully it will decompose faster and can be a food for termites. Natural

disaster and human errors can easily destroy paper. For example, natural disasters like storms is

common in the Philippines, it can cause flood and schools that is prone to floods can

permanently loss or damage their school records by this kind of disaster.

In the case of Ilocos Norte College of Arts and Trade that still uses the old system of

storing information can benefit in having their own web-based management system.

The system is designed so that, above all, it is affordable and within the budget assigned

to a school. The system becomes cost effective because it is stored in their own computer. The

new system is built in Laravel, a very secured php framework is almost impossible to hack. And

backing up the information stored in Laravel is also fast and easy.

Objectives of the study

In view of the above discussion, the following are the main objectives of this study:

 Determine the existing management system of Ilocos Norte College of Arts and

Trade

 Develop a cost-effective system, that meets the demand of Ilocos Norte College

of Arts and Trade

 Evaluate how the system meets the expectation and needs of Ilocos Norte College

of Arts and Trade

Significance of the study

The proposed system will be beneficial to the following:

1. To Ilocos Norte College of Arts and Trade and it’s faculty

The system promotes a faster processing system for enrollment, student and teacher

record management, event planning.

2. To the Student of Ilocos Norte College of Arts and Trade

The result of the study of the proposed system may be used as a reference.

The student can view their grades and schedules in their student portal that is included in

the proposed system.

Scope and limitations

The scope of this study was conducted at Ilocos Norte College of Arts and Trade during

the school year, 2019-2020.The system will have the following features enrolment system,

student records, teacher records, school events, student portal.

CHAPTER 2

REVIEW OF RELATED LITERATURE AND STUDIES

This chapter presents the related literature and studies

after the thorough and in-depth search done by the researchers.

This will also present theoretical and conceptual framework to

fully understand the research to be done and lastly the

definition of terms for better comprehension of the study.

Related Literature

Philippines Studies

According to a research, a web-based enrollment system for

Veritas Parochial School (VPS) in Web Based enrollment system,

Manila was developed to help its students enroll in a more

efficient way without the hassles of waiting long hours in

filling out forms, which sometimes become redundant, or to stand

in line and pay at the cashier. It is with the Web-based

Enrollment System for VPS that this new style of enrollment may

be achieved. This new type of system offers its students new

options for enrolling at VPS. By logging on to VPS website, one

can register and enroll subjects for a school year. With these,

all the students are required to fill out certain forms that do

not take more than a few minutes to accomplish. The system stores

its records in the school database for future references.

Confirmation of the transaction made by the students need to be

verified, the payment of tuition fees must be made in the schools

registrar. The students may also browse the web site of VPS and

he can check his current account. He can also refer to the list

of the school current tuition fee rates (Pascual&Riceo, 2008)

According to Lopez (2005), a registration system helps and

provides efficient and reliable services to the students,

enrollment personnel and administration. Moreover, this system

improved the process of enrollment in terms of searching,

retrieving and subject schedules.

A study conducted by Cayabyab (2007), many problems and

difficulties were identified in the existing system of Dagupan

City National High School (DCNHS). These major concerns are

affecting the efficient enrollment system of students. Security

of the students records were found to be at high risk. The

current system may fail to protect some important documents. It

has also untimely and inefficient report generation. A

computerized system for DCNHS shall result to a significant

increase in the number of enrollees Network-Based Enrollment

Enrollment System of Paete National High School cited that the

manual process of enrollment and manual handling of information

and reports of the students is very laborious one. The proponents

developed a network based system enrollment system to the said

school to solve the huge amount of task.

A study by Eileen Bayangan-Cosidon(2016) aimed to improve

the efficiency of the existing Student Information System of

Kalinga State University Rizal campus. To attain this objective,

an assessment of the existing system was done through observation

and interview methods from the Acting Registrar, Campus

Secretary, Faculty Members and students. Results reveal that the

existing student information system met the five requirements:

reusability, maintainability, security, usefulness and

functionaity and evaluation on the system appeal of a quality

software only to a moderate extent. Moreover, reliability of the

existing system was given a low extent rating. Based on the

assessment results, the existing student information system was

refined to include suggestions such as the inclusion of online

query access, online accessiblity of student information, and a

role-based security in the system. During the try-out of the

developed student information system, it was assessed with high

extent of effectiveness in terms of all system components except

for its usability and efficiency which is rated as moderate

extent. The developed Student Information System provided greater

satisfaction to the users compared with the existing system for

an efficient querying of student information records, keeping the

student records in a more secured manner, and it gives more

reliable information records of students in Kalinga State

University Rizal campus.

AISIS Online (2006) posted a precise definition of

AteneoIntegratedStudent Information System (AISIS) serves as the

portal for Ateneo students,faculty and staff. Through the AISIS

Online officially enrolled Ateneo studentsmay view pertinent

school information including their Individual Program of

Study(IPS), grades, class schedules and the like. Students may

also eventually enlistusing AISIS Online. Ateneo faculty and

staff with access to AISIS, on the otherhand, may submit grades

and access their class schedules from outside thecampus.

Marrero (2009) in his study entitled “Student Information

System for the University of the Cordilleras” stressed that the

concept of Information Systems(IS) emerged in the early 1960s.

More often, when information system is defined, the field

Information Science is always associated,“IS” is an academic

field that deals with the generation, collection, organization,

storage, retrieval, and dissemination of recorded knowledge.

Furthermore, it is a collection of related components designed to

support operations, management, and decision making in an

organization. Generally, “IS” is supposed to inform people.

Information System supports people or users in making intelligent

decisions based upon the information derived from reliable data.

A study conducted by Luke Angelo Castillo and Vince

Lorenzo(2018), A web based enrollment system was developed to

replace the existing enrollment system of Ilocos Norte College of

Arts and Trade. The school is using Microsoft Excel for the

storage of their student’s information, which is prone to

corruption and sometimes loss. It also requires more time and

effort to use, the said promote a faster and efficient enrollment

processing.

Foreign Studies

Richard (2004) emphasized that information about students is

vital, but time consuming to manage and it is essential that the

most effective tools be used to aid both staff and students go

about their work and studies. The Cambridge Student Information

System (CAMSIS) replaced various student records system used by

the colleges, departments and universities. CAMSIS provides

comprehensive and accurate information about student body and

also improves data quality, reduce the administrative burden

dramatically and provides better services to both academic staff

and students.

According to Desousa (2008), Web based application have four

core benefits. These are the following: 1) Compatibility: Web

based applications are far more compatible across platforms than

traditional installed software like web browsers. 2)Efficiency:

Everyone hates to deal with piles of paper unless they do not

have any other alternatives. The benefit of web based solution

makes services and information available from any webfacilitated

Personal Computer (PC). 3) Security of live data: Normally in

more complex systems data is moved about separate systems and

data sources. In web based systems, these systems and processes

can often be merged by reducing the need to move the data around.

Web based applications also provide an additional security by

removing the need for the user to have access to the data and

back end servers. 4) Cost Effective: Web based applications can

considerably lower the costs because of reduced support and

maintenance, lower requirements on the end user system and

simplified plans.

The first library management system to be reviewed is the

KOHAlibrarymanagementsystem. Since the original implementation

in1999, KOHAfunctionality has been adopted bythousands of

libraries worldwide, each adding features and functions,

deepening thecapability of the system. With the 3.0 release in

2005, and the integration of the powerfulZebra indexing engine,

KOHAbecamea viable, scalable solution for libraries of all

kinds.LibLimeKOHAis built on this foundation. With its advanced

feature set, LibLimeKOHAisthe most functionally advanced open

source IntegratedLibrarySystem in the market today.The major

setback ofthis Library Management System is that it is a web

based and as a resultit is not security conscious because hackers

could have the database hacked and access ormodify the

information of such user.

Schlumpf (1999), in his paper by the title of Open Source

Library Systems concluded that the open source movement is a

phenomenon that is affecting the software industry in fundamental

ways. Morgan (2001) is well-known in this field and he has a lot

of essays in this subject. One of his essays, based on a

presentation given at the 2001 American Library Association (ALA)

Annual Conference, enumerates a number of possibilities for open

source software (OSS) in libraries and how it can be leveraged to

provide better and more effective digital library collections and

services. Goh et al (2003) have developed a checklist for digital

libraries evaluation and use this checklist on four digital

library software packages.

CHAPTER 3

This chapter identifies the methods which will be used for

the development of the system. The local and respondent of this

capstone are also included in this chapter. The data gathering

tools used for this capstone project is also described in this

chapter.

Software Design Process

The researchers used descriptive-evaluation method of

research. Testing of the Ilocos Norte College of Arts and Trade’s

existing system was done to evaluate its performance and quality

in order to build a better system for the said school.

Choosing the methodology will provide enough and conclusive

process to design a Web-Based School Management System for Ilocos

Norte College of Arts and Trade.

On the other hand, the researcher designed the system using

the System Development Life Cycle (SDLC-RAD). This cycle was the

process of developing information through the process of

analysis, designing, implementation, testing and maintenance.

Rapid Application Development (RAD) is an incremental software development

process model that emphasizes an extremely short development cycle. The RAD model

is a high speed adaptation of the linear sequential model in which the rapid

development is achieved by using component-based construction. If requirements are

clear and well understood and the project scope is constrained, the RAD process

enables a development team to create a fully functional system within a very short

period of time.

The RAD approach encompasses the following phases:

Business modeling: Here we try to find answers to questions like what information

drives the business process. What information is generated? Who generates it? Where

does the information go? Who processes it? Etc.

1. Data modeling: Here the information flow which would have been defined as

part of the business modeling phase is refined into a set of data objects that are

needed to support the business.

2. Process modeling: The data objects defined in the data modeling phase are

transformed to achieve the information flow necessary to implement a business

function. Processing descriptions are created for adding, modifying, deleting, or

retrieving a data object.

3. Application generation: RAD assumes the use of fourth generation techniques.

Rather than creating software using conventional third generation programming

languages the RAD process works to reuse existing program components(when

possible) or create reusable components(when necessary). In all cases, automated

tools are used to facilitate construction of the software.

4. Testing and turnover:  Since the RAD process emphasizes reuse, many of the

program components have already been tested. This reduces overall testing time.

RAD Model Vs Traditional SDLC

The traditional SDLC follows a rigid process models with high emphasis on requirement

analysis and gathering before the coding starts. It puts pressure on the customer to sign off the

requirements before the project starts and the customer doesn’t get the feel of the product as

there is no working build available for a long time.

The customer may need some changes after he gets to see the software. However, the

change process is quite rigid and it may not be feasible to incorporate major changes in the

product in the traditional SDLC.

The RAD model focuses on iterative and incremental delivery of working models to the

customer. This results in rapid delivery to the customer and customer involvement during the

complete development cycle of product reducing the risk of non-conformance with the actual

user requirements.

The figure above illustrates the client-server model.

In this model, the architectural design of the system is depicted in a way it can be accessed by
users. The server consists of a webserver for generating the content to be viewed by the client
and the database server which serves and manage the database and the storage of data. Server
side should be connected to the internet.

Summary of Findings, Conclusions and Recommendations

This chapter presents the summary of findings based on the results of the survey, the conclusion
and the recommendation of the researchers with relevance to the study.

Summary of Findings

The main purpose of the study is to create a web-based school Management Information System
for the Ilocos Norte College of Arts and Trades. This study aims to create system that can
primarily help the school’s faculty and staff in grades calculation, records management, class
scheduling, faculty support.

1. To determine the effectiveness of the existing manual system of Ilocos Norte College of
Arts and Trades with regards to grades calculation, record management, class scheduling
and faculty support.

2. To determine the performance of the existing manual system of Ilocos Norte College of
Arts and Trades as perceived by the respondents in terms of functionality, reliability,
usability, maintainability, portability, usability, maintainability, portability and security.

3. To prove the effectiveness of the proposed school Management Information System with
regards to grades calculation, records management, class Scheduling and faculty support.

4. To prove that the performance of the proposed School Management Information System
is Characterized by functionality, reliability, usability, maintainability, portability and
security.

Conclusion

1. The effectiveness of the existing manual system of Ilocos Norte College of Arts and
Trades is lacking to sustain their needs. Therefore, it is no longer practical and feasible
for the client to carry on in using the said system.

2. The performance of the existing manual system of the school is insufficient to meet the
following characteristics: functionality, reliability, usability, maintainability, portability
and security. Because of this, the said system is not able to fully improved and replaced.

3. To prove the effectiveness of the propose School Management Information System is


with regards to grades calculation, records management, class scheduling and faculty
support. In the light of this, the needs of the users, specifically the school faculty and
staff, are fulfilled and answered through the proposed system.

4. The performance of the proposed system is proven to be characterized by functionality,


reliability, usability, maintainability, portability and security. The user can rest assured
that the propose system will perform properly and capable

Recommendation

1. The Web-based School Management Information System of Ilocos Norte College of Arts
and Trades must be implemented to replace the existing manual system and solve the
problem encountered in manual grades calculation, records management, class
scheduling and faculty support.

2. The administrator of the system should be people who are trustworthy and are capable of
using it.

3. Training should be conducted with the faculty and staff as the primary users and the
students as the secondary users of the development system before its deployment.
