Event Management – Asian Tsunami Benefit Cricket match

1. Demonstrate how you contributed to delineating and controlling project scope?

Answer

As the Project manager, I knew the importance of project scope. The documentation of a project's
scope explains the boundaries of the project, establishes responsibilities for each team member and
sets up procedures for how completed work will be verified and approved

Project Scope

Asian Tsunami Benefit Cricket Match.

Cricket Australia wants to organise a charity match in MCG, by assembling the best of Asia’s cricket
teams players to play against the best of the rest of the world team player a Asia Vs Rest of the
World cricket match, with a tight schedule of 15 days in Australia, gain support from ICC, organise
the cricket teams as availability is an issue, organise publicity all communication mediums, organise
sponsors. MCG is under redevelopment, need to talk to construction union to organise a day for the
match and organise stadium, catering, security, cleaning, curating and ground staff for the match.

2. Demonstrate how you recorded the scope management plan?

Answer

Project scope management plan

I as a Project manager worked in collaboration with my team and:

1.Reviewed the project scenario and relevant information about the sponsoring organisation

2. Ask relevant questions about the project to the trainer and assessor who will play the role
of both the project manager and the project sponsor in the simulated work environment

3.Developed and documented the scope management plan

The Scope management plan has the following tabs,

Project Overview

Organize the Asian Tsunami Benefit cricket match between “Asian cricket team” and “Rest of the
World” featuring best players from each of the regions in Melbourne’s MCG in 15 day.

Project Objective and Requirements

The objective of the project is to organise a cricket match and make it into a financial success. The
proceeds of the match will go towards a charitable trust World Vision.
For the objective to be met the requirements are that best players of each team are represented in
the teams. This is an issue as most the teams are on tour and there is very little in time to arrange it.
ICC and Asian cricket council needs to validate this test. Sponsors, marketing and sales of tickets
needs to be arranged and needs to be hand in hand. Although MCG is the chosen location of the
match, it is in the middle of renovation and appropriate arrangements need to be made for it to be
available and usable for the event (Catering, Cleaning, Ground staff etc.)

Project deliverables

A high spectator turnout with high value sponsors and loud marketing to attract more eyeballs and
hence high price for TV marketing.

Measurable outcome

Financial Measure - Return on investment and Earnings

Customer Measure - Customer satisfaction
Project Measure – Project budget performance, Schedule performance, time to market and project
completion.

Scope boundaries

The time limit is a boundary. We have only 15 days.

Project constraints

Time is a constraint in this. We only have 15 days to organise the match. The South African and
English cricket teams are playing each other and will not be able to send their best players to the
match.
MCG is under renovation and lot of work will go to organising the venue and the staff to cater to the
event.

Work Breakdown structure

A workbreak down structure has been prepared with the target and tasks to be done. Once a team is
formed they will be assigned responsibilities for the same. This is the first of many WBS and will be
refined as we get deeper into the project.

Project Governance

Project governance will be done by the project manager who will provide direction and define the
decision-making procedure and metrics for validating impacts to the project.

Scope Control Process

The project manager and the team will work together to make sure that the scope is in control and
not deviate. The WBS will be of great help. As the time is limited actions and decision will be taken
keeping key stakeholders informed through the defined communication process.

Monitoring
The WBS structure will be used as a matrix for monitoring the cricket match deliverables. A control
chart will be prepared for the same and the project manager will be incharge of the monitoring.
