COMMUNICATION AND
PRESENTATION
 A presentation is defined as the art of communication with the audience.
It is typically a way of demonstration, Introduction, lecture, or speech
meant to inform, persuade, inspire the Audience.

 It presents a new idea or a product.

 Presentation can also be used as a broad term that encompasses other


“speaking engagements” such as making a speech at an event or getting a
point across in a video conference.

 A good presentation consists of a “good subject matter” matching with


the objective best to benefit the audience in a well-organized manner.

 To be effective, step by step preparation; the method and means of


presenting the information should be carefully considered.

• Presentations come in a lot of different forms and have a variety of


purposes. there are various types of presentations. Get to know them and
once you identify your purpose, choose the right type before you begin to

prepare and practice your presentation. You can always modify your


presentation to meet your specific purpose.

• Everyone from those who present in front of large audiences on a stage in


order to pitch in their ideas to co-workers can improve their delivery and
impact of their message. The right type will help you make your
presentation more effective and will leave a greater impact upon the
audience.

STRUCTURING YOUR
PRESENTATION
1.Structure: Structure is important because a well-organized
presentation creates an impression that you know what you are
talking about-you will gain the audience's trust and they will be more
likely to listen to you. A structure provides a logical flow so that you

can provide the information that the audience needs to follow your
presentation. The structure will help you become more comfortable
following this flow. There is a natural structure to presenting and the
following structure formalizes this process.

2.Purpose: To determine your purpose ask "What are the main points
I want my audience to take away from my presentation"? This provides
focus for you and the audience is clear on what they will gain listening
to your presentation.

3.Audience pre-assessment: It is important to identify the


characteristics, knowledge and needs of your audience so that you are
delivering the 'right' presentation to the 'right' audience. Know who
your audience is, what they want/need to know and what is their
background. This step is done before the presentation or throughout.

4.Opening your Presentation/Bridge: This is also known as the


hook. It is designed to grab the audience's attention and provide them
with a reason to be interested in the presentation.

5.Body of Presentation: This is the major portion of the


presentation. It is necessary that it connects directly to your purpose
or bridge. Cover enough points to achieve your purpose (no more) and
be sure to support your points clearly and concisely.

6.Closing your Presentation: This is the final impression that you


will leave with your audience-make sure it is a strong one. Connect
back to your purpose and let them know where you have been. Leave
your audience with a clear understanding of your points.

AS A MANDATORY PREREQUISITE FOR
EFFECTIVE LEARNING
 Well-developed presentation skills enable you to communicate
clearly, precisely and effectively in a variety of modes or registers
and settings. It should be pointed out that they are rated as one of
the most important soft skills.
 The ability of communicating with the audience and giving
presentations should be seen as a mandatory prerequisite for
both the effective learning process and the successful working
life.

PRESENTATION SKILLS
 The skills needed to deliver effective and engaging presentations
to a variety of audiences are defined as presentation skills. These
skills cover a variety of areas such as the structure of your
presentation, the design of your slides, the tone of your voice and
the body language you portray when conveying.
 These skills are to be attained with your personal efforts. Some
people are relaxed and confident while speaking while the others
need to focus on certain aspects to make their presentations
interesting.
 In order to give an amazing presentation, you need to analyze
yourself and identify all the strengths you possess.
 One of the most important aspects of verbal communication is
the ability to practice active listening.

WAYS TO MAKE YOUR


PRESENTATION EFFECTIVE

1. Show your Passion and Connect with your Audience


It’s hard to be relaxed and be yourself when you’re nervous. But time
and again, the great presenters say that the most important thing is to
connect with your audience, and the best way to do that is to let your
passion for the subject shine through. Be honest with the audience
about what is important to you and why it matters. Be enthusiastic;
the audience will respond.

2. Focus on your Audience’s Needs


Your presentation needs to be built around what your audience is
going to get out of the presentation. As you prepare the presentation,
you always need to bear in mind what the audience needs and wants to
know, not what you can tell them.

While you’re giving the presentation, you also need to remain focused
on your audience’s response, and react to that. You need to make it
easy for your audience to understand and respond.

3. Keep it simple: Concentrate on your core message


When planning your presentation, you should always keep in mind
“what is the key message (or three points) for my audience to take
away?” Keep your message brief and focused.

4. Smile and Make Eye Contact with your Audience


This sounds very easy, but a surprisingly large number of presenters fail
to do it. If you smile and make eye contact, you are building rapport,
which helps the audience to connect with you and your subject. It also
helps you to feel less nervous, because you are talking to individuals,
not to a great mass of unknown people. To help you with this, make
sure that you don’t turn down all the lights so that only the slide screen
is visible. Your audience needs to see you as well as your slides.

5. Start Strongly
The beginning of your presentation is crucial. You need to grab your
audience’s attention and hold it. They will give you a few minutes’
grace in which to entertain them, before they start to switch off if
you’re dull. So don’t waste that on explaining who you are. Start by
entertaining them.

6. Tell Stories
Human beings are programmed to respond to stories. Stories help us to
pay attention, and also to remember things. If you can use stories in
your presentation, your audience is more likely to engage and to
remember your points afterwards. It is a good idea to start with a
story, but there is a wider point too: you need your presentation to act

like a story. Think about what story you are trying to tell your audience,
and create your presentation to tell it.

7. Use Body Language


It has been estimated that more than three quarters of communication
is non-verbal. That means that as well as your tone of voice, your body
language is crucial to getting your message across. Make sure that you
are giving the right messages.

Body language to avoid includes crossed arms, hands held behind


your back or in your pockets, and pacing the stage. Make your gestures
open and confident, and move naturally around the stage, and among
the audience too, if possible.

8. Relax, Breathe and Enjoy


If you find presenting difficult, it can be hard to be calm and relaxed
about doing it. One option is to start by concentrating on your
breathing. Slow it down, and make sure that you’re breathing fully.
Make sure that you continue to pause for breath occasionally during
your presentation too.

FACTORS AFFECTING A PRESENTATION

The only thing the presenter should keep in mind is how he s going to
deliver the information without being boring for the audience. The
Presenter should focus on:

 The tone of his voice (he should sound confident. A voice


that carries fear may frighten the audience too)
 The speed of the voice while presenting: it should not be
too fast or too slow.
 Eye contact engages the audience with the deliverer. Leave
a positive impact on the surroundings.
 Facial expression and gestures of the presenter.

WAYS TO OVERCOME A BORING


PRESENTATION
 A Boring presentation is always a setback for the deliverer. It
creates hurdles in achieving the goals of the presenter and leaves
the audience not interested.
 The presenter must focus on the main points of his topic giving
interesting evidences and relating concepts to the daily life
examples to engage the audience. For example, “if the
presentation is about certain stress hormones, the presenter can
engage the audience by connecting it to how that hormone
affects the audience in their daily lives.”
 Effective Presentation Skills involve proper planning
(determination of the core and objectives), preparation (the
introduction, body and conclusion), practice and presentation.

You must need to focus on your content first and then your body
language while presenting.
