1. Introduction
This Acceptable Use policy document seeks to establish the rules and practices for
the acceptable use of information and of assets associated with information and
information processing facilities.

1.1. Purpose
The purpose of this Policy is to outline the acceptable use of Information and Assets
at SeamlessHR. These rules are in place to protect SeamlessHR’s information
against loss or theft, unauthorised access, disclosure, copying, use, modification, or
destruction (each an “Information Security Incident”). Information Security
Incidents can result in a broad range of negative consequences, including
embarrassment, financial loss, non-compliance with standards and legislation and
liability to third parties.

2. Acceptable Use Policy


2.1. Email Use
● Your email assigned at work is to be used for work purposes only,
your official email account should not be used to express your
personal beliefs, convictions, and opinions on any external
platforms. If you use a Company email address to post to a
newsgroup, forum, or other group of third-party recipients, you
should include a disclaimer stating that the opinions expressed are
strictly your own and not necessarily those of the Company.
● Your email serves as a gateway into the company, hence, ensure you
remain security conscious in sending and receiving email
communications.
● You must use extreme caution when opening email attachments
received from unknown senders or which are otherwise not
expected and suspicious, since such attachments may contain
viruses and other malicious code. You should preview attachments
as received to verify legitimacy and content before downloading it.
● Email attachments should be downloaded only when it is important
to do so.
● Your email should not be used for personal advertising, harassment,
fraudulent, spamming activities, do not post the same or similar
non-business-related messages to large numbers of individual
users or other individuals except explicitly authorised to do so.
● Exposing SeamlessHR’s proprietary information, business and trade
secrets in your possession is highly prohibited via email
communications

● It is prohibited to engage in blogging activities that may harm or
tarnish the image, reputation, or goodwill of the SeamlessHR and
any of its employees.
● Where you have to use some image or brand documents of
SeamlessHR in a personal context, ensure you get proper
authorization from the Human Resources, Marketing, and
Information Security Departments.
● Do not make fraudulent or deceptive offers of products or services
originating from your email or company account.

2.2. Laptop/Asset Use


● Ensure you report any case of loss, theft and/or damage to the
laptop assigned to you in SeamlessHR to Information security desk
ism@seamlesshr.com and Human Resources hr@seamlesshr.com
● Ensure the laptop assigned to you is properly documented in the
Laptop Inventory as managed by the Human Resources Department
● Where, you use your personal device for work at SeamlessHR,
ensure this is approved by your Line Manager and Information
Security Manager with proper documentation in the Laptop
Inventory.
● Do not occupy your laptop storage and memory with
non-work-related applications/software that may hamper the
smooth processing of your primary function at SeamlessHR
● Do not download unapproved software that may contain malicious
code thereby, introducing malware into the laptop.
● Do not use your laptop or system to actively download or transmit
material that violates sexual harassment or hostile workplace laws in
the local jurisdiction, or otherwise violates applicable laws or
regulations.
● Ensure you have your screen locked per time when you leave your
workstation, do not leave your laptop screen unattended to and
vulnerable to information exposure.
● Always use headphones or earphones while in meetings, to prevent
third party and external persons from SeamlessHR eavesdropping
on company or customer information.
● Do not connect your PC to other networks outside of SeamlessHR
authorised networks for any purpose.
● Return of Assets: upon Employee Exit, all employees and third-party
personnel shall receive clearance for exit only following the return

of all the assets issued to them during their time of being employed
by SeamlessHR. An employee checklist shall be developed and used
as part of the employee exit management.
● Disposal of Assets and Media: this shall be handled only by
authorised personnel in SeamlessHR, ensure you check with the
Human Resources department according to the Asset Disposal
Procedure.
● Usage of Removable Storage Media: removable media used to store
SeamlessHR information shall be subject to secure handling
procedures and must be labelled, stored, and disposed of in
accordance with the manufacturer’s specifications and
SeamlessHR’s established policies; all removable media shall be
scanned for malware when introduced to SeamlessHR systems.

2.3. Information/Data Use


● With information/data in your possession and required for work,
ensure you handle with due diligence of confidentiality, integrity,
and availability always.
● Do not access SeamlessHR information, and systems or a user
account for any purpose other than conducting Company business
or as otherwise expressly permitted by company policy or the
Information security desk.
● Do not provide information about, or lists of, SeamlessHR
employees, clients, and partners to parties outside the company;
this is confidential information, and should be treated, and
managed as so.
● All information/data produced, used, shared and processed within
SeamlessHR shall be labelled and handled according to the
approved Document Classification categories.

2.4. Internet Use


● Ensure you use the internet provided by SeamlessHR for work
related functions only
● Do not carry out unsolicited downloads on the internet causing
heavy traffic and potentially hindering other employees from
internet availability

● You are not permitted to share passwords to the internet provided
at the office with persons external to the organisation such as
personal visitors, relatives etc.

2.5. Access Control


● Do not cause or attempt to cause any security breaches, disruptions
of network communications or Information Security Incidents.
“Disruption” includes, but is not limited to, network sniffing, pinged
floods, packet spoofing, denial of service, and using forged routing
information for malicious purposes.
● Do not perform port scanning or security scanning unless prior
approval from Information Security and DevOps have been
obtained via formal communication as evidence.
● Ensure you align with the stated and configured access control
assigned your job function
● Report any suspected or potential case of privilege escalation to
the Information security desk.
● Line managers and departmental leads are to ensure and authorise
all access level permissions granted to team members upon their
exit from the organisation as part of exit management with
confirmation.

2.6. Password Use


● Do not share your password with a third party (colleague, family,
friend) by revealing your account password to or allowing use of
your account by third parties. For example, you may not share your
account password with family or other household members when
conducting work outside of the office.
● To prevent leaked credentials, do not share username and password
in a single context; use separate mediums that cannot be
intercepted or lead to exposure.
● Do not write out your password(s)
● Ensure your password is compliant with the required specifications:
○ minimum 8-character length, passphrase is encouraged and not
words linked to you personally.
○ alphanumeric and special characters included.
○ One capital letter
○ Different from your username

2.7. Travel Advisory
● Ensure all your devices have password activated
● Activate 2FA- two factor authentication or multi factor
authentication on all your email accounts
● Disable your devices connecting automatically to Wi-Fi and
Bluetooth services
● Do not use free Wi-Fi in public spaces
● Do not leave your computer unattended to per time
● In case of a loss or theft, please reach out to Human Resources and
Information security immediately.
