CHAPTER 1

THE PROBLEM AND ITS SCOPE

Introduction

Nowadays, events management is a growing industry with a good

income potential and there is new event management company’s surface.

It opens opportunities to event freelancers whose passion is coordinating

and planning events. Event Management is the process of creating and

maintaining an event. This process spans from the very beginning of

planning all the way to post-event strategizing. Event management is the

process of planning and hosting a variety of public and private events for

social or business purposes. They may be large-scale or small-scale

events and can include business conventions, training seminars, industry

conferences, trade shows, ceremonies, parties, concerts, festivals and

press conferences. Event managers must follow the clients' instructions

and work within a specified budget and predetermined schedule. To set

up the events, they must collaborate with various vendors.

This study focuses on the challenges of event management in

modern wedding planning. Modern wedding planning requires proper

coordination, budgeting and organized planning. Planning a wedding is a

difficult task to accomplish from planning, prenuptial photoshoot and the

day of ceremony has to meet the satisfaction of the client and to surpass

the expectations of invited guests. Wedding planners must able to identify

the current and future trends to ensure the sustainability of their business.

However, there are lots of challenges that these modern wedding

planning has occurred. The challenges include the organizing the wedding

theme, contacting the florists, wardrobe malfunction, food safety,

preparation of the venue, overspending of the budget. The existing

studies are very limited on event management alone but not on the area

of modern planning. This is the reason why the researchers chose this

study to determine the challenges in the modern wedding planning of

event management.

Thus, the researchers want to determine the challenges of event

management in modern wedding planning in terms of preparation, venue

or location, budget and etc.

THEORETICAL BACKGROUND

The study is anchored on the theory of George Homans, 1958 “

Social Exchange Theory” .

Social exchange theory is a concept based on the notion that a relationship

between two people is created through a process of cost-benefit analysis. In other

words, it’s a metric designed to determine the effort poured in by an individual in a

person-to-person relationship. The measurement of the pluses and minuses of a

relationship may produce data that can determine if someone is putting too much

effort into a relationship.

The theory is unique in the sense that it doesn’t necessarily measure

relationships on emotional metrics. Rather, its systematic processes rely on

mathematics and logic to determine balance within a relationship. While the theory

can be used to measure romantic relationships, it can also be applied to determine

the balance within a friendship.

The theory’s core assumptions establish a fundamental foundation within social

exchange theory — one size does not fit all. A person’s expectations, as set by

comparison levels, allow the theory to be viewed on a sliding scale, one that adjusts

on an individual basis. If an individual’s personal relationship samples are set on a

certain level, he or she will tend to use this level as a baseline for future

relationships.

According to the theory, a worthwhile relationship will be as far away from the

cost category as possible. Even if there are a few costs involved in the relationship

— and human behavior dictates there probably will be — if enough positive traits

outweigh the negative traits, then the costs hold no value.

LEGAL BASIS

In every event planning, there should be a right client contract which

include certain clauses that cover all the bases in case things go wrong for

either party. This right client contract is a contract made by the supplier to a

client. It sets expectations, it explains the scope of work, and streamline

communication or if issues come up.

Review of Related Literature

There are many recent studies that have focused on the problem of

event management while there have been few researches have taken modern

wedding planning challenges in event management.

According to Laurence Carter (Author House, 2007). Event Planning is

an exciting option for individuals looking for a new and different career. There is

an increasing demand for trained Event Managers, to work in a wide variety of

organizations, and as freelance entrepreneurs. Their task is to take on the

responsibility for planning and organizing events.

Challenges of Modern Wedding Planning

Wedding Theme

According to David Tutera (2021), wanting a great wedding that

engages guests, it's all about telling a story from the moment they receive

the invitation to the last thing they see, which could be the favor. Having a

style or a theme helps you choose the story you're going to tell.

Venue

According to Alyssa Pettinato (2021) , finding a venue that is

realistic to your vision can seem challenging, but it's the most important

part of wedding planning. Venues are also key to the celebration of a

wedding. They create the atmosphere that is forever linked to the

memories of the wedding (Daniels et al., 2012). According to Daniels et

al., “the venue is generally one of the first decisions made, thus driving

many other wedding purchases” (p. 247). Couples can choose to be as

traditional or creative with their venues as they wish. It has even recently

become popular to choose a venue based off of a wedding theme

(Daniels & Loveless, 2007).

Decoration is a variable budget item that can be controlled easily.

Some venues include all the furnishings and decorations with the room

rental. Venue selection might be influenced by the appearance of the

building's interior and the purpose of the event. Careful consideration

must be given to selection of decorating materials. Would it be preferable

to allocate decorating resources on one area or spread decorations

around for greater effect (Allen, 2000). Floral arrangements are a popular

decorating item that can vary greatly in cost. Careful oversight is required

to prevent flowers, or other decorations, from exceeding budget limits.

Budget

Qurratul Aien (2011) stated that this burden is one of the factors of

late marriage. This demonstrates that, in light of current celebration trends and

customs, marriages are getting increasingly difficult to accomplish. In controlling

such expenditures, society currently appears to be acting without a guide. The

ultimate success of an event depends in large part on the budget preparation phase

of planning. Preparing a budget is a crucial element in event planning, regardless of

the size of the event. Essential steps in preparing a budget include the following:

establish the goals and objectives the event plaimers want to achieve, periodic

comparisons of the actual costs against budget estimates, and comparison of the

actual total costs against the final budget allocation (Price, 1989).

Food Cost

Food and beverages can be very costly and can easily be underestimated if not

carefully considered. Most hotels, restaurants, or catering services are willing to

negotiate to develop creative menus that fit within a specified budget. A first

step in this process is determining the fixed costs of providing the food and

beverages, such as room rental or waiter charges. The number of guests is a

significant determinant of expenses. Once these fixed costs are known, the

amount available to spend on foods and beverages can be decided (Allen,

2000). Cost saving ideas may include cash bars, use of wait staff to distribute

hors d'oeuvres, use of napkins instead of plates, and providing fewer coffee

breaks (Price, 1989).

Entertainment

Entertainment is another aspect of the event that could pose problems.

A detailed schedule of events should be prepared ahead of time. This schedule

must include everything that will occur on stage at the event. Potential

problems can be avoided by scheduling additional time for speakers or

presentations that may go on longer than planned. Accordion activities, which

can be expanded or contracted as needed, are useful between scheduled acts.

Bands, musicians, or other entertainers will have their own specific needs for

performing at an event. Arrangements must be made well in advance to meet

these needs and to avoid unnecessary problems (Allen, 2000).

Review of Related Studies

In the study of Allen Jay (2000), “Analysis of Successful Event Planning”,

budget preparation is a crucial element in this process and ma ultimately

determine the success of failure of the event itself Other vital considerations

include catering or food service, selection of the date and site, promotional

strategies, and event activities. Contingency plans must be developed ahead of

time to deal with any number of potential problems.

In the study of Avery Ruonala (2013), AN ASSESSMENT OF FUTURE

TRENDS IN WEDDING PLANNING”, it was found out that that all regions in

California had similar future wedding trend responses related to “glamorous”,

“1920s”, or “vintage” themes. The responses from the wedding planners also

showed only a small difference in future wedding trends compared to current

trends.

THE PROBLEM

Statement of the Problem

The main objective of the study is to ascertain the challenges of event

management in modern wedding planning in the province of Bohol.

Specifically, it seeks to answer the following questions:

1. What are the challenges of event managers in modern wedding planning

in the province of Bohol?

2. What challenges are common among these event management?

3. What are the practices of event planners as solution to the challenges that

they have encountered?

Scope and Limitations

This research attempts to know the aspects that the event planner faced

during the client’s preference in terms of choosing their desired

personalized wedding choice. The coverage of this research is limited to

the event planner of Congressional District 1 through sending out Google

forms that contains the interview questions.

Significance of the Study

The researchers believe that the study would be beneficial for the

following.

Event Management Team. To achieve customer satisfaction, the management

will be enlightened in providing better services to their customers. This will be

useful in determining whether or not customers are satisfied with the services

being provided.

Wedding Planner. The findings of this study would help the planners to find

solutions in catering their needs specially on the challenges encountered such

as shortage of budget

Clients. This study will help the clients about having a proper wedding planning

in the future.

Researchers. This study would help the future researchers to know the

challenges in this research. It might provide them with concepts and

information in developing a modern wedding planning.

Future Researchers. Future researchers will be given vital information about

the significance of employee characteristics in a guest's first impression and

how it affects guest overall satisfaction. The findings of this study are expected

to be useful as a point of reference for the researchers' research.

RESEARCH METHODOLOGY

Design

The primary design in this study entitled "Event Management:

Challenges in Modern Wedding Planning” is qualitative approach. To

assess the event planner’s challenges in modern wedding planning in the

Province of Bohol. Furthermore, the researchers used purposive sampling

to select the research respondents.

Environment

The study was carried out in the entire Province of Bohol by the

researchers. Province of Bohol is one of the top wedding destinations

because many couples wants to experience the paradise of Panglao also

known as the "Crown jewel of the South”. There are 47 municipalities in

the Province of Bohol.

Respondents

The respondents of the study are the selected wedding planners of

Bohol. These respondents are members of Bohol Wedding Suppliers (BOWES).

There are 5 wedding coordinators / respondents of the study. Kim Villamor

Atelier, Rose-Paul Atelier, EJ Relampagos Atelier, CHARM, Crown Jewel

Production and Events. All respondents were planners who have been in the

industry for more than 5 years and who experienced challenges in modern

wedding planning.

Research Instrument

The researcher adopted an interview question to gather the

necessary information needed. The interview questions are composed of

three questions with sub- questions that caters all the possible answers

from the respondents.

Data Gathering Procedure

For credible and thorough data gathering, the researchers first

secured a transmittal letter to the Departmental Dean to ask for consent in

conducting this study, containing the purpose of the research and

requesting approval to conduct the study. After the letter is approved, the

researchers will conduct pilot testing. The researchers will send letter to

the respondents. The respondents are given 30 minutes to 1 hour to

answer the interview, and the interview are recorded by the assigned

researcher. The researchers will conduct an informal interview to let the

respondents elaborate on their responses and provide more valid and

reliable information. After the interview, the researchers will transcribe the

data gathered. The results are to be discussed and presented and can be

seen in the next chapter of this study.

Definition of Terms

Budget. This is the expected payment to be paid by the client to the

wedding supplier.

Event Management. This is the organization, management, and planning

of all the individuals, groups, and components, that come together to

create any type of event.

Event Planning. This the process of setting expectations and clauses by

the supplier to the client.

Event Planners. The people who coordinate all aspects of professional

meetings and events.
