1.0 INTRODUCTION

Communication is the process of conveying information from one location,


person, or group to another. Every communication has a sender, a message, and a
recipient. A wide variety of factors can influence message delivery from sender to
destination. These include our emotions, the cultural circumstances, the communication
medium employed, and even our location. Because of the complexities, effective
communication skills are highly valued by businesses all around the world.

In business, communication must be successful because management is all about


communication. Management's fundamental activities such as planning, organizing,
staffing, directing, and controlling cannot be carried out effectively without efficient
communication.

A good flow of information is required in business communication. Feedback is


an essential component of corporate communication. Nowadays, organizations are quite
huge and incorporate a several number of individuals. An organization has several
levels of structure. The more layers there are, the more difficult it is to manage the
organization. Communication is crucial in the process of leading and regulating the
employees in the organization. Immediate feedback is possibly to avoid any
misconceptions. Effective communication should exist between supervisors and
subordinates in an organization, as well as between the organization and society, for
example between management and trade unions. It is critical for an organization's
success and growth. Any organization should not have communication gaps.

Business communication has a specific aim in mind. A company's rules, laws, and
policies must be conveyed to both internal and external stakeholders. Certain principles
and conventions govern business communication. Historically, commercial
communication was restricted to paper-work, phone conversations, and so on. However,
with the advancement of technology, we now have mobile phones, video conferencing,
emails, and satellite communication to aid with corporate communication. Effective

corporate communication contributes to an organization's goodwill. There are two
forms of business communication:

1. Oral Communication - Oral communication may be both official and casual.


Meetings, interviews, group discussions, presentations, and other formal forms
of communication are examples of corporate communication. Grapevine is an
example of informal commercial communication.

2. Written Communication - Written business communication comprises agendas,


reports, manuals, and so on.

2.0 MEANING AND THE SCOPE OF BUSINESS COMMUNICATION

The definition : Business communication is the process of sharing information


between people within and outside a company. Effective business communication is how
employees and management interact with each organizational goal. Its purpose is to improve
organizational practices and reduce errors.

Scope of business communication is an inseparable feature of human life. The


scope or use of communication cannot be demarcated; its importance is indispensable
for all. The scope of business communication discussed below form different
perspectives:

A. Communication in Business
Business functions throughout effectual communication and without it
business can never be run. Communication is personally related to production of
goods and services, purchasing and selling, warehousing, distribution and to
other business activities. The nation within and enternal the business
organization might be communicated with properly in sequence so that day
takes steps accordingly. Furthermore, business organization is to do a few social
responsibilities also. Therefore, nowadays every large organization has a public
relation department to communicate with its environment.

B. Communication in Decision Making


Person or organization, each is to take decisions on various issues daily.
In each case, proper information is vital to make perfect decisions and
communication plays a pivotal role here by supplying relevant information.

C. Communication in Management
Communication is careful as one of the greatest weapons of Management.
Each level of Management like planning, organizing, recruiting, leading,
motivation, coordination and control depends on a sound communication
method. Each organization, big or small, makes a plan to attain the desired goals

or objectives and Management is to collect information from a variety of people
and organizations to make a correct plan. Later than declaring the plan
Management gives essential advice and directions to employees to carry out the
plan and it is done by departments and branches is also brought forth from side
to side.

D. Communication is social life


Human beings are gregarious and everybody in the society is related to
each other. Business communication has played a vital role in this social bondage
of human beings. People can share their sorrows, happiness etc, because of the
presence of communication.

E. Communication in state life


State life cannot be run without the flow of info communication. Business
communication plays a vital role in performing the activities of different
ministries, departments, divisions and offices of the state. Government maintains
the function of the state by different modes of communication. Every
government runs a separate ministry named the “Ministry of Communication.”

D. Communication in international relations


This is the age of globalization and due to tremendous development in
communication the entire world is viewed as a single village (global village).
Changes are taking place all over the world and in order to cope with the latest
development of the word every person, organization and state is to communicate
with different quarters very rapidly. The diplomatic, economic and trade
relations between and among nations in the international arena are based on
effective and efficient business communication.

E. Communication in Publicity
In this world of information, every organization is keen to advertise itself
through some distinctive ways. By communicating with concerned parties an
organization does publicity also. Two way communication between both the
parties is essential and information must flow in its desired form between the

organization and public. The receiver must understand what the sender intends
to communicate for an effective public relation. The receivers (public, target
audience, stakeholders, employees, investors) must clearly understand the
sender’s message. (organization in this case).

F. Communication in personal life


We do various activities from dawn to dusk and we depend on
communication for doing that. Nobody can pass daily life without the application
of communication. Actually it is a part and parcel of our personal life. Everybody
is to communicate with different people and organizations daily.

G. Communication in Industrial relation


Good industrial relations, which means owner-employee relation is a
prerequisite to bring success in business. Employees are the main spring of an
organization and their cooperation is a must to operate business activities. They
might be motivated and their morale might be raised and their complaints and
grievances are to be handled with due consideration. To build a harmonious
employer relationship, the department of public relations of each organization
acts closely under the directives of top Management and Communication is
indispensable here.

3.0 PROFESSIONAL COMMUNICATION SKILLS AND ETIQUETTE THAT ARTS
MANAGERS TODAY NEED TO KNOW IN ORDER TO FUNCTION
EFFECTIVELY IN AN ARTS ORGANIZATION

3.1 Professional Communication Skills

Professional communication skills are one of the most crucial aspects of


maintaining harmonious relationships in the workplace. Professional
communication abilities differ from contact with family and friends on a regular
basis. Professional communication abilities are critical as an art manager for an
organization to maintain the company's and manager's reputations. This is
because the art manager shows his company's abilities and level of
professionalism. Unwanted events, such as workplace confrontations, can be
avoided by the effective use of language and effective communication. As a result,
professional communication skills have a considerable impact on an arts
manager's career in order to ensure that the arts organization runs properly.
Here are some of the professional communication abilities that an art manager
should have;

A. Written Communication

Communication happens through any word written or often written sign


which refers to the languages used in any medium is called written
communication. For example simply any handwritten, typed, newspaper,
printed word documents, letters, books and magazines.

B. Oral Communication

Communication which happens through word of mouth, spoken words,


conversations and also any messages or information that are shared or

exchanged between one another through speech or word of mouth is called oral
communication. For example public speech, news reading, television, radio,
telephone and mobile conversations.

C. Non-verbal and Visual Communication

Any communication without word of mouth, spoken words, conversation and


written languages are called Non-Verbal Communication. It happens through signs,
symbols, colors, gestures, body language or any facial expressions known as non-verbal
communication. Traffic signals are one of the examples for non-verbal communication.

D. Active Listening

Active listening encourages people to communicate more openly, avoid


misunderstandings, resolve conflicts, and build trust. Listen attentively and
carefully. There is a difference between “listening” and “hearing”. Active listening
means hearing with proper understanding of the message that is heard. By
asking questions the speaker can ensure whether his/her message is understood
or not by the receiver in the same terms as intended by the speaker.

E. Contextual Communication

Effectively communicate in a variety of scenarios, particularly those involving


distinct populations, people, situations, places, or sets of behaviors. Professional, cross-
cultural, internet, academic, and crisis communication are all examples of this.

3.2 Etiquette That Art Managers Should Know

Etiquette in the workplace refers to an act or a pattern of behavior that ensures a


pleasant working environment while remaining polite and respectful. Due to the
variances in work etiquette given by different firms, this work etiquette differs
depending on the location and atmosphere. However, the message to be delivered is

nearly the same, namely, to give a good working environment. For example, workplace
work etiquette may include communicating politely with coworkers and keeping the
workplace sanitary to avoid causing inconvenience to other coworkers while also
disrupting the work environment. Basically, work etiquette can be defined as mutual
respect for each other. Workplace etiquette are critical for improving business success
and giving employees a favorable impression of the company. Etiquette in the
workplace encourages people to enhance their work performance while still enjoying
their work and not seeing it as a chore.

Communication has its own set of etiquette that must be committed to and
obeyed in order for a communication to function effectively and without offending
anyone. In order to provide his subordinates and outsiders a positive impression of
himself, an art manager must know about etiquette when speaking. The appropriate
approach to communicate in the workplace is sometimes referred to as communication
etiquette. It differs from communication skills, in which communication etiquette aids in
the development of communication skills so that all parties can easily accept them. Good
communication etiquette refers to the conduct or method of presenting information to
others without jeopardizing the art manager's relationship with his superiors,
subordinates, or customers.

It is critical to maintain effective communication in order for a firm to continue


to run smoothly. This is because effective communication will facilitate the flow of
information between superiors and subordinates. Lack of misunderstanding and
misinterpretation of information or orders will help to improve the link between the art
manager and his subordinates at work, as well as create fruitful contact. An art director
with a strong communication etiquette will be able to assist him in emphasizing the
importance of leadership to his personnel and gaining their trust. Here are several
communication etiquette that art manager in an art organization should be aware of :

3.2.1 Acknowledge Others

Acknowledging others is where the person receiving the message or


information responds to the sender to let them know that they

understand what the sender is trying to convey. An art manager should
respond to his subordinates' attempts to communicate so that they know
their information or report will be understood by their superiors. This
will give them comfort in knowing that their work has been recognised by
their superiors. When an art manager expresses gratitude after getting
the finished work from his subordinates, it shows that he values and
recognises their efforts.

3.2.2 Criticize In a Constructive Manner

Constructive criticism entails delivering a rebuke or criticism to someone


while keeping their identity hidden and doing it in secret. An art manager
can deliver reprimands and criticism in a personal setting to guarantee
that his subordinates work comfortably and do not lose their drive to
work. Rather than reprimanding his subordinates in front of other
employees, the art manager can organize a meeting in person or over the
phone. When offering criticism or reprimand, the individual giving the
reprimand or criticism should focus on helping the receiver improve their
work rather than highlighting the recipient's problem. Give them
comments or guidance on how they might improve and upgrade their
work to achieve greater results, for example. Employees will be motivated
to enhance their work as a result, and tension between them will be
avoided.

3.2.3 Be Punctual

A good art manager should have a strong sense of time etiquette. But
while most businesses have time etiquette, we may still live by it every
day. A manager of the arts should respect both his own and others' time.
As a result, there won't be any conflict between the manager and the
client over lateness. Additionally, it helps the art manager present a better

front to his bosses and staff members. A punctual art manager can
demonstrate that he values his team members, takes his work seriously,
and cares to do it on time to meet deadlines.

3.2.4 Do Not Interrupt Someone When They Are Speaking

It is evident that one does not care about what the other person is saying
when one speaks over them or interrupts them when they are expressing
a viewpoint. Additionally, it will appear as though he is not paying
attention to what others are saying and is only waiting for an opportunity
to speak up. This is inappropriate behavior for an art manager. This is
true because a good art manager respects other people's opinions and
listens to them. The completion of the necessary job will be aided by the
exchange of pertinent information.

3.2.5 Try To Summarize A Conversation But Be Thorough

In an arts organization, time is an important resource. As a result, an art


manager needs to be able to communicate effectively with both his peers
and his subordinates, concisely but completely. This is due to the fact that
managing an arts organization needs one to work quickly and efficiently
with limited time. As a result, an art manager needs to be able to
summarize a communication while maintaining accuracy. It is crucial to
include only the information that is required in order to decrease follow-
up communication that repeats the same information.

4.0 HOW MEDIA TECHNOLOGY AND CULTURAL DIVERSITY IN TODAY’S
ORGANIZATIONS IMPACT THE WAY ARTS MANAGERS COMMUNICATE IN A
BUSINESS CONTEXT.

4.1 Media Technology

The world we live in today is very different from the world of our ancestors as it is
becoming increasingly digital. One of the most popular and primary ways to communicate
today is through the use of media technology, which requires the internet. According to
Rogers (2019), the internet has had a revolutionary impact on communication since the mid-
1990s, including the rise of near-instant communication through electronic mail, instant
messaging, voice over Internet Protocol (VoIP) telephone calls, two-way interactive video
calls, discussion forums, blogs, and social networking. The oldest forms of media include
newspapers, books, magazines as well as flyers. Media technologies can be used to capture,
store, transport, process information, and may be combined with other technologies such as
the internet and the telephone to enable powerful new forms of communication and to make
them accessible to more people. Today, every aspect of our lives is being influenced by
technology, from the way we communicate to the way we stay entertained. For example,
media technology is used to preserve historical records, access information and resources on
the web, play games with a social function and share information with classmates, teachers,
and family members. The internet has made it possible to connect with others over a range of
issues with immediacy and anonymity, regardless of geographic or cultural distance.

The business and media technology world today is a very different place than it was
just a few years ago. In the past, the business world and the world of media technology were
separate entities, but today they are much closer than they have ever been before. The
production, distribution, and consumption of media content is a primary driver of the
economy, and the business world is dependent on the ability to reach and influence
consumers through traditional media platforms. At the same time, the media industry is
increasingly dependent on the ability to generate and capture large audiences through digital
platforms and technologies. This interdependence creates an opportunity for the two
industries to strengthen their respective capabilities and increase their impact on society.

To begin with, arts managers have long struggled to balance the demands of their jobs
with the limits of their time. They must manage multiple projects, raise funds, and find and
foster talent, all while keeping an eye on the industry at large and the trends in their sector.
When it comes to communicating with the public, arts managers have always had to balance
the desire to share their art with the need to keep a tight budget. But in recent years, the
advent of media technology has changed all that. Nowadays, with the help of media
technology, arts managers are able to engage or communicate with the employees as well as
the public at an unprecedented scale, and often for little or no cost. Hopwood (2019) stated
that using new communication technology eliminates the need to regularly travel for
meetings and supervisory work, since these duties can be completed via live video chat and
collaboration platforms. Instead of managing their careers in person, arts managers have
begun to use video conferencing software to communicate with employees and artists,
reducing the need for costly face-to-face and saving time. Moreover, when words are
abbreviated owing to typing issues on mobile phones, communication has embraced short
and succinct texts. Typing difficulties have led to the widespread usage of shortcuts and
symbols that violate grammatical standards (Alhadlaq, 2022).

In addition, according to Grome (2022), the Digital Age enables ideas to be


distributed instantly via social media, video chat, and even screen sharing. Media
technology is democratic in fostering new ideas and approaches since it allows voices to
be heard, collaborate on projects, and express fresh thoughts in ways that are much
more efficient and effective than previously. It enables businesses to increase the
quality of output, expand across borders and capture new markets. For example, video
conferencing and social media platforms have enabled arts managers and their
respective employees to collaborate remotely, come up with creative solutions and
generate new strategies. Video calls have transformed communication since people can
see each other in real time while conversing on a computer screen (Alhadlaq, 2016). It
allows employees to express themselves in ways that they would not be able to
otherwise, which has helped them feel more comfortable expressing their opinions to
their art managers. Because of this, the role of the arts manager has changed, requiring
them to be adept at using technology to their advantage in order to best serve their
audiences and meet their business goals. This has, in turn, led to a greater level of job
satisfaction and better performance for those employees who are able to use media

technology to their advantage. Arts managers are able to experience greater
productivity and better decision-making, which has improved the way the arts
department functions and has increased its profitability. This has also increased the
brand awareness of the organization, which has led to a higher demand for art
management services and has increased the revenue of the arts industry as a whole.

Last but not least, arts managers should learn how to push the boundaries and
engage with their target audiences with the help of modern media technology in order
to be successful. The advent of new media technology, such as video and audio
recording, has given them the opportunity to share their expertise, build a community
of like-minded professionals as well as foster connections with future patrons and
investors from anywhere in the world. Arts managers are able to find new ways to
generate revenue and become more sustainable, as it has only furthered their ability to
serve their communities that were previously inaccessible. This has given them the
ability to expand their businesses who might otherwise be limited to only those who
reside near them and build a more dynamic portfolio. No matter how big or small an
organization is, the potential for media technology to connect arts managers with
people of all backgrounds is easier and limitless. All of this has given them a new toolset
with which to build their businesses, further their missions and, in the process, make
the world a better place. Hence, the impact of these technological developments has
been felt far beyond the walls of the arts community.

4.2 Cultural Diversity

The definition of cultural diversity is vague and open to interpretation. Cultural


diversity is a term used to describe the variety of cultural traditions, practices, and
values which exist in the world today and which are found in different societies around
the globe. It is often applied to refer to 'differences' across a population of human beings.
It also includes the natural, geographical, and ethnic diversity of different human groups.
Cultural diversity is extremely diverse, with many different types of diversity existing in
different parts of the world. Diversity is also very dynamic, and many cultures have
changed over time and continue to change even today. Understanding cultural diversity
is most important when considering cultural and ethnic groups. By understanding

different cultural traditions and the ways in which they differ, we can gain a better
understanding of others and our own cultural background and make it more meaningful
to us. This can help improve our relationships with other people and make it easier for
us to understand their point of view. Since cultural diversity cannot be defined by a
single characteristic, it can only be understood by looking at how various cultural
characteristics are combined to form the overall experience of a person.

Cultural diversity is gradually becoming a buzzword in today’s business world. In


a business context, cultural diversity means that one is working with different people
from different backgrounds and that they are able to communicate and bond with one
another. Over the past few decades, one of the most notable changes has been the
increase in the diversity of the populations of businesses. According to UNESCO (2009),
major multinational businesses, such as Nike and Coca-Cola, spend millions of dollars
advertising and marketing their products in order to fit with their consumers' cultures,
wants, and goals. Global and national marketers are increasingly adjusting universal
brand positioning to the cultures and goals of the markets in which they operate, in
order to find more common ground and reflect the entire spectrum of variety that may
exist in a particular market. They have become much better at recognizing the potential
benefits of diversity in their workforces and workplaces, and have worked hard to make
sure that their employees, customers, and suppliers are as diverse as possible. They also
strive to create an environment that is welcoming and respectful to the many
differences among them. Culturally diverse companies have an advantage when it
comes to reaching out to customers globally because their employees are able to
communicate with consumers in their native language. As a result, organizations that
are diverse are better able to adapt and change, and therefore are better able to keep up
with the ever-changing needs of their customers. When business organizations embrace
diversity and include individuals from a variety of backgrounds and experiences, they
tap into a pool of talent that can help them achieve a greater level of performance.
Cultural diversity will become increasingly important as globalization becomes more
common in the coming years.

When it comes to diverse cultures, the way arts managers communicate is crucial,
especially when they are trying to convey a professional image, the importance of

getting things right, and how their words and actions can be interpreted by others.
Communication is key to successfully managing a business. This includes how arts
managers perceive their employees, and how they interact with the people they work
with. However, interpersonal communication can be challenging at times because it can
be misinterpreted or difficult to comprehend by arts managers who are not fluent in the
language of the speaker or if the message is in a foreign language or vice versa. For
instance, some cultures value politeness and courtesy, while others find them off-
putting and rude. Some cultures are more formal than others, so a manager may have
difficulty communicating in a more informal or less formal manner. The audience might
also have a different understanding of communication such as being able to read body
language, listening intently, or being able to follow a dialogue. This has the potential to
cause further confusion, leading to a poor impression on the part of the audience as well
as result in a decreased capacity to execute the day-to-day operations of the
organization. Thus, understanding the language and culture of others is essential in
order to effectively communicate with fellow colleagues and employees.

Nearly everyone learns better from other people, cultures, and perspectives if
they are exposed to them. In other words, cultural diversity helps us to “listen in” on
more people and gain better insight into their beliefs and behaviors. When it comes to
running a business, the most important skill for arts managers is being able to listen. It
is the key to building relationships, getting to the heart of an issue, and coming to better
decisions. In order to stay relevant and competitive, arts managers must be able to
adapt to changing circumstances and find new ways to serve their audiences. The
apparent approach is to implement numerous procedures that encourage workers to
summarize critical information and map out who works for whom, with what duties,
and who will do which steps and when in words and pictograms (Meyer, 2015). It
enables them to better understand and respond to the needs and interests of the diverse
communities they serve which is beneficial in both the short and long term. When arts
managers are able to better understand the experiences and backgrounds of others, it
enables them to better identify opportunities for collaboration and mutual learning.
This not only makes them more welcoming and accessible, but it also provides them
with a greater range of opportunities to connect with your patrons and build

relationships with them. This in turn strengthens their position as an asset to their
community.

One of the greatest strengths of a diverse workforce is the ability to bring new
ideas and perspectives to the table. When employees from different backgrounds and
experiences come together and share their experiences, unique insights and insights are
often discovered. This helps to strengthen the company as a whole, as it provides arts
managers with the opportunity to learn from the experiences of their employees,
especially those from minority groups. This is because diverse organizations are made
up of individuals with different backgrounds, experiences, and ideas. Arts managers
who are open to fresh ideas are more likely to be able to recognize and respond to the
needs of diverse audiences and are better able to leverage their employees' diverse
backgrounds and experiences. In turn, this diversity can lead to better art and the
creation of more meaningful experiences for the public. It also makes it easier for arts
managers to notice when employees are expressing a new idea or perspective, which
can often be attributed to the unique background and experiences that have shaped that
person. Because of the influence of cultural diversity on communication, art managers
are in a unique position to make a difference in the lives of their clients, both in their
professional and personal lives.

CONCLUSION/SUMMARY

In conclusion, there are several scopes of business communication found during


research. There is communication in business, communication in management,
communication in social life, communication in state life, communication in international
relations, communication in publicity, communication in personal life, and communication in
industrial relations. These facts point out how effective business communication in an
organization reduces unwanted errors.

Furthermore, every art manager has to practice communication skills and etiquette in
order to be a professional working in an arts organization. To be a professional art manager,
they have to be skilled in written communication, oral communication, non-verbal and visual
communication, active listening, and contextual communication. For that matter, ethics
should also be emphasized by art managers to describe their identity as professionals so that
people who are looking forward to the art managers will be comfortable working with them.
Acknowledging others and constructive criticism are also part of the ethics that art managers
should practice.

A professional art manager has to follow revolutionary communication tools


nowadays to make sure that they don’t miss the opportunities to extend their business
connections and to close the separate entities between the two industries to strengthen their
respective capabilities and increase their impact on society at once. In other words, they have
to know the latest modern media technology so they can communicate with business partners,
clients, workers, and so on. For instance, they reach those people with the latest gadgets and
applications such as smartphones, laptops, smartwatches, and applications like WhatsApp,
Facebook, email, Instagram, and blogs. This convenient media technology can save a lot of

In addition, cultural diversity in organizations today also impacts the way art
managers communicate. In other words, this happens due to the differences between human
beings, such as cultural traditions, practices, and values, which exist in the world today and
which are found in different societies around the globe. Furthermore, art managers are
constantly changing the ways they communicate with culturally diverse people because they
have different ways of communicating and traditions to avoid unwanted miscommunication.
Miscommunication may cause damage to the business relations between them. Last but not
least, every single art manager in this world has to master every aspect of business
communication, so they get a lot of opportunities and benefits from the business world.

In a nutshell, business communication is important for art managers in the art


industry because a lack of communication is the main cause of an organization’s damage.
So, art managers must know these business communication skills for themselves and
their organizations’ benefit.
