1. Appraiser & Reviewer have to conduct planned discussion with the Appraisee to give feedback on
performance improvement areas and suggest training needs.
2. Appraiser & Reviewer to give scores on scale 1-10 (“1” being lowest and “10” being Highest)
against each competency in Section I, Functional competencies and Section – II, Behavioral
competencies.
3. Reviewer’s Scores will be considered as final.
4. Basing of final score, rating shall be assigned as per Rating Scale by HR department.
5. Both the sections are mandatory and incomplete form will not be validated.
6. Vertical Heads/HODs to give approval for Trainee absorption as per position vacancy.
7. Guidelines for planned discussion by Appraiser & Reviewer:
The planned discussion between the appraiser/reviewer with the trainee is a very important process
in identifying performance improvement areas.
Every appraiser/reviewer to study the Assessment Form in detail and make notes, wherever
required. Following are the guidelines for the planned discussion:
i. Planned discussion need to start with positives notes. This would keep the trainee at ease.
ii. Use “Funnel Technique” i.e., start with pleasantries, general discussions and talk about
achievements/targets/behavioral competencies. Emphasize on the subject rather than on
person.
iii. Avoid judgmental and advisory statements. Use inquiry method during the discussion.
iv. Be a good listener and not to interrupt trainee in between discussion.
v. Use always firm words to convey a right meaning.
vi. Be always genuinely concerned with the trainee.
vii. Give feedback to the trainee on every point of discussion.
viii. Make the trainee to self-realize.
ix. Don’t make promises where you do not have control over (e.g. salary increments,
promotions, transfers etc.,)
x. Make it very clear about various improvements/targets to be taken up in the future.
xi. Be assertive and not submissive or aggressive.
xii. Assume ownership on your discussion.
xiii. Make notes of points for developing an action plan.
xiv. Summarize the discussion to Connect roles and the company by inducing company Culture,
Clarifying doubts on systems and procedures and build Confidence to stay, say and strive
for the Organization.
xv. Conclude the discussion with the acceptance of the trainee.
