MICROSOFT ACCESS – HAPPY CAT

EXERCISE
Create a table to give structure
1. Open Access
2. Create a new Blank Database
3. Create a new TABLE
4. Type in Field Names

Field Name Data Type Field Size


Breed Text 20
Sex Text 2
Vaccinated Yes/No
Colour Text 8
Duration of Stay Number Long Integer
Name Text 10

5. Save the table

 Click on the Floppy icon to save the table


 Save as: Cats Table, click OK
 Click No to create a Primary key as it is not necessary in this simple exercise

6. Switch to Datasheet View


7. Use this data to enter 2 records

Create a FORM to enter data

1. Enter remaining records


2. Add your name to the footer and print only the form for Sally
3. To do this you find the record and select Print Selected Record
4. Produce a REPORT showing all data
5. Add your name as footer
6. Print Report to PDF

Create a QUERY to ask a question

1. Click to Create / Query Design

2. Add Table - In Show Table dialog box,


select Cats Table, Click on Add, then
click on Close

3. Add Fields - Double click on Field name Breed in Cats Table Box to insert it
into the table. Insert the remaining fields by double clicking on ach field. You
may need to scroll down to see the rest of them

4. Add Criteria- Under Vaccinated – opposite the heading Criteria, type: Yes. This
will select all those records
which have the tick in the
vaccinated field. (the tick is
interpreted as a yes)

5. Run the query - Click on the red in the toolbar to run the query. Notice
there will be 9 records out of the original 11.

6. Save the query as Vaccinated Cats

Create a new REPORT based on a QUERY

1. Select Create Report Wizard


2. Follow the steps of Wizard

Now complete the following tasks:

1. Open the Cats Form and add the following record:-


Tubby, a tabby cat, who is a vaccinated male. He is grey in colour and will
stay for 12 days.
2. Smokey the Siamese is in fact grey not brown so amend her record
accordingly.
3. Close the Form and open Cats Table. Delete the record for Pussy who has
cancelled his accommodation.
4. Create a new query to select only Tabby Cats (should be 4 now). Criteria
should read ‘tabby’ under the field name Breed. Save the query as Tabby
Cats.
5. Create a new report based on the Tabby Cats query. Only use the fields Sex,
Vaccinated, Colour, Duration and Name. Use the name Tabby Cats as the
report name and print.
6. Create another query to select only the cats who are staying more than 7
days. Criteria should read >7 under the Duration field.
(> means greater than. >= means greater than or
equal to. < means less than. <= means less than or
equal to.) Save the query as Weekly Residents.
7. Create a new report based on the Weekly Residents
query. Use the name Weekly Residents as the report
name and add your name as a footer. Print out.
