GRAMMAR: FORMAT OF AN APPLICATION:


APPLICATION WRITING
An application is written when you ask for something, request permission, or apply for anything. Typically, the
application is not very long and it is always to the point. It may be written for personal or business needs. Applications
are Formal Letters that follow a certain pattern and formality. They are strictly kept professional in nature, and directly
address the issues concerned.

PARTS OF AN APPLICATION
Following are a few easy guidelines that you can follow to be able to write impressive applications.

I. Designation and Address: Write the designation of the person to whom you are writing in the first line in
the top left hand side. Then, write the name of the organization to which that person belongs in the second
line. After that, write the address of the organization.

II. Greeting/Salutation: In applications, you cannot address people by their names and usually use terms of
respect such as Sir, etc.

III. Content of the Application: It is the main part of the application. The content is short and formal. You can
begin by a line that expresses respect. Some suitable opening sentences which may be used according to
the occasion are:
 With great respect it is stated that…..
 Very respectfully, I write to submit that …….
 With due respect, I beg to state that…...
 With reverence, I would like to bring your attention towards………
Introduce yourself as a student and also mention your class and section. State in clear words what has
happened. This is called the Incident. Provide a few details about the incident. Mention other things that are
necessary. State your problem in the wake of the incident. Give details if necessary. Write a request stating
what you would like to be done/ allowed.

IV. Compliment: The application should be closed with a proper phrase. One of the following phrases may be
used according to the occasion:
 I shall be very thankful for this kind favour.
 I am waiting for a favourable response on this application.
 I shall be anticipating a prompt action from your kind office.

V. Closing Line: After closing the body of the letter, we put a closing line at the bottom of the left hand corner
of the page. You can use Yours obediently,

VI. Signature and Date: This must come below the subscription as:

Yours affectionately,

Name of the Writer/ X.Y.Z
