Assessment context and You work at CBSA – Complete Business Solutions Australia – in the
overview Business Services team. You have been asked to team up with at least two
others to form a business team. You will collaborate in a creative process
to work on ideas for a new client, Top Toys. You will work as a team for
Parts 1 and 2 of this project.
Your trainer will provide you with clear instructions.

Scenario introduction
Top Toys is a family-run business. They have been offering toys to families for 57 years. In
recent years they have noticed a decline in business, and they are concerned at this downward
trend. They pride themselves on delivering quality products and have recently reviewed their
company values to include sustainability and environmental responsibility. However, their
existing products do not meet these new values, and this seems to be affecting sales. The
company is also aware of social and market trends that affect sales.
The trends that most affect them are:
• Downsizing
Families do not have the space they once had inside or outside their homes. They do
not have the big backyards of the past and many in the cities are living in compact
housing with reduced storage and play area.
• Technology
Children are being bombarded with technological options that often substitute for play
time or consume it.

Top Toys has come to CBSA for help. They are looking for new and innovative ideas or concepts
that will capture the hearts of both children and parents, and also meet their sustainability
goals. These include (1) reducing their packaging, and (2) increasing their use of recyclable
materials. They have a selling price point of $150 or less per item and are aiming for the 2–5-
year-old, or 6-10-year-old market.

Before engaging CBSA, Top Toys conducted a customer survey. They found that their customers
are seeking products that engage young minds in creative play with limited or no screen-time.
Customers also want to know that the products they buy will be durable, good value,
environmentally sustainable and compact for today’s lifestyle.

You will be observed on two occasions as you collaborate as a team. Refer to Task 4 –
Observation A and B checklist for more information.

You will work in your team for Parts 1 and 2. You will need to do Part 3 individually. Ensure you
sign the Teamwork template before beginning.

Part 1: Action plan for design thinking workshop


Part 1 includes Task 4 – Observation A.

Good morning!

As you are aware, we have taken on a new client, Top Toys, who are looking for creative
solutions for their business.

I would like you to form a team with at least two other colleagues, from your Business
Services team, to work through the Design Thinking process in a workshop together. Please
hold a planning meeting first to get to know each other and create an Action Plan for the
Design Thinking Workshop. I will need to see your team’s Action Plan before you hold the
workshop.

The Design Thinking process works through the steps of:


• Empathise – get to know and understand your client and their needs
• Define – gather all your findings and define what it is the client needs
• Ideate – get creative to find solutions
• Prototype – test your solutions before giving them to the client
• Test – let the client try them out and use insights to redefine the solution

I have provided you with more information on this process; you can find it in the Required
Assessment Resources folder in Moodle.

I have already undertaken the first step (EMPATHISE) by meeting with the team at Top Toys
and gathering the introductory information.

You will now work on Step 2 which is DEFINE. This means your team will spend some time
planning the workshop together using the Action Plan template. I will stop by and check on
how discussions are going and how you are working and collaborating together.

Steps:

1. Hold a team meeting to develop an Action Plan for a Design Thinking Workshop to
generate new creative ideas for Top Toys. Your trainer will observe this Action Plan
meeting and assess it as Task 4 – Observation A. See the Observation Checklist for more
information.

Before the meeting:


• Complete your teamwork declaration in the Assessment Templates. Add all team
members names.
• Open the Action Plan template in the Assessment Templates. The Action Plan will
assist with planning for the workshop and assigning tasks to team members.

During the meeting:


Use the Action Plan template and work through it as a team. You will need to discuss,
collaborate and decide on the following:
• Add a workshop name
• What is the objective? Be clear about what it is you want to achieve in the
workshop. What is the main aim or goal? (5-10 words)
• Decide on the actions to be completed. Name at least four (4) actions your
team will need to complete before the Design Thinking Workshop. These may
involve such things as: research into toy trends, sustainability in the toy market,
how technology can be used in toys, toys for compact living lifestyles,
educational toy trends, or anything that will give background knowledge and
context in preparation for the workshop. Then consider:
o Who is responsible for each task?
o What resources will be needed?
o What is the timeline for each task?

• What are the expectations? Name three (3) for each of the following:
a. Team behaviours when collaborating
b. Individual behaviours when collaborating
• What communication tools and digital technology (video-conferencing, MS
Teams, calendar, discussion boards) will you use for internal communication
(between team members, within CBSA) and for external communication (with
experts, or the client)? Name three (3) for each.
• What legislation or organisational policies or procedures are relevant? (Such as
Privacy Act, Communication Policy, Anti-discrimination Act). Name three (3).
• Ideation. Decide on two (2) techniques you will use to generate ideas in the
workshop. This may require some research to determine the two techniques
your team would like to use. Briefly explain why you have chosen these
techniques. (40-60 words)
• How will you support each other to ensure you meet the task requirements?
How can you encourage each other and what can you do to create the right
environment to help with the creative process? Provide three (3) ideas.

Your trainer will observe your team until you meet the observation criteria. Refer to
Task 4 – Observation A checklist. The observation should be for about 5-10 minutes.

IMPORTANT: Check that you have completed the following for Part 1:

Part 2: Design thinking workshop
You are now ready to undertake the third step in the Design Thinking process which is IDEATE.
This is the creative thinking stage where you will participate in a workshop to generate ideas or
concepts for Top Toys. You do not have to think of finished products, just ideas of the type of
products which would be suitable. An example could be a dual-purpose playmat, with a game
on one side and décor design on the other, suitable for compact living.

A reminder of the market that Top Toys is aiming at:


o Either 2-5 years of age or 6-10 years of age
o Sustainable
o Environmentally friendly
o Educational
o Suitable for compact living
o Not a lot of screen time

It is important that in this workshop you start with OPEN mode thinking.
Open mode thinking is where you generate ideas without thinking deeply. Generate ideas as
quickly as possible by calling them out or writing them down. Make sure you have someone
write down the ideas, no matter how crazy or wild!
You will then apply CLOSED mode thinking. This is where you consider practical aspects such as
cost, time, or suitability of your ideas to the client’s needs.
After your Design Thinking Workshop, you will hold a feedback meeting to share your ideas with
another team and give and receive feedback.
This feedback meeting will be observed by your trainer as Task 4 - Observation B. See Step 3,
below, and the Observation Checklist for more information.

Steps:

1. Design Thinking Workshop – part 1. This part of the workshop is OPEN thinking mode.
Review the techniques you have already chosen for creating and exploring ideas, such as
brainstorming or mind mapping. As a team, use these techniques to find possible solution
ideas.
• Do not reject any ideas even if they seem unrealistic, expensive or unsuitable.
The main aim is to allow ideas to flow.
• Ensure that someone is appointed to write down all the ideas on the Workshop
template.
• This stage of rapid flowing ideas should take only 5 to 10 minutes. You will need
to come up with at least four (4) new ideas.

2. Design Thinking Workshop – part 2. In this part of the workshop, apply the CLOSED
thinking mode. This is when logic, reason and practicalities are applied to the ideas created

in Design Thinking Workshop - part 1. Continue to use the Workshop template to add notes
about your ideas. Consider practicalities such as:
• Does it meet the brief?
• Is it practical for the target market?
• Is it sustainable or environmentally friendly?
• Is it too complex or simple?
• Will it meet price point once developed?
• What special resources, such as special technology or materials, may be needed
to develop the new toys?
You should spend about 30 mins on this step.

3. Constructive feedback meeting. Part of this meeting will be observed by your trainer as
Task 4 – Observation B.

Before the observation:


• Work with another team of students, using MS Teams to share your ideas with
each other. You will listen to their ideas, and they will listen to yours.
• After sharing ideas, spend a few minutes clarifying details and asking the other
team questions. They will also ask you questions.
• Take notes to use in your discussion
• Pause your meeting and spend five minutes discussing the other team’s ideas
within your own team. You need to prepare specific feedback for each idea.
• When both teams are ready, notify your trainer and come together for the
observation part of your meeting.

During the observation part of your meeting – your trainer will observe this section:
• Provide the other team with constructive feedback on their ideas. This could be:
o positive comments about their ideas,
o which ideas you like best and why,
o any improvements or changes you can see to make the idea more
practical or suitable
• Present your feedback clearly
• The other team will provide your team with feedback also.
o Use listening and questioning skills to understand the feedback and
clarify any points.
o Use a professional tone and language when communicating

After the observation:


• Record the feedback you receive on the Workshop template in the feedback
section.

 Constructive feedback meeting (including Observation B)

Good morning!

Thank you for all the hard work. I appreciate the work you did in the Design Thinking
Workshop to come up with such great ideas for Top Toys. I look forward to passing those on.

Now that the workshop has finished, it is a good time to undertake a personal reflection on
your role in the collaborative creative process. I recommend that you first gain valuable
feedback from your team members on your participation and contributions, and then use this
feedback to work through the Personal Reflection template in the Assessment Templates.

Once you have completed that, I would like you to take part in an opportunity to further
develop and enhance your collaborative creative skills.

Steps:
1. Seek feedback from team members. Decide on two (2) questions that you will ask other
team members so they can comment on your performance. Their answers will provide you
with insight into your participation and contributions in (1) developing the Action Plan in
Part 1, and (2) during the creative process in the Design Thinking Workshop in Part 2.
The questions could be similar to these:
• How valuable was my contribution to the creative process (action plan and
workshop)?
• How well did I interact with others?
• Was my language and tone always suitable? Give an example.
• Was I respectful of team members, and how?
• How did I support and encourage team members?
• Could you rate my participation in the creative process from 1-10 (10 being
best)?
• What was something that I did that helped the team?
• What is something that I could do differently next time?
Using MS Teams, ask all your team members the two (2) questions you chose, and respond
to their questions. Add the questions you asked about yourself to the Personal Reflection
Template and then add a summary of the feedback you received. The summary should be
30-50 words.

2. Undertake a self-reflection. Consider the feedback you received from team members in
Step 1. Add your own thoughts on your participation and contributions during the Action
Plan development in Part 1 and the Design Thinking Workshop in Part 2 - then answer the
questions:
• How well did you respect other team members’ ideas, viewpoints and
suggestions? (15-20 words)
• If you were to work with the team again, what is one thing you would change
about your participation? (15-20 words)
• Identify one (1) personal behaviour you have that benefitted the collaborative
process
• Identify one (1) change you would make to create better team relations
• Name two (2) ways that you could improve your personal collaboration skills.
These could be by doing something online like a course or research, joining a
group like a debating group, taking opportunities in the workplace, practicing
skills like communication, or working with a mentor.

3. Create a personal action plan to improve your collaborative skills.


Select an article on collaboration from the library of articles in the Required Assessment
Resources folder (links have been provided to access the articles). You may choose a
suitable article from somewhere else if you wish. If you do this, provide a link to the article.
Read your chosen article and then complete the Personal Action Plan template found in the
Assessment Templates in Moodle. You will need to:

• Add the link to the article
• Identify four (4) key points you could try
• Consider how you will start implementing each of the key points (practice, try it,
participate more, share, listen, focus) (5-10 words)
• Consider the expected outcome you hope to achieve by doing this (5-10 words)
• Provide a timeline of when you will implement these ideas.

 Personal action plan
