FREQUENTLY ASKED QUESTIONS
What if I cannot provide all of these documents?
We can lodge your application even if some of your documents are not currently available. However,
this may delay the DHA's processing of your application. Where possible, please provide all of the
documents listed above that are relevant to your situation.

Can I send photocopies of my documents instead of the originals?

Simple photocopies of your documents are NOT sufficient for the purposes of lodging your visa
application. Please make sure that you provide colour scans.

How do I obtain certified copies of my documents?

We are able to make certified copies of your documents if you post the originals to us.
Alternatively, you will need to take your original documents to a person who is authorised to make
certified copies. Please ensure that the front of each page of the document is certified.

• IN AUSTRALIA: documents can be certified by anyone before whom a statutory declaration

may be made under the Statutory Declarations Act 1959 i.e. a lawyer, Justice of the Peace,
police officer, pharmacist or other similarly authorised official.
• OUTSIDE AUSTRALIA: documents can be certified by a Notary Public or a person who is the
equivalent of a Justice of the Peace or Commissioner for Declarations in that country.

Can I email you scanned copies of my documents?

Where possible, please email scanned copies of all of your documents to in the first instance. We
can then confirm whether or not the documents are acceptable and sufficient before you provide
hard copies.
When emailing scanned copies of your documents, please ensure that:
• they are saved in PDF format, rather than JPEG or any other format (if possible);
• they are in colour, where the original document is in colour;
• there is a MAXIMUM of one document per scanned page (e.g. do not scan two different
passports onto one page).

Do I need a skills assessment? If so, what is the relevant assessing authority for my nominated
occupation?
The DHA requires applicants to obtain a skills assessment. This is used to determine whether or not
the applicant is sufficiently skilled to be employed in the nominated position in Australia.
Currently skills assessments are required where an applicant is nominated for a position in the
trades, and is relying upon an overseas qualification and/or work experience to meet the skill
requirement for that position. Applicants nominated for the positions of Project and Program
Administrator or Specialist Manager are also required to obtain skills assessments. The DHA is able
to use its discretion to request skills assessments from applicants nominated for other positions, if
this is deemed necessary during processing of the relevant application.

The DHA specifies which assessing authorities are able to conduct skills assessments for each
occupation. If you do not already have a suitable skills assessment, we can provide advice on which
authority to approach for your assessment. If needed, we are also able to prepare and lodge your
skills assessment application with the relevant assessing authority. An additional professional fee
applies for this service – please contact us for further details.

How can I show that I meet the English language requirements?

If you hold a valid passport issued by the UK, USA, Canada, New Zealand or the Republic of Ireland
(and you are a citizen of that country), you do not need to provide further evidence of your English
language ability.
If you do NOT hold a passport from one of these countries, and you are not otherwise exempt from
the English language requirement*, you must show that you have achieved one of the following
results in a test carried out within the three years PRIOR to lodging your visa application:
• an IELTS overall test score of at least 5.0 (with a minimum of 4.5 in EACH test component) OR
• an OET test score of at least B in EACH test component OR
• a TOEFL iBT overall test score of at least 36 (with a minimum of 3 for listening, 3 for reading, 12
for writing and 12 for speaking) OR
• a PTE overall test score of at least 36(with a minimum of 30 in EACH test component) OR
• a CAE test score of at least 154 (with a minimum of 147 in EACH test component)
NOTE: In each case, the test must have been undertaken within the last three years (with the exception
of the CAE test, which must be dated on or after 1 January 2015).
*Certain applicants may be exempt from the English language requirement based on schooling undertaken in
English; nomination for employment in a diplomatic or consular mission; nomination in an occupation the
registration/licensing requirements of which require a higher standard of English; or nomination by an
established overseas company (where the applicant is paid at or above a specific rate).

Do I need to have a health examination?

The DHA requires visa applicants from certain countries to undergo a chest x-ray (and, in some
instances, a medical examination). We will advise you if you are required to have any health
examinations based on the DHA's current criteria. If you are required to have a health examination,
we can provide advice on how and when to organise this examination. We can also assist you with
completing the necessary administrative steps prior to your examination.

WHERE TO SEND YOUR DOCUMENTS

Scanned copies should be sent by email to as soon as practicable. As mentioned above, scanned
copies are acceptable in the first instance.

Police Clearances FACT SHEET

The DHA requires that ALL adult applicants (i.e. 16 years of age or older) provide police clearances
for EACH country in which they have lived for a TOTAL of 12 months or more during the last 10
years.
This requirement applies to you AND any spouse, de facto partner, dependent children or other
family members aged 16 years or older who are included in your application.
Each police clearance must be issued within the 12 months before your visa application is lodged.

• Example 1
You have lived in Australia for 5 years. During the 5 years before that, you lived in India.
You must provide original, recent police clearances for both Australia AND India.
• Example 2
You have lived in Australia for 3 years. Before you arrived in Australia, you lived in New Zealand
for 9 months. Prior to this you lived in Canada for 2 years and in the United Kingdom for 5 years.
You must provide police clearances for Australia, Canada and the United Kingdom. You do not
need to provide a police clearance for New Zealand because you lived there for a total of less
than 12 months during the last 10 years.
Note: In the above example, if you had lived in New Zealand for at least 3 months at another point in time
during the last 10 years, then you would need to provide a police clearance for New Zealand as well. This
is because you would have lived in New Zealand for 12 months in total.

FREQUENTLY ASKED QUESTIONS

When should I apply for my police clearance(s)?
The time that it takes for a police clearance application to be processed and for the clearance to be
issued varies widely from country to country. However, it can take up to several months to obtain a
police clearance from some overseas countries. In general, it is a good idea to apply for all police
clearances as soon as you have engaged our services to prepare your application, unless we have
advised otherwise.

How do I apply for my police clearance(s)?

The DHA will only accept specific national police clearances from any given country, so it is very
important that you make sure that you apply for the correct document. We can provide you with
the relevant instructions for police clearance applications for any given country (see following page
for further details).
Please note that local police clearances are generally not acceptable; nor are clearances that were
issued more than 12 months ago.

I already have a National Police Certificate from the AFP. Can I use this for my application?
Yes, if you used the correct code when applying for the National Police Certificate (Code 33) and it is
dated within the last 12 months. However, if it is over 12 months old by the time your application is
assessed, you may be asked to provide a new National Police Certificate.

How can we help you?

We are able to apply for your Australian police clearance (which is called the National Police
Certificate, and is issued by the Australian Federal Police, or AFP) on your behalf. If you would like
to use our services in this respect, please let us know as soon as possible.

The AFP charges $47.00 for each National Police Certificate, which you will need to pay to us if you
require us to apply for this document on your behalf. We do not charge any additional fee for this
service.

As referred to in your ‘Documents Required’ checklist, if you wish us to apply for a National Police
Certificate on your behalf, you must supply us with additional evidence of your identity and
current address i.e. your Australian driver’s licence OR at least two of the following documents:
recent utility bill, tax assessment notice, bank statement, debit or credit card, or Medicare card.

In addition, we can supply you with full details on how to apply for the correct overseas police
clearances, as each country has different requirements. These can include specific application
forms, supporting documents, fees and directions on where the application should be lodged.

We also recommend that you ask the relevant overseas issuing authorities to send your original
police clearances directly to our postal address, to avoid double handling of your documents.
