MxMobile:
Supplying Your Maximo Credentials

How to Log In
When you first launch MxMobile, you will be prompted to supply your Maximo credentials.

Enter the following information:


Maximo URL: <your Maximo URL>
Maximo Username: <your username>
Maximo Password: <your password>
Press the Login button.

Tip:
Make sure your device is connected to a
network that can see your Maximo
environment. If you are unsure, open a
browser on your device and go to your
Maximo URL. You should be able to see
the Maximo login screen.

MxWork:
Maximo Mobile Work Orders

Searching for Work Orders


Once you’ve successfully supplied your credentials, the next step is to create a list of work
orders. You can do that in several ways:

1. Use the Search bar to filter for records


2. Use the camera on the native device to scan barcodes or QR codes
3. Use a Maximo Saved Query to bring back a list of records

Your searches must be performed while connected


to the internet before you go out into the field where
you may lose coverage. Once you have curated your
list, you may go offline. Your list will remain and is still
filterable (including scanning).

By default, MxWork will only show 10 records from


the Default Insert Site associated with your Maximo
profile.

Once you reach the bottom of the list of work orders,


the next set of 10 work orders will load automatically.
You can change the number of records that load at
a given time in settings.

Use the Sort Buttons


The main search list allows you to preview work order
descriptions, the work order number, status type,
location, and the asset for each work order. Touching
the three sort buttons below the search bar allows
you to filter by work order number, work order
description, or the status type. These options are
configurable.

Color Codes
Some records may have a color-coded band on the left.
Their meanings are:

Blue: The work order is in Approval status for this


record.

Green: The work order is In Progress.

Orange: An offline transaction is pending for the


work order

Use the Search Bar


Use the search bar to enter search criteria for your work
order. Work order numbers and descriptions are
searchable by default. After entering your search term,
the app will automatically filter the list.

Scan for Work Orders


Use your device’s native camera to scan for work orders
with both barcodes and QR codes. Touch the scan icon
to the right of the search bar to launch the scanner.

Use a Maximo Saved Query
Narrow your search using a Maximo Saved
Query. Please note that for the Saved Query to
show in MxWork, your Maximo administrator
must allow the query to be accessed through
the Object Structure.

Refreshing Search
To refresh the list of work orders, simply swipe
down on the screen and the app will refresh
automatically.

Changing the Number of Records Shown
By default, MxMobile will load 10 work orders at a time. To change that go to 'settings' by
clicking the hamburger menu. There is an option that says, “records to show”. Choose this
and then you can change the number of records that load at a given time.

Note:

The higher the number of records you choose to load the longer it will take for the record
sets to load.

Opening a Work Order
Once you have located the work order that you want to
view, open the work order by touching the description
from the list. Within each work order, there are five main
tabs: details, tasks, work logs, accruals, and
attachments. To go to the next work order press the
arrow buttons at the top right or by swiping left or right
to toggle to the next record

Details Tab
In the details tab you will get a summary of the work
order. The description of the work order is displayed at
the top. Below are the details related to the work order
such as the work order number, the site, location, etc.

Tasks Tab
The next tab over will be your tasks tab. If there are any
tasks on your work order, they will be displayed here.
'Tasks' are a set of instructions that are necessary to
complete the work order properly. Users can model
tasks after job plans for routine maintenance work
orders.

Work Logs Tab
The third tab over is the work logs tab. In the work
logs tab, you will see remarks that were input by
users regarding the work order. For example, the
condition the asset was in upon start of the work
order, or any notable information relative to the
work/ tasks performed.

Accruals Tab
The fourth tab is reserved for accruals related to the
work order. There is a shortcut to add labor time
and material usage for the work order followed by a
list of categorical accruals for the work order on
hand.

Attachments Tab
The right-most tab is the attachments tab. This
tab is one of the most valuable features
available. Attach photos taken directly from
your camera, upload from your photo library,
attach e-signatures, or upload videos and PDFs.
The attachments allow for more information
regarding conditions of assets and other
specific documentation that cannot easily be
notated in the worklogs. Simply click on "Attach
Picture" and you will be given a choice to take
or upload images as attachments.

Options Within a Work Order
There are several options that you can select once you are within a work order. To get to
these options touch the hamburger menu at the top left and you will see the list of
actions. You have the option to complete a work order:

List: takes you back to your curated list of records

Start WO: changes the status of the work order to


InProgress and users can add a memo for the
change

Complete WO: allows you to complete the work


order and add a memo for the change

Edit WO: change the description name, work type,


and priority of the work order

Sign WO: gives the option for you to use your


touchscreen to attach e-signatures and print your
name

Failure Reporting: choose from a list of failure


codes to report on the work order

Labor Time: allows you to input accurate labor


time given the work performed

Material Use: report accurate material usage for


the work order being performed and update your
Maximo inventory from the work order

Follow Up Work: creates a work order if follow up work is necessary

Attach Picture: this is a secondary location for users to upload attachments to work
orders outside of the attachments tab within the detail screen tabs

Enter Meter Readings: here you can create meter readings related to the work order

Conduct Inspection: allows users to conduct inspections on the asset(s) of the work order
from Maximo inspection modules

Starting or Completing a Work Order


The first two options on the actions list are to start or complete a work order. When
starting or completing a work order you have the option to type a memo which directly
relates to the specific work you are performing on the work order.

Editing a Work Order


When you select the option to edit a work order, you can
change the description, work type and the priority. Once
you touch “Update Work Order" the changes are
automatically updated. The changes made will be reflected
in Maximo.

Enter Labor Time and Sign Work Orders
Down the line of options are the abilities to sign a work order and enter labor time on a
work order. These features are especially meaningful in terms of accountability. The ability
for technicians to log their hours and tasks they complete, then sign for them helps
streamline task management. The task is time stamped and shows which user input the
data. MxMobile sends this data directly to Maximo and it is stored within the work order.

Failure Reporting
Failure reporting classifies errors on equipment based on conditions. You can codify
failures and it’s great for categorizing why equipment is not running properly and the
frequency of why the failure is occurring.

Create Log Entries and Enter Material Usage
MxWork allows users to create log entries and add attachments both on and offline. The
purpose of a log entry is to remark the condition of the asset, note crucial details, and to
provide helpful information related to the work order.

In addition to details that the log entries provide, users can report items and materials
that were used while completing the work order. MxWork allows users to select from a
list of material and insert the number of items used. Inventory will automatically be
updated in Maximo and costs will be reflected on the accruals tab after the record is
submitted.

Follow Up Work
When technicians perform work on work orders they often notice additional work that
needs to be done based on the condition of assets. MxMobile allows users to create follow
up work orders for this scenario.

Create A Meter Reading
Within a work order, tap the hamburger menu at the top left of the screen to open the
options menu. From the list you will see “Enter Meter Readings”. You will be brough to the
list of meters associated with that work order. Select the meter you want to enter a meter
reading on. Finally, type the reading in the “New Reading” dialogue box and tap “Create
Meter Reading”. You will get a brief message that states, “Successfully processed the
meter reading”. You will automatically be routed back to the list of meters, and the meter
will now have a green banner next to it indicating a new meter reading was entered.

Conduct Inspection
Inspection forms that are connected to work orders in Maximo are available for
inspections in MxMobile.

Select “Conduct Choose An Inspection Toggle Through the


Inspection” From Menu Item From the List Inspection Items And
Update The Inspection

Once you have selected your inspection list item, respond to the prompt on the screen
and click update. You will be routed to the next item in the list. Once the inspection is
complete the work order will update the inspection as complete.

Create a Work Order
You may want to create a new work order on an asset or location. From the home screen,
launch the main menu. From here you will see a list of options. Select "Create WO" to
create a new work order.

You will be taken to a list of assets and locations. You can filter the list by asset or location
or use the search bar to type in the asset or location description. The most convenient
feature, however, is to use the scan feature to scan barcodes and QR codes from your
mobile device. This is done by touching the barcode button to the right of the search
bar. Your mobile device’s camera will launch automatically.

Note:

If the barcode camera does not launch, you may have to go to the settings of your mobile
device and allow the app to access your camera.

Create a Work Order (Continued)
Once you select the asset or location you wish to write a
work order against, you will be prompted to enter a
description of the issue, and the work type.

Once these are selected you are taken to the summary


page where you can attach a photo by touching the grey
circular button on the top right (optional) and then create
the work order.

Once the work order is started you are automatically taken


to the details page of the new work order.

Offline Capabilities
Often when you are out in the field, there is poor connectivity, or no connectivity. MxWork
will go offline and come back online automatically when you leave or enter coverage.
Continue to capture work tasks without worry.

You can manually go offline by clicking the main menu button on the home screen, or at
the bottom of the options menu under "More Options" you can select "Go Offline".

The following actions can be performed while in an offline capacity:

• Complete a work order • Enter material usage


• Edit a work order • Take and attach images and files
• Sign a work order • Change the status of the work
• Enter labor time order

If you made any changes or completed a workorder
while in offline mode, you will notice that on the home
screen view the work order will have an orange bar next
to it in the list view.

Process Pending Transactions


To process a work order you must reconnect, navigate
to “Pending Transactions" in the main menu, then
select “Process Pending Transactions". If you want to
delete a pending transaction instead of processing it,
simply swipe right on the transaction and press the red
trash can icon.

Use a Maximo Saved Query
You can narrow your search using a Maximo Saved
Query. Please note that for the Saved Query to show in
MxAsset, your Maximo administrator must allow the
query to be accessed through the Object Structure.

Use a Maximo Route


You can also narrow your search using Maximo Route.
Simply configure a Route in Maximo and it will be
shown in MxAsset (Default Insert Site rules apply).

Opening an Asset
Once you have located the asset that you
want to view, you can open the asset by
touching the description from the list. Within
each asset, there are 5 main tabs: details,
spare parts, meters, work order history and
attachments. You can go to the next asset by
pressing the arrow buttons at the top right.

Details Tab
In the details tab you will get a summary of
the asset. The description of the asset is
displayed at the top. Below are the details
related to the asset such as the asset
number, the site, status, location, etc.

Spare Parts Tab


The next tab over will be your spare parts. It
shows a list of parts that fit the asset you are
viewing, and their respective item number
and quantity.

Meters Tab: View, Create and Trend
The third tab over is the meters tab. It displays a list of the
meters associated with the asset you are viewing. You can
preview information in the list of meters such as the type of
meter, the last meter reading and the time the last reading
was taken. If you select a meter three tabs will display: create,
view and trend. A summary of the meter will appear at the top
of each tab.

Enter a Meter Reading


To enter a meter reading, you must first select a meter within
the meter tab of the asset you are viewing. Once you select
your meter you will be taken to the create tab of that meter.
Below will be an option to enter a new reading and the option
to record your remarks. Once you have entered your readings
select "Create Meter Reading". You will be taken back to the
list of meters.

View Historical Readings


The middle tab within a meter is the view tab. Here you can
view the historical meter readings on the meter you are
viewing

Trend Meter Readings


The right-most tab within a meter is the trend tab. On the
trend tab you can see historical meter readings in a graphical
format. You can filter the data by the past week, month, year,
or the life of the meter.

Work Order History
The fourth tab on the details page is the work order
history. Here you can see a list of work orders written
against this asset. By selecting a work order you can see
further detail such as, the work order number, status,
work type and more.

Attachments Tab
The right-most tab on the details page is the
attachments tab. This tab offers valuable features. You
can view attachments such as videos, pictures, PDFs,
and e-signatures related to the selected asset. The
attachments allow for more information regarding
conditions of assets and other specific documentation
that cannot be simply notated.

Options Within an Asset
There are several options that you can select once
you are within an asset. To get to these options
touch the hamburger menu at the top left and
you will see the list of actions. You have the option
to edit an asset, create a work order, toggle
downtime, and go offline.

Edit Asset
From the menu options within an asset, select
“Edit Asset". Here you can update information
about an asset such as, the description, serial
number, manufacturer, and model number.

Create a Work Order
You may want to create a new work order on an asset. From the details screen, launch the
options menu. From here you will see a list of options. Select "Create Work Order". From
the create work order screen you can enter a description and the work type for the work
order and then click "Next Step". You will see a summary of the work order and then you
can select "Create Work Order". Once submitted, you will be brought back to the details
page of the asset you just created a work order against.

Create an Asset
MxAsset Allows users to create assets. First, from the
home menu select “Create Asset”. You will then be
asked to select the location of the asset. Once you select
your locations you will assign the asset number and
give it a description and select the “Next” button. The
last step is a summary of the new asset where you have
the option to upload an image of the asset then select
“Create Asset”.

Offline Capabilities
Often when you are out in the field, there is poor connectivity, or no connectivity. MxAsset
will go offline and come back online automatically when you leave or enter coverage.
Continue to capture data without worry.

You can manually go offline by clicking the main menu button on the home screen and
at the bottom of the options menu under "More Options" you can select "Go Offline".

The following actions can be performed while in an offline capacity:

• Create a work order


• View asset details of a preloaded list
• See the list of spare parts for assets
• Update the details of an asset
• Create meter readings

After performing any of these actions they will be saved as pending transactions within
MxAsset. Once internet connection is restored, all pending transactions will be processed
simultaneously.

that load at a given time.
Note:

The higher the number of records you choose to load the


longer it will take for the record sets to load.

Conducting an Inspection
Below are the steps that are taken when performing
a Route:

1. From the home screen you will tap the Options


menu icon at the top left of the screen.
2. From there you will tap "Conduct Inspection".
3. You will be brought to a new screen that will ask
you to choose a Route. For this example, we will
choose the "Q-PUMPS: Quarterly Pump Service"
route (see next page for supporting images).
4. It will ask you to confirm your selection.
5. The first asset on the Route will be displayed
with all its active meters. It shows you the meter
name, the unit of measurement, and the last
meter reading for you to decide on what needs
to go in each field.
6. Cycle through all the assets in the route,
completing the necessary readings for each.
7. Once you complete the route you will receive a
“Congratulations" banner. Click "OK" and you
will be taken to a summary page of the Route
you just conducted.

Opening a Purchase Order
To view the details of a purchase order simply locate the
purchase order in your list or by searching or scanning,
then select the purchase order from your list. Once you
click on the purchase order you will automatically be
routed to the details screen. On the detail screen you can
see the description name, purchase order number, receipt
status, vendor name, and order date.

Received Items and Previous Receipts


Below the details are two main buttons. One is the
“Receive Items” button, and the other is the “Previous
Receipts” button. If you click “Received Items”, a list of
items waiting to be received will populate. If you click on
“Previous Receipts”, then a list of items that have already
been received will show. The example screenshot to the
right doesn’t have any items received right now (Received
Qty: 0), but it will populate as we go through this guide.

Advancing to the Next Record


While you're on the detail screen of a purchase order you can
advance to the next purchase order by simply swiping left or
right or clicking on the left or right arrow buttons at the top
right of the detail screen.

Receiving an Item
To receive an item, simply click on the “Receive
Items” button. Select the item on your PO you
would like to receive. You will then see the details
of that item such as the item description name,
PO line number, the quantity that was ordered,
item number and other basic information. You
also have the option to enter packing slip
information. You can enter it manually into the
field or scan the barcode on the packing slip if
one is available. Next, type the number of items
you are receiving in the transaction into the
“Quantity to Receive” field and click “Receive”.

Note:

You will see an action required notice which tells you


the receipt is now waiting inspection. You will have to
go into Maximo to complete that action item.

Previous Receipts
Now if you go back to the “Previous Receipts”
button you will see that the item in the previous
exercise has been received and the status is now
waiting inspection. A red icon of an eye will
appear next to the item on the previous receipts
list indicating that is in “Waiting Inspection”
status.

Note:

If you navigate back to the “Receive Items”


tab and need to receive additional items on
the same PO line within the same purchase
order before your previous receipts have been
approved, then a notice will appear (Pictured
Right).

Before receiving additional material on this


line be sure to determine that this new
receipt is different than those listed below the
warning message. Once you determine this
information you can proceed receiving items.

If your device comes back into coverage and regains a connection, it will automatically
process the transactions in the queue when you navigate to the home screen.

Alternatively, you can navigate to the Pending Transactions screen to manually process
through the offline records. You must select Reconnect to process offline transactions.

If any errors occur before processing offline records, they can be deleted by swiping the
row to the right and pressing the trashcan icon. Press the “Process Transactions” button,
and the app will cycle through all offline transactions and post them to Maximo.

MxCount:
Maximo Mobile Physical Counts

Selecting a Storeroom
The first step is to select your Storeroom.
This typically represents the physical
facility which you are performing a count
in.

You will not be able to begin counting


until you select a Storeroom.

You can change Storerooms by toggling


the menu button in the upper left of the
app and

selecting the Storerooms option. Your list


of storerooms will then appear.

Tip:

Make sure that your Maximo user account


has security access to the Storerooms that
you wish to perform a count in.

Searching for Inventory Balance Records
Once you’ve successfully supplied your credentials and chosen a Storeroom, the next step
is to create a list of Inventory Balance records to count. You can do that in several ways:

1. Use the Search Bar to filter for records


2. Use the camera on the native device to scan barcodes or QR codes
3. Use a Maximo Saved Query to bring back a list of records
4. Use a Bin Range Search

Your searches must be performed while you are


connected to internet before you go out into the
warehouse where you may lose coverage. Once
you’ve curated your list, you may go offline. Your
list will remain and will be filterable (including
scanning).

By default, MxCount will only show records from


the storeroom that you have chosen. You can
change your storeroom at any time, which will
reset the list of records.

Please note that MxCount will only show Items


and Inventory records that have a balance
record. If you have an item or inventory record in
Maximo that you cannot locate in MxCount,
please ensure that there is at least one inventory
balance record associated with it.

Use the Sort Buttons
By default, the main search list can be sorted by the item number, bin number, or the
count. These options are configurable.

MxCount can also display item images from Maximo as thumbnails in the main search
list. Some records may have a color-coded band on the left. Their meanings are:

Green: This record was recently counted.

Orange: There is a pending offline transaction for this record.

Use the Search Bar


You can use the search bar to enter search criteria for your records. Item numbers,
descriptions and bin numbers are searchable by default. After entering your search term,
the app will automatically filter the list.

Use a Saved Query


You can narrow your search using a Maximo Saved Query. Please note that for the Saved
Query to show in MxCount, your Maximo administrator must allow the query to be
accessed through the Object Structure.

Scan for Items
You can use your device’s native camera to scan for items. MxCount supports scanning of
both barcodes and QR codes. Touch the scan icon to the right of the search bar to launch
the scanner.

Use a Bin Range Search


You can also narrow your search using a Bin Range. Simply enter a bin number in the
"From Bin" and "To Bin" fields for the range you wish your search to return.

Update an Item's Physical Count
1. Select an item from the list. This will take you to the Inventory Balance Detail screen.
You will see information about the item and inventory balance record.
2. To enter a count, type a number into the “New Physical Count” field and press the
“Update Physical Count” button.
Note:

The new count must be a positive number. If the count entered matches the current
balance of the record in Maximo, the app will accept the count and move to the next
record in the list. If the count does not match the current balance in Maximo, you will be
prompted with a Yes/No choice asking whether you want to proceed with the count.
Answering "Yes" will accept the new count as a variance and answering "No" will allow
you to re-enter the new count.

View and Upload Item Images
While on the record’s detail screen, you may see an
item thumbnail in the upper right corner of the screen.

Touch that thumbnail to view or upload a new image


for the item. If there is an image already in Maximo, the
app will show a larger version of the image. You can use
that to verify that you are counting the correct item.

If there is not an image already in Maximo, you can


upload one by either taking a photo using your device
or by adding one from your device’s photo library. Once
you have selected a photo, press the “Upload Picture”
button to send it to Maximo.

Offline Capabilities
MxCount is capable of capturing counts while the device is
offline. To build a list of items to count, your device must be
connected. Once you have curated your list, you may go offline.
Your list will remain and will be filterable (including scanning).

Any counts captured offline will go into a Pending Transactions


queue. A new menu option will appear if there are any pending
transactions and show an icon indicating the number of offline
transactions in the queue.

If your device comes back into coverage and regains connection,


it will automatically process the transactions in the queue when
you navigate to the home screen.

Alternatively, you can navigate


to the Pending Transactions
screen to manually process
through the offline records. You
must be connected and online
to process offline transactions.

Tap the “Process Transactions”


button, and the app will cycle
through all offline transactions
and post them to Maximo. If
any errors occur in processing
offline counts, they can be
deleted by swiping the row to
the right and pressing the trash
can icon.

Settings Configuration
There are a handful of settings available within the app to control behavior. To view them,
navigate to the Settings page from the main menu options. It is toward the bottom.

Options are as follows:

• Show Item Images and Thumbnails:


Toggles between showing item images
within the app, or not. If performance is an
issue, this can speed up the communication
between Maximo and the device by toggling
off.
• Hours Since Last Count: This setting
helps drive when to show the green bar as a
“recently counted” item. If an item has been
counted within the number of hours
specified by this setting, then the green bar
will display next to the item.
• Show Recently Counted Items: Toggles
between showing or not showing recently
counted items in the list. The definition of a
recently counted item is driven from the
“Hours Since Last Count” setting.
• Records to Show: This is a system-wide
setting designed to help performance. This
indicates the maximum number of records
to return in any one query to Maximo. This
may need to be increased for large systems
with a large number of Saved Queries, etc.
Default is 20.
• Filter on Default Site: This indicates
whether to include the Maximo Default
Insert Site in standard queries for items.
Default is true.

MxApprove:
Maximo Mobile Task Approvals

Overview
MxApprove is one of the more simplistic
apps in the MxMobile suite. Once logged
in users will see a list of “tasks” that are
queued for them to view, approve, or
reject. Examples of tasks to approve are
items such as work orders and service
requests.

From the home page you will be able to


preview tasks. Relevant information can
be seen for each task on the list such as
who the task is assigned to, requested by,
and the time the task was requested.

Searching for Records
Once you’ve successfully supplied your credentials, you can begin to filter your list of
records. You can do that in several ways:

Use the Sort Buttons


By default, the main search list can be sorted by
“Record Type” or “Start Date”. These options are
configurable.

Menu Options
When you click on the hamburger menu you will have
several options:

• Home: returns to the list screen

• Go Offline: turns connectivity off

• Settings: Allows for minor app configurations

• About: Gives information about your version


of the app

• Log Out: Returns the user to the main login


screen

Settings
By default, MxApprove will show 20 records in the list.
Users can adjust the number of records to show as they
choose. These settings are configurable.

Note:
The higher the number the longer it will take for records
to populate.

View Task Details
To view the details of a task in your list click on the ellipses ( ) button. This will open
the task where you can view further details about the task. If an item has attachments
they will be shown below the details section. To view the attachments click the link in the
URL field.

Navigating Your List


To navigate to the next record you can swipe left or right on your screen, or use the left or
right arrow buttons at the top right of the screen. To navigate to the home screen, click the
hamburger menu at the top right and select “Home”.

Approve Tasks
Users can select the accept ( ) button either from the main home screen task list or at the
bottom of the details list within the task itself. After selecting the accept button there is an
option to add a memo to the approval prior to submitting. Once press the “Accept Task”
button below the memo field, you will be taken back to the home screen.

Reject Tasks
Should you need to reject a task, press the reject button on the task either from the main
home screen task list or at the bottom of the details list within the task itself. After selecting
the reject button there is an option to add a memo. Once you select the “Reject Task”
button below the memo field, you will be required to select from a dropdown the reason for
the rejection. After selecting your reason, you will be returned to the home screen. If you
have accepted and/ or rejected all of your tasks, the home screen will state “No task
assignments found.”

Troubleshooting Tips
1. Make sure that your device can see the IBM Maximo environment from the
connection you have. One trick is to open a browser on your device and see if
you can navigate to the IBM Maximo URL for your organization. If the login
page returns successfully, then you’re on the correct network and you should
be able to use that same URL within the apps. If the login page doesn’t come
back, then that means your device can’t see Maximo – which means the apps
won’t be able to see Maximo either. In this case make sure your device is
connected to a company Wi-Fi network, or VPN. The device needs to be able
to see that Maximo environment, unless you’re running Maximo in the cloud
and can access it from anywhere.

2. Another tip is to increase the HTTP Timeout value by clicking the “Advanced
Settings” button on the login screen. This will expose the HTTP Timeout
setting, which can be increased from its default value. This can be particularly
helpful if your Maximo environment struggles with performance.
