Business Driven Configuration Questionnaire - Pro

Purpose:
The objective of this document is to obtain customer information to prepare the system before the fit-to-standa
discussion during the workshop. These questions makes the fit-to-standard process prescriptive and guided b
drive business decisions and respective configuration in SAP S/4HANA Cloud.

The customer is required to complete and return the document a week prior to the workshop.

Note: This document does not include Configuraiton Activties that are specfiic to Localization topics.

Procedure:
Please provide a response to each question in column labeled 'Customer's Response' of the Accelerator work

Questions categorized as Level 2 are geared towards collecting information prior to running the fit-to-standard

Questions listed as Level 3 are answered during the fit-to-standard workshops. They are typically aimed to ob

Topic Definition

Define work items and group them to simplify the assignment of


work items to work packages. The assignment of work items to
groups enables project managers to filter and assign work items
relevant to work packages.

Expense types classify the expenses that are to be spent within a


company. For example, expense type E001 (Accommodation).
They are used for the planning of work packages.
These are not materials but planning categories for the derivation
of planned cost and revenue
You must also map relevant accounts where costs are posted, to
enable reporting of planned and actuals.

Map various resources to appropriate resource types for


professional service projects. This is a mandatory configuration to
enable planning of resources in customer and internal projects.

You can define role types for project roles and enable them for
usage in customer projects and/or internal projects.

If a role type is relevant for project integration with Sales, you


need to assign a partner function to it. As a prerequisite, set up
the required partner function under Sales Partner Determination
Set Up Partner Determination for Sales Document Header.

SAP delivers standard role types for both professional service


projects and enterprise projects used in Enterprise Portfolio and
Project Management. Note, however, that for enterprise projects,
you cannot change standard role types nor define custom role
types.
In S/4HANA Cloud there are four options for managing staffing
of resources on professional services projects which are :

(1) A decentralized option that enables staffing on projects by


integrating an external resource management system using the
Commercial Project (create, update) API.

(2) Use SAP Cloud for Projects for resource management


(Recommended). SAP Cloud for Projects is a solution hosted on
the Business Technology Platform (BTP) and may require
additional licensing
The new billing engine that is made available with scope item
4E9 and shipped in CE 2008 is accompanied with a new
architecture that enables customers to use a new SSCUI for
flexible material determination. As a result, the restriction on the
number of activity types and corresponding sales materials that
can be used in the traditional billing solution for professional
services are overcome with the new billing solution.

Currently, 4E9 supports the billing on a fixed-price, time and


expenses, and periodic services basis. Additionally, write off or
postponement of amounts or quantities is possible. Please note
that existing customers can choose when to:

• Activate the scope item 4E9 in your quality system.


• Switch on the new billing solution on for new projects on a
case by case basis.

Once the scope item 4E9 is activated in the quality system the
scope item is shipped with no configuration maintained.
The setup and configuration specific to the customer
requirements are maintained in the project billing profile and
respective material determination.

For new customers, scope item 4E9 is activated by default and it


is not possible to use the traditional billing solution.

In professional services, the possible procurement subprocesses


are:

Service procurement - an external service is ordered. The


external service company confirms the purchase order and
performs the service. The supplier posts the expenses back. A
supplier invoice is created and processed.

Material procurement for consumption - a consumption material


is requested from a customer or internal project and a purchase
order is created and sent to the supplier. The supplier sends the
material to the company, and the goods receipt is checked.
Finally, the supplier invoice is created and the invoice is paid.

Procurement for third-party order processing - a material is


ordered by the purchaser of the ordering company for an end-
customer from a supplier. The supplier ships the material directly
to this end-customer.
Service Organization is the main entity for customer and internal
projects as all other project entities (company code, sales area,
plant, cost center, and etc.) are derived out of the service
organization. Service organization represents the delivering entity
of a project or work package and is used for resource
management and staffing processes within S/4HANA Cloud.

Professional services agreements can be sold as:


• Fixed price
• Time & expense
• Periodic service
• Usage-based projects.

Revenue recognition methods are tied to contract types. A project


can support the bundling of multiple contract types.

Resources can be planned for and used to deliver customer and


internal projects. A resource can be allocated from the entity
where the project resides and/or from other entities.

The internal and external workforce can use the pre-delivered


standard application in S/4HANA Cloud for time recording.
Alternatively, it is possible to use a 3rd party timesheet solution
and integrate it with S/4HANA Cloud using released APIs.
