1. Suppliers should publish only those items requested by Dot Foods. 2. Suppliers must publish existing items as Initial Load and publish new items as New.

Catalogue Item Confirmations (CICs)


Normally Dot Foods will automatically return a CIC within hours of the Supplier publishing to Dot Foods. Dot Foods makes use of the CIC as follows: Accept Item has been received and passed initial validations. Review Supplier needs to review data provided. The Confirmation message will include the error code and message from Dot Foods. Note Review messages may be generated after the initial Accept message should later validations detect errors. Synchronize Item is available for Dot Foods internal systems. Note this status is not generated until the initial load and audits have been completed and the data is released to Dots internal systems. Reject Item is not carried by Dot. Suppliers using Dots GDSN Supplier Portal to supplement their GDSN data will receive CIC messages from this activity.

General Overview of Supplier Implementation with Dot Foods


Dot Foods is implementing GDSN as the preferred method of receiving new and revised product information from suppliers. This includes marketing and nutritional information. General Outline Suppliers will normally follow four high-level steps in their implementation with Dot Foods: A. B. C. D. E. Initiate the GDSN relationship. Synchronize any available GDSN items (cross-over items) Load and synchronize all remaining Dot Foods items Begin production on core attributes begin sending new/revised item information via GDSN. Begin loading marketing & nutritional data via GDSN

These steps are detailed in the next section.

Data Audit As part of the GDSN implementation Dot Foods will provide suppliers with a data audit report which details discrepancies between the suppliers GDSN data and Dot Foods item master. Suppliers must review the report and confirm either that Dot should use the Suppliers values or make the necessary corrections. Production Criteria Suppliers need to be close to 100% complete on their initial synchronization before they can move to a production status on GDSN (i.e. all items have been either received via GDSN or Dot has been informed that the item has been discontinued). Suppliers with large numbers of items may elect to switch to production on a Dot Product Line level. Once a supplier is in production Dot Foods will begin to process New Items and item updates. Dot Foods Supplier GDSN Portal The Dot Foods Supplier GDSN Portal is available for suppliers whose GDSN implementation does not include all of the Dot Foods mandatory fields from the Foodservice Phase 1 fields. Suppliers can top-up their GDSN data by providing missing attributes either via spreadsheet or web forms. The top-up capability is described below. Note that the Portal is entirely optional. Suppliers can use GDSN to provide the entire list of Dot requested data attributes and Dot Foods communicates item status information via the GDSN Confirmation messages.

Marketing & Nutritional Data (Foodservice Phase 2) Suppliers should begin loading Marketing & Nutritional data to GDSN. Beginning in 2011, when suppliers publish Marketing & Nutritional data to Dot Foods via GDSN it will immediately appear in the Dot Expressway system used by Dot Foods Distributors and Customers. Suppliers will not need to use a third party in order to supply this information to Dot Foods.

Supplier Steps to Implement GDSN with Dot Foods


A. Initiate 1. Review the attribute requirement information in this document to ensure that you have the required attributes populated (either entirely via GDSN or GDSN plus Dot GDSN Portal see below) 2. Complete the Supplier GDSN Information Form located at www.aligntrac.com/dotfoods 3. Dot Foods will prepare an Item List Report of the items currently carried by Dot Foods. 4. Dot Foods will create a subscription for your Information Provider GLN / Target Market US. 5. Dot Foods will create a login to the Dot Foods GDSN Portal for the users specified in Step #2. 6. Review the Item List from Step #3 and identify to Dot Foods those items that: Are discontinued and will not be loaded via GDSN, Have invalid GTINs assigned to the Dot Item Nr / Mfr Item Nr. Annotate the Item List with the Discontinued/Invalid items and return via email to Dot Foods. B. Cross-Over (Suppliers with available GDSN items) 7. Publish a small number of items to Dot Foods as Initial Loads and confirm that you have received CIC information. If you receive Review CICs, you should analyze the errors and make the appropriate data corrections required. Note that at this level only initial validations are performed. 8. If you have sufficient so called cross-over items (i.e. items that you already loaded to GDSN for other channels) then publish all remaining currently available items to Dot Foods as Initial Loads. 9. Notify Dot Foods that your cross-over items are ready for audit. 10. Dot Foods will generate an audit report and email it to the Supplier. C. Foodservice 11. Load all remaining items to GDSN and publish to Dot Foods as Initial Loads. 12. Notify Dot Foods that all your items are ready for a final audit. 13. Review the audit report and investigate reasons for any discrepancies. Make any corrections to your item data via GDSN. For the remaining discrepancies indicate that Dot should use the Supplier value in Dots system. D. Production 14. Once Dot Foods and the Supplier are satisfied that all items have been loaded and all discrepancies resolved, Dot will move the Supplier to a production GDSN status. 15. Suppliers will receive CIC Sync messages for their existing items. 16. Suppliers will publish new items to Dot Foods as new publications. 17. Suppliers will update their GDSN item information as changes are made to products. 18. Once in production on with core item attributes Suppliers should start loading their marketing and nutritional (Foodservice Phase 2) data attributes to GDSN.

Dot Foods GDSN Attribute Requirements


Phase One Dot Foods currently requires the following mandatory set of attributes: Brand Name Class of Trade (Trade Channel primary channel) Dimensions Height, Width, Depth and Unit of Measure Functional Name Global Product Classification Code Gross Weights and Net Weights GTIN Information Provider GLN Kosher (Diet Type Code Kosher) Manufacturer Product Code (Alternate Item Number) Net Content on Base Unit or Consumer Unit Order Sizing Factor / UOM (only for suppliers using Cube Adjusted Weight) Pallet Ti, Hi Product Description (Short Description) Product Type (e.g. case, inner pack, each, etc.) Shelf Life (Min Product Lifespan from Production) Storage Temperature Min/Max Target Market Unit Indicators: Base Unit, Consumer Unit, Orderable Unit, Shipping (Despatch) Unit, Invoice Unit, Variable Weight Unit See the Field Name Cross Reference below and consult the GDSN documentation for definitions of the above attributes. These attributes are mandatory; however suppliers may provide these attributes by way of a top up spreadsheet or web entry form. The top up spreadsheet / web entry form has the following attributes: GTIN Alternate Item Number Manufacturers Product Code Diet Type Kosher Y or N Order Sizing Factor & UOM Only for suppliers using Cube Adjusted Weight Shelf Life from Production & UOM - Product Life Span from Production in Days Storage Temperature Min/Max Storage Handling F=frozen, R=refrigerated, S=Shelf Stable Trade Channel Primary Class of Trade for Dot Foods - CY=C-Store, DR=Drug Store, FS=Foodservice, GR=General Retail In addition, suppliers must provide pack size information. There are three possible methods: 1. Assign and publish GTINs to lower levels of packaging. Size/Size UOM will be determined from Net Content at the lowest level of packaging and Pack will be determined by the number of base units in the higher level of packaging (i.e. determined from the link quantities of GTIN hierarchy). 2. Use the top up spreadsheet or web entry form on the Dot Foods GDSN Portal to provide Pack, Size and Size UOM information, or 3. Inner Pack Quantity (No GTIN Assigned) Item in Inner Pack Quantity (No GTIN Assigned) Individual Unit Measures See the Appendix Individual Unit Measures and Unmarked Inners for the detailed field names for these attributes Populate only one of Storage Temperature or Storage Handling. If Storage Temperature is populated Dot Foods will calculate Storage Handling as follows: If the Storage Temperature Max is 27 or less If the Storage Temp is between 28 and 70 If the Storage Temp Min is 71 or greater Frozen Refrigerated Shelf Stable

Phase Two Dot Foods is utilizing the GS1 Foodservice Initiative Phase Two data (Marketing and Nutritional Information) beginning in 2011. The Phase Two data will automatically feed into the Dot Expressway system so that Distributors served by Dot Foods have the most accurate and up-to-date product information from suppliers. Suppliers will no longer need to provide or publish marketing and nutritional data to a third party this product information can be published directly to Dot Foods using GDSN. See the Appendix below for detailed data attribute information. Dot Foods encourages suppliers to start organizing and loading their Phase Two data.
