1 . Introduction
Yarra Valley Water is responsible for operation and maintenance of an extensive amount of engineering
infrastructure. This standard has been developed to assist in the design, maintenance, construction, and
management of this infrastructure.
Yarra Valley Water Drawing Management System (DMS), was upgrade in 2020 from DocVu to Redeye DMS,
which is a cloud based solution, is used for managing engineering drawings and drawing data for field assets.
Drawings will be able to be accessed from remote desktop or mobile devices by authorised staff. New or modifid
assets will not be permitted to become operational without a full set of As-Constructed drawings. Links to the
DMS user guides and contacts for appropriate administrators can accessed via the superintendent.
1.1 Purpose
This Specification covers requirements on the collection of engineering drawing asset data and drawing
documentation throughout the asset’s life cycle. Which includes, but is not limited to:
Design drawings (other than design drawings during construction), and tender drawings will be covered
by existing legacy processes such as drawing transmittals, and desktop processes.
Issued for Construction and Commissioning phase on new or upgraded assets;
As-Constructed drawings used during maintenance to support the operation of the asset; and
Asset drawings which evolve during upgrades and maintenance over the life of the asset.
1.2 Scope
This standard details the requirements for production and submission of Engineering Drawings, created or
modified for Yarra Valley Water. It applies to the Computer Aided Design (CAD) drawings and the drawings
outputted from them. After November 2020, all drawings must be submitted in CAD .dwg format. Shop drawing
are still able to be submitted as PDF, provided the drawing numbers and descriptions clearly reference the asset.
This document covers Engineering Drawings and related documentation for the construction, commissioning and
maintenance phases on new or upgraded assets. Drawings initiated during the design phase (other than design
drawings during construction), are not yet in the DMS, and use existing processes, such as drawing transmittals.
This document is to be read in conjunction with Asset Data Specification (YVWCD-2-7599) which covers other
digital files, such as operational manuals.
The standard covers:

This document also specifies requirements for Engineering Drawings and related documentation for developer
delivered infrastructure, with consideration for the Melbourne Water Retail Agencies drawing templates utilised
by the land development industry.
All engineering drawings shall comply with Yarra Valley Water discipline specific standards, this standard,
Australian Standards and WSA Codes. Where applicable the current relevant Standards, and Water Association
Codes are to be used as a basis for design documentation, including, but not limited to:

Water supply and gravity sewerage pipeline drawings shall be completed in accordance with the relevant MRWA
edition of the WSAA codes, MRWA standards and MRWA drawing templates. Any departure from these
standards and templates shall be negotiated with the superintendent. CAD templates for these pipeline designs
are available at: http://www.mrwa.com.au/Pages/Standards.aspx.
Before any drawing project commences for Yarra Valley Water, a unique asset identification should be allocated
to the Project via the superintendent. The superintendent can locate this information from the Functional Design
Statement. Please refer to section 3 for the detailed format requirements of standard drawing numbers.
There are a number of core IT systems which work with the DMS. These core systems include:
Asset Management System (AMS) (Maximo);

2 . General Drawing Requirements
All drawings prepared for Yarra Valley Water under contract (excluding equipment manufacturer’s
drawings) become the copyrighted property of Yarra Valley Water upon submission.
Yarra Valley Water has created standard and typical drawings that encompass some commonly installed
facilities and infrastructure. Some of these drawings’ pre-date this document. If these drawings are to be
used as a base for project specific drawings, then the new drawing shall comply to the requirements in
this standard.
All drawings provided by Yarra Valley Water remain the copyrighted property of Yarra Valley Water and
may only be used to assist in the preparation or modification of drawings to be provided under contract.
It is the responsibility of the drawing creator or modifier to ensure that the latest versions of these drawings
are used. standard and typical drawings are available from the superintendent. CAD versions can also
be made available upon request.
Drawings not to be located at site. The DMS is the source of truth for engineering drawings. No drawings
are to be left at site. If drawings are found at the site, please refer to the superintendent for instructions
on how to digitalise these drawings.
Where infrastructure is delivered as part of requirements stipulated within a Yarra valley Water issued
development deed, specific clauses stipulated in Section X apply and override requirements in this
document.
All CAD files prepared for, and submitted to, Yarra Valley Water must be in AutoCAD 2018 ‘DWG‘ format. All
drawings with drawing sheets must contain the most up to date title block and should be created using the Yarra
Valley Water template drawing (.dwt) and with the standard plot style table (.ctb file), available from the
superintendent.
Drawings must contain only one drawing sheet or paperspace layout per file and any additional paperspace
layouts within the drawing should be removed prior to submission. The drawing file name shall match the Yarra
Valley Water drawing number that is contained within it (refer to Section 3 Standard for Drawing Numbers).
From December 2020 to ensure data and plot style consistency all Drawings generated during new projects, and
significant upgrades to the existing asset must use the Yarra Valley Water AutoCAD templates supplied by the
superintendent within the DMS.
The AutoCAD template applicable for all Yarra Valley Water drawings including Facilities and Linear Assets. The
template is available through the superintendent. The Drawing Sheet Information in the drawing Template is
detailed in Section 4.

2.1.1 CAD Legacy Files – Prior to December 2020
Yarra Valley Water has a significant number of drawings for assets, facilities and pipe infrastructure which have
been developed over many decades. As a result, these legacy drawings and other drawing related information
exist in many different formats, and layouts. Although every effort has been made to retrieve file information from
these legacy files, existing inconsistent file data may also affect the ability to search for these files by normal or
typical search methods.
As operating asset and facilities are modified and upgraded the expectation is that all legacy drawings must be
converted to Yarra Valley Water’s current consistent AutoCAD standard format. These legacy files have
inconsistent file data and will be required to be reconstructed as new AutoCAD (dwg format) drawings for any
upgrade or future works.
For any significant infrastructure, such as Sewer Treatment Plants (STP’s) or any other facility that has a
significant amount of mechanical and electrical equipment, a 3D model may be requested by the superintendent
in drawings phases Design and As-Constructed format. The production of drawings based on 3D models shall
still convey the expected level of detail required to construct the assets.
3D Models shall not replace 2D AutoCAD drawings. All necessary information is to be provided on the drawings
for construction and As-Constructed stages.
For complex and/or very significant projects (e.g. major treatment plant upgrades), 3D modelling requirements,
the software, and the standards that applies to the project shall be negotiated and agreed to during the
procurement phase of the project.
The Yarra Valley Water standard drawing template has an A1 size title block. This is the default size for the title
block within the AutoCAD file and all standard text heights, scales and line weights are based on this size title
block. The title block shall not be scaled within AutoCAD.
PDF drawings plotted from AutoCAD and submitted to Yarra Valley Water during the design stage may be at A1
or A3 sheet size. The standard plot style line weights are suited to an A1 sized sheet and this plot style must
remain assigned to the layout for uploading into the DMS. To plot to A3, the print scale should be set to 1:2 and
the ‘scale lineweights’ option should ticked. More guidance on plot settings is provided in Appendix E.
All drawings shall be in metric units, with the default units for a drawing being metres, with 1 unit = 1 metre (1m)
in model space. Drawing units can be dictated by each discipline with millimetres a common preference for
drawings of higher precision. The following is a guideline for drawing units for each discipline.

By default, all drawings shall have their insertion scale set to 'unitless', INSUNITS = 0.
The horizontal datum and coordinate system for all layout drawings shall be based on Geodetic Datum of Australia
GDA94/MGA94, which can be simply referred to as MGA94. Yarra Valley Water’s service area resides in Zone
55. For details regarding on Geodetic Datum of Australia GDA94/MGA94, please refer to the
AssetDataSpecification.
For CAD purposes the “X” axis value shall represent the Easting and the “Y” axis value shall represent the
Northing. The unit of measure of MGA94 is metres. Any drawings in millimetres are not considered to be in this
coordinate system.
The Australian Height Datum is to be used as the vertical height datum for all vertical levels.
The model space of all drawings shall be set to World UCS with North orientated up the X axis and the angle
rotation to be clockwise.
Unless specifically outlined, or by the nature of the project, paper space viewports should be oriented with the
North orientated up the page or if required, the right of the drawing sheet.
The north arrow is recoomended to be placed in the upper left-hand corner of any layout or plan drawings. If
project north varies from true north, this variation should be shown on the plot plan and key plan only. Other plans
shall use project north.
2.7 Scales
The scale chosen for any drawing shall allow for easy and clear interpretation of the information. The standard
scales for particular drawing types are shown in the table 2 below.

Every separate drawing element (plans, sections, details etc.) on a drawing sheet shall have its corresponding
scale ratio referenced within its label. And every utilised scale ratio on a single drawing sheet shall have a
corresponding scale bar. The scale bar shall also indicate the sheet size and units for the scale.
Similar scales are not to be used on the same drawing and an excessive number of different scales should be
avoided. Where there is a single scale on a sheet it shall be nominated on the title block. If more than one scale
is used on a sheet, the title block scale is to appear as “AS SHOWN”.
Obscure scales outside of the standard scales listed above are not allowed on any drawings. Where it is
necessary to have a detail not drawn to scale or at an obscure scale, then in place of the scale ratio, “NTS” (or
Not to Scale) should be placed instead. This also includes notes drawings, P&ID drawings, electrical single line
diagrams and schematic drawings.
Where different scales are used for horizontal and vertical dimensions, each scale shall be clearly indicated.
An external reference (XREF) is any additional file that is attached or overlayed onto a CAD drawing and can be
other drawing files, PDF’s, images and excel tables. It is acknowledged that external references are necessary
for the production of most drawings submitted, where shared or common elements are shown.
The titleblock is inserted directly into the drawing as a block. The titleblock or drawing border shall not be turned
into an XREF by the drawing creator and must remain as block.
External reference files are to be named descriptively and logically to ensure that anybody can recognise its
contents, in relation to the project and site. For each site External reference files and content must have a unique
file name and reference the site and project details. When an External Files content is different across the site a
unique file name must be maintained throughout the lifecycle of the drawing. All external reference files should be

prefixed with a capital ‘X’ and be separated with underscores. Additional sub-categories can be introduced in file
naming to help delineate between similar files. Any Civil 3D drawings should contain ‘C3D’ within the name. 12D
drawings may also be provided.
External reference file names must be kept to below 255 characters in total. File names should not include the
following characters: / ? < > \ : * | ". For a list of XREF examples, refer to the following:

XREF drawings shall be created and inserted with the following settings:
Reference type: Overlay;
Path type: Relative Path, or no path;
Insertion point: 0, 0, 0;
Scale: 1;
Rotation: 0, and
Units: to match the parent drawing.

a sub folder of the parent drawing with a ‘relative path’ type. A full path type must not be used for any
external references.
When using multiple XREF’s, check the drawing order of linework and objects, and ensure that the design linework
is in front of any background references. Any picture files in .JPG format that may be required in a drawing shall
always be saved and referenced into the drawing as well.
Tables that use data links to import data shall detach or break the link prior to uploading the file into the Redeye
DMS. Excel data link files are not accepted.
It is recommended Contractor logos are embedded into the CAD file prior to submission. This provides visibility
as to which party has created the file.
For existing drawings from the Redeye DMS, drawings will be output with drawing sheets and XREF’s in a single
folder.
Existing Drawings which do not have unique XREF file names that reference the site and the project identifier must
be updated. XREFs must be updated with unique file name and re-pathed within the CAD drawing/s. Note that
existing XREFs may apply across a set of drawings.

3 . Standard for Drawing Numbers
Yarra Valley Water’s standard drawing numbering format is designed to create a unique identifier which ensures
the drawing can be easily accessed during its asset life. It consists of the Asset ID, Discipline Code and the
drawing number. Each physical asset has a unique Asset ID, which is also consistent with the AMS. The Asset ID
used in the drawing number is the Asset ID of the primary asset in the drawing. For more detail for drawings with
Multiple Asset IDs, please refer to section 4.1.1.
SPS123-G-0001
The first section of the drawing number uses the specific primary Asset ID number, shown in the example as
SPS123. Asset numbers for new sites should be requested from Yarra Valley Water’s Planning divisions before
the Functional Design Statement and plans have been developed. Examples for Drawing Numbers for different
types of facilities are shown in Appendix A. For assets that do not have an asset number, please use the prefix’s
shown in Table 18.
The second section in the drawing numbering format contains a character that defines the use of the drawing, the
discipline code shown as “C” in this example identifies the Civil discipline type.

The third section of the drawing set number is a four-digit number series that will be distinct within each project.
This drawing number series is managed by the appointed design consultant. When new drawings are required
for an existing facility, the design consultant will be issued a series of numbers by Yarra Valley Water that will be
used for the new drawings.
Legacy drawings may have one of multiple styles of drawing number formats. Any drawing that has these outdated
drawing formats shall be assigned a new drawing number in line with Yarra Valley Water current standard when
being redrawn.
In the Yarra Valley Water drawing template the superseded field holds the drawing number of the drawing that is
being superseded. For example, if we have an existing drawing, SPS751-M-001, and we create a brand new
drawing SPS768-M-0001 which replaces the old drawing, the metadata entries will look like this:

Please note that the Supersedes metadata field is not used to refer to different revisions of the same drawing;
e.g., if drawing SPS768-M-001 (revision A) is updated and is checked back into the DMS as revision B, the
Supersedes metadata field remains unchanged because it's still the same drawing (only its revision has changed):

The Supersedes metadata field is not the same as the Old Drawing Number metadata field in the DMS. For further

The data is planned to be consistent and aligned to that stored in our AMS.
DRAWING NUMBER The is the unique identifier for each drawing. (For details please refer to Section 3 )
e.g. STP006-P-063 is a valid drawing number for a P&ID drawing at the Brushy Creek Treatment Plant.
ASSET ID Each physical asset has a unique Asset ID, which is also consistent with our AMS. The Asset ID applies for
each of the primary Asset/s in the drawing, and up to three Asset IDs may be entered into the title block.
For details on multiple assets please refer to section 4.1.1.
ASSET NAME Represents the name of the Primary Asset, consistent with the Primary Asset ID contained in the drawing
number. The asset name should match the name in our AMS. e.g. Brushy Creek STP.
TITLE Two title lines are available to outline the content of a drawing sheet in respect to the asset.
PROJECT ID Yarra Valley Project Number of standard format: PXXX0000. This represents the unique project ID of the
Project.
REVISION Contains the current drawing revision (letter or number). Refer section 4.4.1.
DISCLIPINE This alphanumeric code refers to the discipline that is covered by the drawing content.
SCALE The drawing’s scale is entered here. If no scale is used, the field will show ‘NTS’.
DATUM The Datum used in the drawing is entered here. E.g. MGA94
SUPERSEDES If the drawing is replacing or superseding an existing drawing, then the earlier drawing number is entered
here. This should be used when the drawing number has changed.

4.1.1 Application of Multiple Assets within template
Each physical asset has a unique Asset ID, which is also consistent with the AMS. The Asset ID applies for each of
the primary Asset/s in the drawing, and up to three Asset IDs may be entered into the title block
This unique Asset ID for each of the primary assets in the drawing provides the ability to track the asset over its
complete lifecycle and is therefore a mandatory field.
The DMS can store up to three Asset IDs on any individual drawing. Each of these Asset IDs can be used to
locate the drawings over the life of the asset.
As the primary Asset ID is linked to the drawing number the following rules apply:
Primary Asset ID should reflect the primary asset or facility described in the drawing, and also described
in the Title.
Secondary Asset ID should describe other assets described in the drawing and which will be monitored
in the AMS.
Tertiary Asset ID should describe other assets described in the drawing and which will be monitored in
the AMS.
If pipeline assets are located within the drawing the primary asset identification number will normally
describe potable main and the non-drinking water main will reflect the secondary Asset ID, unless the
drawing primarily describes the Non-Drinking Water Asset.
To assist with search functionality, drawings which contain multiple asset IDs require additional metadata. In the
Redeye metadata setup select Asset Type as the facility (Reservoir or Tank) as the main asset. Linear assets
ID/s tied to this same drawing should be populated in the Asset ID field alongside the facility ID to assist with
search functionality.

4.2 Location Information Panel
Facilities: Where the asset exists on the site of a parent facility, the parent facility Location ID will be shown.
For example, a sewer pumping station with Asset ID “SPSxxx” located on a Sewer Treatment Plant “STPxxx”,
the Location ID will be shown as “STPxxx”, respectively.
Linear Assets: For assets which are linear in nature, and transverse across distances, the location ID will be
displayed the Main number, or other location ID which uniquely represents the asset. E.g. M104. This number
should also be the Location ID used in the AMS.
Where linear assets are sectionalised the Location ID will should be the Main Number and the Section Number.
E.g. M104S2.
LOCATION A two-lined field which should clearly articulate the location of the asset.
Facilities: This should uniquely represent the location of the facility e.g. Wallan Sewerage Treatment Plant.
Linear Assets: Location should represent the Main Street where the asset exists along with the nearest
cross street, to allow for the asset to be found.
This Panel contains the information related to the design of the drawing. This is generally filled in at the completion
of design. The authorised section is generally completed at the Issued for Construction / Issued for Tender revision.
The design entity is responsible for fulfilling their own quality assurance for each drawing and revision. Suitably
qualified and experienced personnel shall produce, check and review the drawing prior to submission.
This panel shall be left intact after the issued for construction stage. As-Constructed revisions shall specify the
company name and personnel in the revision panel section only (refer section 4.4)

The fields are described .
PROJECT NAME Designers project name and number for which the drawing is created.
DRAWING CHECK Name of the drawing checker responsible for checking drafting standards, presentation and accuracy.
DESIGN REVIEW Name of a reviewing engineer responsible for reviewing the engineering and design.
This panel records all relevant revisions applied to the drawing during it’s lifecycle. Every revision that forms part
of the project deliverable or asset upgrade shall be authorised by the superintendent.
While the drawing is in work during the various states, the DMS will request incremental revisions for new versions
of the drawing as detailed in Section 4.4.1
If the revision table becomes full, then the current revisions shall be shifted down leaving the top line for the new
revision. This keeps the most recent revisions visible and maintains the order from bottom to top.
Note that the revision number requires updating in both the Drawing information panel and the revision table

REV This field contains the revision number for each revision of the drawing.
DATE The date that the revision was submitted. Standard format dd.mm.yyyy
DESIGN REVIEW The initials of the person reviewing the design or revision.
REVISION DESCRIPTION The state or description of changes for the revision. The first issue of any drawing state shall simply
repeat this state (eg. ‘Issued for Tender’, ‘Issued for construction’). Any subsequent revisions that
maintain the same status, shall describe those modifications.
Drawing revision letters and numbers shall be assigned to a drawing and incremented for each submission.
Letters (alphabetical characters) shall be used for design stage submissions beginning with ‘A’. Numbers shall
be used for the Issued for Construction and As-Constructed stages, beginning with ‘0’.
The current drawing revision is entered into the revision field at the bottom right hand side of the titleblock, labelled
‘Revision’. Each revision also requires an entry in the revision panel.
When issuing the first Issued for construction revision beginning at ‘0’, the revision panel shall be cleared of any
previous alphabetical revisions. The first As-Constructed revision will continue incrementing from the previous
number.

The titleblock also has an XREF attribute located on the outside left-hand edge of the border. This is to list any XREFs that
are attached to the drawing. This must be filled out for uploading into the DMS.
All drawings should be labelled in the bottom right hand corner of the drawing sheet (refer to Figure 4 above) with
an issue description that describes the current stage of the drawing. A standard dynamic block exists in the
drawing template with the standard stages available via drop-down selection. Any status required outside the
standard list shall be agreed with the superintendent.
The As-constructed status also has a ‘date of handover’ attribute that should be filled out when completing the
As-constructed stage drawing. This date represents the completion and handover of the asset to Yarra Valley
Water.

To maintain our accurate audit trail and transparency of actions in the DMS, a QR code with drawing workflow
information embedded is placed on drawings when printed from the DMS. When markups are emailed into the
DMS, the QR code is read automatically by our system and places the drawing in correct workflow position and
updates previews, send drafting notification etc.
To enable the QR code to work efficiently, an allowance of a clear space is required in the following three
locations:
25mm by 25mm in the top right-hand corner inside the border is required for each drawing;
Allowance also is required to allow for the Drawing File Name in the Top Middle of the Page, outside the
border, and
Space for an email print-out description is also required on the left-hand side outside the border for a
print out of email notification from the system.
These have been allowed for in the Yarra Valley Water drawing template.

5 . Drafting and Presentation Standards
5.1 General Presentation
The general presentation of drawings is a unique process for every project and as such cannot be predetermined
completely. As a general requirement the presentation of all drawings should incorporate the following features:
General ease of appreciation;
Clarity of detail;
Balanced uncluttered appearance;
Provision for possible future extensions or additions;
Component view sizes drawn relative to importance, i.e. important views to be given preference when
considering view sizes and available space.
The default font in new drawings shall be ISOCP (Isocp.shx) for all text in a drawing. Arial and Arial Narrow are
utilised within the standard title block and status stamp only. The project title on a cover sheet may also utilise
Arial or true type text.
A standard text style exists in the template drawing which is applied across the standard leaders, dimension and
table styles.
The standard text heights to be used on drawings, and their corresponding lineweights are defined in the table
below.

Dimensions shall be used and drawn as per AS 1100. The standard dimension style is defined within the drawing
template. Linear dimensions should be in millimeters and angular dimensions in decimal degrees. Any dimension
not in millimeters shall indicate its alternate unit (‘m’, ‘km’). Dimensions shall not be exploded.
5.5 Linetypes
ISO format line types or standard AutoCAD linetypes are to be used in drawings. Linetypes with text, used mostly
to indicate services, shall utilise the isocp text style at 2.5 size height. All linetypes should be utilised in line with
standard industry practice and aid the readability of drawing content.
The following scale settings shall be used to ensure linetypes are shown correctly in Paperspace viewports:
LTSCALE = 1
PSLTSCALE = 1
MSLTSCALE = 1
Under special circumstances, an objects linetype scale may need to be altered to display correctly. This should
only be done once the default linetype options have been exhausted.
5.6 Layers
There is no defined layer naming convention, however layers shall be named clearly and logically. The preference
is for enough layers to be used such that all object properties can be set to ‘BYLAYER’. Assigning linetypes and
colours to properties individually shall be avoided.
When developing and updating drawings the Yarra Valley Water plot style must be used. It is available from your
Yarra Valley Water Superintendent. To accommodate the majority of mono/colour plotting requirements, the
following standard pen assignments and corresponding plot styles shall be followed as described in Table 14.
The following standard pen assignments support both colour and mono plots with one pen table. All pen weights
are to be assigned by layer, i.e. CECOLOR = 'BYLAYER'.

Line work must be consistent and solid throughout the drawing set to ensure maximum clarity, legibility and
understanding of the drawing content.
All new work shall be displayed with greater emphasis than any existing works. Typically, existing works are
shown in a grey colour between colour 251 and colour 253, however dashed/phantom linetypes, alternate colours
and hatching techniques can also be employed, depending on the situation.
Further detail can be found in Appendix E - PDF files and plotting
Revision clouds are used in drawings to indicate changes that have occurred on new drawing revisions. The
clouds are used to highlight the changes to a reader who has already viewed the drawing. Revision clouds shall
be utilised after subsequent revisions to any drawings that are Issued For Construction (IFC) or As-Constructed
drawings. They may also be utilised on earlier revisions if deemed necessary:
Revisions shall be indicated by a revision cloud around the revised area or item. A revision marker (revision
letter surrounded by a triangle) shall always accompany it;

The style for a revision cloud is to be set as ‘standard’;
Sizes of cloud arcs shall be consistent across the project;
Revision cloud and revision marker shall always be index colour ‘10’ (red when plotted);
When subsequent revisions are made, the cloud and any previous identifier (including revision markers if
applicable) relating to the previous revision shall be removed, and the new changes clouded.
If the majority of details have changed, use a revision cloud around the detail title only, and
If the majority of a drawing sheet has changed, do not use revision clouds and simply cover the revision made
by a note in the titleblock revision description.
Drawings or sets of drawings must provide sufficient detail to allow the asset to be built or describe an As-
Constructed asset. If Issued for Construction drawings do not provide sufficient detail, to allow contractor to
construct to Yarra Valley Water’s agreed functional detailed requirements, then please refer to the superintendent.
The drawing should cleary define the multiple assets within a drawing against the geometric features within the
physical drawing i.e. clearly displays Non-Drinking Water pipes, Potable pipes and Reservoir/Tank locations.
Template requirements for multiple assets refer to section 4.1.1
The following information is required to be submitted when an asset or part of an asset is abandoned or removed:
The details marked up information specify where the asset has been abandoned or removed;
All abandoned assets need to be marked up on the original As-Constructed drawings, signed and dated by
the Contractor;
Refer to the Standard Construction Specification (YVWCD-2-6628) for specific abandonment installation
requirements which should be detailed on the As-Constructed drawings;
The Contractor must provide all updated digital drawing sets (As-Constructed & As-Constructed survey
information) relating to the abandonment in file types DWG, PDF, DXF and DGN, and
For GIS requirements please refer to the Asset Data Specification (YVWCD-2-7599).

6 . Drawing Life Cycle
The majority of Engineering drawings produced for Yarra Valley Water follow a similar sequence and ultimately
produce a deliverable AutoCAD drawing.
While drawings have revisions, the actual status of the drawing is categorised by their State, or process stage.
This state will then determine their use and approval process by Yarra Valley Water.
During each state External Reference (XREF) associated files are required to be uploaded as part of the drawing
package.
These drawing states determine the procedure of how these drawings are handled or processed within Yarra
Valley Water. These states include, but are not limited to:

In instances where CAD drawings or files are requested for modification or reference, they shall be requested of
Yarra Valley Water for release, through the superintendent. For Design During Construction projects these
reference drawings will be released through the DMS or in electronic transmittals, which will require checking in
and checking out of the DMS.

The general requirements as stated in this document shall be applied to the drawing;
The Drawing List page should be updated to include additional drawings or obsolete drawings;
Remove unused XREFs files attached to the CAD and rename file names as per section 2.8, and
Remove all existing CAD content from outside of drawing border before uploading.
For red line markups of existing CAD drawings, the following shall apply:
Red line markups are preferred to be completed in the DMS for review by Yarra Valley Water. The DMS
System will then ensure this markup is viewable for all users, once verified, and
Where access to the DMS is not available, red line markups on PDF files shall be submitted to the
superintendent or other relevant officer. Hand drawn markups will not be accepted for review.
Occasionally, a drawing is no longer required, due to infrastructure being removed, or superseded by another
drawing. When this occurs, the drawing is given one final revision with the description stating why the drawing is
no longer required. In addition to this, 50mm high text should be placed on each drawing in a prominent location,
that states either “DRAWING OBSELETE” OR SUPERSEEDED BY the new drawing number which replaces it.
End of Life Drawings can be progressed to the following states, listed in the table below.

Additional requirements relating to the submission of drawings to Yarra Valley Water:
XREF files will need to be uploaded directly to the DMS or transmitted to the superintendent prior to the
drawings being transmitted or uploaded. Files and transmittal forms shall either be uploaded via the
DMS or dispatched electronically, typically by email, or by placement of drawings in an agreed location
within an approved cloud or agreed project portal;
Where any rectification work is carried out during the defects liability period and requires documentation
with amended drawings, these amended drawings shall be forwarded to superintendent as soon as
practicable;
All As-Constructed drawing types shall be provided prior to the issuing of Practical Completion
Certificate and/or Acceptance of Works Certificate. The asset will not be commissioned/accepted until
the digital versions of the all sets of drawings are available, as well as all required testing information
and video footage. Video footage submission will be determined by the superintendent;
Where any rectification work is carried out during the defects liability period and requires documentation
with amended drawings, these amended drawings shall be forwarded to the superintendent as soon as
practicable;
Practical completion or Acceptance of Works will not be granted until such time that As-Constructed
information has been accepted, and;
Significant changes to existing assets during maintenance activities, requires documentation with
amended drawings, these amended drawings shall be forwarded to your Yarra Valley Water contact
within three weeks.

7 . Development Works Drawing Submissions
Development works involving the delivery of Yarra Valley Water critical infrastructure subject to a Yarra Valley
Water issued development deed can utilise the MRWA design template drawings in lieu of the Yarra Valley
Water drawing template for submission of as-constructed issue drawings.
MRWA design templates include the latest versions of the following drawings:

The use of the MRWA design templates for YVW asset as-constructed submissions for development works is to
adhere to the requirements stipulated in this section.

Appendix B - Accessing Drawings in the DMS
B.1 Drawing Data and Retrieval
The DMS provides the ability to store and search for drawings based on information about the asset or
facility, called metadata. This metadata is data stored with the drawing, and provides extended search
ability, on many different parameters. However, this powerful feature relies on consistent good quality
data about the asset and the associated drawings to be systematically stored with the drawings and files.
The DMS has been designed to retrieve the latest approved version of the drawing which is referred to
in the system as the drawing artefact. The revision number and the Drawing Issue Description e.g As-
Constructed provides guidance at to the history of this artefact drawing.
This metadata referred to as CAD Tags includes, the following high use fields, but is not limited to:

Appendix C - Submission of Drawings in the DMS
C.1 Submission of Digital Files
Digital copies of drawings saved shall use a file name beginning with the drawing numbering format as
identified in Error! Reference source not found. Standard for Drawing Numbers.
Drawings should be delivered in digital native formats (.DWG) and where certified signed
engineering drawings are required in .PDF as well.;
Digital copies of drawings may be saved as files generated by the drawing program, i.e. DWG,
CAD, DGN, TIF etc. files;
As the DMS use the active environment to create previews of drawings, the drawing sheets must
be active prior to the drawings being uploaded.
Drawings should be uploaded with the Paperspace environment being active.
A full set of final design and As-Constructed drawings should be provided in PDF format to
prevent inadvertent changes;
When drawings have been checked for modification the DMS system will create a .ZIP file with
the Native AutoCAD file, the Drawing RedLine markup, a prn file, and
When resubmitting drawings which have been checked out from DMS the drawing number will
show as follow s- SPS123-G-0001.LastUploadedNative.7086700. The numeric value following
the LastNativeUpload and the dot must not be altered, as it provides DMS with the unique Identity
number which allow the drawing to be accepted back into the DMS for re-approval.
For Reactive works discuss the method of drawing submission with the superintendent.
Provide missing plot style files to your superintendent for upload into the DMS.

External References: When a new project commences all external references are required
to be uploaded into DMS, prior uploading any drawings. If external references are not
uploaded first, they will not map automatically to the corresponding drawing and will result
in an error. If an error occurs your drawing / drawings will be rejected and not uploaded;

C.4 File Names Requirements in DMS
When uploading files into DMS, file names must be kept to below 255 characters in total. File names should
not include the following characters: / ? < > \ : * | ".
The modification of drawings which have been stored in DMS relies on the unique number store in the
file name must be retained for tracking of the file.
The unique file number created in DMS at the end of the file name follows the last dot e.g. 7086700 in
“112047-E-0001.LastUploadedNative.7086700”. This unique number must not be overridden, when
checked out of the system. The file name can be changed as long as this number is not overridden, as it
is required when checking the document back into DMS.
Please refer to your project type in Appendix D as additional fields will require population depending on
the project type.
The "Old Drawing Number" field is maintained as a legacy DocVu field, as some DocVu drawings today
use this field to represent the old/legacy drawing number before the affected drawings were renumbered
to align with current standards. For example:

In the above example, drawing SPS704-001 and 9368E/2/S/4 are one and the same drawing.
Shop drawings are usually provided for prefabricated part or components. These shop drawing is the
manufacturer’s or the contractor’s drawn version of information shown in the construction documents, but
show more detail of the components, which are is usually required to allow integration and construction
of the assets they are a part of.
As they are an important component of the assets and provide detailed information on components of
the assets they are required to be uploaded as part of the As-Constructed drawing set. They then provide
valuable information which is used during the operation and maintenance of the asset.
Shop drawings to be numbered as per section 3.1 Error! Reference source not found.;
Any changes, modifications or updates to drawings are to be made using PDF files or native
format (CAD) and reflect on the As-Constructed stage drawings;
Native format (DWG) or PDF files are to be submitted to the superintendent for review;
As-Constructed drawings are intended for upload into the AMS;
Version control updates should be annotated on the drawings, and
Metadata uploaded with the shop drawing should reference the asset identification.
The numbering format of final drawings shall follow the format in Standard Drawing Number Format
Clause 4.1 but the ID shall be 000. The following is an example in relation to sewage pumping stations:

Miscellaneous typical drawings (MTD) refer to those drawings which are not solely identified with a
particular asset type. Typical drawings for the following components (or secondary assets) fall under this
category:
Davits and guard railings;
Flow meters;
Sewer siphons, and
Cathodic protection for steel mains.
The above components are to be abbreviated as DG, FM, SN and CP respectively. As an example, the
first drawing for davits and guard railings should be:

The following testing information is required to be submitted with the As-Constructed information where
applicable:
Pressure tests, water quality test results and chlorination completion certificate in accordance with
MRWA Specification No 04-02;
Compaction tests in accordance with MRWA Specification No. 04-03.1 – Backfill Specification, and
Any other test results required by the project specific specification, or the MRWA Sewer Acceptance
Testing Specification.
Where required, prepare a test point sketch A4 sizing in digital format based on the Drawings,
which includes nearby street boundaries, location of pipeline, location of test point box and any
relevant features that will assist with future location of the test point box or cables. This shall be
drawn on a Yarra Valley Water standard drawing sheet and include offsets from key features;
Include on the test point sketch the unique identifying location number supplied by the
superintendent, and
The sketch must be of a quality suitable for inclusion in Yarra Valley Water’s drawing files. The
sketch shall be provided in digital format.
Load Testing Certificates related to particular assets will be uploaded as documents which will then be
linked to the relevant Drawings of that Asset.

Types of projects covered are defined by their specific Drawing Management Processes include:
Design in Construction Design During Construction are projects where reference drawings may be supplied by
(Capital Projects) Yarra Valley Water and then modified by the Design during Construction Contractor for
Approval by Yarra Valley Water before they become approved IFC drawings. Complete or
sections of a project can follow this process flow.
Design (Issue for Approval (IFA), Issue for Review (IFR));
Design during Construction (Issue for Tender (IFT), Issue For Construction (IFC),

Once the Issue for Construction (IFC) drawings are ready, the DMS Process begins. For each drawing the

The process is sequential and based on the drawing state listed in Section 6.1. Each step shall be completed and
approved by Yarra Valley Water before the next step can be completed.
Note: Yarra Valley Water approval or acceptance of a drawing generally requires the approval or acceptance by
Yarra Valley Water stakeholders.

Appendix E – PDF files and plotting
The following provides guidance for the expected plot settings for PDF versions of drawings to be submitted
during the design and issued for construction stages. PDF drawings may be at A1 or A3 sheet size. The standard
plot style (.ctb file) line weights are suited to an A1 sized sheet and this plot style must remain assigned to the
layout for uploading into the DMS. Refer to Table 14 for details of the plot style settings.
The following table defines the expected plot settings and properties when plotting drawings. All plotted pdf
drawings shall be in landscape orientation by default.
