How to figure out where the tenant is


located?
1. Login to https://portal.azure.com
2. Navigate to Azure Active Directory.
3. In Azure Active Directory panel
navigate to Properties.
• Point the location of the tenant.
• Location determines where Power
BI stores data.
• Once created, tenant cannot be
moved.
• Multi geo – location of capacity.
Data from workspace under
capacity is in capacities region.
Metadata stays in home region

How to assign members to roles in Azure


AD?
4. In Azure Active Directory panel
navigate to Roles and administrators.
5. Point to Global Administrator role - Has
access to everything. Can take over
resources.
6. Point to Power BI Administrator role -
Is a service administrator. Does not have
access to licensing, subscription, audit
logs.
7. Point the ability to add members to
these roles.

Here is a way to Assign Power BI


Administrator role using O365 admin
portal.

8. Login to https://app.powerbi.com .
9. From the top right corner select the
Settings gear -> Admin portal.
10. Select Users.
11. Select Go to O365 Admin Center.

How to add guest users to Azure Active
Directory?

20. Log back into https://portal.azure.com


21. Navigate to Azure Active Directory ->
Users.
22. Select New guest user from the top
menu.

users. Once invite is sent, guest users will
get an email and they can create their own
credentials.

Premium section. Talk about using
Dedicated Capacity slider to set workspace

How can an admin get access Usage
metrics?

1. Navigate to Admin Portal -> Usage


metrics.
2. Talk about the usage report. It provides
an admin level usage metrics for the
tenant. E.g. Number of datasets, number
of users, number of groups, etc.

How to get access to a Dashboard/Report


usage metrics and personalize it?

3. Navigate to a Report.
4. Select Usage metrics from the top
menu.
5. Notice a usage metrics report for the
dashboard is created. Talk about the
report.
6. To personalize it (such as look at all
your reports and dashboards in the
workspace), select File -> Save As.
Notice this creates a new dataset and
converts the read-only report to a full-
featured Power BI report that you can
edit.
7. Navigate to the new report that is
created.
8. Expand the FILTERS section in the right
panel. Talk about the ability to remove the
default filter and view the usage report for
all the dashboards in the workspace.

Similarly, a dashboard usage filter can be


customized.

When is the best time to schedule


refreshes?

25. From CreationDate slicer, filter to


4/15/2018.
26. From Activity slicer, select to

27. Using focus mode on Usage by
CreationTime and Activity report, expand
the visual.
Notice that users are accessing the report
and dashboard between 11 am and 4 pm
and again later in the evening. So, it is best
to schedule refreshes before the activity
begins. Users will have the up to date data
to work with.

What kind of license should be assigned
to 350 users whose behavior is like
DisneyUser1?

28. Select Back to Report, to navigate


back to the report.

license is appropriate.

Data is leaked to the internet. How to


identify the issue?

Publish to Web is a feature where data


can be accessed without entering
credentials. So, let’s look for this activity.

How to access Capacity settings?

1. Navigate back to
https://app.powerbi.com .
2. From the top right corner select the
Settings gear -> Admin portal.
3. Select Capacity settings.
4. Talk about the available V-Cores.
5. Talk about Set up new capacity button
being enabled when a new capacity is
purchased. Once configured, this button is
grayed out.

How to update Capacity settings?

6. Talk about the usage information that


is available for the last 7 days.
7. Click on Settings under Actions.
8. This will allow you to rename or delete
a capacity. It will also indicate who the
service admins are, the SKU/size of the
capacity and what region the capacity is
in.

How to change Capacity size?

9. Talk about the ability to Change


capacity size. Power BI admins and Office
365 Global admins change Power BI
Premium capacity size by selecting Change
capacity size. Capacity admins who are
not a Power BI admin or Office 365 Global
admin will not have this option.
10. The Change capacity size screen lets
you upgrade or downgrade your capacity
size if you have the available resources.
Administrators are free to create, resize

and delete nodes, so long as they have the
requisite number of v-cores.

Who are Capacity admins?

11. Capacity admins, along with Power


BI admins and Office 365 global
admins, can bulk assign workspaces
within the premium capacity
management section of the admin
portal. When you manage a capacity,
you will see a Workspaces section that
allows you to assign workspaces.

Can non-Capacity admins assign


Workspaces to Premium capacity?

12. Capacity admins can assign


additional Capacity admins for Power
BI Premium capacities. As well as
assign users that will have capacity
assignment permissions. Users that
have assignment permissions can
assign an app workspace to the
capacity if they are an admin of that
workspace. They can also assign their
personal My Workspace to the capacity.
Users with assignment permissions will
not have access to the admin portal.
How do I access Capacity usage metrics?

13. Navigate to Apps section.


14. Select Get Apps.
15. Under Apps, search for Power BI
Premium Capacity Metrics app.
16. Show how to install the app.

You have to capacity admin to get the app


to work.

Capacity Metrics dashboard.

Dashboard shows an aggregated summary


of all the capacities that you are an admin
of.

18. Click on any tile to open the more


detailed report.

19. When you open the Power BI Premium


metrics app you're presented with the
Capacity health center, which provides an
overview of the health of your Power BI
Premium capacity.

20. The Datasets tab, which allows you to


select a specific capacity or dataset to
explore for all the following pages in this
report.
21. Using the buttons on the top right you
can select Refreshes, Query Duration,
Datasets and Query Waits. For each of
these criteria we can figure out e.g. how
long refreshes are taking, what is average
refresh time, etc. This will help analyze if
there are bottlenecks.

22. Refreshes shows successful refresh
count, refresh failure count, the average
duration and wait times of dataset
refreshes by hour. Long refresh wait times,
can be a sign that a capacity is becoming
busy. A refresh will wait when there are
not enough resources (memory or CPU)
available for it to start. These resources
may be consumed by other refreshes or
queries being run on the capacity.
Refreshes can be broken out by dataset
name and workspace name.

23. Dataset shows total datasets evicted


due to memory pressure by hour. The line
on the chart represents the average
memory consumption. Eviction is a normal
process to clean up unused dataset from
memory to make room for new datasets
which are actively being used. Unused
datasets will be evicted when new
datasets need to be queried or refreshed.

24. Query Durations and Query Waits


options help investigate slow queries and
how best to optimize queries.

Who can refresh data from data sources
configured on gateway?

7. Walk user through a data source set up.


8. Navigate to Users tab for that gateway.
Users added here will be able to refresh
data from the data source.

I am using an Analysis Services data


source for live connections, and the email
address we use to sign into Power BI does
not match with the UPN used in Analysis
Services. How to resolve this issue?

Users can be mapped to Analysis Services


using two methods:
• Manual user re-mapping.
• On-premises AD property lookup
to remap AAD UPNs to AD users.

Here is how to manually remap users.

9. In the gateway clusters page, navigate


to an Analysis Services data source.
10. Navigate to Users tab.
11. Select Map user names. Map user
names dialog opens.
12. You can add rules here to map users.
To create a mapping rule, enter a value for
Original name and New name and then
select Add.
13. You can use wildcards to set up rules.
14. You can move the rules prioritizing it.
15. You can also test the rules.

How do I embed reports to the
