Purpose of this assignment


This assessment item is a group assignment and group participation will be
assessed as part of the assessment.

The scenario simulates a change scenario where the students take on the role of
change manager. The case study information is not complete so where necessary
students will have to make assumptions and argue the pros and cons for any
recommendations they make. If necessary, students are expected to find relevant
information in the academic literature or articles to justify their answers.

Scenario
Future Generation Education is a reasonably large university with 30,000 students
based in Sydney. It has a few schools: Engineering & Science, Education, Business
and Law, Media and Communication. Some of these schools are in different
campuses in different suburbs. Due to some recent errors of the old learning
management system (LMS) the Dean of the university would like to upgrade its
current learning management system (LMS) to a newer version with more functions
and better performance. This change will affect all students and around 1500 staff
who are using the system. These staff include all academics, learning designers,
librarians, student administrators and IT support.

Since the LMS includes some new functions, there will be new procedures
introduced in how staff use these functions. Staff will need to attend training
sessions scheduled on top of their current duties.

The students service team will be responsible for supporting students in using the
updated software. There is expected to be an increase in the number of students
requesting the assistance of the student service team regarding the new software
features and procedures.

This new version of the LMS software also has some new functions for outside
agencies who arrange student placements in business for real world experience.
The functions allow the agencies to access student personal information to assess
student and placements compatibility. The personal information will include amongst
other items, contact information, student grades, nationality, gender, and age;
meanwhile a few students are quite protective about their individual information. The
plan should also support these agencies in the use of the LMS as well.

Assignment tasks:
The assignment includes 3 Tasks
• Part A: Change Management Plan
• Part B: Change Plan Presentation
• Part C: Peer Review

Part A: Change Management Plan


You, as a change manager, have been asked to develop a change management
plan for the above scenario. The detailed change management plan should be 1500-
2000 words.

NOTE: Your report must include all the headings / sections in the provided template
as the minimum, you can add extra sections if you wish. You should remove the
bullet points and questions highlighted in green in the template that are there as a
guide only for what to include in each section. You may also change the formatting
to improve the design.

Assessment criteria

Students should use this marking guide as reference to find detailed marks
distribution. Also, an additional rubric has been provided for expectations at each
part of the assessment.

Part B: Presenting Change Plan


As part of the change control process, you as a change manager, will need to
provide a short presentation with PowerPoint slides in a formal meeting with some
key stakeholders such as CEO, Project Manager, Project Sponsor to review the
plan. During the presentation, you will focus on the key points of the Change plan in
part A and convince stakeholders about your ability in controlling and managing the
change.

This is an individual assessment for each group member. Marking strictly follows
marking criteria below.

Submission: Though you may use the same PowerPoint to present, you are
recommended to submit individually the report presentation (one per team member)
on VU collaborate/ Table content/ Assessment information/ Group Assignment/
‘Report Presentation’ link, File format: ppt. This is to support marker in providing you
feedback based on the Presentation Marking Rubric.

Part C: Peer Review


The peer review is to assess some of your teamwork skills and contribution in this
assessment. The criteria include team satisfaction, keeping the team on track,
interacting with teammates, expected equality, contributing to the team’s work. You
will participate in this assessment by rating your team members as well as yourself
on the criteria by following guidance provided on VU Collaborate.

This part is worth 5% of the final mark.

Please follow the guide on VUC to complete this part before the deadline.

NOTE: Please keep an eye on relevant announcements at VU collaborate. In case of


any question, please don’t hesitate to contact your lecturer.
