Abstract

A good supply chain management system is significant within the pharmaceutical

industry, because it helps maintain ideal stock levels and guarantees items are accessible

on time. These challenges were the dominant problems faced by the client, Kingcares

Pharmacy. Therefore, this research introduces "MedSync," a comprehensive web-based

system designed to improve request forecasting and inventory management.

The system utilizes the Moving Average Algorithm in partner with advanced data

analytics to anticipate customer demand for healthcare and pharmaceutical products. Its

primary objective is to address frequent supply chain issues, such as overstocking,

understocking, and expired stocks, which often lead to monetary losses and wasted

products. By optimizing stock levels and preventing shortages, the system MedSync

essentially boosts operational productivity, leading to significant cost savings. The system

offers features like real-time inventory tracking, automated restocking cautions and alerts,

and predictive analytics to identify patterns in customer demand, allowing Kingcares

Pharmacy staff to manage supplies more effectively.

As a result, this helps minimize waste and guarantees critical products to stay

available when needed. With its intuitive/ user-friendly interface, MedSync enables smooth

interactions between employees, the system's administrators, and suppliers, improving the

overall communication and decision-making process. Also, the system's short-term

demand forecasting capability further improves the inventory management decisions,

giving a more preemptive approach to stock control. The results of this study demonstrates

that MedSync not only improves the accuracy of demand forecasts but also boosts overall

supply chain performance. By working with said system, Kingcares Pharmacy achieves

greater efficiency, reduces operational costs, and increases customer satisfaction. This

project highlights the significant role of advanced analytics in modern supply chains,

promoting sustainability and flexibility within the pharmaceutical industry.

CHAPTER 1

INTRODUCTION

Purpose and Description

In the pharmaceutical industry, such as Kingcares Pharmacy, maintaining a suitable

balance between product availability, product quality, and inventory prices is essential.

With the goal of becoming the go-to source for pharmaceutical requirements, accurate

demand forecasting at Kingcares is crucial for anticipating customer demands, optimizing

inventory levels, reducing the risk of excess inventory, and improving operational

efficiency. The project, "MedSync," is a web-based system that leverages the moving

average algorithm as a major tool to enhance demand forecasting and analytics within the

pharmaceutical supply chain.

The main purpose of MedSync is to develop and implement a moving average

algorithm incorporated with data analytics within Kingcares' pharmaceutical supply chain

to ensure accurate demand forecasts, identify patterns, and optimize the whole medical

supply chain. This extensive feature set enables MedSync to effectively address issues such

as understocking, overstocking, and obsolete inventory by offering seamless product

tracking, timely expiry date notifications, and automated reminders for restocking or

disposal, resulting in improved inventory management. MedSync not only addresses

demand forecasting and inventory management concerns, but it also contributes to

significant cost savings by minimizing waste in the pharmaceutical supply chain. In

essence, Kingcares Pharmacy aims to be a beacon of health and well-being in the

community by embracing technology and new solutions such as MedSync, resulting in a

unique standard of service, dependability, and efficiency in the distribution of medicines

and healthcare supplies.

Project Context

In today's fast changing business environment, particularly with the advent of the

Fourth Industrial Revolution, advances in technology have resulted in rapid development

in the field of digital transformation, which has had an important effect on how an

organization runs. As the business environment gets more complicated, businesses face

intense pressure to keep up with environmental variations, respond to business changes,

and quickly transform themselves in order to achieve a competitive advantage.

With these advances, business operations such as supply chain have been growing

at a rapid pace and the organizations recognize that data is a vital organization asset that

provides insight into their customers, products, and services. According to Williams

(2020), the tasks for managing a supply chain include procurement, demand forecasting,

order fulfillment, inventory management, finished goods, delivering, warehouse, etc. In

spite of this convenience, each individual organization still faces a challenge to make

optimal decisions under uncertain conditions. Likewise, Hosseinzadeh Lotfi et al.(2023)

discusses that supply chain management is a critical aspect of modern business operations,

and its efficiency directly influences a company's competitiveness and customer

satisfaction. One key element in effective supply chain management is demand forecasting,

as it allows organizations to anticipate customer needs and align their production and

distribution processes accordingly.

Furthermore, Addup Networks Private Limited (2023) highlights how demand

forecasting in the supply chain is linked to inventory management because effective

demand forecasting allows businesses to align their inventory levels with predicted

demand. So, an accurate prediction of demand minimizes excess inventory, reduces costs,

and ensures timely product availability. When demand is accurately predicted,

organizations can avoid negative effects of inaccurate forecasting, such as overstocking or

stock outs. Overstocking causes higher holding costs, expiration, and markdowns, resulting

in financial losses. On the other hand, stock outs result in dissatisfied customers, missing

sales opportunities, and potential brand reputation damage. By accurately forecasting

demand, businesses can optimize their inventory levels, minimize carrying costs, and

reduce the risk of excess inventory.

However, despite the importance of demand forecasting, many organizations like

Kingcares Pharmacy face challenges in achieving accurate predictions. Variability in

consumer behavior, market trends, and external factors make it difficult to rely solely on

historical data for forecasting. Traditional methods and manual reporting often struggle to

adapt to dynamic and rapidly changing market demand conditions. In these situations, it is

essential to find ways to provide useful tools that will assist the businesses to improve their

decision making in demand forecasting of their products and services.

Kingcares is a reputable pharmacy that was established in 2021. They offer a large

choice of pharmaceuticals and important healthcare supplies and are dedicated to giving a

comprehensive range of healthcare items. Kingcares, which specializes in the retail of

generic and branded drugs, is a reliable source for pharmaceutical needs. Beyond drugs,

the pharmacy provides essential healthcare supplies and sanitary products. Kingcares

Pharmacy oversees a large volume of medical supplies, making it challenging to keep track

of the company's current inventory. The company's current point-of-sale system does not

update in real time, causing difficulties with management when supply and demand

fluctuate. Overstocking, understocking, and medical supply expiration all result in

significant waste for the company, reducing its company profits. Aside from that,

Kingcares Pharmacy's vision enhances supply chain efficiency while also contributing to

environmental impact assessment and responsible resource management. This method not

only minimizes understocking situations, but it also reduces waste, streamlines processes,

and promotes a more sustainable and efficient medical supply chain that benefits both the

organization and the community.

In order to address these problems, there is a growing need for forecasting tools

that can manage complicated and dynamic demand patterns, such as those experienced by

Kingcares Pharmacy. The use of algorithms like the Moving Average and Data Analytics

and Technology can enhance the accuracy of demand forecasting in the supply chain by

incorporating more sophisticated techniques and applications. The use of data analytics,

technology, and algorithms play a significant role in demand forecasting to analyze vast

amounts of data such as historical sales data, market trends, and customer behaviour and

generate more accurate forecasts. These tools enable businesses to detect patterns, identify

demand drivers, and make data-driven decisions.

After considering the challenges and concerns mentioned above, the researchers

were motivated to propose the development of MedSync: Enhancing Medical Supply

Chain with Demand Forecasting Using Moving Average Algorithm for Kingcares

Pharmacy.

The proposed project seeks to investigate and understand how the Moving Average

Algorithm and Analytical tools influence demand forecasting in data-driven decisions

based on available data and existing supply chain operations.

Objectives of the Study

General Objective:

The primary objective of the study is to develop a medical supply chain analytics system

with demand forecasting which employs moving average algorithm to enhance operational

efficiency, reduce costs, and overall sales performance for Kingcares Pharmacy.

Specific Objectives:

1. To design a dynamic medical supply chain analytics system with the following

features:

a. It responds to changes in real-time.

b. Eliminates data entry, processing and analyzing data, and tracking key

performance indicators (KPIs), and

c. It uses predictive analytics to identify patterns or trends and predict

customers' future demand.

d. User-friendly interface in order for easy accessibility at any given time.

2. To develop a system incorporating the moving average algorithm as a

forecasting tool for demand prediction of healthcare products and to facilitate better

decision-making for inventory management, and supply chain operations.

3. To test and improve the system on short-term demand forecasts in terms of

accuracy, efficiency, clarity, and convenience of the environment for users with the

trend projection method.

4. Evaluate the performance of the developed system using the following criteria

Functionality, Usability, Reliability, Performance and Supportability.

Scope and Delimitations

The scope of the study examines the pharmaceutical supply chain operations of

Kingcares Pharmacy. Specifically, the study delves into demand forecasting for

pharmaceutical products, encompassing prescription medications, over-the-counter drugs,

and healthcare products. The users of the website include employees, admin, owner, and

suppliers. The algorithm employed for this purpose is the simple moving average method.

Furthermore, the project extends its focus to incorporate the additional forecasting method,

trend projection. Additionally, short-term demand forecasting will be explored to address

immediate fluctuations in demand, complementing the objective of optimizing inventory

levels in response to varying customer demand patterns, product shelf life, and the

reduction of excess inventory. Notably, the proposed system incorporates a supplementary

feature—purchase order and transactions—to support overall operational efficiency. This

addition significantly contributes to the system's efficacy in managing pharmaceutical

operations by facilitating real-time updates to inventory levels upon each transaction. As a

sampling frame, two (2) groups will be considered for this study. The first group comprises

IT Experts and IT Professionals, while the second group consists of the manager and

personnel of Kingcares Pharmacy.

On the other hand, MedSync comes with certain limitations, such as payments and

financial aspects not being handled as part of the system. External factors such as changes

in healthcare regulations, economic conditions, or unforeseen events (e.g., global

pandemics) may impact the accuracy of demand forecasting and are beyond the control of

the pharmacy.

As mentioned earlier, other forecasting methods such as seasonal, or in other words,

dry or rainy, are not applicable for our system. This is because they could cause inaccurate

predictions due to the fact that there are no reliable sources to properly gauge the seasons

in the Philippines. Climate change and alterations in ocean currents can affect seasonal

trends and make them less predictable.

Significance of the Study

The purpose of this study is the development of a supply chain analytics system

using the moving average algorithm, which is believed to enhance demand forecasting and

overall organizational decision-making. By delving into this area, the study seeks to

contribute valuable insights and practical solutions, benefiting the following:

Kingcares Pharmacy. The main beneficiary of this study will be more proactive

and will understand the benefits of using data insights from analytics to make rational

decisions. This will speed up the decision-making process, leading to operational

efficiency, cost savings, and improved business sales performance.

Staff at Kingcares Pharmacy. They can benefit from the MedSync system by

experiencing improved operational efficiency. The real-time inventory tracking and

demand forecasting features help in streamlining processes and enhancing overall

operational efficiency. The system's ability to prevent issues like understocking and

overstocking reduces stress and frustration, contributing to higher job satisfaction.

Customers. The customers benefit from increased availability, ensuring they can

obtain the medications and healthcare supplies they need when they need them, with better

inventory management and real-time tracking, customers can experience reduced wait

times. The pharmacy staff can quickly locate and provide the required products, improving

the overall customer experience.

Kingcares Pharmacy Suppliers. The system's improved visibility allows

Kingcares Pharmacy to communicate more effectively with suppliers. They can share

information about stock levels, demand forecasts, and upcoming promotions, fostering a

more collaborative and efficient relationship. Also, sharing accurate demand forecasts with

suppliers allows them to improve their production planning and align their capabilities with

expected demand.

Other Pharmaceutical Companies. Kingcares Pharmacy, through the adoption of

MedSync, became a benchmark for other pharmaceutical companies. Their success with

the system may encourage other businesses in the industry to explore and invest in similar

technologies for improved operations.

Researchers. The thesis project provides a real-world case that researchers,

students, and professionals can leverage for various purposes, including academic studies,

technology integration research, decision-making analysis, and innovation discussions

within the pharmaceutical and healthcare industry.

Conceptual Framework of the Study

Figure 1.0 presents the conceptual framework that serves as the guide in the

carrying out of this project. The input-output-process approach is used by the researchers

to develop a MedSync: Enhancing Medical Supply Chain with Demand Forecasting using

Moving Average Algorithm.

The first component is the input which contains the knowledge requirements, issues

and challenges faced by the company and technology requirements such as hardware and

software.

✔ Knowledge requirements comprise all data and information needed for the

completion of the said project such as the starting date of the business, the owner

of the business, does the staff have defined roles they have to fulfil and what are

they, and etc. The information about the company policies and current

technological advancement will also have a pivotal role into achieving the desired

output of the proposed system.

✔ Facing issues and challenges such as understocking and overstocking of items,

increasing number of wasted products due to lack of record about said products are

just some of the problems that Kingcares Pharmacy claims to have been facing ever

since its start up, these types issues will be gathered and will be used for the

suggested solutions for the company.

✔ The technology requirements such as the hardware and software needed for the

development and implementation of the system will be declared.

The second component contains the process that the researchers will be utilized to

attain the necessary information through data gathering: observation, interviews, and

literature review. The technology and tools suitable for the development of the Medical

Supply Chain Analytics System with Demand Forecasting. The research will use the

AGILE framework for the actual development of the project, aiming to determine and

identify challenges in implementing the said approach. Summarizing and analyzing will be

done by the researchers for the presentation of results and findings.

The third component is the output. The output of the study is to develop a medical

supply chain analytics system with demand forecasting using moving average algorithm to

enhance operational efficiency, reduce costs, and overall sales performance for Kingcares

Pharmacy which is subjected for evaluation to assess its performance based on the criteria

of the instrument.

Definition of Terms

By giving their essential attributes, some words and phrases are operationally and

technically defined since they are necessary in understanding the entire project.

Operational Terms

MedSync. A web-based program that uses the moving average method for

accurately predicting the customer's demand for the different pharmaceutical and

healthcare items of Kingcares Pharmacy.

Kingcares Pharmacy. A reputable pharmacy committed to providing a

comprehensive range of healthcare products. Specializing in the retail of medications, both

generic and branded, Kingcares stands as a trusted source for pharmaceutical needs.

Demand Forecasting. The systematic procedure of estimating the amount of

pharmaceutical items required by Kingcares Pharmacy during a given time period. It

involves analyzing past data, market patterns, and other pertinent aspects to forecast future

demand.

Moving Average Algorithm. It refers to an algorithmic approach used to forecast

pharmaceutical product demand.

Inventory Management. It involves managing the storage, tracking, and control

Synthesis

Traditional inventory and monitoring systems in rural health centers often struggle

to keep pace with the demands of today's rapidly changing healthcare landscape. Outdated

processes result in inaccuracies and inefficiencies. The solution lies in upgrading to modern

supply chain management systems, which can greatly enhance data accuracy, streamline

CHAPTER 3

METHODOLOGY

This chapter presents the methods and techniques to be applied in the study. The

requirements analysis, project designs, system architecture, development models, data

collection, data processing, and statistical techniques that will be used in the study are also

discussed and described.

Requirement Analysis

Operational Feasibility

The researchers utilized the developmental method, a systematic approach

involving the design, development, and evaluation of instructional programs to meet

predetermined criteria. The operational feasibility of implementing supply chain analytics

with demand forecasting and a moving average algorithm for Kingcares Pharmacy is

underscored by existing operational challenges and the potential benefits offered by the

proposed solution, MedSync

Kingcares Pharmacy currently encounters issues such as overstocking, leading to

higher holding costs and potential product expiration and markdowns, as well as stockouts,

resulting in missed sales opportunities and potential damage to brand reputation.

Additionally, the pharmacy operates with non-real-time information and relies on physical

records, such as logbooks, for inventory management.

While the creation of MedSync may face challenges such as forecasting errors,

inventory record bugs, and email validation errors, its implementation would have a

transformative effect on Kingcares Pharmacy's operations.

MedSync would serve as an upgraded inventory system, providing real-time

information, notification features, and user-friendly interfaces tailored for the admin and

employees. By targeting these beneficiaries, MedSync ensures that those directly involved

in inventory management and decision-making have access to pertinent information and

tools to streamline their workflow.

Moreover, MedSync would offer short-term trend projections and insights into

customer demand patterns, ultimately leading to improved operational efficiency, cost

savings, enhanced business performance, and a better customer experience.

Therefore, despite potential challenges, the adoption of MedSync holds promise for

addressing existing operational issues and driving positive outcomes for Kingcares

Pharmacy, benefiting both the admin and employees who rely on it for day-to-day

operations and decision-making processes.

Technical Feasibility

The technical feasibility of implementing the research methodology for supply

In table 3.0 shows the recommended specifications for the process of system

development. For the software side of the system development Xampp will be used to run

Apache and the Sql for the development, while VS Code is the chosen source code editor

for this project. Since the developers chose to make the system using the Laravel

Framework, Composer software was used to properly connect the PHP side of things to

the Laravel Framework. On the hardware side, basic requirements include internet access

and modern devices with at least 8GB of RAM and sufficient storage capacity to install all

the necessary development software and their versions.

efficiently run the system. From a software perspective, web browsers are necessary to

access the web-based system, which implies compatibility with commonly used browsers

that supports HTML 5, such as Google Chrome starting from the version 61 up to the latest

and Firefox version 4 up to the latest, this was verified by the lambdatest.com(2022). Any

OS that has a GUI could also be used for the deployment of the system no matter the

version. Now from the hardware perspective single-core processors in theory are capable

for the systems deployment. The recommended RAM would be 8 gigabytes so that the

device could load its own OS and a Browser. Due to the fact that the system is a Web-

Based system an Internet Connection with at least 10 Mbps is required.

The given specifications are the minimum requirements from the start to finish of

the development phase as well as the deployment phase. Abiding by the requirements or

delivering enhanced alternatives would ensure that the user will be able to experience the

features of MedSync at its optimal condition.

Economic Feasibility

As part of the requirement analysis, economic feasibility will be prepared to assess

whether the proposed project is financially viable and likely to generate sufficient returns

or payback to justify its costs as shown in Table 3.2. This involves evaluating the initial

investment, potential costs, and benefits associated with the project over its expected

number of years.

the monthly rates of electricity bills and internet connection fees. This

allocation is attributed to the proposal phase, during which only expenses

necessary at the time are considered.

✔ The second month shows an expansion of expenses, total of ₱6,700.00. This

includes not only electricity bills and internet connection fees but also

additional costs such as transportation and food expenses. This is because the

system developers are already observing the operational system and workflow

of the pharmacy, as well as meeting with the admin and employees to discuss

the development of the system.

✔ The total initial investment for the system development project amounts to

₱10,400.00. It is important to note that during the first year, all expenses are

borne directly by the system developers, providing a comprehensive view of

the overall expenditures leading to this amount.

Payback

✔ The payback period refers to the time it takes for an investment to generate

sufficient returns to cover its initial costs. Payback calculations are initiated

from the second year onwards, signifying the transition from investment to

returns. The interest rate of 3% per annum incorporated into the payback

scheme is a reflection of inflation in the Philippines, verified from the prediction

of Aaron O'Neill published on Nov 17, 2023 at statista.com. This interest rate

adjustment ensures that the payback accounts for the depreciating value of

currency over time due to inflation, thereby maintaining the real value of

returns.

To determine the benefit in terms of revenue, here is the calculation of the

payback period and the total returns generated from the investment:

starting from the second year onwards with a 3% interest rate per annum, we can

calculate the returns over the subsequent years.

Schedule Feasibility

To properly monitor the progress of the activities during the project development,

Gantt Chart will be used to assess whether a proposed project can be completed within an

acceptable timeframe. It involves evaluating various factors related to time constraints,

resource availability, and project complexity. Table 3.3 provides the list of tasks, deadlines

(start and end), and status that the researchers completed.

the database.

b. Inventory System: Represents the overall process of managing product

information, including adding, editing, and/or deleting products. This where

the Admin and Employee would be able to monitor the Inventory details.

c. POS System: Represents the overall process of transactions made everyday,

including adding, editing and/or deleting transactions.

d. Generate Reports: This process is associated with the forecasting and alert

feature that the system would display. In this process the system takes all the

information then proceeds to calculate all the necessary information for a better

result on the forecasting feature.

admin if/when they decide to add, edit and/or delete any of products and

go straight to the Login page or the Registration page for those users who haven't made

contains the Forecast records and is then connected to the Product pages offered by the

Project Development

Phase 1: Project Initiation

The launch of MedSync, a purchase order and transactions system designed

specifically for medical pharmacies, signifies the establishment of a specific market within

the pharmaceutical industry. In order to identify needs and goals, stakeholders have in-

depth discussions, which prepare the setting for feasibility studies that evaluate the project's

viability. After that, a project plan is created, which establishes the project's goals,

parameters, and initial funding budget.

Phase 2: Project Planning

Comprehensive project plans are created throughout the planning process; great

care is taken with every aspect. These plans include a detailed description of all the project

objectives, scope, deliverables, cost estimates, tasks, deadlines, and resource allocation.

The moving average method for pharmaceutical demand forecasting is integrated into the

well-thought-out functional requirements and architectural framework of MedSync,

ensuring an accurate development plan.

Phase 3: Project Execution

MedSync is created in compliance with the predetermined guidelines. The system

has an integration of the moving average method, which is crucial for precise forecasting

in the KingCares' pharmaceutical setting. Thorough testing processes guarantee that the

system's functionality and usability live up to the high expectations set during the designing

stage, and developers must give pharmacy staff members the knowledge they need to use

the MedSync PO&T System efficiently.

Phase 4: Project Monitoring

The growth of the project is closely monitored, and periodic evaluations guarantee

that quality standards are being followed. Transparency and accountability are encouraged

throughout the project as any deviations from the plan are quickly addressed and

beneficiaries are kept informed through frequent updates. Database administration is

closely tracked, with thorough backup and recovery methods in place to protect against

data loss, followed to optimize database efficiency, and routine audits ensuring data

integrity.

Phase 5 Project Closure

A number of conditions must be satisfied for it to be completed successfully. First

and foremost, every goal specified in the project charter and planning stage needs to be

accomplished. This consists of integrating the moving average algorithm for drug demand

forecasting, developing and implementing the PO&T system for medical pharmacies

successfully, and finishing the necessary testing and training procedures. Project closure

also depends on the beneficiaries’ acceptance of the final deliverables and approval.

Following the allotted budget and timeframe is essential for the project's success in terms

of both money and schedule. All expenses connected to system development, database

management, testing, training, and other project-related costs are included in the budget.

Data Gathering (Sources of Data)

The data will be gathered through primary and secondary sources, including

surveys and interviews, as well as in-depth literature reviews. The primary sources include

the IT Experts, Professionals, and software product clients which is the Kingcares

Pharmacy staff. However, secondary data were collected from published documents,

journals, books, and other related documents to support the research objectives.

For primary sources, the structured questionnaire will be employed to assess the

proposed project using the FURPS model for software quality. Two (2) sets of instruments

will be utilized one (1) for IT Experts/IT Professionals (Appendix A) and the other one (1)

for Kingcares Pharmacy (Appendix B).

In this study, written permission will be given to the target respondents to secure

the approval to be part of the study. Once the requests have been approved, the researchers

will start conducting interviews and distributing structured questionnaires to the

respondents. The researchers will personally administer the survey questionnaire to the

respondents to ensure that all sections of the instrument are accurately completed. The data

will be collected and calculated using Microsoft Excel.

Software Testing

Before proceeding to the final stage of system development, the researchers will

conduct software testing to confirm that the proposed system is completely functional,

usable, reliable, performs well, and is flexible. Four (4) testing levels such as unit testing,

integration testing, system testing and acceptance testing will be conducted by the

researchers to ensure the quality product meets the target client's expectations.

Unit Testing

In unit testing, the researchers will test the individual units/components of a

software/system to ensure that each unit of the software performs as designed and is free

from technical errors and glitches. The unit testing will be done during the development

(or coding) phase by the developer of the team to verify whether the individual unit of the

code is working properly or not.

Integration Testing

Next is integration testing, the researchers will combine the different software

components and modules to test as a whole product to make sure everything is ready for

the next level. Since a standard software project will likely consist of various modules, the

goal of the research is to test and expose possible defects or bugs between the various

modules and sub-programs.

The researchers will be focusing on checking the data flow from one module to the

next to verify everything is working as one singular unit or software product.

System Testing

The next level of software testing is system testing. The researchers will ensure that

the proposed system complies with the necessary requirements. The system will be

evaluated by a group of IT Professionals to test the software product with a set of software

quality factors/attributes.

Basically, this testing is done by a professional testing agent on the completed

software product before it can be introduced to the client/customers with real users. This

step is important because the project is so close to being complete, so it should be tested in

an environment similar to what the user will experience once it’s finished.

To determine the overall performance and quality of the project, an evaluation will

be conducted. This study will adopt the FURPS Model of Measuring the software quality.

The FURPS includes criteria such as Functionality, Usability, Reliability, Performance and

Supportability.

The following activities will be undertaken during the evaluation:

1. The MedSync will be presented to the evaluator-respondents consisting of 30

IT Experts/Professionals.

2. The evaluator-respondents will be asked to explore, navigate, and use the

system for evaluation.

3. They requested to rate the system using Likert Scale shown in Table 3.5 where

5 is the highest and 1 is the lowest rating.

4. Data will be collected and tabulated, and computed to get the mean for each

criterion and the overall mean of all the criteria; and

5. Results will be interpreted for the equivalent descriptive rating using Table 3.5.

Acceptance Testing

The final testing level is the acceptance testing. This testing will be conducted to

find out the level of acceptability of the proposed system. Since acceptance testing is the

final phase, it needs to validate the end-to-end business flow and check for things like

errors, spelling mistakes, and usability most especially with the use of software quality

attributes as stated in the FURPS model. To utilize this testing, the researchers will ask the

Kingcares Pharmacy management and staff to evaluate the system in compliance with their

business requirements and assess whether it is acceptable for delivery and implementation.

Sampling Technique

The researchers will employ a non-probabilistic sampling technique. The

participants will be selected using the purposive sample approach. Purposive sampling

(also known as judgment, selective, or subjective sampling) is a technique widely used in

research and it involves identifying and selecting individuals or groups of individuals that

are especially knowledgeable about or experienced with a phenomenon of interest

(Palinkas et al., 2015). The purposive sample will be used to randomly select from the

sample size depending on the nature of the organization in particular these are the

respondents involved in IT business and organizations such IT Exerts, and IT Professionals

who are knowledable in the aspect of system development and software product quality.

According to Ames et al. (2019), the purposive random sampling is randomly select from

the list of included studies for inclusion in the analysis, which provides an unbiased way

of selecting studies for inclusion but may not provide studies with rich data.

As a sampling frame, there will be two (2) groups being considered for this study.

The first group is composed of IT Experts and IT Professionals while the second group is

composed of managers, personnel, and staff of Kingcares Pharmacy.

Statistical Treatment

All the data from the respondents will be tabulated, organized, and analysed using

statistical means. The presentation and analysis of data will be done using Microsoft Excel

application.

Mean

A frequency distribution and weighted mean were used to determine the average of

respondents’ feedback to lists of indicators. It is the most common measure of central

tendency and refers to the average value of a group of numbers. The arithmetic mean was

calculated by adding all the values and dividing the sum by the total number of values.

When a distribution is symmetrical, the measure of central tendency was used. When the

mean is computed from grouped data, the loss of the actual identity of the original values

may damage the results’ accuracy. The formula as shown below:

CHAPTER 4

RESULTS AND DISCUSSION

This chapter contains an overall view of the data gathered from the post-survey

evaluation, statistical finding, and interpretation of the findings.

Evaluation Results

The Likert scale survey results showed positive feedback on all features of

MedSync, with average scores above 4 out of 5. Both IT experts and Kingcares Pharmacy

staff rated the quality standards highly according to the FURPS criteria. The high scores in

all areas indicate that both groups agree on the project's effectiveness and potential benefits.

This positive feedback is a strong motivator for future implementation and further

development of the software. It shows that the proposed project meets the stakeholders'

expectations and requirements. Overall, the research findings provide a solid foundation

for continuing the project, backed by detailed primary and secondary data analysis.

Table 4.1 shows the detailed rating mean of the survey findings from 30 IT

Professionals/Experts respondents. Based on the FURPS indicators of quality system,

respondents agreed that MedSynch represented 5 quality attributes of a quality system,

with Functionality receiving the highest mean score of 4.27 (Agree) while Reliability

scored 4.17 (Agree). While Usability, Performance, Supportability were rated above

minimum rating score of 4.20, 4.25 and 4.19 respectively.

Technical Summary

MedSync is a user-friendly website designed to help Kingcares Pharmacy manage

its inventory efficiently. Built with PHP and the Laravel framework for the backend, and

JavaScript and CSS for the frontend. The system's responsive design ensures compatibility

across various devices, including laptops and smartphones, providing a seamless user

experience.

The main features of MedSync include comprehensive inventory management with

integrated purchase orders and transaction tracking. The system supports three main user

interfaces: Admin/Owner, Employee, and Supplier. The Admin/Owner interface offers full

control over the system, including the ability to set and manage user permissions and roles.

The Employee interface provides similar controls, excluding the capability to manage user

roles and permissions. The Supplier interface is more limited, allowing suppliers to view

supply orders, track products ordered by Kingcares Pharmacy, and monitor who handled

the supply order as well as the delivery process.

In the Admin and Owner’s perspective they have all the system features along with the

unique Control Page feature, wherein they could change account permissions for every

user and have the year settings page.

In figure 4.13 show the suppliers view for items items/products to be purchased..

In the Supplier’s perspective they only could access the Purchase Page wherein they are

able to see the purchase order made by the Admin/Owner or the Employee.

Another significant feature of MedSync is its forecasting capabilities. The short-

term forecasting module allows users to visualize product performance through trend

projections. This feature provides graphical representations of best sellers and low sellers,

as well as sales forecasts based on historical sales data. This insight helps users optimize

their inventory and anticipate future demand. Additionally, MedSync includes a

notification system that alerts users about products nearing their expiry date, ensuring

timely restocking to avoid inventory shortages or overstocking

Non-Technical Summary

The developed system for Kingcares Pharmacy is transforming their medical

supply chain operations. By implementing a moving average algorithm, it accurately

predicts demand, improving efficiency, cutting costs, and enhancing sales performance.

The system's real-time responsiveness and automated data handling simplify inventory

management, while predictive analytics identify demand patterns. The system features a

user-friendly interface, leveraging modern web technologies to support decision-making

across different devices and user roles. Comprehensive evaluation ensures the system is

functional, user-friendly, reliable, performs well, and can be effectively supported in

healthcare supply chain operations.

The researchers conducted face-to-face and online surveys with 30 IT

experts/professionals, and the management and staff of Kingcares Pharmacy. Structured

questionnaires were used for the primary data collection to assess the proposed project

using the FURPS model for software quality, which includes functionality, usability,

reliability, performance, and supportability.

As results of the survey, the group of IT experts/professionals rated overall

“Agree” with a grand mean of 4.21 that the proposed system represents software quality

in terms of functionality, usability, reliability, performance, and supportability with the

individual mean rating score of 4.27, 4.20, 4.17, 4.25, and 4.18 respectively.

In addition, Kingcares Pharmacy staff which is the second group of respondents

evaluated the system 4.60 with a descriptive rating of “Strongly Agree”. This result

comprises of functionality, usability, reliability, performance, and supportability with

individual mean rating score of 4.83, 4.50, 4.33, 4.75, 4.58, and 4.60 respectively.

Based on the findings, both groups of respondents agreed that the proposed systems

can be effectively utilized to forecast Kingcares products for their decision-making

and complied with various software quality indicators such as functionality, usability,

reliability, performance, and supportability.

RECOMMENDATIONS

Point-of-Sale Feature

Integrating a Point-of-Sale (POS) system into MedSync can significantly enhance

its future implementation by providing a more comprehensive and efficient solution for the

pharmaceutical supply chain. POS systems facilitate real-time monetary transactions,

allowing for seamless and accurate financial tracking. This capability would enable

MedSync to offer end-to-end management of both inventory and finances, improving

overall operational efficiency.

Additionally, integrating POS systems can streamline the payment process for

customers and improve the overall user experience. By offering features such as mobile

payments, e-wallets, and other financial services, MedSync can ensure faster and more

secure transactions. This integration would not only enhance operational efficiency but also

contribute to higher customer satisfaction and loyalty.

To achieve this, it is crucial to address regulatory requirements and ensure

compliance with BIR (Bureau of Internal Revenue) and BSP (Bangko Sentral ng Pilipinas)

standards. Meeting these regulations will ensure secure and reliable financial transactions,

paving the way for a resilient and legally compliant system.

Predictive Modeling

Integrating predictive modeling, particularly machine learning algorithms, into

MedSync represents a significant advancement for its role in optimizing the pharmaceutical

supply chain. Currently reliant on moving average algorithms for demand forecasting,

MedSync stands to benefit greatly from adopting more sophisticated predictive models like

random forests. These machine learning algorithms excel in uncovering intricate patterns

and correlations within historical data, enhancing MedSync's ability to generate highly

accurate demand forecasts. By integrating predictive modeling, MedSync positions itself

as a leader in leveraging data-driven approaches to enhance supply chain effectiveness and

maintain a competitive advantage in the pharmaceutical industry.

Customer Relationship Management

Integrating Customer Relationship Management (CRM) capabilities into

Kingcares Pharmacy through MedSync can significantly elevate customer satisfaction and

operational efficiency. By leveraging tailored CRM functionalities, Kingcares Pharmacy

can provide personalized service to its customers. This includes storing customer

preferences, purchase histories, and communication preferences within MedSync, enabling

the pharmacy to offer personalized recommendations and notify customers of relevant

promotions or new products. CRM tools also streamline issue resolution by efficiently

tracking and managing customer inquiries, ensuring timely resolutions to concerns about

products and orders. Furthermore, integrating feedback management capabilities allows

MedSync, keep customers informed about their orders and promotions, improving

transparency and engagement. Utilizing CRM data, Kingcares Pharmacy can better

understand customer behaviors and preferences, enabling informed decisions on inventory

management, product offerings, and targeted marketing strategies. By prioritizing

customer-centric solutions, Kingcares Pharmacy enhances its competitive edge in the

pharmaceutical market while fostering stronger customer loyalty and satisfaction.
