✓ Describe how to represent and schedule
projects
PROJECT Management

An important aspect of the development

of information systems and a critical skill
for a systems analyst.

The focus is to ensure that the systems

development projects meet customer
expectations an are delivered within the
budget and time constraints.
Project Manager
A systems analyst with a diverse set
of skills: management, leadership,
technical, conflict management, and
customer relationship – who is
responsible for initiating, planning,
executing, and closing down a
project
PROJECT
A planned undertaking of
related activities to reach an
objective that has a beginning
and an end.

Requires managing resources,

activities, and tasks needed to
complete the project.
Deliverables
An end product of an SDLC phase

The fist phase of the project
management process in which
activities are performed to
assess the size, scope, and
complexity of the project and
to establish procedures to
support the latter project
activities.

Project Workbook

An on-line or hard copy repository for all project

correspondence: inputs, outputs, deliverables,
procedures, and standards that is used for
performing project audits, orienting new team
members, communicating with management and
customers, identifying future projects, and
performing post-project reviews.
Project Charter

A short document prepared for the customer

during project initiation that describes what the
project will deliver and outlines generally at a
high level all work required to complete the
project.
The second phase of the
project management process
that focuses on defining clear,
discrete activities and the
work needed to complete each
activity within the a single
project.

PROJECT PLANNING
1. Describing project scope, alternatives,
feasibility
2. Dividing the project into manageable tasks
3. Estimating resource requirements
4. Developing preliminary schedule
5. Developing communication plan
6. Determining standards and procedures
7. Identifying and assessing risks
8. Creating preliminary budget
9. Developing a project scope statement
10.Setting baseline project plan
Project Scheduling
and Gantt Charts
Project Scheduling
• A critical aspect of project management involves organizing
tasks, activities, and resources over time to ensure project
objectives are met within deadlines.

• It helps project managers and teams visualize what needs to be

done, when, and by whom.
Key Components of Project Scheduling
1. Tasks/Activities Identification
• Break down the project into manageable tasks or activities.
• Define milestones (key points in the project timeline).
2. Task Sequencing
o Identify the logical order of tasks, including dependencies (e.g., Task B starts only
after Task A is complete).
3. Duration Estimation
o Estimate the time required to complete each task.
4. Resource Allocation
o Assign resources (people, equipment, materials) to tasks.
5. Setting Deadlines
Establish start and end dates for tasks based on priorities and dependencies.
Gantt Charts

A horizontal bar chart that visually represents the project schedule over time. It
is widely used for tracking and managing tasks within a project.
Components of a Gantt Chart
• Tasks: Listed on the vertical axis.
• Timeline: Displayed on the horizontal axis, divided into days, weeks, or months.
• Bars: Represent the duration of each task, starting from its scheduled start date
to its end date.
• Dependencies: Lines or arrows that connect tasks to show relationships (e.g.,
"Task A must finish before Task B starts").
Progress Indicators: Shading or markers to track how much of each task is
completed.
Benefits of Gantt Charts
1. Clear Visualization
o Provides a detailed view of the project timeline and task relationships.
2. Improved Coordination
o Helps teams understand what tasks depend on others and ensures
smooth workflow.
3. Progress Tracking
o Tracks progress against planned milestones and highlights delays or
bottlenecks.
4. Better Communication
o Serves as a stakeholder communication tool by providing updates at a
glance.
Steps to Create a Gantt Chart

1. List all tasks: Include all project activities and milestones.

2. Determine dependencies: Define which tasks must precede or
follow others.
3. Estimate durations: Assign time frames to each task.
4. Set the timeline: Choose a start and end date for the project.
5. Create the chart: Use software like Microsoft Project, Excel, or
specialized tools (e.g., Trello, Asana, or Smartsheet) to plot tasks,
durations, and dependencies.
Example Scenario
Imagine a software development project with tasks:
• Requirements Gathering
• UI Design
• Backend Development
• Integration Testing
• Deployment
A Gantt Chart for this project would show:
• Each task's start and end date.
• Dependencies (e.g., Backend Development starts only after UI Design is complete).
• Progress bars indicating how much of each task is complete.
Software Tools for Gantt Charts:

• Microsoft Project
• Smartsheet
• Monday.com
• Trello (with Gantt plugins)
• Excel
