Share with Google Drive
Session Objective

By the end of this class, you will be able to:

▪ Discuss how to move a file to qa new


location
▪ Analyze how to delete and share files
▪ Explain google workspace marketplace
How to move a file to a new location?

▪ There are multiple ways to move items to a file or folder. We can move the file when we are viewing it on
the main window, on the left panel or on Google Drive search results

▪ To manually move to a folder, we need to follow the below mentioned steps:

How to move a file to a new location?

▪ We can also use keyboard shortcuts to move to a


folder by following the steps mentioned below

1. Select a file

1. To cut the file, press Ctrl + x

1. Go to the new location

1. Select an option: To paste the file into the new


location, press Ctrl + v. To create a shortcut of
the file into the new location, press Ctrl + Shift +
v
▪ Important: This functionality is only available on
Chrome
How to move a file to a new location?

▪ To manually copy a file, we need to follow the


following steps:
○ Right click on a file
○ Click Make a copy

▪ Here’s how you use keyboard shortcuts to copy a


file:

○ Right click on a file

○ To copy the file to the clipboard, press ctrl + c

○ Go to the new location

○ To make a copy of the file into the new


location, press ctrl + V

▪ Important: We can only create a copy of a file.


We cannot create copies of folders
How to delete a file?

▪ Right click on the file or folder you want to


delete and then click delete. This would delete
the file or folder you want to delete

▪ However, if you accidentally delete anything, you


can also recover your file

▪ All the deleted files or folder will be in the trash.


The trash folder is available in the left panel as
shown in the picture below

▪ In the trash folder, look for the file you want to


recover, and press Recover. The deleted file will
be restored to its original location
How to share a file?

▪ Now, let’s discuss how to share the files stored


on Google Drive

▪ Google Drive permits you to share the file with


other people, and others can edit, comment or
view the files

▪ Google Drive also permits sharing the file,


working files with your classmates and
teachers. This kind of digital collaboration helps
people communicate effectively at school and
work, even if they don’t share a physical location
How to share a file?

▪ Sharing settings allow you to control what


people can do with your folders or files once
they have access. If you select ‘Can organize,
add, and edit,’ then the other party can add
files, change or delete files, and make
changes to the folder

▪ ‘Comment’ allows another person to leave


feedback or ask questions, without altering
or deleting anything within the file itself

▪ For sharing the file, you need to perform the


following steps:
How to share a file?

■ Right click on the file you want to share

■ Click on Share and add the email id of


the person with whom you want to
share the file
How to share a file?

■ After that, in the top right, you can select the options from the options (view, comment, or edit) and
press Send.
How to share multiple files or folder?

▪ Also, if you want to share the file/folder


with multiple people, you can follow the
steps mentioned below

1. Right click on the file you want to share

2. Select a link
How to share multiple files or folder?

3. Another dialog box will appear, in the


bottom left corner. Select Copy link

4. You can now share this link with


anyone you want to share the
file/folder with
Working Offline

▪ The last option would be for offline working.


Check the box. This will allow you to work on
your files when you are offline

▪ Next, we can also select individual files for


working offline. For the same, please follow
the steps mentioned below:

○ Right click on the file on which you want to


work offline

○ Then in the options, turn on the toggle next


to Available offline
Working Offline

▪ Now, your file is ready for working offline

▪ The offline feature of Google Drive permits


us to view and edit the Google slides, docs,
sheets, and files while we are not connected
to the internet. The changes made to the file
will sync once you restore the internet
connection on the device
Google Drive for Desktop

▪ Google Drive for Desktop is a desktop-based


application that allows us to access the files
that are stored on Google Drive (provided the
administrator has tuned it on)

▪ It would allow us to access the files from the


desktop without logging on to the browser.
For the same, we need to download Google
Drive for Desktop

▪ First, you need to go to the settings menu

▪ And then you have to click on the second


option
Google Drive for Desktop

▪ After clicking on it, the following page will appear on the screen

▪ Click on the Drive for Desktop button and follow the instructions to download Google Drive for Desktop
Google Workspace Marketplace

▪ Google Drive offers numerous third-party add ons that enhance the functionality and user experience
on Google Working Space. These apps are listed on Google Workspace Marketplace. These apps are
compatible with Google Workspace
