Newberry College

Housing Application & Contract


This agreement is made by and among Newberry College and the undersigned student, (Student); provided
however, this agreement does not constitute a commitment of admission of the Student to the college. By
signing and returning this agreement, Student indicates the acceptance of the terms and conditions to occupy
College housing stated in this agreement and the Student Handbook. Student is aware that a fine could be
imposed for violating this agreement.
All Students are required to live in the residence halls and to participate in a college meal plan unless
approved to live off campus and commute.
Newberry College and Jasmine Sweatt agree as follows:

1. Eligibility for Housing:
• Student must be admitted or currently enrolled and registered for classes as a full-time student (12 hours). If a student falls below 12
hours, residency in the halls must be approved by the Dean of Student Office.
• To reside in summer school housing, you must be enrolled in summer school classes at Newberry College.
2. Period of Occupancy:
• I may occupy assigned space from the date designated as the official opening of residence halls to 24 hours after my last final exam.
• Specific dates of orientation, registration, examination and graduation will be announced each year in the Newberry College Student
Handbook.
• I understand that I must vacate my residence hall during periods of vacation when the residence halls are closed. (Thanksgiving,
Winter, and Spring Breaks.)
• I understand that this contract is binding for one academic year and the period of my occupancy is for one academic year.
• I understand that Food services will not be available when the residence halls are closed.
3. Cancellation or Suspension of Housing Agreement: the College may refund on a percent basis as described in the college catalogue.
I may terminate this agreement only with appropriate documentation for the following reasons:
• If I withdraw from college.
• If I become ineligible to continue enrollment due to failure to meet academic, discipline, or other requirements of the college
• If I complete graduation requirements, fail to register for classes, get married, or other circumstances deemed by the college to be
beyond my complete control.
The college may terminate this agreement for the following reasons:
• If I fail to meet all terms and conditions stated in this agreement.
• If I violate college policies.
• If my residency will pose danger to life, health, emotional, or general well-being of a student or other member(s) of the college
community.
4. This agreement may not be assigned or transferred to any other person.
5. Check-in/Check-out Procedures:
• I understand that I must follow proper check-in/check-out procedures set forth by the Office of Residence Life.
• I understand that improper check-in/check-out will result in a $25.00 fine.
• I understand that early check-in begins on August 1 of every year and that there will be an early check-in fee that is set by the Office
of Housing and Residence Life depending upon my check-in date.
• I understand that early check-in fees must be paid in advance to the Accounting office at the time of my early check-in date by check,
cash, or money order. I understand I will not be able to pay the early check-in fee with my financial aid or by billing the fee to my
account.
• I understand that if I check-in early, then I may not be able to move into my official room assignment until official check-in.
• I understand that I am required to check-out of the residence hall no later than 24 hours after my last final exam. If I am participating
in graduation ceremonies, then I must check-out within two hours of the conclusion of graduation ceremonies.
• I understand that the residence hall staff will inspect all rooms and furniture at check-out for damaged and missing items.
• I understand that if my room is not cleaned at check-out, I will be assessed a $100.00 cleaning fee.
6. Room and Roommate Assignment:
• I understand that this contract does not guarantee a particular room or roommate.
• I understand the college reserves the right to make all room assignments, to fill an open space in my room, or to relocate me as
necessary.
• I understand that private rooms are not guaranteed and the Office of Housing and Residence Life may place residents in private rooms
as necessary.
• I understand that my room assignment will be made without regards to race, creed, color, or national origin.
• I understand that room changes will not be approved on the basis of race, creed, color, or national origin.
• I understand that individuals involved in “Co-habitative Relationships” can not share the same room under the terms of this contract.
7. Room Changes:
• I may change rooms only with the approval of the Director of Housing and Residence Life or designee.
• I understand that specific dates and procedures for room change will be publicized at the beginning of each semester.
• If I change rooms without permission, I will be assessed an improper room change of $25.00 per day.
8. Room Consolidation
• I understand by signing this contract that I must participate in the room consolidation process if I occupy a double room alone.
• I understand that the Office of Residence Life will notify me if I must participate in the room consolidation process.
• I understand that if my roommate does not check in or if my roommate moves to another room, I am responsible for finding a new
roommate before the room consolidation deadline or I will be charged a single room rate.
9. Responsibility for Personal Property:
• I understand that the College does not assume any obligation or responsibility for the loss or damage to items or personal property that
occurs in College buildings or on College property.
• I understand that I am encouraged to carry appropriate insurance to cover possible losses and damages.
• I understand that the College is not responsible for any item I may leave in the residence hall after I have checked out, withdrawn, or
taken leave of absence from College.
• Items left in my residence hall will be considered abandoned property and may be retained or disposed of at the discretion of the
College.
10. Responsibility for Room and College Furniture:
• I am responsible for the conditions of my residence hall room and furniture assigned to my room and may be billed for damages
and/or missing furniture incurred while I am assigned to the room.
• I understand that all college furniture must remain in my room at all times. (A charge of $15.00 per day may be assessed for missing
furniture.)
11. Community Areas:
• I understand that these areas include, but are not limited to, lobbies, study rooms, bathrooms, kitchens, laundry rooms, hallways, and
stairwells.
• I understand that as a resident in a particular hall I share joint responsibility for all common areas.
• I understand that hallways and stairwells must be kept free of obstructions and dry at all times.
• I understand that the Office of Residence Life reserves the right to implement community fines for damages, trash, and/or policy
violations in community areas for my floor and/or residence hall regardless of if I was not in the residence hall or not on campus at the
time of the incident that resulted in a community fine.
• I understand that community fines will be applied to my student account, and I must pay all fines accordingly.
12. Fire Safety:
• I understand that it is mandatory to evacuate a college building when a fire alarm sounds.
• I shall not set or cause any unauthorized fire in or on college property.
• I understand that illegal or unauthorized use of fire alarms, fire extinguishers, emergency lighting system, fire doors, and security
doors is prohibited.
• I understand that violation of these regulations will subject me to disciplinary action, housing suspension, public prosecution, and
fines.
13. Food Services:
• I understand that if I live in the residence halls I am required to have a meal plan with campus dining services.
• I understand that food service will be provided when the residence halls are open for the academic school year.
14. Medical Forms:
• I agree to complete all required medical forms and return all forms to the Director of Health and Counseling Services prior to moving
on campus.
• I understand that failure to turn in required medical forms will result in my housing being suspended and/or denied.
15. Private Rooms:
• If I occupy a single or double room alone, I agree to be assessed an additional charge of half the double room rate per semester.
• I understand that availability of private rooms will be determined according to availability and are not guaranteed.
• If I occupy a private room, I understand that the Office of Residence Life reserves the right to place students in my room if needed.
16. Telephones:
• I understand that Newberry College does not provide local or long-distance telephone services in the residence halls for my personal
use.
17. Security:
• I understand that it is my personal responsibility to take appropriate measures for my security such as not propping outside doors to
my residence hall, locking my room door when I am in or out of my room, not allowing non-residents into my residence hall without
an resident escort, escorting guests in and out of the residence hall at all times, etc.
• I understand that if I am caught propping the door to any residence hall, I will be fined $100.00.
18. Student Handbook:
• I have read and agree to abide by all policies, regulations, and procedures set forth by the Newberry College Student Handbook.
• I understand that a copy of the student handbook will be available for me during academic check-in.
19. Animals
• Animals are not permitted on campus. If you require an Emotional Support Animal, you must follow the guidelines from the Office of
Disability Services located in the Center for Student Success. I understand if I am in possession of an unauthorized animal on campus
I will be charged a fine of $100.00 a day.
