1641830 - Reorganization of Business Communication Services data (RSBCS_REORG)

Symptom
The target is to reorganize the Business Communication Services (SAPoffice, SAPconnect, GOS) data and tables in the
system.
RSBCS_REORG executed with option 'Detailed Output' and when the report finishes and there are lots of 'Non-
Deletable Documents' (e.g. Expiration date not yet reached, Send request not yet released, Document is in a folder, Link
to Application) and these documents also should be deleted.

Environment
SAP NetWeaver
Basis releases 46C, 46D, 610, 620, 640, 700, 710, 720, 730, 731, 740, 750, 755 and onwards

Reproducing the Issue


1. Report RSBCS_REORG is present in the system (SAP Note 966854/922565 for release 46c)
2. The SAP Note 1003894 is implemented in the system
3. Report RSBCS_REORG executed with option 'Detailed Output' and when the report finishes there are 'Non-Deleteable
Documents'
Cause
The report RSBCS_REORG will delete documents from the system but only when these documents have no links to any
User/folder/table/etc in the system. So the 'Non-Deletable Documents' still have a link to some User/folder/table/etc in the
system. Please review SAP Note 988057 for reasons on why documents are not deleted by RSBCS_REORG.
Resolution
First read through the PDF attachment of SAP Note 988057 about SAPOffice reorganization.
To delete these 'Non-Deleteable Documents' first delete the links using the appropriate report below and after run
RSBCS_REORG to completely delete these records.
Please note by double clicking on a line under 'Non-Deleteable Documents' there will be more information about the
document.
1. Send request not yet released. Use the report RSBCS_SREQ_RELEASE (see SAP Note 1238740) to release these
send requests.
2. Link to Application. Use the report RSBCS_SREQ_UNLINK (see SAP Note 1276402) to delete these links.
3. Expiration date not yet reached. Use the report RSBCS_SREQ_EXPIRE (see SAP Note 1478279) to set these send
requests to be expired.
4. Send request is in SAPconnect queue. Use the report RSBCS_DELETE_QUEUE (see SAP Note 1244680) to delete
these send requests from the SAPconnect queue.
5. Document is in a folder. Depending on which folder these documents are in, run the appropriate report. If a
document is in a Users folder then run report RSSO_DELETE_PRIVATE (see SAP Note 922671). If the documents are
in a Shared thrash then run RSSOTRCL. If the documents are in the Hidden folder then run RSSODFRE (see SAP Note
567975). If documents can't be removed as the corresponding folders no longer exist, please use RSBCS_SOFM report
(see SAP Note 1685069). If none of these reports are finding the documents to be deleted, please check the Shared folder
in SBWP and ensure the documents are not present here, if they are then please delete them manually and run
RSBCS_REORG to delete the documents completely.
Please be aware that RSBCS_REORG also deletes Inbound Send requests from transaction SOIN also.
To find out which folder a document is in first double click on the 'Document is in a folder' line, there will be the document
owner.
More details can be found about the document by clicking again on the 'Owner' line.
Please also be aware you may see Application deletes under 'Non-Deleteable Documents' when running
RSBCS_REORG, in this case the sending application assumes responsibility for deleting its own send requests. This is marked
on the send request. The reorganization does not delete send requests that are marked in this way. The application must
explicitly release the send requests for deleting, before this data is recorded by the reorganization. They are then treated as
expired send requests and will be deleted by RSBCS_REORG.
