1. Sonora Timesheet Application Overview


What is a Timesheet Application?
A Sonora timesheet application is a software tool designed to track the amount of time an employee spends
on various tasks, projects, or work activities. This application is valuable for both individual productivity and
business operations, ensuring that time is used efficiently and is accurately recorded for billing or payroll
purposes.

Who is it for?
This is an internal application designed and developed typically for the employees, freelancers of Sonora.

2. Launch the Application


As part of the onboarding process, employees at Sonora are provided with credentials for accessing the
timesheet application.

If you are a Sonora employee and have not yet received any communication via your official email address
regarding the timesheet application link and login credentials, please reach out to hr@sonorasoftware.com.

2.1 How to Start


• Click on ts.sonorasoftware.com/DailyTimesheet.aspx

• Enter User Name and Password.

• On entering the valid login credentials, the user will be directed to the homepage of Timesheet
application.

• If credentials are wrong, the user is prompted with a message.

3. TimeSheet Navigation

Item Description Details

Home This tab navigates to homepage of the timesheet application.

Timesheet This tab navigates to the timesheet section. Timesheet entries of


logged-in user are represented in the tabular format.

Leave This tab navigates to the Leave section.

Logout Click here to log-out from the application.

4. Timesheet
A logged-in user can view their submitted timesheet entries, add new ones, or edit existing records within this
section.
User can navigate to this section from the main menu. Haver on the Timesheet tab, the sub-menu is
displayed.

There are three sub-menu options in Timesheet tab:


• Daily Timesheet
• Detailed Report
• Summary Report

4.1 Daily Timesheet


When you click on the Timesheet tab or a Daily Timesheet sub-menu, a timesheet dashboard is displayed.
Timesheet entries of logged-in user are displayed. User can add, edit, and delete timesheet entries.
User can also perform sort operation on the timesheet entries.

Add new record Click here to add new timesheet entry.

Dashboard All timesheet entries of logged-in user are displayed in tabular


format.

Edit / Click on the icon to edit the corresponding row.


Copy
Click on the icon to copy the contents of the specific row.

Delete Click on the icon to delte the specific timesheet entry.

Filters User can apply various filters to the timesheet dataset.

Pagination Navigate through the pages to view older/newer records.

Refresh Click to re-load the timesheet page. Latest modifications are then
visible on the dashboard when you click refresh.

4.1.1 Add New Record


The user can add a new timesheet entry in the application. Click on the Add new record link from the
timesheet dashboard.

• Select Date from date-picker. It is a mandatory selection.


• Select Module Name. Module names are assigned by the employee’s Manager. It is a mandatory field.
• Select Change Control if any.
• Enter Issue ID if any.
• Select Task Name. It is a mandatory field.
• Enter details of the task in the comments section. It is a mandatory field.
• Enter Time in hrs. One timesheet entry should not have more than 3hrs. It is a mandatory field.
• Click Add Task to add the timesheet entry or Click Cancel to cancel the operation.

4.1.2 Copy Timesheet Entry


User can copy the contents of one timesheet entry and build a new timesheet entry upon that.
User can modify the records as well. Click on the copy icon on the dashboard screen.

• User can modify the fields and click on Add Task to add a new entry or Click Cancel to cancel the
operation.

4.1.3 Edit Timesheet Entry
User can modify the timesheet entry. However, the date cannot be modified. If the user by mistake has
entered the wrong date, deleting the record and adding a new entry is advisable.

Click on the edit icon near the entry you wish to edit. The record details are then available in edit mode.

• Edit the required fields and click on Update Task.

4.2 Detailed Report


The detailed report summarizes the work done in a specific timeframe by a particular employee.
The project wise distribution is also generated.

This is the submenu from Timesheet tab. To view detailed timesheet report-
• Hover to the Timesheet tab.
• Click on Detailed Report.

Item Description Details

Client Select the Client Name from the drop-down.

Employee Select Employee Name. You can see employees assigned to you.

Report Type Select One of the radio buttons: Date Range / Monthly.
• Date Range: Displays records of entered date range.
• Monthly: Displays record month-wise.

Select Date Select From date and To date.

Date Wise Check the checkbox if you wish to generate the report date-wise.

Task Type Select one of the radio buttons: All/ Billable/ Actuals.

Show Report Click on the Show Report button to view detailed report.

• When the user clicks on Show Report, the report is generated on the same page.

4.3 Summary Report


This report generates billable or actual hours spent on selected clients by selected employees.
You can apply desired filters to get the report.
To generate summary report, Navigate to main menu and click on Timesheet tab. Select Summary Report.

• Select Client.
• Select Employee.
• Select one of the radio buttons: ClientWise / EmployeeWise.
ClientWise: This report generates the sum of hours spent by the selected employees on each client.
EmployeeWise: Generates the sum of hours spent on the selected clients by each Employee.
• Select Report Type: Date Range / Monthly.
• Select Date.
• Select one of the radio buttons: All/ Billable/ Actuals.
• Click Show Report to generate and view the report or Click Send Mail to send the report to logged-in
users email id.

In the above report, the ClientWise option is selected. The report displays a breakdown of billable and
non-billable hours spent on each client by all Employees in mentioned date range.

5. Time Sheet (Manager Controls)


If logged in user is a Manager, there are additional controls available under Time Sheet tab.

• Daily Timesheet
• Defaulter List
• Detailed Report
• Manage Billable Hours
• Summary Report

5.1 Daily Time Sheet


This sub-menu has record of all the timesheet entries of logged-in user. Please refer Daily Time Sheet
section for more details.

5.2 Defaulter Time Sheet


This sub menu displays defaulter time sheet entries. If you are a Manager, Click on Timesheet tab, Navigate
to Defaulter Time Sheet sub-menu.

• Report Type – Select one of the radio buttons - Date Range / Monthly.
• Select Date.
• Click on Show Report.

• The report displays a defaulter list for the date range mentioned.
• The report has an employee name along with Defaulted Date and Hours Worked.
• You can navigate through multiple pages in report or import the report into excel sheet.

5.3 Detailed Report


This sub-menu generates detailed time sheet report. Refer Detailed Report section for more information.

5.4 Manage Billable Hours


If you are a user with Manager level access rights, you can manage and customize billable hours of
resources.
Click on Timesheet Tab from Main menu. Navigate to Manage Billable Hours.

• Select Client.
• Select Employee.
• Select one of the radio buttons – Date Range or Monthly.
• Select Date or Month.
• Click Search to view or manage billable hours.

• Click on Edit All button and Billable Hrs column is opened in editable mode.

5.5 Summary Report


The summary report generates a breakdown of billable or non-billable hours spent on specific client by
selected employees. Please refer to the Summary Report section for more details.

5.6 Timecard Report


Timecard report lets the Managers view employee wise report of hours spent per client.
This report gives Manager one shot view of Employee’s timecard per client.
Report can be imported into excel sheet or Manager can get it mailed.

The report generated is presented below:

To get the employee wise timecard report, Click on the plus sign ( ) marked near red dot .
The row gets expanded as below.

If you want to view timecard details of any particular employee, click on the plus sign ( ) to expand the
desired record.

Managers can further supervise the module-wise breakdown of hours for each client.

5.7 Timecard Summary Report


Managers can view Timecard summary report. This report displays employee working hours for selected
department and Division. Working hours are segregated into billable, non-billable, company working hours.

To view Timecard summary report, Click on Timesheet tab from main menu. Navigate to Timecard
Summary Report.

6. Leave
This menu has all the functionalities related to leaves. User can apply for leave, view the leave dashboard or
perform edit on records.

Hover on the Leave tab from the main menu, sub-menu is visible.
• Apply For Leave.
• Leave Dashboard.

6.1 Apply For Leave


Users can apply for leave from this page. To apply for leave, Click on Leave tab from the main menu.
Navigate to Apply for Leave sub-menu.

• Select Manager.
• Select Leave Type.
o Earned Leave.
o LWP.
o Marriage Leave.
o Maternity Leave.
o Paternity Leave.

• Select From Date from date picker.


• Select To Date from date picker.
• Mention Leave Days. (No. of days you are applying for leave.)
• Enter Leave Description. (This can be a reason for a leave.)
• Click Save to apply for leave or Cancel to clear the selection.

When the user applies for a leave, it goes to the reporting manager for their approval. The leave status can be
monitored from the leave dashboard.

6.2 Leave Dashboard


This section displays all leave taken/applied by the user and its details. The user can modify or delete the leave
record if it is yet to be approved by the Manager. Once approved, the user cannot make any modifications.
The dashboard page also displays the number of leaves taken so far and the leave balance available for the
logged-in user.

To view Leave Dashboard, Click on Leave tab from main menu and navigate to Leave Dashboard.

7. Leave (Manager Controls)


This section outlines the options available to the manager role under the leave tab.
If you have Manager level access rights, the following options are available to you.

• Apply For Leave


• Leave Dashboard
• Leave Summary Report

7.1 Apply For Leave


Please refer to the Apply for Leave section.

7.2 Leave Dashboard


This section displays all leave taken/applied by the user and its details. The user can modify or delete the leave
record if it is yet to be approved by the Manager. Once approved, the user cannot make any modifications.
The dashboard page also displays the number of leaves taken so far and the leave balance available for the
logged-in user.
Managers can approve/reject leaves from this section.
To view Leave Dashboard, Click on Leave tab from main menu and navigate to Leave Dashboard.

• There are two grids:


o My Leave Details – Your applied/rejected/approved leaves are displayed here.
o My Pending Approval Tasks – The leaves approved/rejected /awaiting for action are
displayed here.
• You can apply various filters on the grid to view leave details.

• Click on Edit link in My Pending Approval Tasks to approve/ reject the leave.

When a Manager clicks on Edit, the following page is opened.

• Select Determination - Approved / Rejected.


• Enter Approver’s Comment.
• Click Save to submit the response.

7.3 Leave Summary Report


This section displays the leave summary by month wise or for selected date range.

• Select Employee.
• Select Report Type.
• Select Date.
• Check/Un-check Detailed Report.
• Click Show Report to generate the report. You can import the report into excel sheet.

This report divides total leaves into different categories such as Leave submitted, Leave Approved, Leave
without pay for each employee.

8. Admin Controls
This section covers all the functionality available for users with Admin role.
If you have Admin level access rights, the following options are available to you.

8.1 Manage Clients


Admin has the right to configure clients. Add, edit and delete operations can be performed.
When an Admin clicks on Manage Clients tab, Client dashboard is displayed.

• Admin can edit the client details by clicking on Edit link.


• Filters are available to filter out the list.
• Admin can navigate to desired page through pagination feature.
• Click Add Client to add new client to the system.

8.1.1 Add Client
Admin can add new Client into the system. Navigate to Client dashboard and click on Add Client link in the
upper right corner.

• Enter Client Name. You can not enter the existing client name. The name should be unique.
• Check/Un-check Is Active checkbox.
• Click Save to add the client.
• Click Cancel to cancel the operation.

8.1.2 Edit Client
Admin can edit the client details such as modify the name of change the status of the client.
Navigate to Client Dashboard and click on edit link in the client list.

Modify the details and click Save to commit the changes or Click Cancel to stop the operation.

8.2 Manage Timesheet Holiday


This screen lets you add all holidays in the current year into timesheet entries of selected employee.

8.3 Manage Modules


Admin can configure the modules or assign the module. Admin have also right to add or delete the module.

• Click to edit the module. The extension is displayed under the same row.

• Edit the fields and click Update Module. Click Cancel to stop the operation.

• Click to expand the row and add change control parameters.

• Click Assign Users to assign users to the module.

• To add users, move the user names from left frame to right frame. To remove the user from the
module, move the user from right frame to left frame. Click Save to save the changes.

• Click to delete the module.

8.4 Weekly Resource Allocation


This screen lets admin view how resources are distributed per week.

• Select the Date and Click Search. Resource allocation for last 4 weeks is displayed.
