1 INTRODUCTION

This document outlines the general procedures and responsibilities for site engineers,
supervisors, and project staff working under the Fit-Out Projects Department at Alida Group. It

serves as a guideline to ensure consistency, quality control, and proper communication


throughout all phases of site execution. All personnel are expected to adhere strictly to the
procedures defined herein.

These guidelines are effective from ________, and apply to all current and future fit-out
projects unless otherwise revised.

2 Material Management at site.


a) Material Request
All material requests must be based on the Material Approval Estimate Document, approved by
both the Project Manager (PM) and General Manager (GM).

b) Material Storage Responsibility


The site engineer and supervisor are responsible for material storage at the site. Materials must
be properly stored and protected from dust, moisture, and temperature variations (if required).

c) Material Inspection Report


A material Inspection report must be raised within 1 day of material delivery to the site.

Shop Drawings & Site Measurements


Shop Drawings
Shop drawings shall be prepared based on measurements provided by the site engineer.

Measurement Variations
If site measurements differ from contract values (either more or less), the site engineer must
immediately notify the Project Manager via email, with the General Manager in copy (C.C.).

Site Execution & Approvals


Execution Conditions
Site execution must not begin until shop drawings and material inspections (if required) are
approved. In case of urgent client requests, the site engineer must obtain written approval from
the PM via email before starting any work.

Document Approvals
All document approvals must be formally signed and stamped by the client. Verbal approvals or
instructions are not acceptable.

Variation of Work
Client-Initiated Changes / Extra Work
If the client requests any variation or additional work beyond the original contract scope, the
site engineer must inform the Project Manager before proceeding.

The Project Manager will review the request and escalate it to higher management for
evaluation and formal decision-making.

No extra work should begin without prior written approval.

Reporting & Documentation


Daily Progress Reporting
The site engineer must submit a Daily Progress Report to the PM. A standard document format
will be provided.

Formal Communication Protocol


All communication with the client or internal departments must be documented through formal
emails or letters. Verbal communication will not be considered valid.

Subcontractor Management
Subcontractor Selection
Subcontractors must be selected only from the company’s Approved Subcontractor List.

Performance Evaluation
After project completion, the Project Manager will evaluate subcontractor performance for
future project consideration.
