Introduction
E-log book captures the flying experience of the
pilots. Hours entered in e-log book are required for
availing Issue, Renewal, Conversion of various pilot
licenses and ratings services through eGCA thus act
as backbone for the system.

This training aims at covering the following topics:

• How to Launch E-Log Book page in eGCA.


• How to Fill E-Log Book.
• How to view entries filled in E-Log Book.
Applicability of options of e-Logbook.

• “Entries in respect of flying undertaken in Indian FTO”


Applicable to pilots Undertaking flying at Indian FTOs and also:
- for issue/ renewal of licenses and ratings.
- for meeting requirements of conversion of licenses and ratings.
Note: Entries made through this option shall be subject to approval by authorized personnel in
accordance with Rule 67 A of Aircraft Rules 1937.
Applicability of options of e-Logbook.

• “Entries in respect of flying undertaken in Foreign FTO/ Foreign ATO/ Foreign Operator/ Indian
ATO/ Defence Personnel”
Applicable to:
- Pilots who have undertaken flying training at other ICAO contracting states for Conversion/
Renewal of PPL, CPL and other ratings based on above flying experience (as applicable).
- Defence personnel for logging military flying experience for issuance of license and ratings.
- Pilots requesting for extension of aircraft rating and having undertaken training at Foreign FTO/
Foreign ATO/ Indian ATO.
Applicability of options of e-Logbook.

• “Scheduled/ Non-Scheduled/ General Aviation - Previous”


Applicable to:
- Pilots intending to capture all previous flying experience gained in a civil aviation environment
(FTOs/ Scheduled/ Non-Scheduled Operator).
Note: Applicant may choose to make such entry through bulk upload option or individual option (for
more information on bulk upload option read user manual for bulk upload).
Applicability of options of e-Logbook.

• “Scheduled/ Non-Scheduled/ General Aviation - Current”


Applicable to:
- Pilots who have successfully registered, validated their profile and intending to validate/ approve
their current flying experience gained with Indian Scheduled/ Non- Scheduled Operators.
Note: Entries made through this option shall be subject to approval by authorized personnel in
accordance with Rule 67 A of Aircraft Rules 1937 (e-Logbook verifier).
Applicability of options of e-Logbook.

• “Entries for PL e-Log Book”


Applicable to:
- Pilots who wish to avail services pertaining to gliders/ Microlight/ Light sport aircraft/ gyroplanes
and balloons.
Pre-requisites for
Filling e-log book
Understanding the pre-requisites

The applicant must be registered on the eGCA portal with a valid eGCA ID.

Applicant must have already completed his actual flying before capturing its details in e-log book.

Only correct entries must be made as entries once approved cannot be amended.
Process Flow:
Launch
e-log book
• Open eGCA Portal.
• Select “eGCA Login”.
• Enter credentials (“eGCA Id”, “Password”) and “Captcha”.
• Select “Services”.
• Select “Fill E-Log Book”.
Important Instructions
Basic Instructions:
• All applicants are advised to read and understand Rule 67, 67A & 67B of The Aircraft Rules, 1937 before proceeding to
make entries in the e-logbook.

• Entries once made and approved by competent authority are not amendable. Therefore, applicants are advised to log
entries meticulously and check thoroughly before submission. CFIs/Dy CFIs/Competent Authority authorized by DGCA
are advised to check the entries submitted before approval of the same and are equally responsible for the entries.

Note: All Applicant requesting for Conversion of Commercial Pilot License/ Airline Transport Pilot License are advised to
read & understand the following before filling up the e-Log Book (as applicable).
• Rule 41 of The Aircraft Rules, 1937
• Relevant Sections of Schedule-II, The Aircraft Rules, 1937
• CAR Section-7, Series-G Part-1
• Flight Crew Licensing Circular 1of 2012, Revision, dated 1st July 2019.

• Option for filling up of e-log book is extended for those applicants who have successfully registered on the eGCA
platform.
Important Instructions
• Flying Experience gained in Indian FTOs for Issuance of PPL/ CPL and extension of aircraft AUW below 5700 Kg,
Renewal of License/ Ratings, the applicants will select option ‘Entries in respect of flying undertaken in Indian FTO’ in
the e-logbook for filling up of flying experience details.

• For Issuance of ATPL (except for defense personnel), the applicants will select option “Scheduled/ Non-Scheduled/
General Aviation - Previous entries” for filling up of flying experience details including previous flying experience
acquired at FTOs. Defense personnel are to make entries of the requisite flying experience for issuance of CPL/ ATPL
in “Entries in respect of flying undertaken in foreign FTO/ Foreign ATO/ Foreign Operator/ Indian ATO/ Defense
Personnel”.

• Applicant who wish to avail service of Conversion of CPL/ ATPL, Extension of Aircraft Rating will select ‘Entries in
respect of flying undertaken in foreign FTO/ Foreign ATO/ Indian ATO/ Defense Personnel’ in e-logbook for filling up of
flying experience details as and when such services are being made available. (All entries of Aircraft in free text shall
be in Capital only).

• Details of each flight shall be filled meticulously in the fields provided in e-logbook and added separately in the e-log
book. (With the exception of 300 NM and 250NM cross-country flights where details of more than one leg are
required).

• For Indian FTOs “Registration Number” & “Type of Aircraft” are based on the FTO selection. Aero-planes registered
with a particular FTO will only be visible.
Important Instructions
For Indian FTOs Continued…
• User can select either “Registration Number” or “Type of Aircraft”. If “Registration Number” is selected then “Type of
Aircraft”, “class” and “’category” will be auto selected based on the “Registration Number”. If “Type of Aircraft” is
selected then Registration Numbers will be filtered out based on the “Type of Aircraft”.

• “Pilot Functions” are based on the Type of Aircraft.


Process to Follow while selecting Pilot Function:-
Single engine Aircraft:
For Training Exercises:
- Instructor will select PIC in his e-log book and will select the name of the Student.
- Student will select Dual in his e-log book and will select the name of Instructor in “Name of PIC”.
For Skill Tests:
- Instructor/Examiner will select PIC in his e-log book and will select the name of Student.
- Student will select P1/US in his e-log book and will select the name of Instructor/Examiner in “Name of PIC”.

Note: if pilot is Sole occupant then ‘Solo’ option should be selected (PIC will be auto selected in this case).
Important Instructions
Multi engine Aircraft:
For Training Exercises:
- Instructor will select “Instructor” in his e-log book (PIC will be auto selected in this case) and will select the name of
Student.
- Student will select “Dual” in his e-log book and will select the name of Instructor in “Name of PIC”.
For Skill Tests:
- Instructor will select “Instructor” in his e-log book (PIC will be auto selected in this case) and will select the name of
Student.
- Student will select P1/US in his e-log book and will select the name of Examiner in “Name of PIC”.

• Multiple “Purpose for flight” can be selected by pressing “Ctrl” key continuously till all the selections are made.

• If exercise performed during the flight is not listed in “Purpose for flight” then user can select “Others” option from the
list and Specify the exercise performed in the subsequent field.

• Rules For adding Cross Country flights for CPL/ ATPL/ IR.
PIC Cross country by day or by night:
- The radial distance between point of departure and point overflown/ Landing point shall be equal to or greater than 100
NM. Details of cross-country flight by Night shall be as per Para 4 of section A, Schedule II of the Aircraft rules 1937.
Important Instructions
- Distance to be entered in “Distance field”- The radial distance (One way) between point of departure and point overflown
(if mentioned) else distance of Landing point is to be entered.
- The point overflown shall only be mentioned if the radial distance between point of departure and point overflown is
equal to or greater than 100 NM.
Note: In-case a cross-country flight has more than one leg it has to be entered as two separate entries except for 300 NM
and 250 NM cross-country.
300 NM PIC Cross-country:
- First leg- The radial distance between point of departure and point overflown/ Landing point shall be equal to or greater
than 100 NM. Total distance (Between Departure to arrival) shall be entered in the distance field.
- Subsequent legs- The distance between point of departure and point overflown/ Landing point may be less than 100 NM.
However, the total distance shall be >= 300 NM.
- The point overflown shall only be mentioned if the radial distance between point of departure and point overflown is
equal to or greater than 100 NM.
250 NM PIC Cross-country by day:
- First leg- The radial distance between point of departure and point overflown/ Landing point shall be equal to or greater
than 100 NM. Total distance (Between Departure to arrival) shall be entered in the distance field.
- Subsequent legs- The distance between point of departure and point overflown/ Landing point may be less than 100 NM.
However, the total distance shall be >= 250 NM. But such legs (< 100 NM) shall not be considered towards 20/50 hours PIC
cross-country requirement.
Important Instructions
- The point overflown shall only be mentioned if the radial distance between point of departure and point overflown is equal
to or greater than 100 NM.
120 NM PIC Cross-country by night:
- The radial distance (One way) between point of departure and point overflown is to be mentioned in the distance field, If
this distance is equal to or greater than 100 NM then the same will be counted towards 20/50 hours PIC cross country
requirement also.
• Rules For adding Cross Country flights for PPL.
150 NM SOLO Cross-country:
- First leg- The radial distance between point of departure and point overflown/ Landing point shall be equal to or greater
than 50 NM. Total distance (Between Departure to arrival) shall be entered in the distance field.
- Subsequent legs- The distance between point of departure and point overflown/ Landing point may be less than 50 NM.
However, the total distance shall be >= 150 NM.
- The point overflown shall only be mentioned if the radial distance between point of departure and point overflown is equal
to or greater than 50 NM.
100 NM SOLO Cross-country for PPL (H):
- First leg- The radial distance between point of departure and point overflown/ Landing point shall be equal to or greater
than 50 NM. Total distance (Between Departure to arrival) shall be entered in the distance field.
- Subsequent legs- The distance between point of departure and point overflown/ Landing point may be less than 50 NM.
However, the total distance shall be >= 100 NM.
Important Instructions
- The point overflown shall only be mentioned if the radial distance between point of departure and point overflown is
equal to or greater than 50 NM.
PIC Cross country by day or by night:
- The radial distance between point of departure and point overflown/ Landing point shall be equal to or greater than 50
NM. The radial distance (One way) between point of departure and point overflown (if mentioned)/ Landing point is to be
entered in the distance field.
- The point overflown shall only be mentioned if the radial distance between point of departure and point overflown is
equal to or greater than 50 NM.

• Time and date entered in the e-log book should be in the format as entered in Physical Logbook or as per Authorization
Register of your FTO (for flying done in Indian FTO’s).

• If flight is under taken in both day and night then user will have to specify duration of flight carried out both in day and
night separately. Details of flight time by Night shall be as per Para 4 of section A, Schedule II of the Aircraft rules 1937.

• In case of previous entries, if the then CFI/Dy. CFI of any FTO is no longer working for that FTO then applicant shall select
the name of FTO and after filling up the details select the name of current CFI/Dy. CFI of that FTO in the “verification
authority” field and submit for approval.

• Any other necessary information can be enter in the “Comment” field.


Important Instructions
- Exercises with their respective flying experience requirements that should be selected while entering the flight experience
in e-log book to be counted towards extension of aircraft rating:-

- For Multi Engine non-jet aircrafts: “Purpose”
A. 1. Familiarization and normal flight procedures & maneuvers during all phases of flight; Aircraft familiarization

2.1 Circuit landing familiarization (Minimum 06 landings) Ccts, App, Ldgs

B. Abnormal and emergency procedure & maneuvers in the event of failure (including simulated Abnormal Emergency Procedures
engine failure) and malfunction of equipment, such as power plant, systems and airframe, stall &
recovery (if not covered in ‘A’ above)

C. Holding and Instrument procedures, including instrument approaches, missed Approach & landing Holding and Instrument
procedures under normal, abnormal & emergency condition.* (Partial panel flying with instrument Procedures
failure / glide slope failure - if applicable)

D. General Flying Tests – VFR Flight (Day & Night ) including (03) T/O & Landings for each day & night GFT by Day/ GFT by Night
Important Instructions
- For Single Engine non - jet aircrafts:
Exercise Exercises to be selected in “Purpose”

A. Familiarization and normal flight procedures & maneuvers during all phases of flight Aircraft familiarization

Note: - Enter No. of Takeoffs and Landings correctly as required above and undertaken against each entry.
Important Instructions
Instructions for filling of e-logbook for CPL (Helicopters)
• Applicant will have to select option “Entries in respect of flying undertaken in foreign FTO/ Foreign ATO/ Indian ATO/
Defense Personnel” to enter their flying experience on Helicopters.

• Entries entered through “Entries in respect of flying undertaken in foreign FTO/ Foreign ATO/ Indian ATO/ Defense
Personnel” will reflect in “submitted state” in View e-Log Book of the applicant until the applicant applies for any service
and these entries are verified by DGCA officials (from Original Logbook of the applicant).

• Applicant who wish to avail “Conversion of CHPL” service will mention the Name of their foreign FTO (In capitals) in
“Name of FTO”. (As and when the service is launched)

• Defense personnel are to mention IAF/ IN/ INDIAN ARMY/ ICG as applicable (In capitals) in lieu of “Name of FTO”.

• In “Pilot Function” applicant will specify his pilot function which he performed during the flight and will specify the
name of other Pilot in the subsequent field. If name is not present in the list then, applicant can select “Others” and
specify the name (In capitals) in the field which appears.

• Applicant will select “Training” (also applicable for defense personnel who is filling up his operational flight hours) and
then the exercise Performed from the subsequent list. Additionally, details of the exercise may also be mentioned in the
Comments column.
Important Instructions
• Applicant will select “Test” in e-Log Book to fill the details for Skill Tests Performed and then the name of test performed
from the subsequent list.

• In case the applicant does not have “Departure time” and “Arrival time” for the flight, Applicant will leave “Departure
time” and “Arrival time” blank.

• Applicant can mention the duration of flight directly in the “Duration of flight Day (HH:MM)” or “Duration of flight Night
(HH:MM)” after selecting Shift time (“Day” or “Night” or “Both”) first.

• For type of Aircraft chetak/ cheetah enter SA 316/ 315 and for ALH enter DHRUV.

• Further Details regarding procedure to fill e-logbook w.r.t “Entries in respect of flying undertaken in foreign FTO/ Foreign
ATO/ Indian ATO/ Defense Personnel” can be found in e-logbook instruction manual

Instructions for filling Simulator e-logbook for Extension of Aircraft Rating.


• Applicant will have to select option “Entries in respect of flying undertaken in foreign FTO/ Foreign ATO/ Indian ATO/
Defense Personnel” to enter their Simulator training details performed in ATO’s or in foreign FTO.
Important Instructions
• To log the details of FFS or FBS Training sessions in simulator e-logbook, applicant can select “ATO” after selecting
“Training” option in the simulator e-logbook.

• To log competency checks performed on simulator, applicant will have to select “Test”. Multiple exercises can also be
logged together like for IR/PPC check Both “Instrument Rating” and “Pilot Proficiency Check” can be selected together by
pressing “ctrl” key.

• Attachments like FSTD Approval Certificate, Instructor/ Examiner Approval Certificate, Session Report are not required if
already uploaded with previous entries done for fulling the requirement to avail respective Extension of Aircraft Rating
exceeding 5700 Kg service.

Instructions for filling e-logbook for flying done with Indian Operators.
• Applicant will have to select option “Scheduled/ Non-Scheduled/ General Aviation” to enter their flying experience.

• To capture details of flight undertaken with Indian operator presently the option of “Previous entry” is to be selected.
These entries are subject to validation by DGCA through Physical Logbook. The option of “Current entry” will be
subsequently provided subject to provision of validation of entries by Indian operators.
Important Instructions
• Select “Commercial” Option for revenue and “Non-commercial” option for all non-revenue flights in previous.

• Time and date entered in the e-log book in the format as per your physical logbook.

Instructions for filling PL e-logbook.


• Applicant will have to select option “Entries for PL e-log book” to enter their flying experience.

• Applicant can use “Others” option to fill the e-logbook details in case data related to Name of FTO, Registration Number,
Type of Aircraft is not present in the system.

• Entries filled by selecting “Others” in “Name of FTO” will not be sent for verification to CFI/ Dy. CFI and will be validated
in DGCA.

• Applicant will be provided to select the “Type of Launch” if “Glider” is selected in “Category”.
Important Instructions
• In case any un-conventional launching method was used apart from “Winch Launch”, “Power Launch”, “Aero-tow
Launch” then, applicant can enter the launching method after selecting “Un-conventional Launch” in “Type of Launch”
option.

• Applicant will be provided to upload skill test report on selection of test exercises (e.g. skill test, GFT ect.) in “Purpose”.

• Applicant will also be provided an option to enter “Altitude” and “No. of Ascents” if “Balloon” is selected in “Category”.

Note: Submission of eLogbook entries and hours indicated in respective profiles based on entries made in eLogbook shall
not be construed as having met the requirements for issuance of licenses and ratings.

Flying done in Indian FTO
• To enter flying hours for flying undertaken in Indian FTOs select “Entries in respect of flying undertaken in Indian
FTO”.
• Read Instruction Manual carefully before filling the e-logbook
Flying Undertaken in Indian FTOs

• Select “Name of FTO”.


• Select “Aircraft” in “Performed on”
• Select “Registration Number” of the aircraft from the list. (Only aircrafts present in the FTO selected above will
be displayed)
• “Type of Aircraft”, “Class”, “Category” will auto-populate based on the registration number selected.
• If “Type of Aircraft”
is selected first then
“Registration

How to select Pilot Function.
If Class is “Single-Engine”, “Co-pilot” and “Instructor” will be in Non Editable mode (currently).
If class is “Multi-Engine”, “Solo” will be in non editable mode (currently).
If “Solo” is selected and “PIC” will be auto-checked.
In case of skill demonstration flight when “P1/US” is selected, pilot will select the name of examiner from the subsequent list
(Name of Examiner).
Note: Name of Trainee/ Student will be visible to instructor/ examiner filling their e-logbook only when searched using the
searchbox.
In case of training flight when “Dual” is selected, pilot will select the name of instructor from subsequent list (Pilot In
Command).

searchbox.

How to select Exercises in e-log book
For training flights select “Training”, then select exercise from “Purpose” selected exercises will be displayed in
“Selected Exercises”.
Multiple exercises can be selected by pressing “ctrl” button.
In case of skill demonstration flight select “Test”, then select type of skill test from “Purpose”. Selected
exercises will be displayed in “Selected Exercises”. Skill test report can be attached using “Choose Files”
attachment button
How to enter flight details in e-log book.
Select “Take Off Airport/Aerodrome” and “Landing Airport/Aerodrome” from the list of ICAO codes, if
undertaken flight from non ICAO coded air-fields select “others” and then mention the airport in “Other
Landing Airport/Aerodrome” (write in capitals).
Select “Departure Date”, date selected in departure date will automatically fill in “Arrival Date” which can
also be changed if required.
Specify “Departure Time” and “Arrival time” (as per Authorization Register of your FTO). Specify “Number of
Landings” if more than one landing is done in circuit.
If undertaken Instrument flight, check “Simulated” or “Actual” and fill their respective time in “Simulated
Instrument flight Time” or “Actual Instrument flight Time”.
Select “Shift Time”, whether “Day” or “Night” if flight was partially in day and night select “Both”.
• If “Day” or “Night” is selected “Duration of Flight Day” and “Duration of Flight Night” will be auto
calculated based on departure and arrival time.
• If “Both” is selected, specify “Duration of Flight Day” and “Duration of Flight Night” in subsequent
fields below (manually).
Once all the details are filled press “Add” button and check the details captured below by scrolling for
correctness before moving ahead.
• In case of Cross
Country flights

In case of 300 NM and 250 NM Cross Country details of multiple legs can be entered by again entering the Take off
and landing details and pressing “Add” Button. “Total Duration of Flight” and “Total Distance” will be auto-calculated
based on the time and distance entered in each leg.
Note:
• While adding Multiple legs, landing airport of first leg and take off airport of second leg should be same.
• Arrival time of first leg cannot be greater than Departure time of second leg.
Rules For adding Cross Country flights for CPL/ ATPL/ IR.
PIC Cross country by day or by night:
• The radial distance between point of departure and point overflown/ Landing point shall be equal to or
greater than 100 NM.
• Distance to be entered in “Distance field”- The radial distance (One way) between point of departure and point
overflown (if mentioned) else distance of Landing point is to be entered.

120 NM PIC Cross-country by night:
• The radial distance (One way) between point of departure and point overflown is to be mentioned in the
distance field, If this distance is equal to or greater than 100 NM then the same will be counted towards 20/50
hours PIC cross country requirement also.

Entries for PL e-Logbook are applicable for availing services pertaining to gliders/ Microlight/ Light sport aircraft/

▪ Not able to fill details of second flight system is giving error.
User can only fill the details of one flight at a time through fill e-logbook, it seems that user is trying to use Add
button to enter details of multiple flights in single e-logbook Form. As explained on page 57, Add button should be
used multiple times only for adding multiple legs of a single flight as in-case of 300 NM, 250 NM cross-country flights.

▪ Total hours shown in my profile is less/ more than the hours available in my e-logbook.
Check the status of the entries in view e-logbook, entries in "Approved" and "Submitted" status only will be counted
towards total hours shown on the home page. If still facing any issue raise a ticket with eGCA support attaching the
pdf of entries downloaded from view e-logbook.

▪ EFAR entry is shown as approved in my instructor e-logbook but showing as pending in mine.
The said eFAR entry may be in pending state at the trainee's end. Please check in the approval worklist for the
said entry and approve it.

▪ After uploading the bulk upload excel the name of Co-pilot is not showing in my e-logbook also the hours are not
considered in my profile.
Applicant have missed shift (Day/ Night/ Both) in the bulk upload sheet while uploading. To correct the same use the
edit option provided in the view e-logbook (Refer page 120 for procedure to make correction). Once successfully
edited the hours from these entries will be counted.

Entries in the approval worklist will be visible based on the filters provided in the approval worklist. (Please refer page
132/137 for further clarity)

▪ Instructor not visible in e-logbook while it is visible at FTO's end.


Instructor added by the FTO's will only be visible in eFAR. To add instructor in e-logbook FTO's must raise a request to
DFT, DGCA attaching the details of the instructor to be added.

▪ Year shown in the e-logbook is showing as 15 instead of 2015.


Date entered by user is in bulk upload template is in format DD-MMM-YY instead of DD-MMM-YYYY (required). To
correct the same use the edit option provided in the view e-logbook and re-enter the date again where it is shown in
incorrect format.

▪ Hours are not counted in extension of Aircraft rating flying experience table.
Exercise selected while filling the e-logbook/ eFAR entries were not as instructed in the user manual/ Instruction page
for filling e-logbook that is why hours are not reflecting in the flying experience table. For hours to reflect correctly
multiple exercise selection should be avoided and single exercise name specified against the parameter in
the instruction page should be selected.
Note: User can avail the service by uploading the "Extension of Aircraft rating training statement" in case due to
above reason hours are not showing up in the flying experience table.

Check if the date format entered in the bulk upload template is in the format DD-MM-YYYY or not. Also check if any

▪ Entries done as P1/US are not showing under PIC.


As per the requirements given by DGCA, All training entries done as P1/US will be counted as dual only. For any
further confirmation regarding requirements please contact DTL, DGCA.

▪ System is giving error that flying experience is not available while applying for extension of rating
exceeding 5700 Kg.
As per the requirements given by DGCA, Applicants must have 25 hours on multi engine aircraft (out of which
maximum 10 hours on multi engine simulator can be considered). Please check and update your hours in e-logbook
accordingly to proceed ahead.

▪ I have done cross-country flying in both Day and Night but not able to select both in Bulk Upload.
Option to select multiple purpose is not available for bulk upload entries, to make such entries either user can log the
said entry through eGCA portal or specify the exercise with which the flight started (eg: Select Cross-country day in
purpose if flight took off in day and landed in night) in purpose and then specify the duration for day and duration of
night flying separately by selecting "Both" for "shift", doing so the hours logged as day will be counted under day and
hours logged as night will be counted towards night parameter.

▪ Cross country parameter shows disqualified while all entries have been uploaded in e-logbook through
bulk upload.
While Uploading entries using bulk upload if either cross-country day or cross-country night and distance is not
provided with the entries to be considered for cross-country parameters then the entry will not be considered. To
correct the same use the edit option provided in the view e-logbook to change the purpose to cross-country. (Refer
page 120 for procedure to make correction).

▪ Total hours shown in Issuance of ATPL is less than the total hours displayed on home page.
As per requirements given by DGCA, Only 50% of co-pilot hours will be considered for total flying hours in Issuance of
ATPL service while total of all entries is shown on home page. Hence, total flying hours are shown less.

• System is showing error "Entry cannot be logged..." with details of flight which is overlapping with mine, and
while logging an e-logbook entry. Please suggest how my entry can be logged in this case.
Facility to identify the other person with whom your entry is overlapping or is duplicate is now available with you. You
can proceed to log the entry in question again and alert will prompt you the details of the other entry.
Based on these details connect with your Operator/ FTO POC. Your Operator/ FTO will check for the correctness (in
respect of the co-pilot/pilot selected, time, date and aircraft) of that entry and will coordinate with other pilot for
correction. Pilot with incorrect entry must get his/her incorrect entry deleted as per SOP defined for deletion and
once this wrong entry is deleted/corrected, then you will be able to fill said entry in your e-logbook
Frequently asked Questions
▪ Deletion of incorrect e-logbook entry post submission of application in DGCA.
In case user finds out about an incorrect entry post the submission of application in DGCA. To delete such entry user
must connect with DTL, DGCA through mail, providing the details of the entry with acknowledment that the user will
be solely responsible for the rejection of the application if he/she is found disqualified i.r.o flying experience
requirement after deletion of the entry.

▪ Hours available in my e-logbook is more than that displayed in the application submitted by me in DGCA.
Entries submitted in e-logbook after submission of any application in eGCA will not be counted towards flying
experience in that application.

▪ System is showing error while uploading file in the e-logbook/ system is showing "Error occured while saving
data" after clicking submit in fill e-logbook.
Check the name of the file/files uploaded in the entry, change the name if any special character is used in them and
try again, If still facing any issue raise a ticket with eGCA support attaching the screen shot of the error page
having system date and time along with the error messange.

▪ System is not allowing to edit entries that are in submitted state/ or entered through bulk upload.
Users are not allowed to edit any e-logbook entry in submitted state, if any applicantion is applied on eGCA,
After the submition of that entry.

Submit & Reuse Template functionality facilitates pilots making multiple similar e-logbook entries by saving the data
of current entry and providing it auto-filled in fill e-logbook form for making next entry. Please refer page 71-72 or 98-
99 for more details on how to use it.

▪ List for selecting name of PIC/ Co-pilot is empty.


Name of Pilot will be shown only when searched with the smart search option provided in fill e-logbook where pilot
name can be searched with name, eGCA id or even with keywords present in name or eGCA id. Please refer page 93
for more details on how to use it.

▪ Which entry type in fill e-logbook should be selected for entering flight done with foreign operator.
Pilots can use second entry type i.e "Entries in respect of flying undertaken in Foreign FTO/ Foreign ATO/ Foreign
Operator/ Indian ATO/ Defence Personnel".

• System is showing error "Entry cannot be logged as details of instructor selected are not updated in the system...".
Please suggest how my entry can be logged in this case.
Pilot in this case will inform their instructor about the issue, Instructor will reach out to the eGCA support cell by
logging ticket regarding updation of his data in e-logbook providing them details (like his eGCA id and PMR no.) along
with the screenshot of the error which the student received, Once details are updated in the system student will be
able to make his/ her entry.
