Non-Compliance Guidelines

Note: We don’t condone ‘free riding’ in group projects. If you have a non- or under-
performing team member, it is important to take action as soon as possible. From
a University perspective, fair, appropriate and timely procedures must be in place
for students who encounter difficulty working with their team.

1. Verbal Discussion – within one week of non-compliance:

● If non-compliance is health/mental health/compassionate- related, encourage
your team member to speak to the professor as soon as possible. Alternatively:
● Notify the non-compliant team member that their performance does not meet
expectations.
● Ask for a commitment to comply – including tasks, date, time and communication
upon completion.
● Ask the non-compliant team member to send an email outlining commitment to
all group members.

2. Written Documentation – within one week of missing previous commitment:

● The written documentation should not be a surprise.
● Timing – it should not take place in the last two weeks preceding the project due
date. It should be issued well in advance of the project due date.
● Email is sent to the non-compliant team member copying all group members and
the professor.
● Email should include previous actions/commitments missed and new
expectations of compliance – i.e. If ‘team member’ does not complete……
by……, the rest of the group will proceed without his/her/their name on the
project. He/she/they will then be responsible for communicating with the
professor about how he/she will complete the project.

3. Dropped
● If the non-compliant team member does not honour the previous requirement,
the rest of the group sends an email to the instructor (copying all group
members) stating that they are proceeding without the member and their name
will not appear on the project. This must be done on a timely basis (i.e., giving
the team member the opportunity to drop the course without academic penalty).
● Fair, appropriate and timely procedures must be in place for students who
encounter difficulty working with their team.
