Event Director/Manager Duties and Responsibilities

 Keeps record of how each task related to the event is progressing in terms of planning
and execution.
 Makes every effort to gain a thorough grasp of what the event is all about from the host,
including how the event should be planned (Taste of the client)
 Acts as a link between the event (in this case, the event's host) and external bodies.
 Assists the organizing committee with recruitment and training/coaching for the event.

VIII. THE SECRETARIAL

In organizing an event, the secretary's job is to make sure everything runs


smoothly and successfully. This includes planning the meeting, establishing the agenda,
sending out email invitations to attendees, arranging inter-office contact, and maintaining
proper records and administration. A meeting with an unclear aim can lead to
misunderstandings and a waste of time for all those concerned. Holding an event without
a well-defined agenda is not a smart idea. Prepare a detailed agenda that lists all of the
subjects that will be discussed during the meeting and organizes them according to the
organization's needs to make things easy for everyone. This will be accomplished by
communicating with participants in advance in order to provide participants with a
preview of the meeting ahead of time in order to ensure that everything runs smoothly
once the organizers and the participants are in contact, as described above. Sending a
participant an email will assist them in staying on track with their schedule and in being
reminded of the event’s start time. For the sake of clarity, they will create a planner that
includes an outline of the time flow for each activity and distribute it to the organization
as well as participants so that they can keep up during the said event. To have a
successful event experience, double-check any issues that have been handled before
hosting an event. The event's specifics must be meticulously planned. Having all guests,
including the host and organizers, available on the scheduled dates and times helps
everyone to have a more flexible schedule. The necessity of communication becomes
even more apparent when communication across different divisions within an
organization is hindered. Implementing strategies to increase inter-departmental

communication can help to emphasize the significance of communication and ensure that
information is efficiently conveyed. Building corporate trust and credibility requires
accurate and fast communication between departments. When departments have faith in
one another's ability to deliver accurate data, the extra fact-checking stage may not be
essential. To improve operational efficiency, departments should take steps to verify that
the information they offer to other departments within the company is accurate. If the
correct program is in place, having a road plan that tracks and files all of the
organization's records, as well as a program in place, will assist the organization maintain
effective records and administration, resulting in a more efficient work environment.
Before putting your project into action, as the secretary of your organization, you should
be well-informed about its scope. You'll be able to establish data management methods
that are compatible with your company's and team's data management requirements if
you conduct a complete inventory of all the records you want to manage.

IX. EVENT AGREEMENT/CONTRACT

EVENT AGREEMENT

This Event Planning Agreement is entered into November 20, 2021 by and between Ms. Vien
Ilagan, with an address of Masalukot 1, Candelaria Quezon and Wonderful & Memorable Events, with an
address of Malabanban Sur, Candelaria Quezon,m, also individually referred to as birthday party.

1. Event Date & Description.

On January 21, 2022 the Client intends to host the below described event 7th Birthday of her son Mavi
Von Velasquez.

2. Planner Duties. The Client engages the Planner’s services to perform the following duties with regards
to the Event:

a. Total Rental of Events Venue

b. Food and Beverages Services

c. Emergency considerations services

d. Over-all decor services

e. Audio-Visual services

f. Invitations/Miscellaneous or special printings services

3. The Planner shall obtain the Client’s approval, in writing, before entering into any binding contracts for
the event and/or issuing any non-refundable deposits.

Payment. The Parties agree to the following Payment and Payment Terms:

Total Fee for Services: PHP

Amount/Percentage Due Upon Execution of Agreement: PHP

Balance Due On Day of Event: PHP

4. Cancellation.

By Client. The Client may cancel this Agreement at any time. If the Client cancels up to December 20,
2021 days prior to the Event Date, the Client will be entitled to a full refund. If the Client cancels
December 10 days prior to the Event Date, the Client will be entitled to a fifty percent (50%) refund. If
the Client cancels less than 5 days prior to the Event Date, the Client will not be entitled to a refund.

By Planner. The Planner may cancel this Agreement at any time. If the Planner cancels, the Planner must
provide a suitable, replacement Planner, subject to the Client’s approval, which shall be obtained in
writing. In the alternative, the Planner shall refund all monies previously paid by the Client, with the
exception of any non-refundable deposits, which were agreed to by the Client.

5. Dispute Resolution and Legal Fees. In the event of a dispute arising out of this Contract that cannot be
resolved by mutual agreement, the Parties agree to engage in mediation. If the matter cannot be resolved
through mediation, and legal action ensues, the successful party will be entitled to its legal fees,
including, but not limited to its attorneys’ fees.

Severability. In the event any provision of this Agreement is deemed invalid or unenforceable, in whole
or in part, that part shall be severed from the remainder of the Agreement and all other provisions should
continue in full force and effect as valid and enforceable.

6. Legal and Binding Agreement. This Agreement is legal and binding between the Parties as stated
above. This Agreement may be entered into and is legal and binding both in the United States and
throughout Europe. The Parties each represent that they have the authority to enter into this Agreement.

Entire Agreement. The Parties acknowledge and agree that this Agreement represents the entire
agreement between the Parties. In the event that the Parties desire to change, add, or otherwise modify
any terms, they shall do so in writing to be signed by both parties.
