information system
• List essential data for logistics management
• Analyze the three types of logistics records and examples of
each type
• Describe the purpose of reporting and examples of different
reporting systems and practices
• Assess LMIS forms and recommend changes if necessary
• Describe the purpose of feedback reports and identify types
of information that would be useful in feedback reports

Role of LMIS in Supply Chains

Essential Data Items
STOCK ON HAND:
The quantities of usable health commodities available at all levels
of the system at a point in time.
RATE OF CONSUMPTION:
The average quantity of health commodities dispensed to clients
during a particular time period.
LOSSES/ADJUSTMENTS:
The quantity of health commodities removed from the distribution system for
any reason other than consumption by clients (e.g., losses, expiry, damage).
Adjustments may include receipt or issue of supplies to/from one facility to
another at the same level (e.g., a transfer) or a correction for an error in
counting. Losses/adjustments may therefore be a negative or positive
number.

LMIS Records
6
3 Types of Records
1. Stock keeping records - track supplies are stored in
inventory (i.e. inventory control cards, bin cards)
7
Stock Keeping Records
• Contain the following information:
1. Balance of Stock on Hand at any time
2. Quantity to Order for each product each time an order is
placed (for pull systems), or the quantity to allocate (for
push systems)
3. Quantity on Order, the actual amount in units ordered and
recorded on the day the order was placed. Including this
column on a stock keeping record makes it easy to calculate
lead-time by comparing the date the order was placed and
when it was entered into inventory
4. Losses and adjustments for any products that were
removed from stock for any reason (moved to another
facility, destroyed due to expiry/damage, stolen)
• Examples include: inventory control card and bin card 8
9
Transaction Records
• Contain the following information:
1. Quantity of commodity being ordered/shipped
2. Authorization to ship/receive commodity
3. Proof of receipt, usually by signing and dating
the form
10
11
Consumption Records
• Contain the following information:
1. Dispensed-to-User data
