Purchase Assistant Job Description

-A purchasing assistant provides technical and administrative assistance to


a purchasing department by assisting with purchasing documentation,
spreadsheets and customer service.
- A purchasing assistant works under the direction of a purchasing
manager, and assists in an organization's purchasing functions.
 Responsible for sourcing, procurement and supplier management functions
-    Manage all purchasing functions including purchase order processing,
delivery arrangement, record maintenance and reports

Education

 A high school diploma or GED is required. Some employers require an


associate's degree in business, accounting or a related discipline.
 Education requirements include a bachelor's degree or several years'
experience in a purchasing role.
 Educational Qualification- GCE 'O' Level/GCE 'N' Level

 Bachelor’s degree in Business (or related field) preferred

  2-3 years purchasing experience, preferably in a manufacturing environment

 Multi-state operations experience is a plus

 Flexible schedule, willing to work overtime as needed

Experience

- Experience 1 to 2 Years

Skills

 Qualifications include good customer service skills, computer and typing


skills, as well as understanding purchasing processes and inventory
databases.
 Administration/Clerical/Secretarial

 Experience in sourcing, PO and vendor relations


 Knowledge of product and service purchasing policies and practices

 Ability to effectively communicate in the English language

 Ability to interact with vendors and upper management

 Must be extremely organized and very detailed oriented

 Ability to multitask

 Proficiency in MS Office (Word and Excel)

 Must be punctual, professional and reliable

Responsibilities

 Assisting a purchasing department includes data entry, maintaining and


entering purchase orders, maintaining and compiling purchasing reports,
and working with accounts payable regarding supplier and vendor
invoices.
 Under the direction of a buyer or purchasing manager, responsibilities
include cost variance and price reporting, special purchasing projects and
analysis, processing and expediting orders as needed, and replenishing
standard stock items.

 Analyze, identify and communicate information regarding purchase orders

 Identify, investigate and resolve purchasing related issues

 Work closely with production on inventory counts

 Responsible for daily follow up of purchase orders to ensure that the product ships on
time by recognizing potential problems with delivery schedules and expediting orders as
needed

 Assist purchasing supervisor with gathering price information for quotations

 Ability to prepare contract documents

 Interface with internal and external customers to resolve quality issues, including rejected
materials and/or rejected product received in shipments
 Research all stock discrepancies, cycle count and adjust stock accordingly++

Training

 Many organizations require supply chain or operations management


training, which can be obtained through the Institute for Supply
Management, American Purchasing Society or the Association for
Operations Management.

Advancement

 This occupation is often a first step to a career in procurement and


purchasing, which can lead to a buyer, planner or purchasing manager
position. Employers are often interested in candidates who are pursuing
related education

 Indeed.com lists an average salary of $47,000 per year for this and
related occupations in January 2010.

 Professionals in these occupations who hold a bachelor's degree and


pursue training and certification such as Certified Purchasing Professional

following physical demands: some lifting, carrying, pushing, and/or pulling; some
stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity.
Generally the job requires 80% sitting, 10% walking, and 10% standing. This job is
performed in a generally clean and healthy environment
