FINAL YEAR PROJECT (EMT 4752/EMT4754) LOGBOOK

Objective:
The main objective of using this project log book is to identify and develop student
learning processes, and to keep a record of his/her effort and results related to the final
year project (FYP) planning and tasks undertaken. The information in which student
include into the log book should reflect the objectives of the FYP, i.e. this log book is not
solely a record but is a means of securing action and planning forward.
Logbook Preparation:
i. Each student doing final year project is required to have and to use a dark color hard
cover type book of minimum size of 30 x 20cm. There is no limitation on the number of
pages but it is advised that a 200-400 pages notebook should be suffice to cover both
FYP I and FYP II.
ii. On the front cover of the logbook, student are required to paste a standard FYP Cover
Form (refer Form A). Students are encouraged to use a plastic laminate/film to protect
their logbook front and back cover.
iii. Paste Form B at the backside of the logbook front cover. Paste Form C to Form F
and FYP Flowchart(s) to the subsequent pages of the logbook. Leave a blank page after
FYP I Flowchart iStudents are encouraged to paste the 2010-2011 Calendar and FYP
Monthly Planner(s) in their respective logbook. This will help them in terms of
organizing their FYP (I and II) tasks.
iv. Students are required to fill Form G1-G14 (compulsory) for every weekly meeting
with their respective FYP supervisor(s). Failure to comply will leads to Logbook marks
reduction. Each Form G(s) should be endorsed according to allocated week. For
example; Form G1 must be endorsed by the supervisor within Week 1 of the academic
semester. It is advised that the students paste the Form G immediately after obtaining the
supervisors signature to avoid any inconveniences (lost form, conflict of information
jotted in the following weeks, etc).
v. At the end of FYP I Week 8 and Week 16, students must submit the required Progress
Report(s) to their respective supervisor in the given format (refer Form H1 and H2). For

FYP II Week 7 and Week 14, students must submit the required Progress Report to their
respective supervisor in the given format (refer Form I1 and I2).
vi. Students are also required to present their logbook to the examiners during FYP
seminar. Failure to comply will lead to further Logbook & Examiner(s) marks reduction
General Expectations:
i. Students are encouraged to jot down at least 5-6 pages of thoughtful entries per week in
support of a quality design/work process.
ii. A project log book is a complete record of everything that a student has done for
his/her project which includes:
Sketches/doodling

Problem needs/requirements Design

process
Class notes

Project objectives

Rationale

for decisions
Meeting notes

Action Items

Project

reflections
Half-baked Ideas Math calculations

Professional

development
Work-in-progress Design alternatives

etc,

whatever.
Vendor notes
Research findings
Sources of ideas Evaluation of data/results
Design reviews Decision criteria

Basic Logbook Writing Procedures:

Record the date on each page. Start each day on a new page. Keep a record of the
time you spend on each step of your project. One easy way to do this is to note the
time you started and the time you finished each activity in your log book.

Label each entry and record this in a table of contents (reserve 3-4 pages at start).

Use ink. Do not erase. Delete an entry by neatly drawing a single line through it.

Do not remove pages, and do not skip pages.

Avoid backfilling. If you realize later that you left something out, or just want to
summarize something, go ahead and write it in, noting that its after-the-fact.

Include everything that contributes to the progress of the FYP tasks good, bad,
and ugly.

If new information/source are in the form of loose sheets/paper/notes, paste them

inside the logbook and record the date properly on the pages. If the source is
larger, fold and paste neatly into the logbook page.

Tips for FYP logbook entry:

If you just
finished
A meeting,

Ask yourself

What were the main outcomes of the

meeting?
Was the meeting productive, and why?
What are your personal action items before
the next meeting?
Is the project heading in the right direction?

Which ideas seem most feasible, and why?

Are there enough good ideas?
How could better ideas be developed based

Brainstorming,

on this session?
Engineering
Analysis,

What were the governing equations?

What were the most important findings?
What do the results mean and how should
they be applied?

Visualization,
(by hand or in
CAD/CAE or from
visual source)

What are the major features/discoveries

and why are these significant?
What was learned about the problem or
solution possibilities?
What problems were resolved and what still
needs to be addressed?
How does this piece integrate with the
whole?

An internet search

What key information did I find? How does

it help achieve the project objectives?
Are there other sources that should be
pursued?
What new questions were generated?
