This kind of software is mostly used in government institute just like

barangays. The researchers observed that barangay personnel make different

kinds of files and documents. Mostly they print two copies for the citizen and for

the reference of the barangay. Hence, the barangay captain decided to have

database on the barangay. On the other hand, there is a question behind it and

that is, database may either increase or decrease the performance of the

employees.

Database is very useful for those who work on offices. It can store,

organize, record and integrate a lot of data. It controlled and reduced the

redundancy of different files but not removed completely. Sometimes, it is

necessary to create duplicate copies of the same data items in order to relate

tables with each other. Data that have been saved to can be shared by

authorized users of the organization. Using this software, all of your data are

secured since only authorized user may take over it. However, even there are a

lot of positive thoughts about database; there is a time that the databases fail. If

database is corrupted due to power failure or it is corrupted on the storage

media, then the valuable data may be lost or whole system stops. If the company

or the workplace is first to have database, they need to appoint a technical staff

to train the employees and it cost too much. The company may spend too much

in installation and in data conversion. In installation, they need to upgrade the

hardware used for file-based system. In conversion, when a computer is file-

based system and is replaced with a database system, the data stored into data

file must be converted to database files.

Consequently, the general purpose of this study is to be able to know the

life of office administrators with the use of database system at Barangay

Batangas II, Mariveles, Bataan given that this phenomenon can either bring them

positive or negative outcome.

Statement of the Problem

This study aims to determine the phenomenon about the effect of using

database to the office administrators of Barangay Batangas II, Mariveles, Bataan.

Specifically, it aims to answer the following:

1. How do the participants describe the manual system in compare to database

system in terms of:

1.1 time consumed in input/output of information;

1.2 safety of the files; and

1.3 managing files?

2. How efficient is the database system in terms of:

2.1 input/output of information;

2.2 storing of files; and

2.3 file sorting?

3. How does database system affect the employees in terms of:

3.1 knowledge capabilities; and

3.2 level of performance?

Scope and Delimitation

This study will focus on how the life of every office administrator has been

affected by the use of database system at Barangay Batangas II, Mariveles,

Bataan.

The researchers will interview the two administrators of Barangay

Batangas II to get their insights about the usage of database system. With the

use of research questionnaires, they will be interviewed by the researchers one

by one.

The study will consider Barangay Batangas II, Mariveles, Bataan as the

research locale of the investigation since it is the place where the researchers

had been in the work immersion for two weeks and decided to conduct research

about the effect of using database to the office administrators of Barangay

Batangas II, Mariveles, Bataan.

Significance of the Study

The result of this study will hopefully show the benefits to the following:

Barangay Captain. The result of the study will give satisfaction on their

Barangay Captain in the way of how database system can help the progress of

barangay hall and with that it can increase the service of every employee working

in barangay hall. Moreover, the management under the barangay captain will be

effective and efficient in every member of the barangay.

Barangay Employees. The findings of the study will serve as their guide on how

to enhance their skills in storing and saving files using database. It also makes

their job easy, fast and convenient. Moreover, the result of this study will help

them to upgrade their works or the outcomes of their works. And to help every

employee to identify effects of database in their performance.

Citizen of Barangay. The results of this study will give an idea to every citizen

that database can provide a faster service for them and give satisfaction in

assuring that all of their records are safe and secured. Moreover, it lessen time

waste not only for employees but also for every citizen in barangay.

Future Researchers. The study will give them related knowledge that they can

apply in their own study. Furthermore, the findings can be the basis and

Chapter II

Theoretical Framework

This chapter presents the relevant theories, research paradigm, related

literature and studies, and definition of terms used in the study.

Relevant Theories

This study is anchored on the theories advocated to database theory

encapsulates a broad range of topics related to the study and research of the

theoretical realm of databases and database management systems.

Theory aspects of data management include, among other areas, the

foundations query languages, computational complexity and expressive power of

queries, finite model theory, database design theory, dependency theory,

foundations of concurrency control and database recovery, deductive database,

temporal and spatial databases, managing uncertain data and probabilistic

database and web data.

Most research works have been traditionally based on the relational

model, since this model is usually considered the simplest and most foundational

model of interest. Corresponding results for other data models, such as oriented

or semi-structured models, or more recently, graph data models and XML, are

often derivable from those for the relational model.

A central focus of database theory is on understanding the complexity and

power of query languages and their connection to logic. Starting from relational

algebra and first-order logic (which are equivalent by Codd’s theorem) and the

insight that important queries such as graph reachability are not expressible in

this language, more powerful language based on logic programming and fixpoint

logic such as data log were studied. Another focus was on the foundations query

optimization and data integration. Here most work studied conjunctive queries,

which admit query optimization.

The database is a complicated tool that has a different usage. Hence, the

claim of the aforementioned theory has been utilized in this study. The

researchers believe that adopting new strategy such as the application of

database system in several office works may test how fast the employees can

adapt to the changes given that database system requires a person to fully

understand its own offered language. From this, the employees can present

different perception as either positive or negative in relation to the use of this new

system.

Related Literature

This study entitled, “A Phenomenological Study: Life of Office

Administrators with the Use of Database System at Barangay Batangas II,

Mariveles Bataan.” has relevant according to Reyes and Isabelita (1994),

Assessment of Community-Based Systems Monitoring Household Welfare, Time

series data on socio-economic variables are not available, even for those

barangays with long-running monitoring systems. Generally, the collection of

data is coterminous with the lifetime of a specific program or project. Moreover,

there is no system for storing the data for future retrieval. Thus, existing

databases of NGOs cannot be used to test MIMAP hypotheses.

Based on ”The Philippines Government Information Systems (2005)”,

government records are now in poor state, can be stored and accessed in

electronic form so they can be kept longer, maintained at less cost, and made

accessible to a greater number of people. Since most documents today are

produced using computers, it will be relatively straightforward to implement a

prospective (i.e. applicable to all documents from a certain date forward)

electronic official document repository. It is also technically feasible to convert

existing documents in paper form, but it will take time and money.

Related Studies

Based on Rosalinda (2004), a combination of the interface software and

database software will use for the system designed to have an access to the

barangay profile, the barangay maps and the database. Small-scale database

software called Microsoft ACCESS will be used to store and retrieve the data by

barangay while a web-based technology interface utilizing Microsoft Internet

Explorer interface software will be used to gain access to all the desired data or

information.

A requirement for the choice of enumerators is that they should be able to

write, read and do simple computations. Enumerators are tasked to completely

interview all households in the assigned area or barangay, Reyes and Mandap

(2014).

According to Tracy (2016), based on the perception of the respondents,

they “Strongly Agree” on the functionality of the system and therefore indicates

that the system strongly conforms to its design objectives and the needs of its

users. The respondents “Strongly Agree” on the ease of using the system and is

an indication that the system is easy to use and the system’s features and

functions is easily comprehensible by its intended user. Based on the perception

of the respondents, the system conforms to ISO 9126 standards and with the

overall mean rating corresponding to “Very Effective.” It implies that the system

highly conforms to international standards.

Definition of Terms

The following terms are conceptually defined:

Database. It is a usually large collection of data organized especially for rapid

search and retrieval (as by computer) an online data base.

Software. It is something used or associated with and usually contrasted with

hardware, such as: the entire set of programs, procedures and related

documentation associated with a system and specially a computer system,

computer program.

Assurance. It refers to a state of being assured such as being certain in the

mind confidence of mind manner easy freedom from self-doubt or uncertainly. It

is something that inspires or tends to inspire confidence.

Phenomenon. It is an observable facts or event.

Administrator. It refers to someone who administers specially business, school

or governmental affairs.

Manual-based system. It basically sees information recorded and kept in

different ways such as in files paper form.

Chapter III

Methods of Research

This chapter contains the research design and the methodology used in

the conduct of this study. It incorporated the sampling technique, the sources of

data, the participants of the study, the instrument and the procedure.

Methods and Techniques Used in the Study

This study seeks for the insights of administrators about the database

system used at the Barangay Batangas II, Mariveles, Bataan. To obtain its

objective, a phenomenological research was employed.

Strauss and Corbin (1998) define methodology as “a way of thinking about

and studying social reality” (p. 3) while method is “a set of procedures and

techniques for gathering and analysing data” (p. 3). In relation to this, the

researchers would use phenomenological research design. A phenomenological

inquiry “is an attempt to deal with inner experiences unproved in everyday life”

(Merriam, 2002, p. 7). This method helps to identify meaning behind the human

experience as it is related to a phenomenon or notable collective occurrence

(Creswell, 2009). The phenomenon in this study is the change of system from

manual to database system.

The modern phenomenological method is credited to German philosopher

and mathematician, Edmund Husserl (1859-1938) whose work evolved during

the ideological turmoil following World War I. Husserl advocated through his

research that objects exist independently and that observations and experiences

involving these objects are reliable suggesting an individual’s perceptions are

accurate representations of their consciousness (Fouche, 1993).

Population and Sample of the Study

Considering the nature of the research, it required participants that mostly

work on administration. This study needs small number of population.

Furthermore, gathering of administrative office insight is difficult. In this sense,

the participants were composed of office administrators of Barangay Batangas II,

Mariveles, Bataan.

Employees of Brgy. Batangas II, Mariveles, Bataan. The Barangay Hall is

composed of one-hundred two (102) employees.

To come up to the needed participants, the researchers based the

selection to their job description in the Barangay hall at Barangay Batangas II,

Mariveles, Bataan.

For data gathering purposes, the study used the researcher-made

questionnaires as instrument.

Research Instrument

The purpose of the research entitled “Phenomenological Study: Life of the

Administrators with the use of database at Batangas II Mariveles Bataan” is to

get the insights of the participants about their experience in using database.

The researchers interview the selected participants for data gathering

procedure. The researchers prepare an interview questionnaire that has been

validated by the research teacher and the expert in terms of database.

Construction and Validation of Instrument

The researchers interviewed the selected participants at Batangas II

Mariveles Bataan. Before that, the researchers prepared an interview

questionnaire that has been based on researcher’s Statement of the Problem.

The contents of the interview questionnaire are answerable by open ended and

scale. After the construction of the instrument, the interview questionnaire was

checked and validated by the research teacher and the expert in terms of

database.

Data Gathering Procedure

This qualitative study used phenomenological inquiry through personal

interview to obtain the lived experiences of two participants. The

phenomenological approach was used to understand the daily experience in

using the database. “Researchers in the phenomenological mode attempt to

understand the meaning of events and interactions to ordinary people in

particular situations” (Bogdan &Biklen, 2003, p. 23).

The participants involved in the study would be informed regarding the

purpose of the study. They were guided accordingly for an effective and efficient

accomplishment of the questionnaire. At the same time, they were secured of the

confidentiality of their responses.

Right after the questionnaires were answered and collected from the

participants, data would be tabulated, analysed, and presented for the realization

of the purpose of this investigation.

The researchers would use Moustakas’ (1994) modification of the Stevick-

Colaizzi-Keen method of analysis to analyse the phenomenological data. Listing

all statements relevant to the participants’ experience is necessary. In this

process, known as horizontalization, each comment held equal value. Followed

by, listing all non-overlapping, non-repetitive statements. These statements were

the invariant horizons of the experience. Then, the researchers would group

invariant horizons into themes. And later would use the invariant horizons and

themes to construct an individual textural description of each participant’s

experience, including verbatim examples. Then, the researchers would construct

an individual structural description of each participant’s experience drawn from

the individual textural description and imaginative variation. Followed by,

construction a textural-structural description of the meanings and essences of

each participant’s experience, including the invariant constituents and themes.

Lastly, the researchers would use the individual textural-structural descriptions to

develop a composite description of the essences of the experience for all

participants as a whole. This description was the heart of the lived-experience.

Chapter IV

Presentation, Analysis, and Interpretation of Data

In this chapter, the researchers will analyse and interpret the data

gathered from the participants.

The main goal of this study is to get the barangay administrator’s insights

about the database implemented in Barangay Batangas II, Mariveles, Bataan.

To keep the participants identity, the researchers choose to use

codename such as Admin 1 and Admin 2.

Their answers will be presented in narrative form with tables.

Table 2 shows that the participants’ perception about database when it

comes on how it saves time is very clear. Database system eases their work and

In table 3, the researchers asked them to rate their satisfaction from the

scale of 1-5 and the result is almost the same, both participants rate database by

1. Because first you have to find the format the client asked

to get new file you’ll have to start over again.

they have dealt with the same client before. They also say that the record of the

clients are scattered in the office and not sorted.

In the 8th table, it shows that the two (2) participants agreed that the
database is safer in keeping than the manual-based system. The two (2)
participants said that, the database system is safer than manual-based system,
because the database system has its own security system that makes the files
safe.

Admin 1 Database is more efficient in sorting files than manual- based


system, because even in large amount of files it is easy to
sort.

Admin 2 Database is more efficient in sorting files than manual- based


system, because in manual- based system you need to sort
the files manually but in database just one click it’s already
arranged in any order you want.

Table 9 shows that the database is more efficient in sorting than manual-
based system, because the database system can store large scale of files and it
can also be sorted. With the use of database the files is easy to sort and it is
convenient to use for sorting the files.

Admin 1 I can say that my experience in using database system is


difficult but this makes me to improve my performance.

my first time but after a month I can use the database easier.

In the 10th table, the participant’s insights about how was their experience
in operating the database system, both of them said that operating database is
difficult. Also the database system is one thing that makes their performance
improved and developed.

traditional way they work in manual-based system. The database system is more
efficient compared to manual-based system in terms of overall performance of
the participants.

Chapter V

Summary, Findings, Conclusions and Recommendations

This chapter presents the summary of the findings, conclusions and

recommendations based on the data analyzed in the previous chapter. Some

limitations have been identified. The insight of the office administrators at the

Barangay Batangas II, Mariveles, Bataan about the database system have been

determined.

Summary of Research

The focus of this research is to determine and understand the insight of

the participants about the database system implemented in the Barangay

Batangas II, Mariveles, Bataan.

Specifically, it aims to answer the following:

1. How do the participants describe the manual system in compare to database

system in terms of:

1.1 time consumed in input/output of information;

1.2 safety of the files; and

1.3 managing files?

The background of this study was done by studying the literature related

to the phenomenon internationally and nationally. The background of the

research problem covered the features of database system and its impact to the

performance of the participants.

Hence, the objectives of this study are to:

 Know how the participant describes the manual system in compare to

database system.

 Know how efficient the database system is.

 Know how database system affects the performance of the participants.

The research approach used in this study was a qualitative,

phenomenological research approach (Husserl 1938).

The research participants were the office administrators of the Barangay

Batangas II, Mariveles, Bataan. The sampling method used in this study was the

purposive sampling method, as it was believed that the most important

information to answer the research questions could be obtained from this

sample. The number of participants who took part in this research was two (2).

Interviews were conducted with two (2) participants using a formal interview.

The interview schedule was coded for easy analysis. The findings were

presented and discussed in chapter 4 by making tables.

Findings of the Study

Comparison of Manual System and Database System. The findings of

this research revealed that the participant’s answer in comparing the manual to

database system almost the same. They both say that:

1. Manual-based system took so long to finish a single procedure in

compare to database.

2. Hard copy record files in manual-based system scattered around the

office while in database system, file are automatically saved after the process but

it is very important to keep the computer from any viruses.

3. Since the files are scattering around the office it means files are not

sorted, unlike the database system, files are automatically sorted alphabetically.

It is very clear that the database system eases the work of the participants

based on their perception

Efficiency of Using Database System. According to the findings of this

research, the efficiency of the database system in terms of time consumed in

input/ output, safety of the files and sorting files is more efficient compared to the

previous or traditional manual-based system.

Effect of Using Database System to the Job Performance. Based on

the findings of the study, the performance of the participants in traditional manual

system is different from the processing in the database system. The database

system helps the participants to developed, enhanced, and improved their overall

performance.

Conclusion

Based on the findings from the given insights of the participants, it can be

said the database system gives huge improvement to their performance,

especially in keeping the files safe and organized. It also lessens the time that

participant used in doing all the procedures in making different types of files and

documents. Overall, the participants’ perception about database is a way better

than the previous manual-based system.

Recommendations

This study aims to know the insights of the administrators at Batangas II,

Mariveles, Bataan. With the use of the participants’ insights, the researchers

recommend the following:

1. The researchers recommend to use the specific computer by the authorized

person only for database purposes only to avoid any virus assault.

2. The participants may also use an external hard drive for storing backup files.

3. Install an anti-virus in the specific computer for database.

4. Do not insert any kind of device that may or can cause of virus assault.

5. The participant needs to learn more about database.

6. Assign a person who has knowledge in using database.

7. Further research on the effect of using database system must be undertaken

in the future.
