The main object of this research is to recommend a new system for CCS department that

can give advantage and efficiency in tracking information when implement. Advantage of the

newly implemented program. Instructor takes longer time in Monitoring the Attendance of the

students. We take a deep study of the newly implemented program and deliberate its features

thoroughly.

We come to up a solution that will aid the problem of the instructor in checking their

attendance. We create a system that will monitor the attendance of the students.

As we observed schools staff and personnel consumed long span of time in monitoring

the attendance of the clerks. We took a deep study, and came up to an idea, to create a program,

and deliberate its features thoroughly.

This system can help ease and lessen time, in checking attendance, searching for

files, looking for archives, tracking documents and so forth. It`s hassle free and one click away.

Chapter1

INTRODUCTION

Nowadays, many schools are using a manual monitoring system and most of the time

they accidentally loss there attendance sheet that hinder the proper monitoring of attendance of

their Clerk.

Attendance Monitoring System serve as a gate pass management system by inputting

their user name and password that will monitor the presence of the Clerk of the School. This will

lessen the work of the school personnel in checking the identity of every Clerk. It maintains the

daily record of the Clerk in logging in and out from school. This study was conducted for the

enhancement of the existing manual attendance recording in form of a fully developed

monitoring system of University of the Visayas Main Campus.

In this study, the proponents aim to provide a better way of monitoring the attendance of

University of the Visayas Main Campus. In order for the administrator to handle faster and easy

way of recording monitoring, and participant of the clerk. The program aims to provide better

results of Attendance Monitoring System that addressed the school needs.

Theoretical framework combines the idea and it`s proponent to the stated system. The

study of this procedure is important because many school encountered the same problem during

their attendance monitoring. This may act as a stepping stone to have a more organize and

productive system in the future. This study precedes other schools to be innovative involving the

use of online system inside the campus that can surpass for every generation, ahead of time.
Background of the Study

The University of the Visayas was founded by the late Don Vicente Gullas in 1919 as the

Visayan Institute (V.I.) in Cebu City. It was not until 1935 that the Visayan Institute moved to its

present site in Colon St. The Second World War, however, razed to the ground the physical

facilities of the VI but undaunted by adversities, Don Vicente Gullas reopened classes in Argao,

Cebu in 1946. A year later the VI moved back to its present site in Colon Street where the

buidings of its main campus now stand as a historical landmark in the City of Cebu.

In 1948, the Visayan Institute was conferred a University status by the then Bureau of

Private Schools, the first to become a University in Cebu. The VI was renamed as the University

of the Visayas. From that time on, the expansion in its baccalaureate and post graduate course

offerings and its physical facilities has been phenomenal. From an initial enrollment of 37

students and only a high school department the VI evolved into a University with an enrollment

which at one time in the 1980’s peaked at 29, 000 distributed throughout its various campuses.

General Problem

Based on the studies conducted in the University of the Visayas Main Campus the

researchers found out that there manual attendance system consumes a lot of time.

Specific Problem

The following are the specific details identified in the problem:

• Time consuming in checking the attendance

• Administrator might loss the attendance sheet

• Erasures/Tampered

General Objectives

The researchers analyzed the problems when it comes to attendance. They planned and

proposed a system that can solve the problems of the school.

Specific Objectives

• To lessen the time

• To avoid losing of attendance sheet

• To avoid erasures and tempering


Significance of the Study

The proposed system will benefit the following:

Administrator- It will help to organize the record and monitor the faculty member's attendance.

Clerk- Their attendance will be counted properly.

Proponents- It can help the proponents to learn more and enhance their skills in programming.

Future Proponents- The study enhances the knowledge of users in the advancement of

technology this study will provide contribution for educational purposes.

Scope and Limitation

Scope

The study will focus in the monitoring of the teachers attendance of University of the

Visayas Main Campus. The proposed system will help the administrator to monitor the Clerk of

University of the Visayas. The system can provide real time of the Clerk time in and time out.

The system holds the information about the Clerk time in and time out from the school and only

the Administrator can see the Clerk attendance. If the Clerk input his/her user name and

password it is automatically registered as time in or time out. The Clerk will be automatically

mark absent if he/she didn't time in or time out during the day.
Limitation

The proposed system has limitations like other programs. Computer hardware damage

and problem caused by power interruption are not controlled by the said system. It has no online

features and capabilities, nor handle human error the system designed only for attendance

purposes intended for clerks daily participation.

STUDIES REVIEW of RELATED

Local

LAN-Based Time keeping and Payroll using Biometrics for Blanco Family Academy

In this study, the researchers to provide a better way of monitoring the attendance of

Blanco Family Academy, where the staff and the manager can handle a faster and easy way of

recording and monitoring their daily Attendance. Only the Admin, HR and Accounting

department has the authority to use the system to manipulate records. The system will provide a

reliable and efficient way in Time keeping activity. The study aims to produce a result of Time

keeping and Payroll System that can accommodate the needs of the company.

Automation of time Attendance System

John Aquilan made a comparable thesis entitled “Automation of time Attendance

System” in 2004, that stated the automation of time attendance records, time in and time out of

every employee using barcode system. It tends to eliminate the manual recording system and

attendance and also include salary computation of each employee based on time and attendance

reports.
Biometrics Technology Implemented in PNP

The Philippine National Police (PNP) also made by the international crime detection

technologies in the market, the said Philippine agency decided to adopt Automated Fingerprint

Identification System. Via the technology, PNP staff and experts are able to authenticate unique

body demographics, such as fingerprints in the particular case. The technology was used

however by first building an initial database of 210,000 fingerprints. PNP actually used the said

technology in order to identify two “chop-chop” victims who’s mutilated bodies were found

dumped in several areas in Quezon City and Muntinlupa.

Time and Attendance Software

It is a software-based time and attendance system that allows the user to collect and

organize employee time data simply and accurately. You can use Time Force to easily and

efficiently track your employees time and profiles, manage your time, eliminate buddy punching,

male employee scheduling, to reduce stress and time with payroll.

Radio Frequency Identification (RFID)

Most educational institution’s administrators are concerned about student irregular

attendance. Truancies can effect student overall academic performance. The conventional

method of taking attendance by calling names or signing on paper is very time consuming and
insecure, hence inefficient. Radio Frequency Identification (RFID) based attendance system is

one of the solutions to address this problem. This system can be used to take attendance for

student in school, college, and university. It also can be used to take attendance for workers in

working places. Its ability to uniquely identify each person based on their RFID tag type if ID

card make the process of taking the attendance easier, faster and secure as compared to

conventional method.

Automated Computerize Process

According to Thomas Primer on his article, in Readers Digest Magazine, May 2005,

Page 45, for many businesses automating the collecting of employee attendance data when

employees begin their shifts is still a manual process. Even business that has automated or

computerized processes such as scheduling, inventory, purchasing, general ledger and payroll

processing still use manual method such as time cards sheets to collect time and attendance data.
Chapter 3

Research Methodology

SDLC-The Software Development Life Cycle (SDLC) (referred as the system

development life cycle) is the process of creating or altering software systems, it`s models and

methodologies that people use to develop these systems. In any people lifecycle, technology

ways a tremendous role in everyone’s success. This is also a scientific method that we use and

can be applied to any kinds of problems. The SDLC consist of five phases which are planning,

analyzing, designing, development and implementation phases.

A. Planning Phase- We planned to develop a system which could help solve their problems by

creating techniques to manage the Clerk information such as their daily time record.

B. Analyzing Phase- By observing those primary problems they encountered, we can be able to find

a solution for systematized method.

C. Design Phase- We developed an alternative approach to the design. We design a system that can

easily be use, accessible, and fit for user’s perspective.

D. Development Phase- We developed a system that can help the University concerns, regarding the

update in their manual system.

E. Implementation Phase- It is where the planned and orderly conversation from existing system to a

new system.
Research Respondent/Subject

Mr. Alan Felicano is our only respondent in our research who gave us all the

information’s needed regarding to their current system.

Instrument

There are varied techniques and instruments which the group used to gather data’s and

information for our research studies. The group used direct observation to the institution, Oral

interviews to the respondent, some research materials and research work of the students before

which serves as our guide and format for our thesis.

Direct Observation to the Company

We went to their place to see directly and observe the problem which they have

encountered. Through this, we were able to formulate and decide on the things we will do to help

the company.

Oral Interviews to the Respondent

Interviewing the respondent would be more accurate and reliable in gathering the

data’s needed. In this way, we would easily know the advantage and disadvantage of the

current system they are using and could propose a more systematized way that would be

subject for their approval.
