ABSTRACT

This study was conducted to develop a Web-based Grading with


Grade Access Management System for Infotech Development Systems
Colleges which improve the grading process and transaction of the
institution. It includes efficient managing of students’ record
and computing of grades; efficient process of submitting and
viewing the student’s grades online. It was proposed in replacement
of the manual system of the institution for it to have an organized flow
of transaction and an ease of work especially to the teachers and
administrator/registrar of Infotech Development Systems Colleges. The
respondents of the Institution survey are the Registrar, Asst. Registrar
and the faculty members. Based on the findings, the following conclusions
were drawn: The Infotech Development Systems Colleges Inc., the managing
and computing of grades seemed to be at the average level that used only
Microsoft Excel, the professors submit their student grades manually to the
registrar as well the students are forced to go to school to inquire their
grades. The researchers found that the manual system needed to automate the
process and the secure of data. These study is concerned on how the manual
system performs throughout the institution’s transaction. The numerous
transactions that the manual system covers are inefficient for the needs
of their institution. Since the study involves proper and efficient managing
of records and computing of grades; efficient process of submitting of
grades and inquiring of grades of the manual system is essential. Thus, the
proponents gathered necessary data that will help in the progress of
enhancing the existing system of Infotech Development Systems Colleges Inc.
(IDSC).
Chapter I

BACKGROUND AND ITS SETTING

1.0 Introduction

The World Wide Web is becoming an increasingly popular and


effective medium for delivery of instruction. Institutions are
providing on-line admission course registration, tuition payment
and other administrative tasks. Teachers can submit grades, and
monitor student progress over the Internet. In this work, we show
Web technology can be used to develop a software system for
automatic management of grading. We present a Web-based Grading
with Grade Access Management System that provides an environment
for management of grading and transaction.

The whole idea about this project is to enable the professor


create and submit the students’ grades online, enable the students
access their grades and the school administrator to have the full
control of the information on the Web. Based on experience, many
students are having trouble of viewing their grades because
sometimes the professors are not submitting their class record on
time and sometimes it even gets to the point that the first month
of the next semester is already done but they still don’t get to
see their class cards.

The proponents of this study wish to reduce the workload by


eliminating the need for manual managing, computing, and
submitting of each grade to the registrar as well to students who
want to inquire their grades. As such, this paper aims to produce
a workable Web-Based Grading with Grade Access Management System
that will address these issues.
1.1 Background of the Study

Infotech Development Systems Colleges is a private school


located at Natera St. Dunao, Ligao City. It is a four storey
building and compose of 20 classrooms. The school maintains a small
staff of teachers and personnel as compared to its growing
population. There are teachers or faculty members handling as much
as four different subjects. Majority of the teachers handle three
different grade or college levels. Teachers use the manual way of
handling or managing student record, computing grades using
Microsoft Excel, manual submission of students’ grades as well the
students are forced to go to school to inquire their grades. The process
entails a lot of effort and by storing of data manually the process
is prone to error especially for the teachers who handle two or
more classes. By using the manual way of managing student records
and generating of grades using Microsoft Excel, it could be tedious
for the teachers especially there are many students they handled
in every subject. We’d chose this school to be the topic of our
study to help the teachers to make proper and efficient managing
of student records, computing and submitting of grades easier. It
will also benefit the students to access or view their grades via
online and the registrar to access the records for both teachers’
and students’ grades easier.

1.2 Statement of the Problem

Infotech Development Systems Colleges is currently using the


manual managing of students’ record (being prone to error is
possible), computing grades using Microsoft Excel, manual process
of submitting grades and manual process to inform the students of
their grades which is time consuming. Manual process of retrieving
and releasing of records is very slow. Security and organization
of records is also a problem in the manual process of operation
and lastly the faculty and students are forced or required to visit
the registrar’s office to submit and inquire for grades which
entails transportation expense to both the faculty members and the
students as well.

With the aforementioned problem, the researchers will propose


to design and develop an information system that will address those
issues and concerns, thus the Web-based Grading with Grade Access
Management System will be a very big help to the institution.

The purpose of this study was to determine the proposed system


will impact the process of information of the school and how it
will affect it. More specifically, it seeks to find answers to the
following questions:

1. How to create a system that will display the students record?


2. How to promote automation awareness by reducing (if not
eliminating) manual tasks.
3. How to create a system that will automatically compute and
access student grades?
4. How to create a module that will secure and maintain the
integrity of each data in Infotech Development Systems
Colleges Inc.?
5. How to create a module that will print the grades of
students?

Figure 1 shows the causes and effects of the project. The


main problem shows the solution needed through the manual process.
The causes may have managing record, computing and submitting of
grades, expenses for transportation, manual inquiry and others
that might be cumbersome and tedious to individuals. For the effect
it shows that this project may result to a much easier way of
management of the processes and services regarding students’ grade
records.

1.3 Purpose and Description of the Study

Web-based Grading with Grade Access Management System has the


capability of managing grade records systematically of the
students by providing a user-friendly interface and easy access to
needed information and modern storage of data; enabling the
teachers to generate and submit their students’ grades online, the
registrar to have the full control and access of the system as
well to students who want to see their grades online thereby
reducing the tedious tasks of the users involved and eliminating
human errors.

1.4 Locale of the Study

Infotech Development Systems Colleges Inc. is in Natera St.


Dunao, Ligao City. It has several courses offered and has a quality
academic service.

It is a private school and compose of 20 classrooms. It


maintains small staff of teachers and personnel handling grade and
college levels.

The researchers conducted this study at Infotech Development


Systems Colleges Inc. (IDSC) located at Natera St. Dunao, Ligao
City, Albay province of Bicol Region V.

The respondents of this study are the Registrar, Asst.


Registrar and three (3) faculty members of the school.

1.5 Objectives of the Study

This study aims to improve managing, computing of grades, and


submitting of grades to the Registrar’s office of Infotech
Development Systems Colleges by developing and designing Web-based
Grading with Grade Access Management System that will be secured
and reliable in managing the records. Specifically, the study aims:
To convert the manual process into online based application; To
provide computerized record handling of students’ grades for
Infotech Development Systems Colleges; Provide an automated system
that will let the students easily access their grades online.
1.6 Scope and Delimitations of the Study

The main beneficiary of the project is Infotech Development


Systems Colleges. The system will allow the students’ records to
be handled or managed properly and generate the grade on time
report; to submit the students’ grades online as well an efficient
grade access or viewing for students’ grades. It also allows the
user to access and manage the students’ record at any of the
convenient place and time suitable to the users. The system has
a security feature of which the administrator, professors and
students are required to log-in before getting into the system by
typing the username and password.

The system will hold users: the administrator, the teachers,


and the students. The administrator will hold the capability to
provide respective user access rights. The administrator also
holds the capability to manage the entire system by uploading
courses offered, students records and the assigning of teachers to
the respective courses being handled and possesses the capability
to view and print the students’ grade records including teachers
who are assigned for a particular course.

The teachers on the other hand hold the capability to manage


students by computing and submitting of grades including prelim,
midterm, pre-final and final grade to the administrator.

The student will only have the means to access or view their
grades.

Despite its capabilities the system does not have the


capability to provide password recovery; Teachers and students
cannot print the grades; Students’ grades cannot be edited by the
professor once it has already verified and sent to the
administrator or registrar.
1.7 Project Planning

The planning activity encompasses a set of management and


technical practices that enable the software proponents to define
a road map as it travels toward its strategic goal and tactical
objectives.

Work Plan

 Communication

By giving them a questionnaire. The researchers conducted a


survey to know how users accomplish their tasks as well as to know
about the plan for the project. Communication of how the plan will
work, the basic structure is to create and conducting a plan to
divide and provide ideas for the project. It helps the proponents
to improve unity and understanding by means of communicating
through each side to give a better plan for the project. By means
of communication the plan for the project helps the proponents to
satisfy and give the needs of the user for a better feedback and
ideas.

 Planning

By conducting a work plan that will help us monitor the whole


process of the school based on how the project will work for the
data process, design and implementation of the project. Planning
oh how this project can be better, helpful and useful for the users
to serve as a guide. By means of project planning the proponents
conducted the process of the school.

 Modeling

The proponents use the design to develop the modelling phase


for every diagram that consists of the business process flow, DFD,
screen design as well and more. It also includes the data
dictionary for the input and output of the data and its
relationship that implement for the project.

 Construction

The researchers construct and provides the program coding which


serves for the validation, verification, Sub Levels, Program
flowchart for the modelling phase diagram of the project. Every
diagram consists of input and output that serves for every phase.

 Deployment

The proponents use the last and final output for the project
that includes the Unit testing, Integration testing and System
testing. The results show the plan workout for all the testing
that the proponents conducted on the final output of the project.

Figure 2 shows the processing and managing of the students’
grade records that illustrates the process of the data server on
how the user will handle and use the system. Arrows show the
process for those inputted and outputted. The picture represents
the professors’ and students’ information as well its grade records
that are saved in the database; the security that will ensure the
privacy and security of every record of data. The administrator
will input all the necessary information needed for the submission
of grades. The admin can access all the information over the
system, add, delete, remove and even update the data and create a
pre-made account for the users involved. Lastly, the grades of
students can be sent and can be printed by the administrator as
well the students to access or view their grades online.

1.8 Significance of the Study

This study aims to help the process of managing, computing


and submitting of grades in the Registrar’s Office and improve the
system to provide fast and easy ways of accessibility of records
and for the students of Infotech Development Systems Colleges to
manage the student grades.
This study is significant to the following:

Students. With the grade viewing feature of the study, the students
can now view or access their grades online.

Professors. Professors would be able to record, compute and submit


the grades of their students faster thereby lessening their
workload.

School Administrator. School Administrators no longer have to re-


compute the grades of each student to check on their accuracy.
Accessibility of records is easy. Reports such as grading sheets
and class records can be submitted on time.

Future Researcher. This Web-based Grading with Grade Access


Management System may serve as a reference for the future
researchers for the improvement of the system in the near future.
This study will serve as training for the proponents, to enhance
their skills in web development.
1.9 Operational Definition of Terms

The following terms are defined meaning for a clearer


understanding of the study.

Administrator – in this project, administrator will have the


full access of the system for a better security purpose and other
related matters.

Data – in this project, distinct information that is formatted


in special way. Data exist in a variety of forms, like text on
paper or bytes stored in our electric memory.

Database – in this project, it serves as the storage of all


student grade records and other teachers and students information
in the class for the institution use.

Grading System – in this project, it is the evaluation of


performance by assigning a grade.

Grade records - The grade records of the student for the


subject as computed by the teacher and that appears on the student
report card. It is determined by the sum of all ratings for the
different grade components divided by the total number of grades
components.

Infotech Development Systems Colleges (IDSC) – in this study,


it is a private school in the province of Albay. It is the main
beneficiary of the project.

Management System – in this project, is a set of


processes and procedures used by an organization to ensure that it
can fulfill the tasks required to achieve its objectives.
Record – in this project, it refers to all the information
entered in the system such as the students’ grades and other
related information.

Server – computer that provides data onto the database.

Users – in this project, these are the users that are


registered by the administrator or root user with privileges in
the system, it can be anyone.

User Access Rights – in this project, these are the users who
have the right to access the system set by the administrator.

Web-based System – in this project, any information system


that uses Internet web technologies to deliver information and
services, to users or other information systems/applications. Its
main purpose is to publish and maintain data by using hypertext-
based principles.

World Wide Web - an information system on the Internet which


allows documents to be connected to other documents by hypertext
links, enabling the user to search for information by moving from
one document to another.
