Chapter 1 Event Management

Events have been part of human history since prehistoric times when cavemen would gather. Modern event management emerged as an industry in the 1980s. There are various types of events classified by purpose, number of participants, frequency, and impact. Event management involves planning events in various fields like civic events, conventions, exhibitions, fairs, festivals, and sports. Key terms in event management include meetings, conferences, congresses, conventions, seminars, workshops, exhibits, fairs, festivals, and parades. The event industry in the Philippines is a young but growing sector that has its roots in advertising and public relations. Event managers typically learn on the job by planning events and learning from their successes and mistakes.

History

Two perspectives:
o A special event is a one time or infrequently occurring event outside normal programs
or activities of the sponsoring or organizing body
o To the customer or guest, a special event is an opportunity for a leisure, social or
cultural experience outside the normal range of choice or beyond everyday
experience
Events are planned and are always planned to be specials
Common characteristics:
o Are unique occurrences that do not happen very often
o Have a limited duration
o Happen with a live audience in attendance
o Require one or more groups to plan and organize
o Are staged for a purpose
Meaning of Event
 Event are unique happening that bring people together for a purpose
Definition of Event Management
 A function requiring public assembly for the purpose of celebration, education, marketing and
reunion
 The process that includes research, design, planning, coordinating and evaluation of events
Types of Events
Classified:
1. According to Purpose: The C’s of Events
a. Celebrate - life’s milestone and accomplishment and to perform ritual
 Life cycle events (Birthdays)
 Religious Rituals (Baptism)
 Commemorative Ceremonies (Graduation, promotion, awards)
 Socio Civic Events (founding anniversaries, feast and festivals)
b. Commune - strengthen bonds of friendship and restore relationship
 Reunions
 Hallmarks event - bring people and culture together
c. Convene - share and pass on knowledge among peers and colleagues
 Meeting
 Conference
 Conventions
d. Commerce - to market and promote product offering
 Marketing Events
 Exhibit and Trade Shows
2. According to the Number of Participants
 Range from limited board meeting to wide scale
3. According to Frequency
 Monthly, Quarterly, Semestral, Annual, Biennial
4. According to Magnitude of Impact
 Range from limited board meeting to wide scale

 Event management has evolved to become the profession that plans and creates occurrence
that purposely bring people together

The International Dictionary of Event Management for Definition (Goldbatt, 2001)
 Meeting
o An assembly of individuals gathered to discuss items of materials interest
o Engage in professional development thru learning activities
 Conference
o A participatory meeting defined for the discussion of subjects related to a specific topic
or are. May include fact finding, problem solving and consultation
o An Event used by any organization to meet and exchange views, convey a message,
open a debate or give publicity to some are of opinions on a specific issue
o An assembly of a large number of individuals to discuss of mutual interest or engage in
professional development through learning
 Congress
o A scheduled, periodic meeting of delegates or representatives of interested group to
discuss a subject
o The European term for convention
 Convention
o General and formal meeting of a legislative body or social or economic group to provide
information of a particular situation and to establish consent on policies among
participants
 Foreign Meeting
o Meeting comprised of attendees from other nations
o Also know as international meeting or institute
 Seminar
o A lecture, presentation and discussion under guidance of an expert discussion leader
allowing participants to share experiences in a particular field
 Workshop
o A training session in which participant develop skills and knowledge in a given field
 Exhibit
o All of the display materials and products housed in a booth or stand
 Exhibition
o A display for public view product or promotional materials for the purpose of PR, sales
and marketing
o Also know as exposition industrial show or trade show
 Fair
o A public celebration that include commercial and civic activities
 Festival
o A public celebration that convey, thru a kaleidoscope of activities, certain meanings to
participants and spectators
 Parade
o A moving pageant including floats, bands, individual entertainers, and dignitaries
 Event Marketing
o Process that integrates a range of marketing element and a central event sponsorship or
lifestyle theme activity
 Advertising, Sales promotion, PR, for a Cause
Event Industry (Philippines)
 Is still young but rapidly rising industry
 Roots in the advertising and PR industries
 Event Manager
o Learned to manage events as part of their job
o Learning for the hits and misses that they made
o Learn the business by planning its own event
