Assessment 2/Financial Calculations

Andrew has been buying and selling timber slabs for some years and has recently started repairing

furniture. All of Andrew’s business transactions are recorded in a cash receipts book, but Andrew wants

to start using an Excel Workbook to record the transactions.

You have been hired as a contract bookkeeper to create a Workbook to record the transactions in, and

then the company’s transactions for July into this.

Andrew intends to enter the transactions into the Workbook himself in the future, and part of your job

will be to demonstrate some of the Workbook’s features to Andrew.

The company is adopting a policy that all transactions are to be electronically filed and stored in

spreadsheets at the end of every month, and that a simple line graph be created to display the

company’s profit or loss for every six months period.

Complete the following activities:

1. Create an Excel Workbook to record Andrew’s Slabs’ transactions.

The transactions Workbook needs only the following three Worksheets:

 A Worksheet for income of July;

 A Worksheet for expenses of July;

 A Worksheet that displays a line graph of the first half of the year’s monthly profit and

losses;

Save this file as Transactions Workbook.

2. Enter the data from Andrew’s Slabs Transactions into the Workbook.
When you have completed entering the date, re-check all entries and formulas in your

Worksheets, ensuring that the calculations are correct.

Before closing the Workbook, confirm that the Worksheets and the data that you have entered

meet the task requirements.

3. Write an email to Andrew (your assessor),

The text of the email should be in grammatically correct, and in an appropriate style (polite and

businesslike).

It should introduce and summarize the contents of the attachments.

The text should ask Andrew to verify that the data in Andrew’s Slabs Transactions is correct and relevant

for the calculations that you have performed.

It should also ask for an appointment to show Andrew the accuracy of the Workbook.

Attach your transactions Workbook to the email.

Your assessor will reply to your email with the date and time of an appointment.

Dear Andrew,

I am Sanaa, your contract bookkeeper for your company to record the transactions.

Here, you will find an attached document for your July transaction records for expense and

income. In addition, there is a line graph shows what was your profit and loss in recent months.

Please, ensure every data in the transactions are correct and accurate.
I am kindly asking your available date and time for the meeting when we can discuss about the

workbook.

4. Demonstrate your Workbook to Andrew (your assessor).

Your assessor will be roleplaying Andrew, who wants you to explain your Worksheets to him. He

will also want you to check the calculations with a hand-held calculator. Ensure that you have

access to a hand-held calculator at your workplace.

Your assessor will also ask you to describe typical computational errors and ways to check for

errors.

Dear Lkhanaasuren,
 
As discussed in the meeting, I do not need line graph to show profit and loss. I would like to
have only one WorkSheet for each month, with the income and expenses for each month both
on the one Worksheet.
 
Please also take note on below requirement:

 I want a template for the whole financial year from July-June.


 I want empty grids placed in each Worksheet for August onwards, with the formulas
already written into it.
 Each Worksheet should have a total profit or loss for the month calculated
automatically.
