Standard Purchasing Specification

Standard Purchasing Specification (SPS) are documents which are drawn up for every commodity
describing exactly what is required for the establishment. These standard purchasing specifications
will assist with the formulation of standardized recipes. A well planned specification is drawn up
which, once approved, will be referred to every time the item is delivered. It contains guidelines
related to weight, size, shape, quality, grade, etc. A copy of SPS is often given to the supplier and the
storekeeper who are made clear as to what is needed. These specifications assist a lot in the costing
and control procedures.

Commodities that may be specified:


GROWN (Primary): butcher’s meat, fresh fish, fresh fruits, vegetables, cereals, milk, egg, etc.
MANUFACTURED (Secondary): bakery goods, dairy products, etc.
PROCESSED (Tertiary): frozen foods (e.g.: meat, fish, vegetables, fruits), dried foods, canned foods/
goods, etc.
It can be seen that for any food product the primary specifications should be focused on raw
materials, ensuring the qualities of these commodities, without which the secondary and tertiary
specification is useless. For example: to specify a frozen ribs of pork,
Primary specification should be how old the pork should be and its weight;
Secondary specification should be good well cured, measured ribs should be prepared;
Tertiary specifications should be proper portioning and packaging for freezing.
