What is SOP?

• Standard Operating Procedure is a set of written instructions that document a routine activity
within the company/division/work group
• Describes operation of certain work or job in order to ensure its quality
• Set of compulsory instructions, systems, procedures, or steps, which is written so that other
individuals can follow or complete the job safely

Who needs SOP’s?

• The person who will perform a particular job. Everyone in the company. Analyst

When do you use SOP’s?

• Everyday
• In preparation of audit/review
• Orienting new staff
• Annual training

Where do you use SOP’s?

• Training new staff


• Guiding al staff in daily processes
• Monitor’s review (confidential documents
• Regulatory body’s review

Why are SOP’s important?

• Describe how to perform routine activities


• Provide a training aid
• Guide and standardize working procedures
• Ensure quality and integrity of data generated/information captured
• Reconstruction/repeatability

How to write SOP’s?

1. In order to produce the necessary action required by people should be standardized. Need
guidelines to follow. It needs to be systematic. Must have rules and policies to follow
2. If every time, procedure is different, it most likely not to be approved or improved. Make sure
to have product consistency. We need to follow procedures to obtain same quality of
products that we will produce in market
a. Process description- based on production department. To describe work processes from the
beginning of the work. What to do next, and at the end of the procedure
b. SOP preparation- processes, equipment, and how to make it safe.
c. Organization discussion- discuss all the procedures you have done
d. SOP revision
e. SOP Test run- test if suitable for implementation. If there is a problem occurring during test
run, you need to go back to the organization discussion, you need to take action to the
problem you have encountered. If no problem anymore, it will be then approved
1. The key factor
• environmental factors (factors related to operations)
• Safety factors (according to requirement of the safety management system.
• Hygiene factors (according to HACCP)
• Quality factors (quality control factors, related to operation accordance with the
requirement of technical documentation

2. Related documents and reference – describe the documents and information that should be
known and familiar before reading and operating SOP
3. Equipment Diagram- show the main equipment involved in SOP (photos) and develop and
specify the number of equipment components (valve, pump, buttons)
4. Prepare before Operation – List all tools involved in the operation and cleaning the tools
• List of related records used for these operations
• Safety measures
• Describe the safety precautions
5. Steps – the content of the job should include the entire contents of the entire operation
procedure.
6. Common Faults and Simple Troubleshooting – understand the basics of operating and familiar
with the methods

- Methods and Tools Used
7. Emergency Handling – any operator must understand the action plan to be taken to avoid
unnecessary losses

- Emergency actions
- Special tip

EFFECTIVE WRITING FOR SOP:

- Keep language simple


- Short steps
- Use a direct instruction
- Indicate timescales
- Refer to other SOPs rather that re-write instructions
- Include flow charts, diagrams, and or photos
- Avoid making it too long
- Avoid writing in third person
- Level of details are important
- Explain acronyms
- Avoid unnecessary specifications
- Avoid alternatives
- Avoid ambiguity
- Use imperative sentences instead of passive voice

SANITATION STANDARD OPERATION PROCEDURE (SSOP)

- A written document of procedures or programs used to maintain equipment and the


environment in a sanitary condition for food processing
- This will help us eliminate all contaminants, help us clean and also refrain from all
microorganisms that can cause spoilage or illnesses.

• what is to be cleaned
• how it is to be cleaned
• how often it is to be cleaned
• what records are used to monitor the procedures

➢ An SSOP may be written for
• A piece of equipment
• Several pieces of equipment in a process
• An environmental area
• As a master sanitation plan for the whole facility

• Company name
• Date
• Version ID
• SSOP number (optional) Example: SSOP # 3, version 5 may be SSOP: 3.05
• Title
• Scope or introduction
• Frequency
• Procedures: Step by Step instructions
• Recordkeeping. Example: chemical concentration logs
• Person responsible for the SSOP content and updates
• Page numbers
