ACKNOWLEDGEMENT

First of all, I am grateful to the Lord Almighty for granting me the gift of life, vision, protection
and the zeal to carry out the internship successfully. I thank the management of Takoradi
Technical University for giving me this acquaintance to have a feel with experience and to apply
the knowledge gain in the lecture hall in this period of attachment in the corporate world.

I would like to express warm appreciation to management of Metro Mass Transit Limited for
accept the attachment letter and granting me the opportunity to perform an attachment in their
noble organization for such a wonderful experience. A special thanks to Mr. Isadore Armah
(Executive Director), Mrs Peggy Sam (Administrator) and Mr Prince Kumanya for spending
their valuable time to guide me. I also appreciate the staff for the help and peaceful existence
during the attachment.

Eventually, a profound gratitude to my parents for the support and motivation with their finances
during the internship.The experiences and new lessons gained at the department has educated
and helped me to apply the theoretical part earn in the lecture hall to the corporate field.

To the Lord Almighty who has been my strong hold, my lovely family for making it possible for
me to undergo this attachment, the love they showed and the support given me and a big thank
you to the management and staff of Metro Mass Transit Limited.

CHAPTER ONE

INTRODUCTION
The industrial attachment training is an essential component of Takoradi Technical University
which is fulfilment of the requirements which leads to the awarding of National Higher Diploma.
Students are required to undergo an industrial attachment programme during their long vacation
under which the students are expected to acquire additional practical experience to supplement,
their programme of study in the Technical University. They are also exposed to the real world of
work and its challenges which also prepares them towards their future careers.

This report depicts the experiences, exposures and lessons learnt during the entire period of the
internship at Metro Mass Transit Limited . The duration of the attachment was from 16th August
to 24th of September. I was assigned to the communication unit which falls under marketing
department to assist in the day to day activities in the department but had the opportunity to

acquire knowledge from other departments .

OBJECTIVES OF THE INDUSTRIAL ATTACHMENT


According to the university, students will be exposed to industrial attachment to enable them
apply the concepts and theories learnt. They will put under supervision at the various
workplaces, and also be supervised by the staff of the university. The objective of the industrial
attachment among other is to help students understand and appreciate the extent to which
classroom theories are partially applied appropriately. Equipping students with the job
requirement skills needed at the work place and working with familiarity to serve the needs of
industry and the nation at large. Inculcating in the students an appropriate work approach and
skill through interaction with managers, work, colleagues and customers. The industrial
attachment as got individual benefit of liaising the Technical University students to the
industries, hence brightening the employment chances of the students in the University, gaining
work ethics, and to make the transition from school to the world of work smoothly to enhance
student contact for job placement.

THE ORGANISATION
Metro Mass Transit was founded in 2001 and has travelled over 158 million kilometers. Metro Mass
Transit has about 15 branches and travels intercity, intracity and rural and urban models concurrently.
Metro Mass Transit operates a comprehensive network of strong bus services across Ghana, linking
major towns and within cities of Accra and Kumasi.

Metro Mass Transit is designed to provide its passengers with urban bus comfort. Metro Mass Transit
has luxury buses for customers who want to travel directly from one point to the other with premium
features to make the trip enjoyable. Apart from transportation being its core service, Metro Mass
Transit also offers parcel delivery services to customers who may want to send items to loved ones or
business partners without necessarily travelling with their bus.

Metro Mass Transit Ltd was incorporated in March 2003 as a limited liability company under the Ghana
Companies code (1963) Act 179. 

Providing transport for all citizens and making Ghana a transport hub for the sub-region are the two
main policy goals of both the National Transport plan (2008) and Transport Sector Medium-Term
Development plan (2014 and 2018).

These national plans recognize the role of mass transport in the socio-economic development of any fast
developing nation and therefore the establishment of Metro Mass Transit Limited to lead the path
towards the re-introuduction of public mass transport system in Ghana

VISION STATEMENT

Metro Mass Transit Limited envisions is to be the most preferred Transport Company in the sub
region of Ghana.

MISSION STATEMENT

The mission of Metro Mass Transit Limited is to provide reliable, safe, efficient and affordable
mass transport service by road in the sub regions.

THE VARIOUS SECTIONS/ UNITS/DEPARTMENT

The organization in which I undertook my industrial attachment had the following departments;

 The Administration
 Communication and Marketing Unit
 Finance Department
 Projects
 Parks
 Internal Audit
 Traffics
 Legal
 Human Resources Department
 Technical Department
 IT Department
 Procurement Department

THE ADMINISTRATION

The administration also known as the general office is the main office of the organization. This
unit is where anything that concerns the administration and the wellbeing of the staff and clients.
This department delves into the affairs of both members of the staff and clients as well. being
held.

THE COMMUNICATION AND MARKETING DEPARTMENT

The communication and marketing department plays a vital role in promoting the business and
mission of the organization. It has its on mission to promote the use of the Kakum Conservation
Area, sustain customer satisfaction and enhance our corporate image through in service delivery
and effective marketing communication and vision to be the fulcrum for the organization
promotion, development, business growth , efficient service delivery and profitability. This
department mobilizes and disseminate of information to staff and stakeholders, monitoring and

managing social media and liaise with stakeholders and investors for business prospects.

THE FINANCE DEPARTMENT

This department as the name suggests is responsible for the financial affairs of the organisation.
It is the sole body that takes over the money that is derived from the Kakum Conservation Area,
payment of salaries of workers and other buying associated in the organization. There is also a
garden in front of the headquarters which is called Ato Austin Garden which is meant for hiring.
This department is in charge of the money that comes from the hiring of the garden. They are
also in charge of withdrawing and depositing of money that comes to the organization.

PROJECT UNIT

Project unit is another department of the organization that seek to creating of new projects and
products that will enhance the satisfaction of the clients and staff as well. The organization is a
non-governmental organization so it develops projects especially with infrastructure for less
developed towns and villages. This department is responsible for the upkeep and maintenance of
these projects proposed.

CHAPTER TWO

DESCRIPTION OF NATURE OF WORK DONE IN SECTIONS/ DEPARTMENTS.

The following are some of the duties that were being assigned to me during my stay at the
department of my organization. I was sent to work at the communication unit which forms part
of the Marketing Department.The first five points below are the work done at Metro Mass
Transit Limited during my period of attachment. It was a mixture of both administration work
and field work.

1 .ISSUANCE AND STAMPING OF RECEIPTS

This was one of the major duties that was assigned to me during my stay in the
organization. In the early weeks of my internship, I was oriented as to how to go about
things at the organization and was introduced to the various department about my stay in
to assist and also learn how things are done on the field. I was asked to stamp various

receipts which was brought for approval from my boss since I was new and was now
being assigned to the various work duties for my stay in at the organization for my
industrial attachment.

2. RESEARCHING OF INFORMATION

I was also assigned to research about any information concerning transport across the
world since there are a lot of transport service also known as their competitors, I was supposed
to get information for them to know what going on . And also to make them know about their
challenges about their service when they go out there . These information will also helped them
know their targeted audience and also their customers. I was also asked to gather information
from the various source since communication unit is the mouthpiece of the organization.

3. DRAFTING AND TYPING OF LETTERS AND MEMOS

The first task which was performed was drafting and typing of memos and letters for my boss.
Quite a number of letters were sent to different organizations and memos to the Executive
Director of the organization I was working in. Lessons derived from the communication skills
lectures really helped me in getting some tips in typing of both letters and memos at the office. In
this assignment, I was able to create reference number for each letter sent prior to the previous
letter and memo typed. These were done almost every day at the office unless there is no
message to be conveyed through the medium of letters.

4. SCANNING OF DOCUMENTS

In addition, another duty assigned to me was to scan the periodic daily, weekly and monthly
documents from the various departments or units before they can be filed. During my time with
the department, I was able to perform this duty for a maximum of one month two weeks .
Reports hailing from Accounts departments, those from Projects departments, others coming
from the Communication and Marketing department, those from the Administration department
and others. These reports are there and done so to enable the department to determine its
performance accessibility day in and day out. Not only that, I was also in charge of the scanning
of the previous which has been documented already. The Manager saw my capabilities and how
punctual and effective I am and handed all these duties to me.

5. FILING

Filing on the other was also another duty being assigned to me. I need to file every documents
and reports in their respective folders and destinations. The purpose of filing is to locate filed

documents easily. They are readily available for use as and when needed. Documents are needed
for reference purposes. They are also needed to provide legal evidence in case of disputes. It
helps increasing efficiency of office because filing helps in providing records in required time to
make quick decisions. Filing helps in protection of important documents from fire, dust, insects,
theft and mishandling. Previous records are base of past records and they are used as an
immediate reference. In filing process, I actually arranged the documents according to the dates
in which the letter or memo was sent to the office.

CHAPTER THREE

KNOWLEDGE OR SKILLS ACQUIRED


The experiences and new knowledge acquired during the industrial attachment helped to enhance
my studies through the following;

 It served as a form of inspiration and motivation to me, to enable me pursue the academic
course with determination and vision.
 It helped me to develop for professional work habits and skills.
 The attachment better prospect me for full time employment upon graduation.
 It re-equipped on in skills and knowledge obtained from the lecture rooms to the working
environment.
 It also helped in giving me the idea on how to go about or impact the knowledge when I
am to undertaken my project work.
 I have also acquired the habit of improving my communication and interpersonal
relations skills.
 Internship has enlightened me on how to reply messages from customers on the
electronic mail.
I also gained experience in working effectively and efficiently under little or no supervision at
all. I can confidently say however that this one month two weeks of industrial attachment really
helped me to advance both in knowledge and skill in the job market.

CHALLENGES

In spite of all the wonderful experiences during the attachment period the fact that there were
challenges cannot be left to go down the drain. Below are a few challenges faced and observed in
the department;

1. Difficulty in the use of some office equipment; the use of other machines such as the

scanner, photocopier and printer posed an appreciable degree of challenge to the intern
during the latter days of the internship since I was at the time comfortable with the
computer.
2. Getting along with some team members and staff; the first day reactions and some
awkward introductions made it difficult to get along with the tram of members and staff,
because fear of rude reactions that might occur. Overtime, I finally found a way to cope
with each and every one by observing and using the right words with the appropriate
manner to address each of them.
3. Financial challenges; issues with finances became a headache during the period of
attachment. The vehicle which took staff to work did not include interns and national
service personnel so we had to board our own car to work every week which added up to
the high cost incurred in undertaking the attachment.

CONTRIBUTIONS OF STUDENT TO THE ORGANISATION

During my industrial attachment at Ghana Heritage Conservation Trust, I participated in almost


every activity that was undertaken at the communication unit . The presence of the intern at the
communication unit brought relief to some staff members who were overloaded with work
activities. There were a lot of people who came to make enquiries about the services rendered by
the organization. I collaborated well with all officers in the office and the parks as well with
respect, integrity and self-confidence in order to yield expected positive results.

General meetings held, I did participate with creativity and maturity although initially not too
comfortable with the gestures and strong views which was shared in the meeting but nonetheless
made suggestions. I also participated in the organizing of flout organized by the organization
due to their due terminal given to them . These flout was made to create awareness to the general
public about their service.

GENERAL COMMENT, OBSERVATION, AND IMPRESSION

General Comment

Metro Mass Transit Limited is a very suitable institution for every student to undertake his or her
industrial attachment training. This is because the board and staff members have good inter
personal relationship and time to explain things into details for all students who may want to
know something about a particular department or what pertains in the scheme. I was impressed
about the attitude with which staff did their respective task. The behavior of staff was generally
good. Attendance to work was also good. Disciplinary issues were also dealt with
professionalism.

Observation

During my industrial attachment training at Metro Mass Transit Limited , I observed that the
organization lacks some resources such as common hall for staff, computers and other
consumables needed to enhance effective and efficient work in the organisation are also few.
Because of this, work do not go on fast as it is expected and keeps client waiting for long time
before they are being served.

Also there is always pressure at work premises as a result of few staff attending to a large
number of clients which always makes them dissatisfied.

Impression

I will first thank the Almighty God for given me the strength and endurance from the beginning
to the end of the attachment. I also appreciate the Management of the Takoradi Technical
University for making this industrial training part of our course. I give my profound gratitude to
the Management and staff of t Metro Mass Transit Limited for accepting me undertake my
attachment at their organization. My last gratitude goes to my school based supervisor, who left
whatever he was doing and came and supervise me during my industrial attachment. 

CHAPTER FOUR
CONCLUSION

It is worth concluding after a practical training that happened to me because I did not know what
really went on at Metro Mass Transit Limited . I did not have the slightest idea of how
communication unit under the Marketing department operate until I went to Metro Mass Transit
Limited to have a feel of how the section put things together.

With my few time spent with Metro Mass Transit Limited , I have gained a lot experiences
which will prepare me serve the needs of the industry and commerce more effectively and
efficiently upon graduation.

I have experienced performing clerical duties that includes using office equipment, filing,
documentation, publicity, managing records and receipts, providing customer services to clients,
supporting the administrator and other executives with projects and tasks when required.

I have acquired exceptional reasoning and communications skills with the ability to
communicate with co-workers, management, and clients in an effective and professional manner.
I have had great interpersonal skills. Keeping things organized and I can work even when under
a lot of pressure to meet tight deadlines. Then also, I am eager to learn and develop my
professional skills as well.

Industrial attachment is an essential requirement leading to the Higher National Diploma

certificate award. I then use this platform as a stepping stone for the students to have a feel of the
job environment and to acquaint themselves with procedures and issues in relation to the various
courses of study and its practical occurrences on the field of operations. I wish that organization
would give students the opportunity to practice what they are taught in class to enable the
economy of our dear nation Ghana.

RECOMMENDATION

With reference to the experiences gained from the internship, I would like to recommend the
following to the management of Ghana Heritage Conservation Trust;

1. Management of the organization should consider more of the use of computer to keep
document which concerns monetary, details of staff and clients. Administration work is
more of computerised system therefore the industry must purchase more computers
because the ones available are not functioning as its supposed to.
2. Management of the organization should activate all the telephone lines of the various
unit.
3. The departments/ units heads must update the unit of all their activities and serve the unit
copies of memos and other administrative documents to keep the office updated on issue
of the company.

I also recommend the following to the Industrial Liaision Office;

1. Strategic partnership between the university and industry should be forged or enhanced
so as to ease the process of internship placement. This can be supported by the Ministry
of Education by policy initiation.
2. Effective systems should be put in place by the university to fully evaluate students’
output and punctuality on field of work.
