SYSTEM ANALYSIS

UNDERSTAND THE PROBLEM AND Challenges and Opportunities of Library Management

OPPORTUNITY
System
1 Specialized staff:
Any Institution who have design digital library they must
have a knowledgeable and
skillful staff. They also have a technical knowledge for
handling digital equipments as well as digital information.
In the digital library management has challenge to
professional and skillful staff for keep library update and
implement new activities. The library professional also
have challenge to constantly update their own knowledge and
skills base as to work in today's rapidly changing digital
environment.
2 Sustainable funding:
The digital library needs content financial support for
managing digital information and
provide instant access to the users. Funding for digital
libraries are most frequent problem faced
by professionals without essential fund they are not able
to manage, transfer, and disseminate information effective
in this present days.
3 Retrieval of digital information resources:
Retrieval systems are necessary for users to obtain the
information they require from the digital libraries. Though it
is relatively straightforward in the case of textual
information resources, it may be a subject of research for
pictures sounds and videos. Whatever the case, retrieved
information must be delivered to the user. A digital library
UiTM/FSKM/CS/ISP451/F2
must also have some form of preservation mechanism. In
that way, there has to be a means of ensuring that what
may be available today is still available tomorrow.
4 Protecting the intellectual property rights
A major administrative challenge is in complying with
copyright and intellectual property rights issues. The library
Professionals have to discuss seriously with publishers on this
aspect in order to evolve some mechanism profitable to
both users, publishers as well as authors. Users may be
charged for each access, downloading from servers and
each kind of digital library collection.
5 Right Management and Access Control in Digital
Library
A true digital library not only requires an organized
collection of online digitized contents, it also requires that
the contents be accessed and distributed as widely as
possible to legal, users around the globe. Distribution
does not mean just on site access, it also means allowing
access to authenticated members of the subscribing
organization regardless of their physical location. Server-
side software are now available that allows a server to be
configured to distribute information with or without right
management. Most vendors of online digital contents supports
password authentication to their products. The use of CGI
scripting/proxy servers allow a subscribing institution to
authenticate users from its server and then pass them
through to the vendors with the assurance that they are in fact
of legal users irrespective of their log-in-location.

Opportunities :-
In Digital environment librarian facing many challenges, but
opportunities are greater for them. Now days users can
change media for accessing information, so that they can
type out command on his desktop pc and access numerous
databases scattered over globe. Through the modern digital
libraries user hould access information more faster and
convenient way. The invention of magnetic data storage
system so that large volumes of data could be stored in
a small space and in computer readable format. The
development of methods of transmit data in bulk, at high
speed and at very low error rate, through
telecommunication network.

The following opportunities in digital library

management:

➢ Information can be saved digitally and therefore renders

immediate

access to high demand and frequently used items

➢ There is enhanced intellectual control along with new

finding tools and
support searching capabilities

➢ Links are provided to access bibliographical tools

➢ Manipulation of text and images is improved by enabling

the enhancement of digital images
in terms of size, sharpness, color, contrast noise reduction and
so on

➢ Duplication of digital resources is easy

➢ The new potential of conserving fragile/precious originals

while presenting surrogates in
more accessible forms, is provided

➢ The potential for integration into teaching materials by

presenting the critical mass of reading materials is provided

➢ The burden or cost of delivery is reduced

➢ There is encouragement of use by providing enhanced

resources in the form of widespread
dissemination of unique collections

➢ There is ‘virtual reunification’ allowing dispersed

collections or materials that are related to
one another to be brought together, even if they are scattered
among many locations

➢ More than one user can make use of use a single

information resource, simultaneously

➢ Provides timely access

➢ Saves physical storage space

➢ Capable of supporting and creating multimedia information

resources thus allowing the
simultaneous integration of different media (i.e. images,
graphics, sounds, videos and so on)

➢ No mutilation of pages due to high use or otherwise, can

occur

➢ There is an increased use of library resources and Web-

based resources through Internet or
Intranet, making it easy to receive or transfer information both
UiTM/FSKM/CS/ISP451/F2
from as well as to any part
of the Internet, instantly

➢ Supports resource sharing among libraries by providing

efficient and seamless access to
materials held remotely

➢ There is the capability of keeping an electronic

archive/history of resources previously
accessed

➢ There is the possibility of several libraries forming a

consortium or consortia of access to
bibliographic databases, abstracts, full text journals and even
e-books online, by spending
only a nominal amount

Fact Finding Techniques

1. On-site Observation

Our analyst wanted to see the functioning of library. So,

analyst visited the library for two days and observed librarian
issuing and returning books. The analyst also inspected the
place where the cards are stored and from that it was seen that
it was a real mess. To see if a particular book is already
issued, it is a difficult and effort intensive process. The analyst
also saw the records for books, members, and accounts. From
site visit our analyst had a good understanding of the
functioning of the system. After this, the analyst performed
some personal interviews of library staff and few members. In
the next section, we'll look at these interviews.

2. Interviews
PERFORM FACT-FINDING
Interviews are useful to gather information from individuals.
Given below is the interview between the analyst and one of
the librarians, during the information gathering stage of the
development of our library system.

3. Questionnaires

Since the time was less it was not practical to interview every
library staff. So, to get the opinion of all staffs, the analyst
distributed questionnaires to all of them.

EVALUATE FEASIBILITY Methods of conducting feasibility studies

UiTM/FSKM/CS/ISP451/F2
By investigating and analyzing the functions and implementation
methods required by the library lending system, the overall
structure is determined, and compared with the existing library
lending system for analysis and research, there are more feasibility
research methods.

Evaluation scale

This library system can provide book managers with accurate and
timely information, and provide favorable support for managers'
decision-making. It can promote the reform of the library
management system of colleges and universities, improve work
efficiency, and reduce staff and manpower management fees. These
are the indirect benefits brought by the use of the system, but also
promote the process of school informatization and improve the
student management system.

Analysis of the existing system

 Workload

The librarian edits bibliographic information, reader information,

book borrowing information, and handles the number of borrowing
information for borrowers.

 Limitations

Due to the substantial improvement in hardware performance, the

old system is no longer suitable for the current ultra-high-speed
microcomputers, processing information is slow, response time is
long, search algorithms are not optimized enough, operations are
complicated, and security is insufficient. To sum up, it has caused a
lot of waste of manpower and material resources, and with the
further division of labor and refinement of book management, the
previous system has already appeared big loopholes, so it is
necessary to build a faster, more convenient, and more complete
book.

Data flow and processing flow

Improvements

The borrower management system records the borrowing

information based on the borrower database, the book management
system records the book information based on the book information
database, and the query system retrieves the borrower/book through
the book/borrower database. The borrowing management system
operates on database information through other systems.

Metrics such as user satisfaction, user participation, user
support, user development, community engagement, and
PERFORMANCE community produced projects are a great indicator to find out
what are the benefits the attendants perceive from a program
or activity they participated in at a library.

Patron facing interface:

The objective of a library is to help the patrons to find the right

book. These interfaces with other tools allow patrons to search
for what they want. The system should have filtering options
for older users and easy to use icons for the younger users.
Patron facing tools include the useful features of reservation of
books, displays and notifications. The browse feature permits
the user to search for books of interest by topic, genre or author.

Product conformation:

The library management system software has to be one that can

CONTROL manage the entire work of the library. The software should be
flexible to suit the needs of the library. Primarily the work of
the librarian and that of the other staff have to be addressed by
the system. The system has to be user friendly and customizable
to each user – the librarian, the borrower or user, accountant
and other staff. The items, labels, reports and preferences
should be free to choose from.

Accessibility:

The system should allow the school libraries to manage their

student base from a central system accessible from anywhere,
anytime. It should be possible for management to view the
library operations from anywhere. The program should be
accessible from libraries, classrooms, computer labs, homes and
any place with an internet connection or web access.
